As a Customer Support Admin managing backend processes, what I value most about SAP Ariba is its centralized document tracking and the way it enforces a structured workflow. The “To Do” and “My Documents” console setup makes it very reliable to follow the exact lifecycle of sourcing projects, contract terms, and supplier questionnaires from a single, unified view. For an enterprise handling large vendor volumes, having a consistent, unbroken audit trail for approvals and invoice reconciliation is essential to maintaining strong corporate governance.

**What do you dislike about SAP Ariba?**

The user interface feels dated and imposes a noticeable “click tax” on administrators. Navigating deeply nested modules such as SM Administration or custom extensions takes far more step-by-step clicking than you’d expect from modern cloud applications. On top of that, error handling in the legacy templates can be brittle: even a small misconfiguration in workflow routing can leave tasks stuck in “Reconciling” loops, requiring manual intervention to clear the back-end data path and get things moving again.

**What problems is SAP Ariba solving and how is that benefiting you?**

It helps solve the chaos of supplier identity sprawl and decentralized task tracking. Before we standardized on Ariba, keeping up with separate vendor forms, surveys, and contract terms across international entities was a massive operational headache. Now it improves my day-to-day workflow by consolidating pending approvals and document statuses into clean, well-organized dashboard views, so our compliance metrics are met and nothing slips through the cracks.

It provides transparency and scalability into compliance, supplier risk and sustainability management. It also enhances buyers, supplier, and user experience by bringing in a digital transformation to the supply chain. Easy to use both from end-user and admin point of view.

Slowness at time might make you feel annoyed. SAP Ariba with Oracle Integration sometimes, which can anyways be resolved with some experts helps though.

**Recommendations to others considering SAP Ariba:**

A very detailed tool to capture all requirements and enable the related teams to support. The amount of transactions done manually offline wasting paper, time, and people is incredible.

**What problems is SAP Ariba solving and how is that benefiting you?**

Our P2P system has moved from old ways into Ariba and you wont believe, its easy transfer of master data. Organization structure, suppliers can be easily transferred to Ariba solution using best way of integration.

Invoice details, goods receipt, PO details can be easily transferred to Ariba solution with optimum integration. This enables smooth transfer of transactional data.

What stands out most to me is how comprehensive the Ariba Network is, making it incredibly seamless to discover suppliers and collaborate with them. The end-to-end visibility it provides across the full procurement process—from sourcing and contracting through invoicing and payment—helps reduce manual effort and strengthens compliance. Having these interconnected modules together in one centralized cloud platform also streamlines day-to-day workflows, improves data tracking, and boosts overall operational efficiency.

**What do you dislike about SAP Ariba?**

While it’s undeniably a powerful tool, the steep learning curve and somewhat rigid user interface are real pain points. For everyday users, the system can feel overly complex, which makes broad adoption difficult unless there’s significant training or digital adoption overlays in place to guide people through daily workflows. On top of that, report customization can be clunky at times, requiring more technical know-how than expected to pull specific data quickly.

**What problems is SAP Ariba solving and how is that benefiting you?**

SAP Ariba helps solve the critical issue of disconnected procurement processes by centralizing supplier management, sourcing, and spend analysis. Because I use it daily, I benefit a lot from its wide range of features, which let me manage complex workflows in a single place. That said, implementation isn’t always easy at the start and can be challenging, often requiring digital adoption tools to help users learn their way around the platform. However, its strong integration with our existing enterprise systems makes the overall transition well worth it. I also appreciate having access to responsive customer support, which helps resolve technical hurdles quickly and keeps our operations running smoothly and efficiently.

**What do you like best about SAP Ariba?**

I use SAP Ariba as my primary method for making purchase requests, as well as tracking those requests until either approved or converted into orders. Previously, we previously dealt with numerous requests via email which would often lead to confusion. Using SAP Ariba allows me to view precisely where a given request is located within the approval chain and who still has yet to approve it.

Most of what I perform as part of my job involves verifying the accuracy of supplier information, selecting items from catalogs, and verifying that appropriate budgets are established prior to submitting the actual request. I appreciate having all of this information recorded in one central location. For example, if someone inquires about a certain order dating back 2 months, I am able to quickly locate that order without having to search through multiple emails.

I don’t explore SAP Ariba, I simply utilize it as part of my everyday purchasing responsibilities, and have subsequently become accustomed to how it operates.

**What do you dislike about SAP Ariba?**

The menus were visually overwhelming at first.I didn't know where to actually find the things I needed for basic operations. For example, in order to edit requests after they're submitted, you may have to click multiple times before making the necessary change or updates. 

 If you update the supplier catalog and want to see those changes immediately, they may not show up right away, which can result in delays when you have to confirm a price significantly.

**What problems is SAP Ariba solving and how is that benefiting you?**

In place of confusing communication, it is now a centralized approach. All communication including approval emails, purchase request forms (purchase orders), etc., come through one system for all purchasing activity. This will clarify each person's role and reduce confusion in the purchasing process.

It will also assist in avoiding budget errors by requiring all purchases have prior approvals prior to ordering. This will result in greater control over spending with fewer corrections necessary after the fact.

SAP ARIBA is a good tool for sourcing. The interface is friendly and offers an in-built workflow-based approval process. It works well with SAP as an ERP and streamlines procure-to-pay processes by connecting buyers and suppliers on a single platform.

**What do you dislike about SAP Ariba?**

SAP ARIBA doesn’t offer enough configuration or automation options for tax and withholding tax calculations. Even when we try to connect it to an external tax engine for indirect tax calculation, the connector still feels quite restrictive and ends up limiting what we’re able to do.

