## PayHOA Reviews
  ### 1. Efficient for Small HOA, Needs Improved Fund Connectivity

**Rating:** 3.5/5.0 stars

**Reviewed by:** Brad D. | Small-Business (50 or fewer emp.)

**Reviewed Date:** August 04, 2026

**What do you like best about PayHOA?**

I like that PayHOA is an easy way to communicate with the homeowners in our community of 50 homes. Having the emails and being able to relay correspondence collectively or to a few accounts makes it easier to share information whenever we need to communicate as a board. The software helps with our accounts receivable and payables, and it allows homeowners to pay their annual dues through the site, which is helpful. The customer support is also a positive aspect; they are easily accessible and willing to meet for fifteen or thirty minutes to guide you through the process if there are any challenges associated with the website. Additionally, PayHOA provides value as it enables a smooth transition to the next treasurer once I step down from the board, ensuring continuity in managing the finances.

**What do you dislike about PayHOA?**

The biggest issue I've experienced with PayHOA is that it doesn't connect our CD for reserve accounts. It connects our bank accounts and reserve accounts, but the lack of connection with the CD means we don't have full visibility of the monies available in our HOA. Resolving this issue would be very helpful.

**What problems is PayHOA solving and how is that benefiting you?**

We find that PayHOA balances our finances and keeps our ledger aligned with the bank. It streamlines communication with homeowners and facilitates their dues payments, while customer support is accessible and helpful.

  ### 2. Comprehensive Solution with Room for Onboarding Improvement

**Rating:** 4.0/5.0 stars

**Reviewed by:** Jameson H. | Mid-Market (51-1000 emp.)

**Reviewed Date:** August 01, 2026

**What do you like best about PayHOA?**

I like that PayHOA is a one-stop shop for everything we need without nickel and diming us for every feature. It's great for collecting payments, tracking financials, budgets, sending announcements, and keeping track of ownership details. The simple login for both board members and homeowners is handy, and having everything centralized minimizes human error. I appreciate that it's very affordable and has a generally clean interface. The bank account linking is a useful feature too.

**What do you dislike about PayHOA?**

I think the onboarding process wasn't as white glove as I would have liked it to be. It would be nice if you could easily share your current financials and ownership details. We're doing a lot of coordinating with homeowners who are confused. They could make collecting data and getting homeowners signed up even more streamlined.

**What problems is PayHOA solving and how is that benefiting you?**

PayHOA centralizes everything for our HOA, making it simple for the board and homeowners to manage payments, track details, and communicate. It eliminates the need for an accountant and reduces reliance on spreadsheets, minimizing errors. It's affordable and not overwhelming with extra costs.

  ### 3. An intuitive dashboard that works for all; Voting workflows that streamline decisions

**Rating:** 4.0/5.0 stars

**Reviewed by:** Verified User in Research | Small-Business (50 or fewer emp.)

**Reviewed Date:** July 28, 2026

**What do you like best about PayHOA?**

I think the voting workflow (which we just recently discovered/enabled) is the most useful way for our board to formalize decisions. Its also useful to look up info and history on homes/homeowners when needed. The dashboard is pretty intuitive so most board members can navigate.

**What do you dislike about PayHOA?**

For some older board members the features may be more overwhelming. For the violations, I wish I could create an automated workflow based on the votes so that once majority (4+ of 7) is achieved, it would automatically approve or complete the workflow. I also don't like that for some reason my wife (who isn't a board member) continues to get HOA email notifications which is drama that's none of her business as a she isn't on the board. Probably a setting since she lives at same address as me but I haven't figured out how to prevent this.

**What problems is PayHOA solving and how is that benefiting you?**

Consolidation of data is the biggest benefit, I believe. It puts the income (dues payments) in the same hub as violations and architectural requests. the best benefit is not having to use multiple platforms bc PayHOA puts them all into 1. If it could integrate the board's emails/text chains that would be even more beneficial

**Official Response from Earl Laing:**

> Putting dues, violations, and architectural requests in one hub is the whole point of PayHOA, so cutting real platforms out of your day says a lot. It's also nice to hear that the voting workflow is already helping formalize decisions.

