"Flexible HTML Signatures with Powerful Conditional Logic and Outstanding Support"
What do you like best about Signature 365?

I liked the ability to start from a HTML code I already had and tailor it from there. There are very interesting if-then-else conditions that can be applied to the code to make some fields appear or not based on the sender's contact informations.

Customer support is the best, I got help with everything I needed: it was helpful, professional and kind. Review collected by and hosted on G2.com.

What do you dislike about Signature 365?

If you cannot manage Azure user groups, it can be hard to assign a signature to each user, since you must flag them individually.

Also, since the html code can work differently on different email clients, a tool to help me test the code on each scenario would have been helpful, as I know some of Signature365 alternatives do offer it Review collected by and hosted on G2.com.

Response from Dale Quincey of Signature 365

Hi Stefano, and thank you for such a detailed and kind review.

It's great to hear the conditional logic and HTML flexibility have been working well for you, and thank you for the kind words for our support team.

On assigning signatures without Azure group management, we'd always recommend assigning rules based on group membership where possible, as this significantly reduces the overhead of managing individual users. If your IT setup makes Entra ID group management difficult, it may be worth a conversation with our support team, who can advise on the best approach for your environment.

On template previewing; Signature 365 includes a preview window within the template designer, so this may be worth exploring if you haven't already. It's worth noting that true cross-client rendering preview, particularly for Outlook Classic which uses its own proprietary rendering engine, is a challenge the industry as a whole hasn't reliably solved, so any previewing tool will have its limitations in that regard.

If you have any questions, the support team are always on hand if you need anything further.

Thanks again for sharing your experience.

"The must-have essential SaaS for your company"
What do you like best about Signature 365?

- The tool is well integrated with Microsoft ecosystem, configuration and user/group import works smoothly, the add-in works well on every version of Outlook, it replicates the committed edits in seconds

- Setting up an entire signature is very straghtway, it's composed by 3 parts - signature (user information), campaign (banner) and disclaimer (legal and misc info) - that are independly manageable.

- Many fields are available to sync, plus 15 custom fields + any extended attributes, usually from on-premise Active Directory to Entra ID)

- Extra wide default and custom company fields are avaiable. Example of custom company field i created is newsletter link that is in every signature and batch-changeable in 1 edit.

- Knownledge base is very well managed and the guidelines are clear to follow, with many practical examples

- Custom roles for IT Administrators + extra people to only view and manage parts of the tool are a thing. In my case, Marketing dept. can view active campaigns with evidence of end scheduling and % click rate of them.

- Additional specific filter attribute to deploy different signatures for iOS/Android devices among the others open up to more granula personalization of the company experience

- We chose this product because the price is very competetive after scouting other major products

- The product roadmap looks good with features and correction that makes sense.

- Support and Sales reached out via email reply fast and super precise and easygoing, that is not taken for granted in this "AI world" we are living in Review collected by and hosted on G2.com.

What do you dislike about Signature 365?

- Rules have priority, a preview or simulation of what apply to users is a missing feature at the moment. When you have many rule, a missclick can commit an unwanted change. Be careful.

- Campaigns have priority too, but with a button and not with drag and drop

- The entire signature is in a table, a feature to add space before the signature (out of table) is missing at the moment

- Does not support at the moment external images, so a new company logo cannot be read in the official website and can lead to a mismatch if not well coordinated Review collected by and hosted on G2.com.

Response from Dale Quincey of Signature 365

Hi Vito, and thank you for such a thorough and considered review. It's great to see the breadth of features you've been putting to use, and we're really pleased the product has made such a tangible difference compared to your previous on-premises setup.

On your feedback points, the rule simulation feature is a fair observation, and something that our product team are considering. In the meantime, we'd recommend using the "Stop processing more rules" option if possible when building out rule sets, as this can help prevent unintended signature assignments. Our support team are always happy to help review rule configurations if needed.

Drag-and-drop reordering is a reasonable improvement to this, and I've created an improvement request for our dev team.

While Signature 365 doesn't allow references directly from an external URL, updating an image within the portal pushes the change across all signatures using the image, so keeping your logo consistent across the organisation is still a single update rather than many.

Due to the way signatures are structured to ensure consistent rendering across Outlook versions, adding spacing outside of the signature block isn't currently possible, though this is something we may look at as part of our ongoing template designer improvements.

Thanks again for such a detailed review. It's genuinely useful, and we hope to keep earning your confidence as the product continues to develop.

Dale Quincey

"Centralised Email Signature Control That Fits Perfectly with M365"
What do you like best about Signature 365?

Having consistent, centralised control allows both our IT team and brand owners to manage our email signatures in one place. It’s low effort for end users, and it’s a great fit for our M365 environment since the add-ins are natively available. Review collected by and hosted on G2.com.

What do you dislike about Signature 365?

Change management is difficult to handle, and it requires a lot of thought around rules and exceptions, which takes planning and time away from a lean team. It’s also a trade-off for end users: the IT team takes on more overhead so users get more consistency, but they have less control. Review collected by and hosted on G2.com.

