Being able to assign tasks and see progress of other team members. We can work with an end in mind through the platform.

The interface. Could improve more on UI design such as contrasting colors, bigger font size to make navigation easier.

Instead of manually filling out RFPs with your team, you can collaborate better in this online platform and track the progress of teammates until the project is completed. There is better accountability and transparancy in accomplishing RFPs and the team can work more effectively and efficiently.

Efficient collaboration with teammates as tasks/portions of the project can be assigned. We are able to accomplish RFPs faster and less prone to mistakes in aggregating information from the group.

**What do you like best about Responsive, formerly RFPIO?**

RFPIO provides an intuitive, user-friendly content tool to store and accurately search for relevant content. You can filter content by multiple fields to hone in on the information you need.

**What do you dislike about Responsive, formerly RFPIO?**

The tool can be challenging when trying to manage a complex RFP with tables, multiple section levels and graphics. It takes a bit of time to learn how to use it but then RFPIO proves to be an efficient proposal management tool.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

One of the biggest challenges we faced was creating new content and managing RFPs more efficiently. Before using RFPIO, we stored content in a database that required us to copy and paste responses manually into documents outside the system. We also didn't have a centralized tool for managing the entire proposal process. With RFPIO, we now import customer documents, search and apply content, and export a final proposal within a single content management system. RFPIO allows us to create faster proposal documents, write new content more consistently and support sales teams across the globe.

RFP360 greatly streamlines the RFP process. The RFP360 team is very supportive and fantastic to work with.

**What do you like best about Responsive, formerly RFPIO?**

Efficiency is critical to delivering timely proposals. Accuracy in data is equally critical for proposals, as well as client-facing teams. RFPIO has streamlined the process and provided a centralized database for the most current information. Integration with our CRM provides easy access to proposal progress by everyone. Our Answer Library is now accessible to everyone through Slack integration. The team can enter a keyword and with a click, they have a number of answers to their question or content they can use. The Project Management features keep all tasks, discussion, documentation, and critical project data accessible in one place, the project.

**What do you dislike about Responsive, formerly RFPIO?**

There are some issues with formatting that require revisions or editing in the final copy of the proposal. It is not ready when it is pulled from RFPIO.

**Recommendations to others considering Responsive, formerly RFPIO:**

I have used a number of proposal creation and management tools. This is far above any of those tools. It becomes a critical part of your management of these important documents. This promotes team coordination and sharing of information while making proposal production streamlined to your market segment.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

We have had issues with out-of-date information sneaking into proposals due to the lack of a centralized and up-to-date library. This tool allows us to mark each QA pair with a date that informs a user that this pair should be revised. 

Additionally, the project management aspect of proposal production is streamlined and standardized through RFPIO. The tool offers the ability to build the project planning tools to your specific needs. Then you can track and archive all the documentation within the project. 

The reporting feature gives us the ability to design reports that provide a quick overview of specific data analytics.

The application is easy to use and the search engine finds the correct responses easily.

Not much to dislike. The software is cloud based so I can access from anywhere.

Allows the team to parse out responses and gives great visibility into what has been answered and what needs to be answered. This allows for easy assignment of the questions and ensures nothing is missed.

RFPIO has a variety of benefits. For the last two years, their team has worked with us to build out our document/answer library, organize content, perform audits and provide tips to better navigate the software for our most important objectives. They check in regularly, never try to up-sell us on upgrades we do not need, and are always available (usually within a 24-hour time period) to assist us with a variety of time-sensitive questions. 

The software is constantly being updated and we've really benefited from each iteration they've released.

**What do you dislike about Responsive, formerly RFPIO?**

There really isn't much to dislike about RFPIO. We occasionally run into small issues with the software based on how our content is organized, but RFPIO does its best to provide workarounds for us in those instances.

It is a very user-friendly and intuitive system that makes the process of pulling together the information for a response far less daunting.

I really like the feature which allows you to search for similar questions that have been answered in the past. This was I can establish if someone else has already provided the information I am looking for and then I don't need to re invent the wheel in my response.

The knowledge library is a great place to go if you also want to search for general information about a business when you are new to a business such as I am.

**What do you dislike about Responsive, formerly RFPIO?**

I don't have a huge amount of experience with other systems for comparison, but it's hard to see much that needs improving. Sometimes it can take a little while to load, but I am not sure if that is my internet speed instead of the system itself.

