## Quickbase Reviews
  ### 1. Quickbase Delivers Real Value for Our Customers

**Rating:** 5.0/5.0 stars

**Reviewed by:** Tyson R. | Associate Director, Small-Business (50 or fewer emp.)

**Reviewed Date:** June 28, 2026

**What do you like best about Quickbase?**

The ease of use. Our customers are reluctant when we initially suggest it, but that changes after we demonstrate it to them.

**What do you dislike about Quickbase?**

The learning curve can be a challenge for some.

**What problems is Quickbase solving and how is that benefiting you?**

One of our customers met an official from another university where their Student Affairs department was providing great services to their student community by deploying a product called Salesforce. They are having great success with it so our customer asked us to give them feedback on it.
We immediately began comparing Quickbase and Salesforce. Since both platforms are customizable low-code/no-code platforms for higher education operations, we argued that Quickbase can match nearly all Salesforce use cases we researched, including data management, FERPA-sensitive access controls, case tracking, student engagement tools, automated notifications, reporting dashboards, and document workflows.
Our core conclusion was that Quickbase could provide comparable functionality to Salesforce while offering a faster, lower-cost, and more flexible implementation path for a university student affairs environment.
Key Takeaways
	•	Platform capability: Quickbase can replicate Salesforce-style data structures through customizable tables, workflows, role-based permissions, dashboards, and integrations.
	•	Security and compliance: The platform can support FERPA-sensitive workflows through granular access controls and role-based visibility.
	•	Operational efficiency: Quickbase can centralize case management, staff activity tracking, referrals, conduct tracking, and workload reporting.
	•	Student-facing workflows: Quickbase can support portals, roster management, automated notifications, mobile access, and document/e-signature processes.
	•	No-code advantage: Existing spreadsheets can be converted into applications more quickly, reducing dependence on specialized developers, administrators, or consultants.

Financial Savings Highlight
The report we provided to our customer identifies financial efficiency as one of Quickbase’s strongest advantages. Salesforce implementations can require:
	•	Significant annual licensing costs
	•	Expensive third-party consulting
	•	Specialized administrator training
	•	Longer implementation timelines
	•	Ongoing technical support overhead

By contrast, Quickbase is positioned as a more cost-effective no-code alternative that can replace disconnected spreadsheets and potentially avoid the need for multiple high-cost management systems. Our report notes that Quickbase case studies show the platform replacing systems costing $100,000 or more at a fraction of the cost.
The most important savings opportunities are:
1	Reduced licensing expense compared with enterprise Salesforce deployments.
2	Lower consulting costs because internal staff can build and modify applications.
3	Faster deployment, reducing project timelines from months or years to days or weeks.
4	Lower administrative burden because Quickbase requires less specialized technical expertise.
5	System consolidation, allowing departments to replace multiple standalone tools with one centralized platform.

In conclusion, we were able to show our customer that Quickbase could deliver near-parity with Salesforce for student affairs use cases while producing meaningful cost savings, faster deployment, and greater internal control over application development. The recommendation favors Quickbase as the stronger option for scalable, no-code operational improvement across student affairs departments. We strongly anticipate buy-in from this particular customer.

  ### 2. A good solution for basic integrations, with the ability to be extended to do heavy lifting.

**Rating:** 4.5/5.0 stars

**Reviewed by:** Casey H. | Mid-Market (51-1000 emp.)

**Reviewed Date:** December 21, 2023

**What do you like best about Quickbase?**

The speed at which you can prototype out databases and get an immediate, basic solutions for operational issues is great. We find that the relationship structure makes it very easy to create virtually nested tables that can help elucidate a process and the summary tools an effective way to make sure that the relevant information is conveyed to it's siblings/parents.

**What do you dislike about Quickbase?**

Without the enterprise solution, having to contact support to enable some of the realm features has been mildy annoying, and QB is not a solution for storage en-masse. Even though we are pushing our data to our own cloud solution using QB as a middleware has been counting against our storage in our account analytics due to data retention.

**What problems is Quickbase solving and how is that benefiting you?**

It allows us to create some pretty diverse logic to drive non-linear processes and interdependent processes. It allows for rapid prototyping of new solutions so that the business can do incremental change, and directly affect outcomes in the back of the house and the field. For example, after a partner bankruptcy , we utilized quick base to aggregate all of our files and compliance packages while our projects were being resold to another financier. The major benefit in that period was the rate at which IT could respond and help with developing an app to fulfill the need. Within three days we had the dataset created, and utilizing pipelines had shared all of the necessary files with the prospective buyer.

