It would also be nice if we could close periods when financials are compelted instead of depending on the failed export. **What problems is Ottimate solving and how is that benefiting you?** PlateIQ allows us to have approval on all invoices including those that we pay via ACH or with a credit card. The AI allows quicker processing of invoices by line item, so as long as we code the invocies correctly the first time, the system codes it the same way every time after that. The AI makes processing our invoices must faster for our A/P team. The reporting features allow us to review online items on the invoices to look for discrepancies in the way our vendors bill us. ### 8. PIQ provides raw data dumps that I can manipulate to synch the systems. The AI engine learns fast, making coding pretty easy. Flexible payments (including the credit cards). Analytics on the invoice side are strong; the AI does a good job sorting items within a vendor and tracking unit cost over time. There is pretty solid feedback between virtual cards / ach and payment verification. **What do you dislike about Ottimate?** 1) Hard to get rid of bad vendor names. 2) difficult to deal with single-vendor / multiple accounts (they are addressing this) 3) Reporting in Spend Managment (credit cards) is still weak. It requires some work to get GL code tied to spend event tied to date. The data is in there, but without dynamic reporting, it is inaccessible. 4) They shift to Vcard payment of vendors without asking. This *really* annoys our vendors. The software is worth more than I pay, so I'd be happy to pay more if they cut that out. (they make a vig off of Vcard transactions...I'm sure their VCs insist on this). **What problems is Ottimate solving and how is that benefiting you?** 1) Fewer lost invoices. 2) Better cash planning. 3) easy multiple / remote approvals. 4) Empowers managers to code their own stuff. 5) Several X faster than manual input. 6) remote / cloud / mobile access. 7) Lets us update inventory valuation and costing on the fly. ### 9. I love how easy it is to look up past invoices and items. I also love that it automatically highlights credits, making them easy to spot. **What do you dislike about Ottimate?** I don't seem to be able to search by brand name, only item name. It would be really helpful to be able to filter by brand as well. It's also not always clear when a filter is applied to my search...the "filters on" button is very small and not obvious. It would be nice if it were bigger and/or more colorful. **What problems is Ottimate solving and how is that benefiting you?** Plate IQ has increased accuracy in processing invoices and in our ability to refer to past invoices. It's great to have everything in one place. It also makes communication between the department and accounts payable easier, as we can leave notes directly in the software. ### 12. Between the scanning entry feature and ability to give vendors a unique emails address for invoice submissions, your data entry time for invoices decreases significantly in a measurable and material way. **What do you dislike about Ottimate?** Currently the system doesnt differential between an invoice date and transaction date which is you have a prior period invoice you have to be mindful of. Being able to pull those two different date would help make the platform that much more efficient. **What problems is Ottimate solving and how is that benefiting you?** Plate IQ drastic improves invoice data entry time in terms of man hours. ### 13. Until we decided to leave..... **What do you dislike about Ottimate?** After using the service for 14 months, we decided to leave since we were onboarding Margin Edge which is a much more robust analytics software for restaurants. Even though we had only signed a one year agreement, they are claiming that since we didn't cancel before the end of the one year term, that our contract auto-renews for another year. Also, if we'd like to leave now, they need us to buyout the ENTIRE rest of the year. Obviously the people at Plate IQ don't get it. NO ONE WANTS TO BE TIED TO A CONTRACT ANYMORE. Reputable software companies say, "if you're not satisfied with our service, you are welcome to leave without penalty". These archaic policies remind very much of the unscrupulous policies of the Merchant Service Providers we all know and love. Good Riddance Plate IQ! I also like that it tracks the individual items and monitors price changes. **What do you dislike about Ottimate?** It takes a while for invoices to process. Usually, I submit them and have to wait til the next business day for them to finish processing. And they still get some of the invoices messed up, so I constantly have to monitor them and resubmit a couple each week to their support team. They could be better at reading off of the documents overall. I've used other programs like bill.com and they allow you to select the verbage off the page and place it in the column you need it to go in, if they don't match it correctly originally. I think I have to use support more than I would like to, as I wish some things would be easier to fix myself. **What problems is Ottimate solving and how is that benefiting you?** It is quicker to process invoices. I don't have to hand key in everything anymore, and Plate IQ keeps the digital copy of the invoice as well, where I can search by line item and find the things I need for rebates and such. It has everything all in one place, and easily syncs with QuickBooks each day. ### 16. I do the accounting & AP for eight different restaurants using PlateIQ. We are set up so that the management team at the restaurant sends in & approves invoices. Accounting then reviews coding & gives final approval. After approval, the data is exported to our accounting software. We now use Compeat, a proprietary restaurant industry accounting software. Last year we used QuickBooks. I think the sync with QuickBooks was more streamlined but Compeat was the better option for overall accounting. We also use the PlateIQ vendor pay, which allows us to pay vendors with check, ACH or virtual card. Checks are printed & mailed by PlateIQ so I don't have to cut them in the office. Their support & account management team is excellent. I always get a quick response to my emails & resolution to my problems. **What do you dislike about Ottimate?** I have had trouble onboarding new locations. We were advised to make changes to the database that didn't work & had to be reverted. But they were very helpful & resolved our issues very quickly. **What problems is Ottimate solving and how is that benefiting you?** I am able to process a large volume of AP using the automation & payment services. I really like that all AP history is available online in one location. I can research invoices, payments, or vendor questions quickly. ### 17. I used to hand code everything and write everything down in a ledger. Now I just upload the invoice as a PDF and email to plateiq. In less than 24 hrs I see the invoice and code it to the right GL and they take care of the rest! **What do you dislike about Ottimate?