I would definitely recommend looking at RFP360 as a system especially if you have a large team where many different people need to collaborate on a response. I also think it would benefit any organisation which deals with a high volume of RFP's that ask similar questions as it will speed up the process of building the response.

Pulling together RFP responses. By assigning different questions to the different area leads, it makes the process much simpler and able to be done from one clear place. We no longer have to coordinate lots of different people with different documents going around by email.

At the moment, the tool is working very well, facilitating integration with different formats and helping us to add more content in collaboration with different teams around the world, creating a knowledge network with global experience which will facilitate the tasks related to the tool. What I like the most is that it gives us the best tool to share information and provide a better experience in terms of time in solving problems.

At this moment, we are on a learning path with the tool, so everything has been positive, at the moment there are no problems since the tool gives you flexibility to upload they can appear later, however at this time; the tool has been a facilitator of knowledgees

My recommendation is that before starting to load content, create business rules to define the structure of the use of the tool. With this, you can have the information in a more organized way and avoid duplication.
Very important additional that before they can preload the formats to avoid double work or reworks.

The best part of RFP360 is the easiness to update and maintain the knowledge base. 
Once an RFP is received is easy to fill using the automated tool and also allows to customize the response without modifying the knowledge base.
We also use the extension in Word and Excel to check possible answers inside the Office suite.

**What do you dislike about Responsive, formerly RFPIO?**

RFP360 needs to improve in the multilanguage support. We have some information in Spanish, Portuguese, and French. It could be useful to link info in English with those languages.
The SSO supports is good for the Website however is not available for the Office extensions, so we got a workaround from RFP360 using user/password.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Usually, the Solution Consultant fills their RFP manually, without a centralized knowledge base. That means that the knowledge resides in the consultant and not as a general knowledge base.

The interface is really intuitive.  I tell people, if you can think it, RFPIO probably does it.  In the event that it doesn't already do what you need, the RFPIO team is very responsive and can either help you get to where you need to be or will *actually* work to make the changes you need a reality.  Every interaction with the RFPIO team has been great!

**What do you dislike about Responsive, formerly RFPIO?**

Almost nothing really, but if I had to dig up one thing, it would be to create a 'dark mode' for the UI.  I am really reaching here though.

Not only is RFPIO effective, the software is constantly evolving to its customers' needs. If you have a suggestion, RFPIO will probably incorporate it into a future release. They are extremely responsive to making sure the software matches market and industry trends. Every 6 months, it's almost like a different program because of the added functionality.

The only think I dislike about RFPIO is that you can do one function multiple ways. This is great, because each user can adapt to how it works best for them. The only issue is that it can be difficult to troubleshoot if the user is going about functions in a foreign way to you. You just have to learn them all.

Make sure that you have a plan before you make the switch. It helps to have everyone trained and have a clear vision of how to use the product before just diving in.

My favorite part of RFPIO is the ability to easily tag and search through the contant of old RFPs. This saves me so much time! I also like how it makes it easy for me to login and view my past work. The suport team at RFPIO has their customer's backs. My favorite part of RFPIO is that it takes a highly complex sytem and nawwoes it down makign RFPs much easier to understand.

I do not have a part I dislike, and I think RFPIO works great! I think that the product fullfulls all of my needs. I think that the only changes I would reccomend is that I would like to be able to both upload the answers to RFPs and have  away to upload the old documents have have them stored there. Additionally if there could be a section for questions that need to be updated anually and RFPIO would email me to remind me to update that info I would like that. I have to update infomraiton like headcount, revenue, net income and more anually but things like our adress are not going to change.

I recommend setting aside the time each quarter to upload new RFPs you have completed. By doing so often you can ensure you constanly have acess to your previous work. I also reccomend setting up a time to both watch the RFPIO training videos and a virtual training session for all new hires. I had a virtual training sessioin after using RFPIO for nearly six months and found that there were many tools I had not been made aware of. The training session was extremely helpful in understanding all of the feautures of RFPIO and is something I highly reccomend. I felt that it leveled up my use of RFPIO.

I use RFPIO to make the process of completing RFPs more efficient. It allows me to store all of the information in one place. I am thankful for it. As a new hire at my company I was immediatly thrust into completing RFPs thankfully we already were using RFPIO and I was able to understand what is needed to successfully complete an RFP. Having acess to past RFPs in one place has been critical to suceess in my role.