  ### 3. Efficient, Customizable with Room for Improvement.

**Rating:** 3.5/5.0 stars

**Reviewed by:** Michael T. | QUickbase Architect, Mid-Market (51-1000 emp.)

**Reviewed Date:** March 11, 2026

**What do you like best about Quickbase?**

I use Quickbase to manage projects, financial reporting, and our mobile teams, and it's a big part of our operations. Quickbase helps us be more efficient and quicker in our processes, saving us a lot of labor hours while reducing mistakes and giving us cleaner data. It's easy to build and user-friendly, making it successful because people actually want to use it, and that's key. Due to its customization capabilities, we tailor it to our needs. It runs smoothly and quickly, with faster querying and searching compared to most other programs. Additionally, the community Quickbase has fostered is amazing, providing us help directly from other developers.

**What do you dislike about Quickbase?**

A lot of the things that would actually help—like performance tools—require the Enterprise plan. That feels counterproductive, because I want Quickbase to run well before I spend more money on it. In my opinion, performance tools should be standard with every Quickbase account.

I’d also like them to focus on improving what they already have instead of constantly expanding into more new things. Put the effort into the new grid-style reports and into fixing bugs so we can actually implement and rely on them. In other words, settle in and make the current features work well before rolling out additional ones.

They could also get rid of Fast Field; no one wants to pay for it, and it doesn’t integrate well enough. On top of that, negotiations around cost and renewals haven’t been great, and I end up feeling very frustrated by the process.

**What problems is Quickbase solving and how is that benefiting you?**

Quickbase makes our processes more efficient and quicker. We save labor hours, reduce mistakes, and have cleaner data. It helps with managing projects, financial reporting, and mobile tasks. It's user-friendly, allowing us to tailor it to our needs and ensuring widespread user adoption.

  ### 4. Great Overall Functionality and Potential AI Capability

**Rating:** 4.5/5.0 stars

**Reviewed by:** edsel n. | Program Analyst, Mid-Market (51-1000 emp.)

**Reviewed Date:** December 06, 2024

**What do you like best about Quickbase?**

Quickbase has been helpful for managing our existing logs and organizing information across different service areas. Our DSS department uses it to track client data, which we previously managed in an Excel spreadsheet. It addressed the problem of multiple staff members trying to edit the same file at once, which used to cause issues. Overall, it’s been smooth to use, and we haven’t had any complaints with what we currently have in place. I also appreciate the flexibility to create test applications so I can explore potential uses for other departments. Pricing is fair and worth the functionality. We haven't had any issues with performance or integration of existing data.

**What do you dislike about Quickbase?**

Before Quickbase, we relied heavily on Excel for tracking client information, and it wasn’t working well. Staff ran into issues with multiple people editing the same file, which led to errors and inefficiencies. Quickbase eliminated those problems by providing a centralized platform where everyone can access and update information without conflicts. It’s also helped us explore ways to streamline processes, like maintenance tracking and capturing signatures, though those are still in the early stages. Overall, Quickbase has made managing data easier and more reliable for the department that uses it. We would like to see more features related to signature capturing that is integrated into QuickBase and not a third party attachment. AI features are being introduced constantly so that has been a great addition to existing functionality.

**What problems is Quickbase solving and how is that benefiting you?**

Allows us to spin up applications for clients very quickly without a lot of staff downtime. This allows us to formulate and integrate simple solutions to rudimentary problems while also ensuring onboarding is seamless.

**Official Response from Jerry Kleva:**

> We're glad to hear that you appreciate our AI capabilities! We're constantly working to improve our documentation to provide more information on intricate features.

  ### 5. Wish I had listened to IT sooner! Love Quickbase!

**Rating:** 4.5/5.0 stars

**Reviewed by:** Lynn G. | Marketing Specialist / Quickbase Administrator, Mid-Market (51-1000 emp.)

**Reviewed Date:** December 09, 2024

**What do you like best about Quickbase?**

Our company switched from Salesforce to Quickbase for our CRM functions. It’s been much easier to build, configure, and update than Salesforce, and I honestly wish we had listened to our IT Director sooner. The transition was smoother and easier than I expected, and we’re already up and running with more functionality than we had in Salesforce.

**What do you dislike about Quickbase?**

Sometimes finding the right combination of features or feature help can be cumbersome, but I normally find a solution.

**What problems is Quickbase solving and how is that benefiting you?**

We were able to build a replacement for Salesforce CRM in just two months, which was faster than the full Salesforce implementation. It’s also been much easier for our team to understand and use.

