## PayPal Invoicing Reviews
 ### 1. Familiar Name, Navigational Challenges

**Rating:** 2.5/5.0 stars

**Reviewed by:** Angela S. | Marketing Administrative Coordinator, Small-Business (50 or fewer emp.)

**Reviewed Date:** September 30, 2025

**What do you like best about PayPal Invoicing?**

I like that PayPal Invoicing is an easy and trustworthy way to take payments and deposits from clients. I appreciate the name recognition, as most clients have access to it through their emails, making it straightforward for transactions. I also value the 'pay in 4' feature, which offers my clients an easier way to pay for larger invoices. Additionally, the initial setup was very simple.

**What do you dislike about PayPal Invoicing?**

It's difficult to navigate their invoicing system. The layout takes digging around to find where everything is, and even though I've used it often, it's still frustrating at times to navigate. A simple drop-down menu with frequently used functions would be helpful versus the tabs across the top that have you searching around the platform to find what you need.

**What problems is PayPal Invoicing solving and how is that benefiting you?**

PayPal Invoicing provides an easy, trustworthy way to take payments and deposits from clients. The 'pay in 4' feature offers my clients an easier way to pay for larger invoices.

 ### 2. PayPal Invoicing: Convenient, but Fees, Limited Customisation, and Basic Reporting Hold It Back

**Rating:** 2.5/5.0 stars

**Reviewed by:** Verified User in Staffing and Recruiting | Small-Business (50 or fewer emp.)

**Reviewed Date:** July 13, 2026

**What do you like best about PayPal Invoicing?**

What I like best about PayPal Invoicing is how straightforward it makes the entire invoicing and payment process. It provides a simple way to create, send, and manage invoices without requiring extensive accounting knowledge or complex software. The interface is generally intuitive, making it easy to customise invoices with business details, item descriptions, payment terms, and branding. This helps present a professional image while keeping the administrative side of invoicing efficient.

Another feature I appreciate is the convenience it offers to both the sender and the customer. Customers can usually pay directly from the invoice using a range of supported payment methods, which removes unnecessary friction from the payment process. The simpler it is for customers to pay, the more likely invoices are to be settled promptly. Being able to track whether an invoice has been sent, viewed, paid, or is still outstanding also provides useful visibility and reduces the need for constant follow-up.

I also value the fact that PayPal Invoicing can be accessed online, making it practical for businesses and individuals who work remotely or need to manage invoices while travelling. Since everything is stored digitally, it is much easier to keep records organised, search for previous invoices, and maintain an overview of outstanding payments. This can save time compared with manual invoicing processes and reduce the risk of paperwork being misplaced.

The automation features are another positive aspect. Being able to duplicate recurring invoices, send reminders for unpaid invoices, and receive payment notifications helps reduce administrative effort and keeps cash flow management more organised. These small efficiencies can make a noticeable difference, particularly for freelancers and small businesses that may not have dedicated finance teams.

Finally, I like that PayPal is a widely recognised payment platform. Many customers are already familiar with it, which can increase confidence when making payments and reduce barriers during the checkout process. Overall, PayPal Invoicing combines ease of use, professional presentation, payment flexibility, and useful tracking features into a single platform. It simplifies what can often be a time-consuming administrative task, allowing users to spend more time focusing on running their business while maintaining a smooth and reliable invoicing process.

**What do you dislike about PayPal Invoicing?**

One aspect I dislike about PayPal Invoicing is that the transaction fees can become expensive over time, particularly for businesses that process a high volume of invoices or larger payments. While the convenience of accepting online payments is valuable, the fees can have a noticeable impact on profit margins, especially for small businesses and freelancers who are trying to keep operating costs low.

Another limitation is the level of customisation available. Although invoices can be branded with a business logo and basic details, there are fewer options for creating highly customised invoice templates compared with some dedicated accounting or invoicing platforms. Businesses with more specific branding requirements or complex invoicing needs may find the available options somewhat restrictive.

