I really love how it connects data from all our different enterprise systems without making us duplicate everything. The zero-copy approach is a game-changer , it gives me real-time, trustworthy data straight inside our workflows. That’s sped up our decision-making a lot and made integrations way less painful.

On top of that, it adds proper governance and business context, so the data is actually usable right away for automation and AI driven processes.”

That said, unlocking its full value isn’t always straightforward. It really depends on having solid data maturity and getting the configuration right. The initial setup, aligning governance, and figuring out how to properly model your data can be pretty complex  especially if your team is new to ServiceNow integrations.

There’s also a noticeable learning curve for non-technical users to fully grasp how the data is contextualized across different systems.

It genuinely solves the big problem of fragmented enterprise data being scattered across so many different tools and platforms.

I like how ServiceNow Workflow Data Fabric allows for a deeper dive to understand where processes might be failing and how they can be improved. This capability is great for reporting to teams or the C-suite to enhance the customer experience. It helps us move past just looking at timelines of tickets to really understand why a ticket is moving between support teams and what information could be useful for the customer from the start, avoiding unnecessary back-and-forth. Also, it was very easy to get the product installed and set up our first project.

I could use examples of what breakouts are best for certain scenarios and it would be nice if the product shipped with a few improvements already installed as examples. If not preloaded in the product, at least a document on the Success website for building out improvements such as MTTR, Customer Satisfaction, etc.

Upsides are connecting multiple data sources into one platform for workflows and AI, faster integration with minimal efforts, real time data access etc.

UI for non technical users are slightly difficult to understand. Pricing is also challenging for small organisations. Advanced capabilities are present in only high tier packages which costs more.

Earlier we used ADF+ databricks to load data from multiple sources. ServiceNow workflow data fabric is solving multi data sources integration easily without any heavy ETL configuration. Prebuilt connectors and features like zero data access makes easy to use data in real time without any complexity.

I love that ServiceNow Workflow Data Fabric has made managing data across different sites so much easier by enabling us to pull real-time data directly into our workflows without needing to build complicated and fragile connections. I appreciate how it has cleared our technical backlog and significantly accelerated our AI tool rollouts. What I like most is the speed of deployment, as we no longer spend weeks or months building custom integrations for each project. It works especially well in feeding our AI and GenAI initiatives, turning AI insights into actual results and allowing our AI to initiate workflows automatically by being securely connected to our live data. We've also seen great results integrating it with Microsoft 365 and Teams to automate our communication loops.

What I dislike about ServiceNow Workflow Data Fabric is that, because it pulls data from multiple systems, it can sometimes feel slow or run into performance issues—especially when the source systems aren’t optimized. In the early stages, it also takes an experienced architect with a strong understanding of the overall systems landscape, data sources, and technical architecture to set it up properly. On top of that, it’s generally viewed as a premium, high-cost solution compared with other competitors in the market.

We previously had to build multiple dashboards in Tableau just to get a consolidated, clear view of the system in one place. To address this need, our client and our organization chose ServiceNow Workflow Data Fabric.

ServiceNow WDF helps us bring data together from different systems and databases, so we can work with real-time, accurate information. The data format is simple and well structured, which makes it straightforward to integrate with Tableau without issues.

Also, it fits nicely into the existing ServiceNow setup, so we didn’t have to change too much. It feels pretty powerful for automation use cases. Just the ease of configuring workflows once it's figured.

Setup was a bit confusing at the beginning, especially around data mapping and figuring out the right sources. The documentation helps, but still had to try a few things before it worked.