I like SAP Ariba for its ability to centralize and automate the entire procurement process. The seamless supplier collaboration and strong integration with SAP systems really enhance procurement management. I also appreciate the clear spend visibility, which makes procurement more efficient and well-controlled. The real-time communication with suppliers through a single platform is very valuable, as it reduces email dependency and speeds up RFQs, order confirmations, and issue resolution. Additionally, the ability to track spend by supplier, category, and contract is incredibly helpful for better cost control and identifying savings opportunities.

While SAP Ariba is powerful, the user interface can feel complex and not very intuitive for new users. The initial setup and configuration require significant effort and training. Additionally, performance can sometimes be slow when handling large volumes of data, which impacts overall user experience. One area that needs urgent improvement is the user interface and overall user experience. Simplifying navigation and reducing complexity would significantly improve adoption and productivity, especially for new users. Additionally, improving system performance and response time for large transactions would make day-to-day operations smoother.

I like how SAP Ariba seamlessly integrates with the SAP system, which is a big plus for us. I think it was lacking the capability of using the co product. So the core product was not being handled directly when we were having integration with our CMOs and Ariba and S/4. So we're not able to get this specific moment type. Five forty three, I believe, as a co product.

I really appreciate how SAP Ariba brings structure and visibility to what is usually a fragmented process. One of the biggest advantages is its end-to-end integration from sourcing to contracting, purchasing, and invoicing, where everything sits within one ecosystem. This integration is valuable because it removes the disconnect that often exists between different procurement stages, linking sourcing and contracting directly. This ensures that negotiated pricing or supplier terms flow seamlessly into contracts without the need for manual re-entry, reducing errors and ensuring that what was agreed upon during negotiations is actually enforced during purchasing. Additionally, I found the initial setup to be good and very fast.

If you are managing a study budget, SAP Ariba’s Spend Analysis dashboards are a lifesaver. The highlight is the ability to see exactly where every dollar is going across different vendors in real-time. It helps identify if you’re overpaying for a service at one site compared to another, which allows for better budget forecasting and negotiation. One of the strongest technical advantages of SAP Ariba is its native integration with the broader SAP ecosystem (like S/4HANA or SAP Business ByDesign), creating a seamless flow from the moment you plan a budget to the final entry in the company’s general ledger.

**What do you dislike about SAP Ariba?**

SAP Ariba is a 'Global Tanker'—it is incredibly powerful and carries everything you need, but it is very difficult to turn quickly and requires a highly trained crew to steer it. Logging issues.

I find SAP Ariba easy to use, which is a big plus for me. I think it's great that we can find lots of suppliers, especially those not involved in our current portfolio. The Ariba Discovery part is particularly useful as it shows us a wide range of suppliers for our purchasing categories. The initial setup of SAP Ariba was very easy, making the transition smooth.

The first login screen after login is a bit complicated, and some of our users get lost in it. Authorizations and maybe some UI enhancements could be done.

I like that I receive notifications for new orders, and that I can customize which notifications I get. I also appreciate how easy the system is to use—it’s very user-friendly.

The main issue is that sometimes I get kicked out in the middle of submitting an invoice and then have to start all over again. I also run into errors when I try to log into the system.

One benefit I really enjoy is that the system lets you archive the invoices you submit. It can do this automatically, or you can choose and adjust when you want them to be saved.

I like that with SAP Ariba it is possible to store all the information we need. It handles a large amount of data that, with other systems, was not possible to store in so few modules. I am very satisfied with its overall performance.

The supplier approval process can be improved. We would like it to have absolutely all the information we need to know when approving a supplier and to let us know about it. The challenge is to obtain all the data we need for all suppliers and to be able to incorporate them into SAP Ariba in the best possible way.

It’s one place where we can create procurement requests, track them, and manage everything through to completion. It also has a To Do section, which makes it easy to see any pending requests at a glance.

**What do you dislike about SAP Ariba?**

From a navigation standpoint, it’s not very user-friendly for new users. Although Ariba includes a search option, having some in-app help documents would make it much easier to find what you need.

Currently, I don’t need to follow up with the Asset Management team for any procurement. It’s very easy to create a request in Ariba, and I receive the assets on time.

It's challenging to find the right vendor since it relies on SAP master data. This could be improved with AI tools. We also face challenges with linking to SAP; the data doesn't always flow easily, and approvals are inconvenient. Additionally, the initial setup was of moderate difficulty, taking two years to implement.

I find the overall process with SAP Ariba smooth and very effective in managing tenders, submissions, and invoices. I appreciate the ease of uploading and storing documents, as well as communication with other parties for specific jobs and tasks. Unlike emails, SAP Ariba allows me to track all communications and documents, which I find really beneficial. Additionally, the initial setup of SAP Ariba was very easy.

The process to submit invoices is a bit of a hassle because we have to insert each line one by one, which takes too much time. It would be better if there was an option to select or unselect the pre-inserted items, as line items are already inserted by the persons who raise the Purchase Order.

It’s not that I dislike it, but at times it feels a bit slow and keeps loading because the UI doesn’t always work properly, while the rest of the application works fine. Sometimes we also need to add multiple details, like the department and then the BU.

Also, it makes the page slow and takes too long to load up.

I like how easy it is to pair up invoices with POs using SAP Ariba, and I can easily track what has been submitted and paid. I appreciate being able to see what POs were submitted and filter through them. Each PO has a feature that shows the amount that was invoiced and paid, as well as the amount left on the PO. It also displays details by line item if there are different line items.

**What do you dislike about SAP Ariba?**

It's not super intuitive on what information is needed or it seems that information is repeated. The tracking of the AR is helpful, but sometimes doesn't make sense. Same with the line items.

**What problems is SAP Ariba solving and how is that benefiting you?**

I easily pair up invoices with POs and track submissions and payments. I can see submitted POs, filter them, and view invoiced and paid amounts, even by line item.