I also think that some of the reporting and financial management features are relatively basic. While PayPal provides useful information about invoice status and payment history, businesses that require more detailed financial reporting, budgeting, or accounting functionality may need to use additional software alongside PayPal. This can create extra administrative work, particularly if information needs to be transferred between different systems.

Another area that could be improved is customer support. Although support resources are available, resolving more complex account or payment issues can sometimes take longer than expected. For businesses that rely on timely payments, any delays in resolving problems can be frustrating and may impact cash flow or customer relationships.

There can also be occasional limitations around payment holds or account reviews. In some situations, payments may be temporarily held while PayPal carries out additional verification checks. While these measures are understandable from a security perspective, they can be inconvenient for businesses that depend on immediate access to funds to manage day-to-day expenses.

In addition, some customers may prefer alternative payment methods that are not always as seamlessly integrated into the invoicing experience. Although PayPal supports several payment options, businesses with customers in different regions or industries may benefit from broader payment flexibility or local payment methods.

Overall, while PayPal Invoicing is easy to use and provides a convenient way to send invoices and receive payments, there are areas where it could improve. Lower transaction fees, greater invoice customisation, more advanced reporting capabilities, faster customer support, and fewer disruptions caused by payment reviews would make the platform more attractive, particularly for growing businesses with more complex financial and operational requirements.

**What problems is PayPal Invoicing solving and how is that benefiting you?**

PayPal Invoicing helps solve several common challenges associated with billing customers and collecting payments. One of the biggest problems it addresses is the need for a simple, centralised way to create, send, and track invoices without relying on manual processes or paper documentation. Instead of creating invoices from scratch or managing them through multiple systems, everything can be handled within a single platform, making the process more efficient and reducing administrative effort.

A major benefit is that it simplifies the payment experience for customers. Once an invoice is received, customers can typically pay directly through the invoice using supported payment methods, which removes unnecessary steps and makes the payment process more convenient. This often leads to faster payments and reduces the amount of time spent following up on overdue invoices. Having payment links built directly into the invoice also creates a smoother experience for customers and encourages quicker settlement.

Another problem PayPal Invoicing solves is the lack of visibility into invoice status. Rather than wondering whether an invoice has been received or viewed, users can see when invoices have been sent, opened, paid, or remain outstanding. This level of transparency helps prioritise follow-up activities and provides greater confidence when managing accounts receivable.

The platform also reduces the administrative burden associated with recurring billing and payment reminders. Features such as invoice duplication, automated reminders, and payment notifications help streamline routine tasks that would otherwise need to be completed manually. This saves time and allows businesses to focus on serving customers and growing their operations instead of spending excessive time on administrative work.

From a record-keeping perspective, PayPal Invoicing provides a digital history of invoices and payments, making it easier to locate previous transactions and maintain organised financial records. This can be particularly useful when reviewing payment history, preparing financial reports, or resolving customer queries. Having information stored in one place also reduces the risk of misplaced documents or inconsistent record management.

Another important benefit is the familiarity and trust associated with the PayPal brand. Many customers already have experience using PayPal, which can make them feel more comfortable completing online payments. This familiarity may help reduce hesitation during the payment process and contribute to a more professional customer experience.

Overall, PayPal Invoicing solves problems related to manual invoicing, payment collection, invoice tracking, and administrative workload. The result is a more efficient billing process, improved visibility over outstanding payments, better organisation of financial records, and a smoother payment experience for customers. These benefits help save time, improve cash flow management, and allow businesses to operate more efficiently without requiring complex invoicing systems.

 ### 3. Clear Setup, But Slow Customer Service

**Rating:** 2.5/5.0 stars

**Reviewed by:** Verified User | Small-Business (50 or fewer emp.)

**Reviewed Date:** July 09, 2026

**What do you like best about PayPal Invoicing?**

I like the clarity about the process with PayPal Invoicing. You'll know exactly what to do, as it's well explained on their page. When setting up any invoicing system, it's important to know upfront what any hidden charges are, and it was clearly stated with PayPal Invoicing, so you don't get hit by unexpected fees.

**What do you dislike about PayPal Invoicing?**

The time it takes to resolve tickets. Customer service is notoriously slow.

