After closing a period, bills will still post to that period if it is not locked, which changes historical financials. The work around is to update invoice dates to the first day of the nearest open period. I can now check to see the timeline and confront them if they havent been checking beanworks. I also do not like that it isnt cutomizable, specifically the PO section. I had planned on using purchase orders but you cant edit anything. Shipping addresses already have to be in the system as well as vendors. The reason we went with Beanworks was because of the partnership with Sage. We also felt it was an affordable solution - lower than some of the big name companies in the industry, but not so low that we would be concerned about quality. We really like the global search feature & how customizable some of the views are. The actual workflow and approval processes are smooth. We really like the vacation feature so invoices & checks can be automatically re-routed when someone is out of the office. We like how different subsections of the business can be set up as 'organizational units' and we can give access to only those sections for certain users. We appreciate how duplicate invoices are flagged & can be easily researched by clicking on the error message. **What do you dislike about Quadient Accounts Payable?** We think the printed checks do not look professional. We wish we could see more of the vendor's address when keying invoices. We were under the impression that the system used some sort of OCR for entering invoices, but upon launching we realized they are actually being hand-keyed by Quadient and the process takes place overnight. However, the data entry is pretty accurate. Descriptions for some sync errors are not always detailed enough. We have run into some issues clearing out sync errors. There are certain ones that can only be moved on the backend by Beanworks support.The purchase order module is unusbale with Sage 100 and the work-around is cumbersome & does not allow for frieght + taxes. In the past, getting help from support has been very slow. We have seen an improvement lately, though. **What problems is Quadient Accounts Payable solving and how is that benefiting you?** We save time with data entry. We are able to give managers and other staff access to view their department's invoices & payment history without having to do the research and send invoice copies manually. It has cut back on manual data entry and errors by a lot. I love the options to do both. You don't need to hunt down people to approve invoices as they can approve them through the system itself. You are able to see the invoice as you code and allocate it so you know your inputting the correct information. Looking through past invoices is a breeze and you can access any invoice you have ever saved, whether you delteded it or not. There is plenty of room for notes and any other details you need to provide. Overall it is a great system to have if you input invoices often. **What do you dislike about Quadient Accounts Payable?** I don't have a lot of issues with Beanworks. The search could be a little more open. Any time we upgrade our Sage50 accounting system, the integration breaks and needs to be repaired. We have also had multiple issues where vendors are duplicated, losing the payment details they had entered. Plus, the company has recently been acquired and the software pricing has increased considerably with little/no notice and no increase in functionality. Although it claimed that it could be automated with Great Plains (GP), the integration tool doesn't work for USD Invoices. You will not be able to process any USD Invoices through Beanworks and sync it with Great Plains. Secondly, Beanworks will show invoices as "Paid" upon sync, even for those whose payments get voided in GP. Thirdly, when an invoice receives knocked off through Credit Note in GP and needs not to be paid, Beanworks will show them "Unpaid," and you will be able to pay them through Beanworks. It's a significant risk that they have never addressed. Fourthly, the description you mention at the time of Invoice Processing in the line will never get imported on the Tax GL code in GP. You will manually enter the description in GP before the AP batch gets posted in GP. Finally, at any point in time, you will never be able to select random invoices from multiple pages in Beanroks and populate those selected ones in a single report. All the above tasks need to be done manually - again in Excel or directly in GP. They in no sense that Beanworks can be called an AP Automation tool. With so many areas still needing to be developed, this is an unfinished product requiring massive development. **What problems is Quadient Accounts Payable solving and how is that benefiting you?** We expected Beanworks to solve our manual AP tasks end to end. But it solved only the approval matrix. Managers love it because it saves them time. It also is fully integrated into our accounting software (Jonas). **What do you dislike about Quadient Accounts Payable?** I 'm not accustomed to emailing in a question and waiting for a chat response, so it was a little bit of a change not being able to call a help desk and talk to a person right away. However they have been extremely prompt, friendly and helpful in their responses. I really like the suggested help topics that are in the chat boxes. **Recommendations to others considering Quadient Accounts Payable:** Its so easy that you will be glad you took the step to automation. **What problems is Quadient Accounts Payable solving and how is that benefiting you?** It saves a lot of paper, and provides a much easier month close for our department managers. Internal control improved for audit, and saves a great deal of time for managers and accounting staff. It is the evolution of accounts payable. It makes my job so much easier and transparent, everything is viewable to those who use your F/S **What problems is Quadient Accounts Payable solving and how is that benefiting you?** More information is provided to both managers and owners. They can now see and approve all invoices. I can't tell you how many times over the years I've had managers question an expense on their Financial Statement, and then I've had to find the actual physical invoice that by then had been filled to show it to the manager that yes, it is theirs and yes they approved. Now, if they question any expense, I can quickly call it up in Beanworks. I spend less time entering invoices into our accounting software, I don't have to file those invoices anymore, and I don't have to file the cheque stubs with attached invoices. All that paperwork and time is now eliminated. I also recommend you get the line capture upgrade for Beanworks.
