From Card Sorting to Tree testing, I can custom almost everything possible. I love the ability to create pre/post questions per study, also how can I cover qualifier questions to improve the sampling of my research, eliminating people that should not be answering our studies. **What do you dislike about Optimal?** As more as we can customize a lot, we cannot update overall layout of the study pages. This is the one of the things I would say they need to focus on new releases so we can have pages more aligned with customer's branding guidelines. Also, the ability to have a REST API layer, so I can automate my study creation manually via CLI, or even connecting an AI agent to help me setup it properly, since the performance on using the UI sometimes is cumbersome, and take too much time to create. **What problems is Optimal solving and how is that benefiting you?** Optimal Workshop covers all my needs in regards User Research. As more as the price is a little bit high, the value proposition is really great. No other platform offers the depth and the flow OW does. Another interesting aspect is that I don't need to train my team on using it, since the paltform uses proper vocabulary that is common for researchers, architects, and designers. ### 2. It’s all so clear and intuitive that I can just pick up where I left off. And I honestly love how it basically does the heavy lifting on the analysis side, it takes a huge weight off my shoulders. **What do you dislike about Optimal?** Honestly, when I think about it, there’s nothing I dislike about Optimal or anything that makes me say “I wish this worked differently.” I genuinely mean it, so far, it’s given me everything I’ve needed. Maybe the only thing I can think of is that if we had the option to run unmoderated usability tests there as well, I’d probably do that through Optimal too, and then I’d be able to cover all my research needs in one single tool. **What problems is Optimal solving and how is that benefiting you?** The biggest benefit for me, without a doubt, is that when I run research projects on Optimal, it also handles the analysis and it does it at a level that genuinely satisfies me. All I really need to do is interpret the results. That way, I can wrap up projects much faster and move on without getting stuck in the heavy analysis work. Before this, I was doing all of that analysis on my own, and it took an insane amount of time. It would slow me down so much that other projects just started piling up behind me. ### 3. Before any design change, we previously studied weeks during meetings only making a guess of what will be liked by the users. We can now simply run a test, and receive real data within 2-3 days. The card typing and tree testing attributes are very robust to our information architecture. Their service in terms of the recruitment of participants is also really likeable by me. We do not need to go and identify people; All we need to do is select the audience and Optimal finds real users to use our products within no time. You can establish it very easily even without being a significant UX expert. Those reports that it produces are also very clean with nice charts, as such I can easily present it to my directors without necessarily explaining it. The visual click maps also assist my team to have a clear picture of where people are becoming confused. **What do you dislike about Optimal?** Occasionally the prices are, perhaps, too high on smaller projects. When it comes to a small startup the price may be an issue. Another point that I would alter is that the user interface of the admin dashboard can be considered more modern. It is not unhealthy, however there are occasions where it would take some time to find certain old tests. And insofar as they can introduce more local languages to be testable in India, it will be even better on our side. **What problems is Optimal solving and how is that benefiting you?** We were experiencing challenges in my IT department with regard to opinion based decisions. Everybody has another concept of the site or application, whether it is marketing or developers. Optimal did so by offering us fact-based insights. It is assisting us to prove our designs and navigation structure before we set aside a lot of money to develop the product. This saves my team much of the time spent to re-work because we do not have to work on reworking a new product after it has been launched. We also tested the tree testing to understand whether the users can use the support page and we discovered that users were lost. This we corrected during the very design stage. This has not only given us a better score in our user satisfaction score it also helped to save a load on our support tickets as well. We are now making confident decisions much quicker. It is actually aiding in our business development since the when all is said and done product is precisely what the user needs. ### 4. It took a few tries to copy/paste my first nav into the system. When I tried to further modify it to add the utility bar I forgot, it got all messed up (lost some of the dropdowns) and then it wouldn't let me delete one element of it or add things back the way I wanted them. I had to delete and start over, which caused all the task pathways to be deleted. Whereas in the past, I would do this on paper or very untidy excel sheets, it is now very easy. I only need to forward a link to my team or users and they complete the job within minutes. The analysis section is also quite good. I do not need to spend hours planning charts; the software provides me with Dendrograms and Matrix views automatically which present themselves as very professional by the time I present them to my manager. It will make me appear to be an expert even when I have simply pressed some few buttons. **What do you dislike about Optimal?