Since moving off Salesforce, the app has been updated consistently and has become an integral part of our business. Outside of our ERP system, we run everything in Quickbase.

**Official Response from Jerry Kleva:**

> Thank you for sharing your positive experience with Quickbase! We're glad to hear that the transition from Salesforce to Quickbase was smoother than expected and that you're enjoying the increased functionality. We appreciate your feedback about the feature help, and we're continuously working to improve the user experience.

  ### 6. Incredibly Customizable—Quickbase Centralized Our Projects in One Place

**Rating:** 5.0/5.0 stars

**Reviewed by:** Cassie K. | Office Manager, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 21, 2026

**What do you like best about Quickbase?**

It’s incredibly customizable. Nearly anything I’ve wanted to do (or that others in my org have asked for) seems possible. It sometimes takes a bit of Googling and some time to figure out how to make it happen, but there are plenty of resources out there (Quickbase University, Quickbase Community, office hours) to help me work through different use cases. Before Quickbase, we had multiple spreadsheets that were owned by different people to track all of our projects. Now almost everything we do lives in one place, with one owner but everyone has the access they need. The pricing seemed high for us because we're a small company with only a few employees, and we'll likely never meet the minimum users required. But we keep finding uses for it that make it more valuable all the time!

**What do you dislike about Quickbase?**

Because we’re a small company with only a few users, I do wish there were plans available with lower user limits, though I understand they need to cover their costs and turn a profit. The learning curve was pretty steep for me; there were plenty of days I went home frustrated because I knew what I wanted to do was possible, but I just couldn’t figure out how to do it. At the time, Quickbase University had a ton of content to help me learn, but some of it felt outdated since they had recently released several new features along with an updated UI. Lately, I’ve noticed that a lot of the Quickbase U content has been refreshed to match the current UI, so it should be easier for new folks who are just getting started.

**What problems is Quickbase solving and how is that benefiting you?**

We used to have spreadsheets everywhere, and our information was siloed in each person’s individual files. Even though we never missed a deadline, we always knew there was some risk—especially if an employee had to take unexpected leave. Now, everyone has access to all the information, which makes it much easier to stay aligned and keep work moving. The built-in report and notification capabilities give us another layer of protection so we don't miss something important.

  ### 7. Quickbase Makes Automation and Custom App Building Easy

**Rating:** 5.0/5.0 stars

**Reviewed by:** Stephanie H. | Clinical Support Analyst, Enterprise (> 1000 emp.)

**Reviewed Date:** April 06, 2026

**What do you like best about Quickbase?**

I like that Quickbase lets me automate processes and avoid manual work. I’m someone who prefers efficiency, and Quickbase helps me get things done faster without having to deal with repetitive tasks. I was able to build an app from scratch using Quickbase University and the help docs, even though I had never used Quickbase before. It’s satisfying to figure things out and see them work. The platform is flexible, and I’ve been able to customize it to fit our needs, like creating dashboards and reports for supervisors and case managers. It’s also great for tracking and organizing data in a way that’s easy to reference later. I appreciate that Quickbase allows me to make things easier for others to use and access.

**What do you dislike about Quickbase?**

Not much, I have heard from people using my application that they have a difficult time understanding the logic but I believe the majority of that frustration will be addressed with the new UI QB uploaded.

**What problems is Quickbase solving and how is that benefiting you?**

Before Quickbase, we were using Microsoft Planner, which isn’t a database and made pulling reports a two-day process. It was subjective and inefficient. Now, with Quickbase, I’ve built an app to track audits for compliance with state requirements for Medicaid. The app helps us pinpoint where issues are occurring in member files and track trends across audits. For example, I can see which areas are failing most often and use that data to guide training for case managers.

  ### 8. Quickbase Simplifies Complex Workflows with Flexible, Powerful Reporting

**Rating:** 4.5/5.0 stars

**Reviewed by:** Elena D. | Data Base Manager, Mid-Market (51-1000 emp.)

**Reviewed Date:** April 06, 2026

**What do you like best about Quickbase?**

Quickbase makes it easier to manage complex workflows without needing everything to be fully automated. I like that it allows me to create reports and track assignments in a way that’s already simpler than what we had in place before. For example, when we were working on the PTO backup system, Quickbase let us set up relationships and formulas that dynamically adjust based on real-time data, like who’s out on PTO and who their backup is. It’s not perfect, but it’s flexible enough that I can create workarounds, like manual overrides, when needed. I also appreciate how the app leverages relationships and formulas in a clean, straightforward way. It’s not overly complicated, but it’s powerful enough to handle what we need.