Automating violation approvals once a vote hits majority is already shaping the direction we're building toward (we've got some AI features in the works that will help with stuff like this).

For board members who find things overwhelming at first, intercom.help/payhoa has walkthroughs that help ease people in.

And that email notification landing with your wife sounds like a contact record mix-up rather than expected behavior, worth a quick note to support@payhoa.com so they can sort out the setting.

Here if you ever need anything. Thanks for the review and for being part of the PayHOA community!

  ### 4. Consolidates Tasks Efficiently But Needs Better Usability

**Rating:** 4.0/5.0 stars

**Reviewed by:** Adam H. | Graphic Designer/Owner, Small-Business (50 or fewer emp.)

**Reviewed Date:** July 28, 2026

**What do you like best about PayHOA?**

I like that PayHOA consolidates a lot of fragmented tasks into one platform, making it a one-stop shop instead of having dozens of spreadsheets. It replaces a patchwork of scattered tools, like Excel sheets, personal email threads, and paper forms, with a singular automated workflow that cuts down on manual administrative labor. For me, I logged in and it just worked.

**What do you dislike about PayHOA?**

I find PayHOA's lightweight accounting system to be a bit restrictive at times. Syncing live bank feeds occasionally presents hiccups too. Additionally, non tech-savvy residents can get confused easily with its interface. I think it would help if it used more colloquial language like 'HOA dues' and 'processing fee' instead of the more complex terms it sometimes uses.

**What problems is PayHOA solving and how is that benefiting you?**

I use PayHOA to manage our HOA, making it easy to track past-due members and store documents. It consolidates fragmented tasks into one platform, reducing manual labor.

**Official Response from Earl Laing:**

> Adam, "I logged in and it just worked" might be my favorite feedback. Especially since swapping a patchwork of spreadsheets, email threads and paper forms for one workflow is the whole point of building PayHOA.

The accounting flexibility and bank feed sync hiccups are fair notes, and the idea of plain-language wording for residents is great. Thanks for that, we'll pass that along.

Appreciate you being part of the PayHOA community!

  ### 5. Efficient HOA Management with Minor Support Delays

**Rating:** 4.0/5.0 stars

**Reviewed by:** Verified User in Accounting | Small-Business (50 or fewer emp.)

**Reviewed Date:** July 29, 2026

**What do you like best about PayHOA?**

I use PayHOA for managing homeowner association activities, and it really helps with bookkeeping and record keeping of owners. It's convenient having everything in one place because I don't have to keep separate records for bookkeeping, invoicing, contact information, and construction applications. The software has made life easier despite some issues, which were ultimately resolved. The initial setup was fairly easy too.

**What do you dislike about PayHOA?**

Sometimes getting help with a problem takes a little more time than I would like it to.

**What problems is PayHOA solving and how is that benefiting you?**

I use PayHOA for managing homeowner association activities, helping with bookkeeping and record keeping of owners. It makes life easier by having everything in one place, so I don't need separate records for bookkeeping, contact information, invoicing, and construction applications.

  ### 6. Streamlined HOA Finances, Needs Better Budgeting Options

**Rating:** 3.5/5.0 stars

**Reviewed by:** Verified User | Small-Business (50 or fewer emp.)

**Reviewed Date:** August 03, 2026

**What do you like best about PayHOA?**

I really appreciate how PayHOA simplifies tracking of all our financials, moving away from the complex spreadsheet we used before. The tool tracks income and expenses per condominium unit and by our Board. The bank link is a game changer, allowing us to view transactions in real-time and saves time on manual entries. I find the simple graphic reporting particularly useful for showing budgeted versus actual expenses without having to create spreadsheets.

**What do you dislike about PayHOA?**

I do wish there was a simpler way to separate our reserve funds from our operating budget. It is possible I do not understand all the features as a new user, but this is one aspect of PayHOA that I am not comfortable with. I would suggest that PayHOA provide the ability to create more than one budget. That way, we could completely separate our operating and reserve budgets.

**What problems is PayHOA solving and how is that benefiting you?**

I find PayHOA simplifies tracking our financials and eliminates spreadsheet crashes and manual errors. I appreciate the real-time bank transaction views which save us hours, and the easy-to-use reporting graphics that avoid manual entries.

