It allows attendees to hop from 'room' to 'room' as they choose so they can have serendipitous encounters with other attendees, in an organic, unforced way. It is quite literally a virtual venue. **What do you dislike about RingCentral Events?** It's important to note that Hopin was planned to launch in September 2020 before COVID. So the crisis meant they had to launch much earlier than planned. So there are some minor features that seem un-intuitive. That being said, they are minor, and in general, the site was so easy and initiative to use - both on the back end and front. **What problems is RingCentral Events solving and how is that benefiting you?** As an in-person event organiser, with an ethos of celebrating going ‘offline’, the serendipity of connecting face-to-face, we could not envision a digital experience that would capture who we are until we found Hopin We quickly launched a charity dinner to connect 300 guests who are still in lockdown. It was an overwhelming success. We've run three events on Hopin now (two on early access, one on their Pro plan) over the past few months with extremely high turnout rates (70% - 92%), engagement, and very positive feedback. Our support agent, Ellen, was very kind, response, and helpful throughout the entire process of our first major event as a Hopin Pro customer. Adding content as easy as sending and email. Help desk bot useful and people who answered personalized questions always quick and very helpful. Problems solved so quickly! **What do you dislike about RingCentral Events?** About 50% of our participants were using desktop link, not mobile app. It was frustrating that notifications and sponsored posts weren't available on desktop version. Also the communication between Reservation app and event app wasn't as smooth as I wanted. I cannot send an email out to all participants registered or with created profiles, without externally creating email list or using MailChimp or other external service. **What problems is RingCentral Events solving and how is that benefiting you?** The attendance for our event was twice as high as in-person events. So many more people were able to attend because of the ease of use of a virtual event. We love the 1 year availability after the event, as our users are busy and didn't get to attend all sessions live but can still watch recorded sessions as long as we keep them open. We will definitely need to figure out a hybrid version of next year's conference for in-person and virtual attendance once Covid restrictions are lifted. ### 7. I also really like the design, I think it's super clean and functional. Also, you can't really argue with the $2K price if you have the ability to integrate Zoom. **What do you dislike about RingCentral Events?** - The app doesn't adjust to whatever time zone you're in - The Zoom integration with Attendify isn't as seamless as I'd like it to be. I think they were later fixed. It was great to have different areas to visit and which offered different things to see or do. It was also nice to meet in a new platform after months and months of zoom and webex calls. This offered our employees more options and the ability to come and go as they pleased. **What do you dislike about RingCentral Events?** The role of admin was a little hard to distinguish from attendee once in the system. I was a bit lost a few times trying to make my way to the dashboard versus the event itself. Further, the program is all very self-serve. It's not a webpage with a bunch of zoom links strung together. The chat features and navigation truly makes it an immersive experience, and like you need to be there live so you don't miss out on anything. The ability to connect with fellow attendees in breakout rooms, the chat, private messaging, or networking makes Hopin the best virtual event software out there. **What do you dislike about RingCentral Events?** There is a lot of room for improvement for presentations. There are not a lot of bells and whistles when it comes to presenting -- you can basically only share your screen and join on video. The livestreaming of the main stage is similar -- there is a lot of room for improvement within the platform to stream videos, put chryons on your screen, etc. I'd also love for Hopin to have more robust attendee notification systems (such as push notifications or mass messaging from organizers). There are some things (like pinning a message to the chat) that only organizer can do which is fine for smaller events, but if you have a conference with 3,000 attendees and 200 sessions, it would be helpful for speakers to be able to have those controls within their "breakout rooms." Additionally there is a lot of room for improvement on the back end. Much of the set up is a manual process, so automation would be very helpful. **Recommendations to others considering RingCentral Events:** Attend an event on Hopin when considering the platform. Once you see what your attendees will experience, you'll be sold. **What problems is RingCentral Events solving and how is that benefiting you?** We were forced to move our 2020 conference virtually (as was everyone), but with Hopin we exceed our registration goal by 242.33% and revenue goal by 122.50%. We were able to successful deliver high quality content, keep our members engaged, and reach 2.5x potential new members. 