**What do you dislike about Quickbase?**

The Jinja-specific language means having to learn yet another IT language. I wish you could incorporate SAS, SQL, or Python directly in the code sections instead.

**What problems is Quickbase solving and how is that benefiting you?**

Before Quickbase, managing assignments and backups was a mess. We had no way to dynamically account for PTO or ensure tasks were reassigned to backups in real time. Now, Quickbase helps us track who’s out and automatically shifts assignments to their backup for that day. It’s not fully automated, but it’s already better than what we had before. For example, if someone is out, their tasks flip to their backup, and when they return, it flips back. This saves us from manually tracking everything and reduces errors. Another issue was sorting tasks by date and time. Quickbase allowed us to create formulas to sort properly, even though it took some trial and error to get it right. It’s also helped us with tracking the most recent completed dates for projects, which was something we couldn’t do easily before. Overall, it’s made our workflows more manageable, even if there’s still some manual work involved."

  ### 9. Quickbase Keeps Our Work Organized with Clear Dashboards and Better Team Visibility

**Rating:** 4.5/5.0 stars

**Reviewed by:** Tanya M. | Research Associate, Small-Business (50 or fewer emp.)

**Reviewed Date:** March 31, 2026

**What do you like best about Quickbase?**

What I like most about Quickbase is how it helps our team keep work organized in one place instead of managing everything across different tools. We use it to track project progress, monitor task updates, and manage different stages such as not started, in progress, and review.

The dashboards and reports give a clear breakdown of current status, making it easy to identify pending work and follow up quickly. It has made coordination smoother and improved overall visibility across the team

**What do you dislike about Quickbase?**

One downside is that the UI can feel a bit basic compared to some modern tools, which can impact the overall user experience. It may take some time for new users to get comfortable navigating different sections.

Also, when working with larger datasets or detailed reports, performance can sometimes slow down. While it works well for regular use, improvements in UI design and performance would make it even better.

**What problems is Quickbase solving and how is that benefiting you?**

Quickbase helps solve the challenge of scattered data and lack of visibility across tasks. Earlier, tracking updates required manual follow-ups and multiple tools, but now everything is centralized.

It allows us to monitor progress in real time, reduce manual effort, and ensure everyone is aligned. This has improved efficiency and made our workflow more structured.

  ### 10. QuickBase: Flexible Low-Code App Building with Strong Integrations and Extensions

**Rating:** 4.5/5.0 stars

**Reviewed by:** Sachin S. | Platform Analyst, Information Technology and Services, Small-Business (50 or fewer emp.)

**Reviewed Date:** March 27, 2026

**What do you like best about Quickbase?**

What I like best about Quickbase is its flexibility and speed in building custom applications without heavy coding. In my workplace, I actively use Quickbase to develop and manage applications for system configuration and pricing workflows. I have created multiple interconnected tables for systems, component libraries, pricing updates, and standardized solutions, which helps us manage complex data relationships efficiently.

The ability to customize forms, reports, and dashboards allows us to track project status, manage client-specific requirements, and improve operational visibility. We also use Pipelines to automate workflows such as data updates and notifications, which reduces manual effort and improves accuracy. Overall, Quickbase helps us streamline operations and quickly adapt to changing business needs

**What do you dislike about Quickbase?**

One of the main drawbacks of Quickbase is its limited UI/UX customization, which can make applications feel less modern and restrict flexibility for end-user experience. In our implementation, where we manage multiple related tables and complex workflows, performance can sometimes slow down, especially when working with large datasets or detailed reports.

Additionally, while integrations are possible, advanced use cases often require APIs or additional configuration, which increases development effort. The pricing model can also become expensive as usage scales across teams. These factors can impact scalability and user experience, and improvements in UI flexibility, performance optimization, and native integrations would make the platform even more effective.

**What problems is Quickbase solving and how is that benefiting you?**

Quickbase helps us solve the challenge of managing complex workflows and disconnected data across our operations by providing a centralized and customizable platform. In our workplace, we use it to manage system configuration and pricing processes, where multiple related datasets (such as systems, components, and pricing structures) need to be connected and updated in real time.

It has allowed us to replace manual spreadsheets with structured applications, improving data accuracy, visibility, and consistency across teams. We also use automation (Pipelines) to reduce repetitive tasks like status updates, approvals, and notifications.