** The largest issue to me is the Price. It is very costly, particularly when you are a small team, or a startup in India. I would like them to have a cheaper Pay as you go scheme on one of the projects. **What problems is Optimal solving and how is that benefiting you?** We were also having a hard time in determining how to structure our menu Navigation on the site. My team was actually arguing and had numerous opinions. Problem Solved: Optimal assisted us to obtain actual information of users rather than to make guesses. Advantage: Now we save a lot of time during meetings since we have data to demonstrate what works. It has also made our site a lot easier to use and my team is more confident about our design decisions. This is the best tool in case you are conducting UX research or Information Architecture. However, the free one should be tried first to check whether your users are satisfied with the interface. It is fairly easy to get started and the interface is mostly clean. I like that it is pretty straightforward to use as a tester. I can focus on the task and giving feedback instead of figuring out how the platform works. It feels simple and does not get in the way much. I also like that the tasks are usually clear, so I don't feel confused about what I am supposed to do. It makes it easier to focus on giving proper feedback instead of second-guessing the instructions. I do like that the tasks on Optimal feel a bit more straightforward and less overwhelming sometimes, so it's easier to just focus on the tasks and give feedback. The initial setup was very simple, as I just signed up with Google, verified my email, and filled all the profile details. **What do you dislike about Optimal?** Sometimes the navigation is not very clear, so I have to spend a bit of time figuring out where certain things are. Also, a bit more guidance for first-time users would help, especially at the start of the task. For example, in one of the tasks, I was not immediately sure where to go next after finishing a step, and I had to click around a bit to find the next action. A simple prompt indicator would help in that situation. The insights it provides are great, especially the feedback on information architecture and card sorting. My students learn quickly how to use its insights, and the feedback from them and my clients is excellent. Optimal gives really quick feedback and insights, which helps in making key decisions almost instantly. It's a game changer for me, as analyzing information manually would take days, but Optimal provides it instantly. **What do you dislike about Optimal?** I find the interface for user tests setup not as convenient as other tools I've seen. There was technical feedback from users about having to install an application for mobile tests, which was complex for some participants. During prototype tests with Figma, some participants and clients didn't open their microphones, although they did write down their answers. That being said, I often encounter technical issues with participants even in moderated tests, especially when remote. Overall, I’m very pleased with the analysis, including the AI insights for the open-ended questions. Our team was also very pleased by the managed recruitment and the depth of demographics we were able to target. Our members are specific to the NYC metropolitan area and they were able to fine tune the participants to get us those voices specifically. **What do you dislike about Optimal?** The change this year to limiting the number of studies—especially counting pilot sessions as part of the official study total—was really frustrating. It would be much better if we could run pilot sessions that don’t count as an official study, so we can get feedback from the team before launching, instead of having to rely solely on draft mode. We were fine with having fewer seats in exchange for more study opportunities. Obviously, the new model is better for Optimal to make money, but it’s less useful for analysis. The managed recruitment was great, but the process to pay for the participants was misleading. We asked what needed to happen and never was payment brought up. We thought it would just be billed through to our contract, but requiring to have payment prior to recruitment slowed down our process by 3 weeks. That length of delay was not Optimal's process fault, but not knowing they required payment up front was their fault. **What problems is Optimal solving and how is that benefiting you?** We are reorganizing a health care website's navigation, a notoriously difficult place to find the information you need. Using the Tree Study allows us to see how people think about both the terminology and the organization of the information so that we can adjust our design prior to investing in development. ### 9. The tool is very intuitive and its learning curve has not been difficult for our new designers at the COE. The ease of testing is remarkable; for our new designers, it is easy to find past projects and review them. The onboarding to the tool is simpler since it is very clear with the necessary fields to develop the tests. Additionally, it was relatively easy to start with the platform, as our lead had previous experience with Optimal and the knowledge transfer was efficient. **What do you dislike about Optimal?** I think one area that could be improved on the platform is the generation of more executive reports or results for the presentations of results by the researchers or designers on the team, in addition to being able to include prototype tests. It offers a comprehensive suite of tools, and the variety of tests available fully meets my research needs. Setting up tests is straightforward, and the in-app analysis tools are excellent. I can launch a test quickly without much effort. My users appreciate the self-paced, unmoderated tests, finding them easy to complete, and we typically see a strong response rate when we distribute them. What I find most helpful is how quickly I can set up tests, how simple it is for participants to take them independently, and how easily I can collaborate with coworkers on test projects. One of the main advantages of using Optimal Workshop is that its suite of tools covers most of my project requirements. Additionally, I continue to discover new features, such as Segments and the ability to share results via a link, which add even more value to the platform. **What do you dislike about Optimal?