75% of our attendees were first time attendees, and using Hopin allowed them to have a positive interaction with our association. ### 13. Customization can be a bit limited (if you don't know how to code), but sometimes that's a good thing to keep things simple. I also really appreciated the attentiveness of our Hopin Account Manager who was assigned to us, Brian Asher. He was responsive, patient, flexible and made me feel at ease as I figured out the platform and built out our event. I also like that Hopin is a platform that is becoming familiar to more and more users as more and more events use it. **What do you dislike about RingCentral Events?** There are certain small nuances that were a bit frustrating on the platform. For example, no easy way to order your speakers if you don't input them in the correct order in the first place. You would need to delete all of them and start over. Stuff like that. I believe most of these small fixes are in the pipeline for future updates and I think Hopin will continue to get better over time. **What problems is RingCentral Events solving and how is that benefiting you?** Hopin provides different avenues to keep attendees engaged. Also, though I wish there was more reporting/analytics offered as standard, I think there is a generous amount offered as standard. **What do you dislike about RingCentral Events?** Some interfaces are not intuitively designed (in my opinion). For example, it is confusion in some workflows that users are presented automatically with a registration form for hopin...and then are presented with a small alternative sign in link that is hard to find. I understand why a company may want to drive registrations, but because the form is so short, many are confused by this and think it is a login screen. If already registered, they get the error message saying the email is in use and they perceive this as a system glitch. Instead, I would make the "already registered, sign in" text a much more visible option (e.g. a larger button or banner). Closed captioning service partnership would be nice. Also it would be great to at the very least offer some configuration capability on the collaborative video windows (for example, letting an administrator or moderator alter the layout of talking head boxes so that a moderator always appears first (or on the first row) AND allowing the admin or moderator to SOLO a single presenter to the screen. ALSO allow a visual preview of those requesting access to share video/audio. For many of these reasons, we use StreamYard to stream content to the main stage in hopin and avoid using the built in features (although I would prefer to use a single system where possible). Also, I've found that Hopin camera/mic sharing prompts do not include all connected devices (webcams, connected mics) . For instance, I had plans for a DJ to play out in a Hopin Session, but we were unable to get Hopin to recognize a connected audio processor. We had to stream the dj to the main stage instead because StreamYard was able to recognize the connected devices (non-integrated mic/webcam). I think you should offer standard plan users the option to pay a la carte for advanced analytics reports that are currently only offered to the very expensive enterprise plan. For instance, allow me to pay an optional fee (per event) if I would like to receive the report that shows user movement throughout the site. Post the pricing for each report style up front so we can plan or not plan to have that type of data post. Offer real time poll response data reporting (beyond just basic percentages). For example, if I wanted to have a contest via a poll, allow the administrator the ability to see all of the people that answered a question correctly so we can randomly choose and announce a winner...IN REAL TIME. Green screen capability would be nice, but not a major thing. **Recommendations to others considering RingCentral Events:** If you are serious about your implementation, consider hiring a virtual event consultant that is very knowledgeable of the Hopin platform. Consider the unique challenges of a 100% virtual event vs a "hybrid" event (where there are certain presenters/collaborators contributing together in a normal event space -- collaborating with individuals that are completely remote). Consider the age range and technical comfort of your target audience -- and prepare to have "event ambassadors" that are able to monitor chats to provide ready assistance to those needing help just getting around. **What problems is RingCentral Events solving and how is that benefiting you?** The problem is that COVID 19 has severely impaired organizations, social groups, etc from having large, structured events like trade shows and conferences. Hopin provides a platform that allows one to closely simulate a structured event that normally serves a large number of people. Hopin delivered. **What do you dislike about RingCentral Events?** Being able to edit attendee registration details would have eliminated some leg work. We also would love to see a coundown timer for speakers--and perhaps a teleprompter/confidence monitor as an add-on. Having to replicate our event environment every time we needed to add practice sessions was not ideal, but doable. Mobile support would be a win - I believe it's on the roadmap. **What problems is RingCentral Events solving and how is that benefiting you?** Virtual events can feel impersonal, and our biggest asset is our people. The one-on-one networking feature allowed us experience some of the fun and connectivity that comes from being in person--all while being in an environment that was easy to use.