  ### 7. User-Friendly But Needs Tech Improvements

**Rating:** 3.5/5.0 stars

**Reviewed by:** Verified User | Small-Business (50 or fewer emp.)

**Reviewed Date:** July 28, 2026

**What do you like best about PayHOA?**

I like that PayHOA is an easy-to-use platform. It has a lot of extra features, especially the communication ones. I enjoy using broadcast emails and the ability to send things out by the US Postal Service. These features make it easy for me to communicate with my members and for them to communicate with me, streamlining processes. Moreover, the initial setup of PayHOA was very easy.

**What do you dislike about PayHOA?**

Sometimes the technology gets a little wonky. With the updates on the site, what used to be a one or two click process now takes more time. Inputting payments can be a little cumbersome sometimes. The data loads slower and sometimes it's harder for me to insert the amount paid because it's sometimes prepopulated and sometimes it's not. It's not a big thing, but it slows the process down.

**What problems is PayHOA solving and how is that benefiting you?**

PayHOA lets me easily process monthly assessments and has communication features that streamline interactions with my members.

**Official Response from Earl Laing:**

> Love to hear you're benefiting from streamlined communications!

The slower loads and clunkier payment entry aren't how we want things to feel. We'd love to hear more specifics about what you're running into so we can help solve it. Please reach out to support@payhoa.com when you get a chance.

Thanks for taking the time to share this.

  ### 8. Simplifies HOA Management with Excellent Visibility

**Rating:** 4.0/5.0 stars

**Reviewed by:** Verified User | Small-Business (50 or fewer emp.)

**Reviewed Date:** July 28, 2026

**What do you like best about PayHOA?**

I like how easy it is to monitor everything with PayHOA, and the visibility it offers is key for managing our HOA. The ability for residents to do self and automatic pay is really convenient. The data and analytics features help us quickly identify any issues and create solutions around outstanding items. PayHOA makes it so we don't spend a lot of time managing our HOA anymore. Additionally, the setup was really easy, and our salesperson did a good job walking us through everything.

**What do you dislike about PayHOA?**

We had an issue with getting bank accounts linked and set up. We weren't aware that we couldn't set up certain bank accounts, so we had to go through our salesperson, and it just took longer and needed more work than we originally were told.

**What problems is PayHOA solving and how is that benefiting you?**

I use PayHOA to manage our HOA, making it easy to monitor everything with great visibility. It handles resident payments, vendor payments, and provides a quick view of our finances. It saves time by quickly identifying and solving outstanding issues.

**Official Response from Earl Laing:**

> Monitoring everything with that level of visibility, plus letting residents handle self and auto pay, is a big part of why boards say PayHOA gives them time back. Good to hear your salesperson walked you through setup well, that kind of support matters. Sorry the bank account linking turned into more work than expected, but glad the team got it sorted out for you in the end. Appreciate you being part of the PayHOA community.

  ### 9. Self-Management Made Easy, But Accounting Needs Improvement

**Rating:** 4.0/5.0 stars

**Reviewed by:** John M. | Editor-In-Chief, Learning Futures and Emerging Technologies, Small-Business (50 or fewer emp.)

**Reviewed Date:** July 28, 2026

**What do you like best about PayHOA?**

I use PayHOA to help with the back office functions of my association. I appreciate that PayHOA brings in dashboard views, account links (including to securities), and a good portal for board members and association members to use. I like that it helps small associations self-manage effectively. Staff made it easy.

**What do you dislike about PayHOA?**

Accounting is a little weird. The system works best if you use cash accounting. The new features added seem to have a feel that they were vibe coded.

**What problems is PayHOA solving and how is that benefiting you?**

I use PayHOA for back office functions, appreciating its dashboard views, account links, and member portals. It helps small associations self-manage effectively, although accounting can be tricky unless using cash accounting.

**Official Response from Earl Laing:**

> John, thanks for the added detail on the back office side, dashboards, account links, and a portal that works for the whole board and community.