** Sometimes the software cannot read the invoice correctly. Also, it takes about a month from the time I upload and process the invoice for the account to get paid, small business don't like this. **What problems is Ottimate solving and how is that benefiting you?** Saving valuable time in the office so I don't spend hours doing invoices now I just upload and confirm the invoice and Plate iq takes care of the rest. It notifies of possible invoice duplicates helping decrease the chance of human error. The ability to upload PDF invoices by sending them as attachments to the corresponding location email. **What do you dislike about Ottimate?** Whenever I force-approve an invoice, I need to refresh the batch and go into the document to find out Plate IQ removed my approval for no reason I can determine. When I send a PDF to Plate IQ via email from my personal work account, I get a reply in my inbox with a link to the batch that contains such PDF as well as a link to the file itself; however, this email does not occur when the request comes from our general email account. While browsing invoices, the image quality of the PDF that appears on the left side of Plate IQ looks scrambled to the point that the text becomes unreadable. I need to open the PDF in my PDF viewer. I'm working with PDF artificial intelligence readers provided by Microsoft that take a few minutes and sometimes seconds to extract the invoice information, with reasonable accuracy, unlike Plate IQ, which takes 24 hours. **What problems is Ottimate solving and how is that benefiting you?** Plate IQ produces an integration batch file for Microsoft GP, which is how I load incoming invoices into our accounting system for payment and storage. ### 23. I always tend to have to look back to invoices for dates and prices and with everything stored in Plate IQ easily available to look up, I don't have to waste time flipping through papers. **What do you dislike about Ottimate?** There really aren't many downsides to using Plate IQ - A very little amount of invoices get read in wrong here and there, and some invoices with vendors that do not have SKU numbers will always be read wrong with Plate IQ. **What problems is Ottimate solving and how is that benefiting you?** Our company uses an inventory system to track invoices, purchases, inventory, returns, etc.. for all departments on property. This system requires you to manually enter every single line items on all invoices (which would take forever!) But with Plate Iq reading ann mapping invoices for me, I export from Plate IQ into this system and it bypasses all that manual work. ### 38. We have a lot of manual invoices and no broad line purveyors and EDi feeds are not possible, which was described during our sales calls. We were told that handwritten invoices were not an issue but it is. **What do you dislike about Ottimate?** Their support team is terrible. No response to flagged issues and no real explanation except that their ticketing system had a glitch. All outliers are pushed to the customers. Took us longer to process invoices using their software than if we just manually keyed them into the accounting system. All of their solutions are workarounds that cost us more time and effort. They lock you into a contract that they refuse to let us out of even when their solution is working for us and their support team doesn't respond to issues. Many other solutions out there that don't lock you into contracts and earn your business every month. Buyer beware, I would not recommend using this software at all. Let the contract terms be a red flag. Also, the way they "estimate" your usage and bill is archaic and unpredictable. **Recommendations to others considering Ottimate:** Stay away and find a better solution that doesn't lock you into a service term. None of their competitors do this and it is a huge red flag. **What problems is Ottimate solving and how is that benefiting you?** We were trying to automate our AP and provide better reporting. After 4 months of trying, we are canceling this effort. They refuse to let us out of our 12-month contract even though their software turns out to be not a fit. The best they've offered is a 20% discount on the remaining contract for doing absolutely nothing. Total waste of time and effort. ### 41. The home screen is very straightforward and doesn't overwhelm the user with unnecessary information. It is easy to identify which invoices need attention and which invoices need to be approved as soon as you log in. When you are approving an invoice, the invoice page is displayed large enough that it is easily visible on the screen. I find that I can quickly review and update invoice information before I approve. **What do you dislike about Ottimate?** While the program is great, there are a few features that I would like to see improved. Right now, users are unable to move invoices that aren't theirs to the correct location/department without having access to that department. For our club, Maintenance and Building Maintenance invoices can sometimes get entered into the wrong department. To correct this, an admin (me) with access to all departments needs to move the invoice. It would be better if our Superintendent and Facilities manager had this ability as they know best which invoices belong to them. **Recommendations to others considering Ottimate:** Highly recommend it. Easy to use and cost-effective. **What problems is Ottimate solving and how is that benefiting you?** Plate IQ has simplified our invoice approval process at a very reasonable cost to the club. We cut our costs in half from the other program we were using, and our whole team agrees that Plate IQ is better than what we were previously using. In addition to simplifying the approval process, statement reconciliations are now a breeze with Plate IQ. You do need to wait a few months to realize the benefit of the statement reconciliation module, but once you have several months' worth of invoices processed in Plate IQ, the statement upload will quickly identify which invoices you are missing and will even prompt an email to the vendor asking for copies! ### 42. Onboarding new users is a breeze, making changes to the system on the fly is a piece of cake, and even adding new properties as we open them is no problem. **What do you dislike about Ottimate?** I honestly don't have anything that I dislike about PlateIQ. I think the cost is right where it needs to be, there's no difficulties using any of the day to day aspects of PlateIQ. **What problems is Ottimate solving and how is that benefiting you?** We are a hotel management company and the biggest challenge we had was getting invoices from our hotels in other cities. We were always scanning and emailing them to AP or "muling" the phyical copies from the properties to our central office. Now we're able to have each property submit invoices into the software on their own which frees up time for our AP person. Tracking checks can cause an immense delay and headache in paying vendors.