The obvious one is how easy it is now to complete RFPs & DDQs. The clear audit trail that shows who has approved or written new content and how responses may have changed over time. The plugins are also very handy to use when you need to respond to one or two questions that you get outside of a standard RFP or DDQ. The interactions we have had with RFP360 from the start of the process through to going live and loading content has been superb. Each of the poeple we have dealt with have been very responsive and very helpful in getting us through each of the key milestones in order to be able to start using the software. The software itself is also intuative and user friendly. There isn't functionality overload like we experienced with some of the other offerings out there.

**What do you dislike about Responsive, formerly RFPIO?**

The only thing is when you have to respond to an RFP or DDQ that has its questions and answers in a table format and you have to insert your response in a table. This needs to be done outside of RFP360. It would be good if this could be resolved beacause if you are responing to a RFP or DDQ that requires a number of questions to be answered in thuis manner, then the process becomes more time consuming then.

Apart from the minor issue that I have mentioned previously, I would still very much recommend RFP360 to anyone looking for an offering to fill their needs. Not only is the product itself a very good one, but all the people we have dealt with along the way have just been outstanding, and I think that is the essential part. It is just a very easy to use bit of software that has really intuative features that just make sense and make the tool easy to use. They are also very competativley priced and for what you are getting against other offerings they really do have a very appealing package not only just the software but all the support staff.

Easy collaboration between teams, user friendly system and the answer library builds a strong knowledge library and establishes owners for review on an as needed basis.  When issues arise, our Success Managers are always there to lend a hand and ensure we are utilizing best practices.  The RFPIO Help Guide also quickly answers our questions and is easily searchable.  When immediate help is needed outside of the Success Managers and the online help, a ticket can be submitted for additional help and research on the reported issue.  Updates and upgrades are implemented based on feedback from users so the software is always improving.

We dislike the fact that our PDF templates cannot make into Word documents, but we know RFPIO is working on a solution.  We are looking for a way to drag and drop already created information into pages (Proactive Proposals that RFPIO is working on). It is time-efficient to send notifications and upload new files for bidders all at once through RFP360 (and not having to send individual emails for every step of your RFP).

RFP360 provides clear dashboards showing the assignments, progress and status of each question.  Each user is able to quickly assess their progress and pick up where they left off.  Multiple users can collaborate easily on responses and each response can be reviewed before the final submission.  The response knowledge base ensures that well crafted and verified responses are reusable making it much easier for a new employee to assist with RFP work.  The tool provides a browser extension and other add-ons for 3rd party productivity software to extend the access to the RFP response knowledge base into those environments.

**What do you dislike about Responsive, formerly RFPIO?**

Some RFPs with several response columns can be a bit more difficult to work with visually, particularly on a small screen (ex. laptop only).  However, the more common two column (ex. comply/partially comply/don't comply and a comments column) format works very well.

Our volume of RFPs has increased 450+% in the past year and the enterprise RFPs are often comprised by hundreds of questions that can take several days or weeks to complete given other tasks. The simplicity and repeatability of our responses now. The platform has allowed us to centralize our data to increase our productivity, accountability and accuracy. The knowledge library allows us to utilize our successful answers quickly. The reporting tools allow us to show our progress as well as our successes easily as well.

Inability to have multiple files in one proposal (though we are told that is an update in the pipeline). The work around is to name your proposals after the file name and export them as needed. Also as an administrator the approval from myself sometimes skips over other reviewing teams which can lead to backtracking.

If you are looking for a system that is quick and efficient to set up this is it. RFPIO allows us to have a central content library where prior responses and best in class writing can be accessed. It also makes it incredibly easy to insert that language into a project response and then edit from there. We really appreciate that version control is no longer an issue and email traffic has been cut down.

**What do you dislike about Responsive, formerly RFPIO?**

The tasks feature is a bit clunky for how we would like to use it (as a process document). Our consultants dislike that the text formatting is not Word-based so there is a learning curve.

The biggest problems we're solving with RFPIO are a central content library and version control/corrupt document. Both of these issues used to take up quite a bit of time in our response timeline; RFPIO has made our process much more efficient.