On accounting, we aim to make the system work smoothly for both cash and accrual based associations, so we'd love to hear more about the specific accrual issues you've run into. That helps our product team dig in and might help us point you toward a fix in the meantime. Feel free to reach out to me directly at earl@payhoa.com.

Glad to have your community on board.

  ### 10. Nice Layout for a Useful All in one platform

**Rating:** 4.0/5.0 stars

**Reviewed by:** Amanda R. | Accounting, Accounting, Small-Business (50 or fewer emp.)

**Reviewed Date:** July 28, 2026

**What do you like best about PayHOA?**

The layout is nice, with all the menus on the left and a clear photo area. It also offers useful features like collecting money and information, and creating invoices.

**What do you dislike about PayHOA?**

There isn’t an easy stop button to stop accepting payments from owners.

**What problems is PayHOA solving and how is that benefiting you?**

It’s a convenient, all-in-one place to manage an HOA without needing a huge, complicated software platform. Also supports bank integrations.

**Official Response from Earl Laing:**

> Thanks for the review, Amanda!

  ### 11. Effortless Dues Management, Needs Better Notifications

**Rating:** 3.5/5.0 stars

**Reviewed by:** Verified User | Small-Business (50 or fewer emp.)

**Reviewed Date:** July 29, 2026

**What do you like best about PayHOA?**

I appreciate that PayHOA allows our HOA members to access the HOA platform and view various HOA documents conveniently. Most importantly, it enables them to electronically pay their HOA dues, which is really easy for our members. Additionally, we can effortlessly share documents and send out monthly newsletters, which is a big plus. The initial setup of PayHOA was easy, which was great for our team.

**What do you dislike about PayHOA?**

There's no good past dues notification. Also, sometimes the auto payments just stop working for some users after a couple of months.

**What problems is PayHOA solving and how is that benefiting you?**

PayHOA allows our HOA members to access documents and pay dues electronically. It's easy to use for sending newsletters. However, it lacks good past due notifications and sometimes auto payments stop working after a few months.

**Rating:** 4.0/5.0 stars

**Reviewed by:** Verified User in Real Estate | Small-Business (50 or fewer emp.)

**Reviewed Date:** July 28, 2026

**What do you like best about PayHOA?**

How easy it is to communicate with our residents. It really has made it easy to reach them through multiple media.

The forms section feels a bit clunky. I wish it was a bit more customizable.

**What problems is PayHOA solving and how is that benefiting you?**

PayHOA gives our Association ways to communicate with our residents and between admins so that we can focus on addressing issues in our community. The decreased cost in management companies is also a definite plus!

**Official Response from Earl Laing:**

> Being able to reach residents across multiple channels without extra hassle covers a lot of ground, and trimming management company costs on top of that is a nice bonus. Thanks for taking the time to share this!

  ### 14. One-Stop Solution With Nearly Everything We Need

**Rating:** 4.0/5.0 stars

**Reviewed by:** Verified User in Automotive | Small-Business (50 or fewer emp.)

**Reviewed Date:** August 04, 2026

**What do you like best about PayHOA?**

It’s basically one-stop shopping, per se. It has almost everything we need to run our small POA.

**What do you dislike about PayHOA?**

Onboarding took more time than I was led to believe, although there was a lot of data to enter.

**What problems is PayHOA solving and how is that benefiting you?**

It puts all the information about each unit in one place, making it easy for the entire board to know what is going on.

**What do you dislike about PayHOA?**

There are some features I would like to see such as turning off automated reminders for units using autopay.

**What problems is PayHOA solving and how is that benefiting you?**

It is helping us track and easily create invoices and fines.

**Official Response from Earl Laing:**

> Having everything about a unit in one place so the whole board's on the same page is exactly what we're going for. We've passed the feedback on automated reminders/autopay to our product team. We're here if you ever need anything!

  ### 16. Easy to Use and Makes Community Messaging Convenient

**Rating:** 4.0/5.0 stars

**Reviewed Date:** July 28, 2026

**What do you like best about PayHOA?**

The software is easy to use, and it makes things like community messaging really convenient.

**What do you dislike about PayHOA?**

Permissions can be annoying, since we haven’t been able to find a section-level toggle—only individual folder permissions.

