Our RFP process was very convoluted and the team was working out of Teams, Sharepoint, and Google Drive. Responsive helps us to streamline the process. Review collected by and hosted on G2.com.

What do you dislike about Responsive, formerly RFPIO?

One challenge we've encountered is that the platform can occasionally misinterpret context when similar names are used across different entities, such as a division and a company sharing the same name. In those cases, the AI may generate responses based on the wrong context. We've also found that the quality of AI-generated responses is highly dependent on how well content is organized. If collections, tags, or content structure are not configured properly, response accuracy can be impacted significantly.

That said, I appreciate that Responsive offers content audits and strategic guidance. The team's recommendations on collection structure, tagging, and content organization have been valuable in helping maximize the effectiveness of the platform.

Another common concern is cost. Responsive represents a significant investment compared to some competitors, and organizations evaluating AI-powered response tools may question whether a standalone platform provides enough value over using general-purpose AI tools such as ChatGPT. However, the comparison often comes down to whether a company needs the governance, content management, collaboration, and compliance capabilities that Responsive provides in addition to AI-generated content. What problems is Responsive, formerly RFPIO solving and how is that benefiting you?

Responsive has helped streamline our RFP process considerably. The AI provides a solid starting point for responses, and our team can then review and fine-tune the content as needed. This has reduced the amount of manual effort required and helped us complete proposals much faster than before.

The platform is also easy to use. The interface is clean, intuitive, and makes it simple for multiple contributors to collaborate without confusion. Because of that, adoption across our team has been relatively smooth.

I like the way Responsive stages projects and handles the ingesting of customer's documents, creating a consistent method for managing RFPs with a unified look and feel. The 'Recommendations' engine is impressive; it automatically searches through the library or past projects to find suitable responses to questions, acting like an 'auto find' for the best responses. I appreciate the advanced functionality Responsive offers, which is essential for our needs, making it the most comprehensive RFx response platform I've used. Despite its complexity, once correctly set up, it works really well and provides meaningful responses based on the library content. Advances in the AI functionality are truly impressive in the platform and ensure that responses are well found, well crafted, with high quality and accuracy (free of spelling and grammar mistakes). I found that the Auto-Respond functionality never worked well previously, but thankfully the Responsive team is implementing more AI functionality to improve this. Also, Loopio, which we used before, was much easier for onboarding teams due to its simpler and better UI/UX, although Responsive offers richer and more advanced functionality, which we need. The UI is a bit antiquated. I find it's easy to lose track of my place when reviewing responses in RFP projects. However, the different views and filters are a great help.

The search functionality is especially strong - it’s fast, accurate, and significantly more efficient than traditional tools like SharePoint when trying to locate specific answers or past write-ups. Overall, it streamlines content discovery and helps teams respond more quickly and consistently. When we implemented the tool, we nearly doubled the number of RFI responses our team could handle. Responsive makes the proposal response process so much easier. It automates follow-up, and the AI Draft feature reduces time spent on first drafts. Onboarding was a breeze, and the Responsive Academy is fantastic for learning the software. The user interface is easy to use and is very user-friendly. The integrations into Salesforce definitely reduce duplication of data, and the automatic updates have been fantastic. What do you dislike about Responsive, formerly RFPIO?

Responsive delivers the most value when the content library is actively maintained, so it does require ongoing effort to keep answers current and well organized. There can also be a learning curve for occasional users, especially when navigating the platform or figuring out how to best apply existing content within projects. While these challenges are manageable, they still call for an upfront investment in user enablement, along with regular content upkeep, to achieve consistent results over time. What problems is Responsive, formerly RFPIO solving and how is that benefiting you?

Responsive helps solve the challenge of managing and reusing response content in a more organized, efficient way. Rather than digging through old documents or rewriting answers from scratch, we can rely on a centralized library of vetted content and pull it directly into active projects. The built-in AI also makes it easier to combine and tailor standard Content Library responses, reducing manual effort while still leaving room for customization. Overall, it improves consistency across responses and streamlines the process, so we can spend more time refining answers for the specific opportunity instead of starting over each time. What do you like best about Responsive, formerly RFPIO?

I really like that they listen to the feedback from their customers and work to give customers the best user experience. The AI features are helpful in responding to our questionnaires and proposals in a concise and cohesive manner, ensuring that everything we send out to our customers is consistent. Also, being able to save information gathered from other teams in the organization into the database for future reference is very beneficial. What do you dislike about Responsive, formerly RFPIO?

Responsive helps us curate and create the best responses possible for our business as we submit on RFPs and RFQs to execute our core business. "Centralized Content Library That Keeps Responses Consistent and Saves Time"

What do you like best about Responsive, formerly RFPIO?

I rely heavily on the content library it’s really helpful to have a centralized source of approved answers that I can quickly pull from and reuse, which keeps our responses consistent and saves a lot of time.

What do you dislike about Responsive, formerly RFPIO?

Can get a bit hard to manage as it grows. At LRN, we have a lot of content across different solutions, and sometimes it takes extra time to find the most relevant or up-to-date answer, especially when multiple versions exist. Review collected by and hosted on G2.com.

It’s mainly solving the chaos of managing RFPs and questionnaires across different teams.