**What do you like best about Responsive, formerly RFPIO?**

RFP360 is a very user friendly tool that allows you to consolidate, fill out, submit, and delegate tasks during the RFP process, which is usually something that is very time consuming and tedious. It shortens up the entire process from start to finish and I especially enjoy the fact that you can upload, pick and pull, copy and paste from past rfps into it. The entire userface is very easy to use and navigable, and delegating tasks to others is an absolute breeze. It features a sleek, modern design, is quite fast to use, and I really enjoy the fact that there is a client success team dedicated to helping you work through your program and teach you how to use everything. The initial working session with the RFP360 team was critical and I encouraged everybody who uses the platform to attend. RFP360 is a product that clearly had a lot of time put into it, and the results are outstanding. I really have never been one to look forward to the RFP process, but given how easy the software is to use, I definitely can say that I am now. Thank you!

**What do you dislike about Responsive, formerly RFPIO?**

A few downsides are learning how to properly upload your old RFPs, having to tag certain answers manually, and (I believe) requiring an internet connection to work on them. It would be nice to be able to fill out and prepare RFP's offline when internet is not available. Other than that, everything else is very up to par. There can be many questions involved in an RFP, so an automatic tracker or tagger tool can be useful.

Consolidating all RFPS into the software is a delight and provides ease of accessibility to all current proposals. Additionally, the delegate task feature is incredible as with just a few clicks you can assign an answer to anybody on your team and they will handle it appropriately.

RFPIO is probably the most intelligent way to collaborate and provide inputs in the Massive RFPs that one has to work on a regular basis! The recommendation engine is probably the most useful feature!

Flagging, Comments, Tagging, Section wise segregation are some of the other feature sets that are really powerful in RFPIO

The recommendation engine is a bit disorganized. There should be a way to auto-filter recent answers.
The templates for RFPIO are a bit cumbersome to learn.

**What do you like best about Responsive, formerly RFPIO?**

The system is quite intuitive, fast, and user friendly. It allow us to have a centralized KB repository for RFP responses that is not only powerful, but also really easy to learn and use, and incredibly user friendly. Coming from an experience of responding to RFPs in the traditional manner (manually, SharePoint, working directly in word and excel), it was quite a paradigm shift; but it allowed our company to really unify and consolidate efforts, augment efficiencies in our workflow, and even showed us potential new use cases that we will implement rather soon. We are really excited to implement the integration with Salesforce and create our personalized templates for response. Our account executives are also eager to combine RFPIO with all the other tools they currently use.

**What do you dislike about Responsive, formerly RFPIO?**

Up to the moment I have no issues or dislikes. The only "issue" I could tell it was when making an online demo to the whole company (about 230+ logged users), when the refresh rate was somewhat reduced. However, this is not a problem of RFPIO per se but rather a WebEx limitation. The demo was a success and the whole company is quite excited for the system implementation.

**Recommendations to others considering Responsive, formerly RFPIO:**

It's a worthwhile investment, that will provide a lot of return on investment due to the reductions in time, efforts, and duplication of information.

Information was stored in "silos" according to the user, department, etc. Now, we have a central repository that's easily accessible and which provides auditing, which is invaluable in some cases.

**What do you like best about Responsive, formerly RFPIO?**

The tool easily allows compliance matrices and complex RFP documents to be ingested, worked on in a consolidated manner before exporting either in the customer's format or your own. In addition the interface is really easy to use and understand.

The tool features a moderated library of Q&A pairs, that easily allow your subject matter experts to apply the best answer for their section. It also has a very robust review ability, where your answers can be checked and approved in advance of submission. 

it integrates with a wide range of existing Office software including Teams, Dynamics and SharePoint which were key for our organisation.

**What do you dislike about Responsive, formerly RFPIO?**

The tool doesn't have many downsides, but is far more advanced for working on straight Q&A style RFPs rather than RFPs where you may be asked to write long sections and paragraphs, typically in Word. It also doesn't work well with PDFs but a simple workaround can help there.

Integration into Microsoft Teams exists however it still needs some development.

**Recommendations to others considering Responsive, formerly RFPIO:**

Consider what is important for your organisation before judging such software. RFPIO is perfect for those that deal with long Compliance Matrices, Security Questionnaires, etc. If you want your sales team to produce their own proposals, this is likely not the best fit, but RFPIO should be considered for any bid professional who wants to professionalise their responses.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

The tool allows your teams a single space to discuss and collaborate on RFPs with an easy to use interface. In addition the ability to re-use approved answers in the answer library ensures we are cutting the time spent on RFPs.

Knowledge centralisation is a huge help especially with such a large organisation, knowledge can live throughout the business and this helps collate and manage it properly.