Response from Dale Quincey of Signature 365

Hi Ben, and thank you for the detailed review.

We’re pleased to hear that centralised control is working well across both IT and brand stakeholders, and that our integration made deployment straightforward for you.

Change management in environments with multiple departments, banner campaigns, and compliance variations can be challenging due to the number of differing requirements. The trade-off between user freedom and brand compliance is real, and many organisations consciously choose central control to avoid drift over time.

It’s great to hear Signature 365 is helping to ensure that role changes, campaign rollouts, and legal compliance requirements are being handled effectively within that framework.

Thank you again for your perspective and feedback,

Kind regards,

Dale Quincey

"Easy Integration and Use, Ideal for Corporate Signatures"
What do you like best about Signature 365?

I love how easy it is to create signatures, duplicate them, and integrate them into the Office 365 tenant. When integrated, the signatures are automatically installed on all the Outlooks in the organization, minimally bothering the end user and making the integration very quick. Additionally, the initial setup of Signature 365 was super easy, as you connect the tenant, create the signatures, import the users, and that's it. Review collected by and hosted on G2.com.

What do you dislike about Signature 365?

When creating signatures for autoresponders or corporate emails, it is difficult. I would also like a better way to create rules for each signature and assign them to each user, since there are users who want fields that others do not, and I have to create multiple signatures. Review collected by and hosted on G2.com.

Response from Dale Quincey of Signature 365

Hi Maika, and thank you for your review of Signature 365.

Its great to hear how easy you found it to integrate Signature 365 into your tenant and roll this out to your users!

You can give your users the ability to display / hide fields using conditional options - we have an article on how to do this in our knowledgebase - this allows you to use a single signature and allow your users to choose the fields they wish to display:

"Basic product that makes an impact!"
What do you like best about Signature 365?

What I like best about Signature 365 is that it keeps everything aligned without us having to chase people for updates. It makes sure the brand stays consistent across the team, and when we need to adjust something, we can do it quickly and in one place. It saves time and keeps things clean and professional without overcomplicating the process. Review collected by and hosted on G2.com.

What do you dislike about Signature 365?

Sometimes small updates feel less intuitive than they should be. There are moments where formatting or syncing takes a bit of troubleshooting, which slows things down. It’s not a major issue, but it would be great if the platform felt a little more seamless and user-friendly overall. Review collected by and hosted on G2.com.

Response from Dale Quincey of Signature 365

Hi Kiki, and thank you for your review here.

Its great to hear that Signature 365 is helping you save time and ensuring your branding is consistent without any manual intervention.

Thank you for the feedback on template updates - that’s an area we’re actively refining as part of our ongoing improvements to the template designer, with a focus on making these types of change easier to manage.

Thanks again for sharing your experience.

"Efficient Email Signature Management with Room for Customization"
What do you like best about Signature 365?

I use Signature 365 to standardize and centrally manage email signatures across the organization. I value the centralized control and ease of deployment, which allows me to manage all employee signatures from a single administrative interface. It eliminates inconsistencies in employee email signatures and removes the need for manual configurations. I appreciate how it synchronizes accurate contact information with Microsoft 365 user attributes and standardizes legal disclaimers. This reduces IT support requests and minimizes configuration errors. Its native integration makes the initial setup straightforward, which is great for first-timers. Overall, it's a highly reliable and scalable solution that I can confidently recommend. Review collected by and hosted on G2.com.

What do you dislike about Signature 365?

It's limiting for highly customized layouts. Advanced formatting or complex design adjustment requires additional effort. Testing different conditional rules or user segmentation scenarios can be less intuitive. There's a need for granular control for edge cases like unique roles. There's room for improvement in advanced template flexibility and deeper analytics reporting. Review collected by and hosted on G2.com.

Response from Dale Quincey of Signature 365

Hi Fethi, and thank you for such a detailed review.

We’re particularly pleased to hear that centralised control, data synchronisation, and disclaimer standardisation are delivering measurable benefits and helping you to reduce overheads and inconsistencies, and it's great to hear the integration made first-time setup straightforward.

Your feedback around advanced customisation, complex layouts, and conditional logic is much appreciated. Our upcoming designer enhancements are focused on increasing flexibility and ease of use for more complex layouts and conditionals.

Kind Regards,

Dale Quincey

"Streamlines Signature Management but Could Use UI Enhancements"
What do you like best about Signature 365?

I like how the signatures roll out easily and quickly across the team. I also appreciate being able to set different rules, which allows me to apply different signatures for users quickly. Review collected by and hosted on G2.com.

What do you dislike about Signature 365?

The interface is quite basic, and I found myself having to edit the code to create the signature we wanted. I also have to use coding every month when I edit it as the table spacing seems to change. It's more time-intensive than I envisioned but takes that time away from the team needing to do it. Initial setup wasn't particularly easy; I had some difficulties linking it to our server and needed IT's help to troubleshoot. I also had to recreate our signature, which didn't copy and paste well, so I had to edit lots of stuff in coding and do lots of testing. More options with sizing, fonts, table spacing, and the option to capitalize fields would be helpful. Review collected by and hosted on G2.com.