**What problems is PayPal Invoicing solving and how is that benefiting you?**

I used PayPal Invoicing to receive payments from foreign clients. The setup and identity verification were straightforward. I like the clarity about the process and how setup was pretty easy, taking less than an hour with clear information.

 ### 4. Fast Invoicing, But Room for Improvement

**Rating:** 2.5/5.0 stars

**Reviewed by:** Phyllis S. | Sr. Accountant, Small-Business (50 or fewer emp.)

**Reviewed Date:** December 16, 2025

**What do you like best about PayPal Invoicing?**

The invoice process is extremely fast. Customers receive their invoices instantly, and I am able to track them directly within the app. Customers also have the ability to monitor the process in real time. The invoices themselves are clear and easy to read, containing only the essential information needed to pay the bill without any unnecessary details.

**What do you dislike about PayPal Invoicing?**

At times, it can be challenging to locate customers you've previously worked with in the app. Additionally, when you receive an invoice from one of your vendors, figuring out how to make a payment to them isn't always straightforward. Often, the simplest solution is to check your transaction history. Opening invoices on a phone can also be somewhat cumbersome, especially because of the file size.

**What problems is PayPal Invoicing solving and how is that benefiting you?**

PayPal invoicing has made it much easier for me to communicate with my customers as a small business owner. Since I create handmade items and cater to a very niche customer base, most of my business comes through word of mouth. Without a physical storefront, using paper invoices or ringing up sales at a register isn’t an option for me. With PayPal, I can just send an invoice directly to my customers and the process is complete.

 ### 5. Convenient Invoicing, But Needs Better Support

**Rating:** 3.0/5.0 stars

**Reviewed by:** Lawrence J. | Emerging Business Advisor

**Reviewed Date:** September 27, 2025

**What do you like best about PayPal Invoicing?**

I appreciate the convenience of using PayPal Invoicing to send invoices directly from the same platform that collects funds. Unlike QuickBooks, which requires additional fees for processing payments, PayPal simplifies the process and saves costs. Furthermore, the potential for integration with other processes and platforms is promising.

**What do you dislike about PayPal Invoicing?**

I find the setup process for PayPal Invoicing quite difficult due to the many hidden rules and menus, making it hard to navigate. The instructional videos available don't provide enough detail for me to fully understand the setup, especially given that I am older. Additionally, customer service is challenging to communicate with, particularly when dealing with intricate problems. Speaking to AI does not always yield good answers, and sometimes I need more personal assistance or hand-holding.

**What problems is PayPal Invoicing solving and how is that benefiting you?**

PayPal Invoicing allows me to send invoices and track payments conveniently from the same platform, unlike QuickBooks, where I incur extra fees for bank payments.

 ### 6. Reliable Invoicing Tool with Room for Improvement

**Rating:** 3.0/5.0 stars

**Reviewed by:** Kaitlyn E. | Secretary/Book-keeper, Small-Business (50 or fewer emp.)

**Reviewed Date:** September 16, 2025

**What do you like best about PayPal Invoicing?**

PayPal Invoicing is very easy to use and implement, with straightforward features and smooth integration that make it simple to send invoices frequently. I also like that clients recognize and trust PayPal, which makes it easier to get paid quickly without confusion, and the platform works well across devices.

**What do you dislike about PayPal Invoicing?**

Customer support can be slow and sometimes unhelpful, and the number of features feels limited compared to more robust accounting platforms. Integration options are basic, which makes it harder to connect with other tools I use, and the transaction fees can add up quickly when invoices are sent frequently.

**What problems is PayPal Invoicing solving and how is that benefiting you?**

PayPal Invoicing helps me save time by making invoicing easy to implement, use, and send frequently. It streamlines payment collection, integrates with other tools, and provides a trusted platform that clients recognize, making it faster and simpler to get paid and manage cash flow every single day.