**What problems is PayHOA solving and how is that benefiting you?**

The software supports messaging and task tracking, and it has genuinely streamlined our POA operations, making day-to-day coordination much smoother.

**Official Response from Earl Laing:**

> Glad community messaging is landing as convenient as it should, and that day-to-day coordination feels smoother because of it.

Sometimes it gets bogged down with extra tasks and clicks.

It is a one-stop shopping for paying membership fees and keeping track of homeowner member tasks all in one spot.

  ### 18. Great Organization for Invoices, but Admin Access Needs More Granularity

**Reviewed by:** Verified User in Individual & Family Services | Small-Business (50 or fewer emp.)

**Reviewed Date:** July 29, 2026

  ### 26. PayHOA Accounting Product Review

**Rating:** 4.0/5.0 stars

**Reviewed by:** Dennis M. | HOA Treasurer, Small-Business (50 or fewer emp.)

**Reviewed Date:** March 19, 2025

**What do you like best about PayHOA?**

PayHOA is specifically designed for Homeowner Associations (HOA). It has the capability to process Accounts Receivable & Accounts Payable Invoices. It maintains a "Balance Sheet" and "Budget vs. Actuals Income Statement" within its base product, in addition to a number of other reports. It has a bank interface which allows for correlation between PayHOA system balances and posted transactions at your bank. It's relatively simple to use from an accounting perspective, though it does have a few quirks relative to processing. However, once you understand these quirks, it's easy to compensate & adjust during processing. Monthly subscription costs are very reasonable, especially when compared with QuickBooks. In addition, PayHOA has an HOA Member portal which allows the HOA Member to review a variety of documents specific and functions associated with their account with security to ensure only they can see such documents or functions.

**What do you dislike about PayHOA?**

PayHOA has a third-party bank interface which doesn't always work in a timely manner. Often times posted bank transactions in the interface take 2 or 3 days to catch up with actual posted transactions at the bank. This makes balancing the bank and the PayHOA system somewhat frustrating when attempting to review PayHOA's "Transactions" page. That said, the third-party interface does eventually catch-up within 3-days. I've had to work with PayHOA Support on several issues and for the most part they respond relatively quickly. I'm currently working with PayHOA Support on an issue with Credits not posting prior to Payments (Cash Basis). In addition, you oftentimes have to update the PayHOA system manually to get account balances to reflect recent changes. That said, you must also remember to refresh the web browser to see the changes on the webpage. This is not an automated process during the system update. The system nomenclature uses the term "Invoices" when reviewing or printing invoices, but in actuality it's referring to individual assessments as opposed to invoices. There doesn't appear to be a way to print independent invoices after they have been created, just individual assessments in total. I can't find a way to print a specific grouping of assessments which make up a particular invoice. It would also be nice to have drill-down capability within reports, but I may be asking for too much at this design point.

**What problems is PayHOA solving and how is that benefiting you?**

I'm currently working with PayHOA Support on an issue with Credits not posting prior to Payments (Cash Basis). This misaligns my Undistributed Retained Earnings on the Budget vs. Actual Income Statement with my Equity Account on the Balance Sheet.

  ### 27. Useful Features & Fairly Easy to Use

**Rating:** 3.5/5.0 stars

**Reviewed by:** Scott H. | HOA Board President, Small-Business (50 or fewer emp.)

**Reviewed Date:** March 04, 2025

**What do you like best about PayHOA?**

Pretty simple to figure out. Gives owners a portal. We can track communications sent from the portal to see if people have read a message or not.

**What do you dislike about PayHOA?**

Needs a better way to add renter info and include them in texts sent from the portal. Needs more formatting options for form letters and emails sent from portal. If you make a board member an admin with their own login, it shows their personal email address in the reply to field if someone responds to an email from the system. Budget option should allow to enter annual amounts instead of having to break down into monthly amounts. Survey option is limited. Customer service is lacking when having problems, they mainly just send you one of their help articles. Additional features would be useful.

**What problems is PayHOA solving and how is that benefiting you?**

Gives us an accounting system.

The main one was budgeting and accounting being separate products, now they're super simple and all in one and it saves me so much time and effort.