Response from Dale Quincey of Signature 365

Hi Kelly, and thank you for the detailed review — we genuinely appreciate the time you’ve taken to outline both the benefits and the challenges.

It’s great to hear that the ease and speed of the signature rollout, along with rule-based control, are delivering value for you.

Thank you for your feedback on the designer interface and the need to work in the source editor for more advanced layouts.

Improving the design experience — including layout control, spacing consistency, formatting options, and conditional field handling — is an active area of development. Our work on the next-generation template designer is focused specifically on reducing the need to drop into the source editor while still preserving the flexibility required for more complex designs.

You can keep up to date on our current releases at updates.signature365.com, where you can also see a roadmap detailing our upcoming features.

Thank you again for your honest feedback.

"Quick, Painless Exchange Signature Setup with Granular Security Group-Based Deployment"
What do you like best about Signature 365?

The setup and integration for deploying Signature 365 into our Microsoft 365 exchange environment was very quick and painless.

Even configuring the Outlook Add-in was simple. The ability to implement different signatures or options based on existing Security Groups made deployment quick and granular. Review collected by and hosted on G2.com.

What do you dislike about Signature 365?

The editor is not super user friendly. I have a background in web/graphic design and some coding as well, so I was able to brute force some things I needed in the signature, but I could not give the background editor to someone on the Human Resources or Public Relations teams to implement signatures. Review collected by and hosted on G2.com.

Response from Dale Quincey of Signature 365

Hi, and thank you for the detailed review. It's great to hear that you found the integration simple and quick to complete. The ability to leverage existing Security Groups for the deployment of signature rules is a key feature to reduce administrative overhead.

Improving the usability of the template designer is currently a key focus area for us. Our current work on template designer enhancements are specifically aimed at making both simple and advanced layouts more accessible without requiring code-level intervention.

We have details on our current roadmap at updates.signature365.com and post release updates here and in the internal alerts functionality of Signature 365.

Thank you again for the constructive feedback.

"Intuitive Email Signature Control with Stellar Support"
What do you like best about Signature 365?

I find Signature 365 really easy to use with its intuitive platform that's pretty much plug & play. The custom fields are great because they allow users to update their own information, freeing up our IT team from having to make backend updates. The visual editor is something I love as it makes changing things so easy. The team at Signature 365 (specifically Jamie) has been super helpful in getting everything up and running, and our IT team was impressed with how easy it was to set up and roll out. Overall, Signature 365 makes ensuring brand compliance across our email signatures a breeze. I also appreciate how it centrally controls email signatures, helping our marketing team easily implement campaigns. Review collected by and hosted on G2.com.

What do you dislike about Signature 365?

There are some limitations - like I wish that you could rearrange the order of the custom fields. I also wish that you could rename the custom fields after creation. Just the ability to reorganize some of the elements would be nice. Review collected by and hosted on G2.com.

Response from Dale Quincey of Signature 365

Hi Sarah, and thank you for such a detailed review; it’s great to hear how well Signature 365 is working across both Marketing and IT.

Giving users the ability to manage their own personal information while maintaining central control over branding is exactly the balance we aim to strike. Reducing IT workload while empowering Marketing to manage campaigns and compliance is a core part of the platform’s design.

Your feedback regarding custom field ordering and renaming has been noted. In the Outlook add-in, custom fields are currently displayed alphabetically and can’t be manually reordered after creation. We understand how this can limit flexibility, particularly for organisations using a larger number of fields.

One practical workaround some customers use is applying a naming convention (for example, numeric or grouped prefixes) to control display order more predictably.

I also appreciate the kind words about our support team — I'll be sure to pass that on. Support is something we take seriously, and we’re proud to maintain a 100% positive CSAT rating across hundreds of verified responses over the past year.

Thank you again.

Kind regards,

Dale Quincey

"Easy of deploy, and easy to manage"
What do you like best about Signature 365?

the integration of all the account in the tenant with the same design of signature, the branding of the group is perfect now when the people send emails.

is easy of use for the users and easy to implement for the admins, if you have any problem the customer support is quickly and effective, and they solve the problem very fast,

we change our signature each month and by the moment signature 365 is perfect Review collected by and hosted on G2.com.

What do you dislike about Signature 365?

the main problem for us is when we have a lot of users each one want a signature with a label that the other users dont want, per exemple one person want his email or his phone but other person dont want the same, so we need to create 2 rules for each case.

But in general signature 365 is greats Review collected by and hosted on G2.com.

Response from Dale Quincey of Signature 365

Hi Juan, and thank you for your review of Signature 365.

Its great that your users are finding it easy to use, and thank you for the kind words on our support experience.

On your point over multiple signatures, we have a KB article detailing this specific use case, using fields and conditional formatting to allow you users to choose the fields that are included on a signature - i have included this in the resource URL below
