Inventory contol, menu costing, inventory management, full financials, saving scanned copies, productivity, scheduling assistance, Excel output interface......and more things. We have been using Restaurant365 for less than 6 months, but we are excited that this software was able to replace 3 other platforms (Accounting Software, Bill Payment Solution, and our Back Office Management). The integration process was more successful with this software than with others in the past because the R365 Team is staffed with individuals that have restaurant experience and understand our basic operations and needs. We love that the software is catered to our industry and has streamlined several of our processes. Their support center and learning academy are great tools that can assist with questions on the fly, or a ticket can be submitted for review. The overall views of data can be redundant or basic so it's sometimes hard to tell what screen you are looking at, but with time, users become familiar. As we get more familiar with the system we may be able to build Dashboards that are more helpful to the users that are not as acclimated with the system. We wish there was a more detailed Audit Trail for certain transactions so we can track edits and coach our team when mistakes are made. I can keep multiple sets of books in one easy to use location and run reports individually or across entities with a few clicks.
The cloud based system allows me to log in from anywhere making my job easier.
The support team is top notch and responds quickly. They communicate well so you aren't left to wonder if they've forgotten about you. Most resolutions have occurred for me in as little as ten minutes but no more than a few hours.
The software itself is user friendly and easily learned. They have excellent training modules that are easy to follow.
User set up is easy and allows you to build roles in pieces so each user only has access to the things they actually need.
The on-boarding process was very smooth. The team was quick to answer questions and actually did most of the mapping for me. I love how you have so many ways to search for accounting transactions and the ability to filter and export into the file format that you need. I also love the visibility of everything. We have several legal entities setup and you can view all of them or filter on what you need. We had Great Plains before and paid duplicate invoices because each legal entity had their own set of COA, Vendors, and Customers. You weren't able to catch mistakes as easily. We've used Restaurant365 for over two years now... The biggest impact so far is we have been able to see a marked improvement in the management of our COGS saving us real money. As our main management system for 7 restaurants it has created an organization that was not there before for invoice management, accounts payable, and very importantly a way to analyze data in one space. As far as the accounting side, pulling financials is instant, tracking banking activity is typically only a few minutes of work instead of hours. We know that we aren't even using Restaurant365 to it's full capacity, it's something that is in our ongoing plan to continue to add features that are there for the use. If nothing else, in this season of financial upheaval and uncertainty we were able to see our trends in black and white, make adjustments to the way we are doing business to adjust to these times and most definitely when it came to applying for grants and federal relief, we had all the numbers at our finger tips. My only real concern about Restaurant365 is just a heads up... the learning curve is real and a process. My suggestion is to make sure you have an excellent implementer from the start meaning you really feel like you work well together, if you don't, ask for someone else! Also try to have as many of your ducks in a row as possible from the start. Do the homework, play in the sandbox a lot, and get comfortable with how it operates before you go live. Our menu is quite detailed, we spent a lot of time after going live - way more than we expected to - getting recipes correct, inventories done correctly - and also working with beginning balances, general ledgers, payroll entries. Some of this was certainly due to what we had to start with, which was very little and/or a giant mess, but it also felt like we were in the wild west for some time. R365 has become our one stop platform for many of our business, operations and people activities. The platform is user friendly, integrates with all the major systems we use (a few including our LMS, POSs, suppliers, Payroll processing and more) and gives visibility into financials at all levels. We'e been able to provide real time financial reporting to our teams to make a positive impact on the bottom line quickly- no more waiting months for P&Ls the "old fashion" way. Restaurant365 has knowledgeable onboarding coaches who often have restaurant accounting/ops experience, allows you to deploy modules at your desired pace, provides excellent support, and continuously evolves its product with regular new releases and enhancements. Its litany of integration partners and API/EDI capabilities make it a great option for most any restaurant company. From a module perspective, the Banking module is a huge win. I wish the mobile app was better and more integrated. As with any software R365 has its quirks. For example, when printing checks for a run of invoices I can't add a memo line without saving it to a pdf then editing in Adobe Acrobat. I should be able to do it from the check creation screen. The customization of the system is hard to come by. There are several times where we have wanted to tweak the software to how we do business and operate but the dev team or support tells us it simply cannot be done. I have found the system to be rather intuitive and simple, making it easy to train new employees. R365 offers the ability to import new or update existing data through excel. I have found this to be extremely efficient and a huge time saver. Review collected by and hosted on G2.com.
As a larger company, we have found the security groups to be extremely limiting because too many tasks are linked together giving users too many or too few capabilites. Development tends to be a little slow (took 5 months to complete something we were told would take 1 month). At the same time though, they will release system updates without warning, which have impacted our processes in the past and required emergency company wide training updates. I like the built-in integration to our point of sale system and the ability to attach images of invoices to our payables. I love that it is web-based so I can access anywhere. The support is solid and usually have a response within 24 hours. They do a go job of following up on outstanding issues. They listen to feedback and have implemented some of our suggestions. I think the reporting could be better. Some of the basic features of Quickbooks reporting seem to be a challenge for R365. Also could have some improved analytics tools. Scheduling for managers and team members is clear and simple. There's a scheduling app for employees to access schedule and request off.

There's no data to record historical recipe. Food cost report is accurate for current reporting. It can't be used to run historical food cost (for comparison).

The menu selections are great, makes it easy to find specific sources of data and their associated forms

The GL reporting comes out wrap text and merged columns, major pain in the butt! We have to format all of the data that is exported because it doesn't export in a format conducive to pivot tables. Besides having incredibly smart and helpful team members who are always available to help, the software is a huge improvement from Intuit Quickbooks Enterprise. As a 20+ year user of Quickbooks, I find that the reporting tools are somewhat confusing to use. It typically takes me a few tries to get the proper report to generate. After using for a year I'm pretty adjusted to how it works. New features highlighting differences between receiving and electronic invoicing are priceless, before it didn't make sense to even do electronic invoicing. Online banking features and their sort of auto reconcile are really good and save a ton of time monthly. *Too* customizable - easy to just get way too much in the system with the same information. Security is way too bundled. You can either restrict a lot or nothing. Lots of bugs left including really important stuff like recipe costing not working well. In multi-store setting the bank accounts are tough to work with since you can access a master payor account from locations from which the accounts don't belong. Being a decent-sized franchisee, we have really run into issues regarding enterprise reporting. We like to look at overall theoretical cogs by location then be able to drill down into the larger variance shops, with 365, we cannot do this as of the time I am writing this. We have pushed them to get this implemented as we think this is very valuable to anyone with over 10 units. The reporting module is limited. R365 did introduce a new reporting module that has potential but it comes with a bit of a learning curve for businesses that have multiple legal entities and/or don't have plain vanilla operations. The budgeting module works but can be buggy at times.
The catering module may work well for restaurants but is not adequate for an event catering company such as ours as the system is not designed to handle mass orders that are built in advance and require the food orders to be combined into a master ingredient list for chefs and other food support staff. The downside to always evolving and innovating is that sometimes functions are rolled out without being fully vetted.