 ### 7. Easy Setup with Essential AI Features, Room for Speed Improvement

**Rating:** 3.0/5.0 stars

**Reviewed by:** Rucha D. | Consultant

**Reviewed Date:** October 21, 2025

**What do you like best about PayPal Invoicing?**

I find PayPal Invoicing incredibly easy to set up, which greatly simplifies the initial process for me. The automation features make managing my invoicing tasks much more straightforward and efficient, effectively saving me time and effort. I particularly appreciate the AI assistant feature, as it stands out as the most useful capability, significantly enhancing my overall experience. In fact, the AI system is so beneficial that it would be a decisive factor in my decision to continue using the service.

**What do you dislike about PayPal Invoicing?**

I find the service could be faster.

**What problems is PayPal Invoicing solving and how is that benefiting you?**

PayPal Invoicing automates my invoicing process, making it easier to manage my side hustle. The AI assistant is a standout feature that enhances efficiency.

 ### 8. I’ve used it once and it was complicated

**Rating:** 2.5/5.0 stars

**Reviewed by:** Verified User in Consulting | Small-Business (50 or fewer emp.)

**Reviewed Date:** October 02, 2025

**What do you like best about PayPal Invoicing?**

I like that i can invoice thru my papal business account but i want really about to use it because they said i had to do a minimum volume of business first which is difficult for a new consulting business that is just getting going. Had i been able to meet the minimum, i believe PayPal invoicing could work well for me

**What do you dislike about PayPal Invoicing?**

I disliked the minimum initial transactions required to use invoicing. It’s kind of like how can you get ID if you need ID to get ID but don’t yet have ID? It’s a catch 22. So i had the client send as an instant payment plus a transaction fee and i emailed the invoices to her separately. However that doesn’t work for every client

**What problems is PayPal Invoicing solving and how is that benefiting you?**

Money coming to my business bank account thru my PayPal business account and EIN Va payments coming thru my personal PayPal account which would make for an accounting nightmare. Being able to separate business vs personal transactions against my EIN vs SSN is key to managing tax liability and proper business vs personal cash flow

 ### 9. "Invoice" Me with PayPal Invoicing

**Rating:** 3.0/5.0 stars

**Reviewed by:** Tamarah B. | Freelance Fashion Blogger & Owner, Small-Business (50 or fewer emp.)

**Reviewed Date:** November 17, 2021

**What do you like best about PayPal Invoicing?**

I like how you are able to use this service with other PayPal services and you are able to schedule the invoice depending on when you need to be sent to clients and etc.

**What do you dislike about PayPal Invoicing?**

I wish they were a little more customizable. They are pretty standard, but I guess it helps keeps them stay straight to the point. Other than that I don't have any major dislikes.

**Recommendations to others considering PayPal Invoicing:**

I would suggest if you utilize PayPal for business or personal I would definitely try it out. It is not an overcomplicated and great tool, especially for small business owners.

**What problems is PayPal Invoicing solving and how is that benefiting you?**

I am to keep track of services that I have done for my business. I am also able to give clients a copy of the services rendered for tax purposes and more. It helps my clients a better level of trust with working with me again.

 ### 10. Works great but with limitations

**Rating:** 3.0/5.0 stars

**Reviewed by:** Daryl A. | Digital Marketing Director, Small-Business (50 or fewer emp.)

**Reviewed Date:** September 06, 2019

**What do you like best about PayPal Invoicing?**

PayPal invoicing is easy to use and many customers have a PayPal account, so it is widely accepted.

**What do you dislike about PayPal Invoicing?**

The 'Ready to ship' feature of PayPal Invoicing is unreliable and orders are easily missed, causing customer complaints. You also cannot import multiple line items when creating an invoice via CSV upload.

**Recommendations to others considering PayPal Invoicing:**

Works great if you do not need to send many invoices. Easy to use and quickly get started. Not good if you need to upload many invoices with multiple line items via CSV file. Not good if you use PayPal to print shipping labels via the 'Ready to ship' feature, as invoices do not always appear in the query and get missed.

**What problems is PayPal Invoicing solving and how is that benefiting you?**

I am able to easily create custom invoices for my clients. PayPal sends emails that get delivered to customer's inboxes, and payment is very easy to complete.