** Optimal Workshop does not integrate with my email, so I have to leave the app to handle communication through my email provider. It would be much more convenient if I could send mass emails with test links to participants directly from the Optimal interface. Over the past year, there have been some UI changes that I was not pleased with, and I wish I had been informed about them ahead of time. As far as I can tell, the task follow-up questions are only accessible in the download section via the spreadsheet, which is not ideal. I was also disappointed with the quality of the participant pool; most responses were just one-line answers that were not useful. I am frustrated by the new pricing structure which has limitations on the number of tests, since I often create tests to run with a few users and then discard them, but I cannot make adjustments after receiving feedback. The tool may become unaffordable for smaller teams. There are also some smaller interface issues, such as wanting to see the number of users who completed a test in the main dashboard view, rather than only for live tests. **What problems is Optimal solving and how is that benefiting you?** These tools help my team save time and achieve a quick turnaround in our research projects. They’re straightforward to set up, and the recent UI improvements have made the researcher’s experience much smoother and more intuitive. Prototype testing is also very user-friendly when it comes to setup (though I haven’t launched a study yet). Overall, each release feels like the platform is getting better at supporting setup and execution, which makes running studies much more efficient. **What do you dislike about Optimal?** The biggest drawback is the data output and analytics. While the platform captures the basics, it doesn’t allow me to perform certain cross-analyses or track user flows within questionnaires. The added visualizations for the IA studies are really helpful for sharing the findings with clients and team members. The studies are easy to set up, and the settings are clear to control due to a simplified user interface. There is a variety of data visualizations that not only help with analysis but also are beneficial for screenshotting and sharing in findings reports since different data can be analyzed in different ways. **What do you dislike about Optimal?** The ability to set up a mobile view is not very user friendly and often leads to questionable insights when evaluating design screens. Some of the logic in surveys and post-test questions are not as controllable as I'd like. I do not like the new structure they are planning to switch to where the number of studies will be limited. This is a significant burden to our workflow. We tried to integrate Optimal with Figma but it didn't work well and would not have been suitable for including in a study. With the change in study structure and pricing, I think there are better UX tools out there for a similar price. Optimal's benefit was its low cost and low barrier to entry. I understand that the tool is intended to be used while conducting qual interviews /usability tests but I would rather take notes on paper and then come back to do a more detailed annotation after the fact. Also the marketing website has perhaps oversimplified things and doesn't provide much clarity on exactly what you can do with the tools. For example the prototype testing feature is for remote testing sessions only which isn't super clear on the website. The times I have needed customer support and have been able to have a direct web chat or email chain with a person have been incredibly positive. For example, I am unable to divide a 100 participant study to gather a set quote of 50 participants from group A and 50 participants from group B. While I am able to screen participants I am unable to select specific quotas for different screener questions and pathways, the screener is binary either you pass or are rejected from the study. We have tried work arounds by creating two seperate studies for different groups however the inability to combine studies means results need to be analysed outside of OW losing access to the analysis tools. The Analysis tool Theme builder is helpful. I saw you included a Affinity map tool. can't wait to try it. **What do you dislike about Optimal?** Cannot upload my entire interview verbatim (in word ) at once, or have the audio being transcrip automatically. The analysis tool could be further develop to illustrate insights more efficiently. The new Insights functionality (AI) is to be explore, it didn't really work for me for now. Use AI to attribute a first set of tags automatically. Access by study **What problems is Optimal solving and how is that benefiting you?** We do multimethod research and Reframer is great to analyze the post-tasks interviews. It is very visual so it's easy to onboard new employees / junior contributors. It's quick to set up. ### 37. Optimal is more than a tool **Rating:** 5.0/5.0 stars **Reviewed by:** Verified User in Government Administration | Mid-Market (51-1000 emp.) **Reviewed Date:** August 28, 2025 **What do you like best about Optimal?** Practical tools that come with it and excellent user interface Understanding that helps researchers grasp what users actually need and ability to perform remote moderated and unmoderated user testing. **What do you dislike about Optimal?** Initially the survey tool but with the latest updates its a lot more what we need and very happy with it now **What problems is Optimal solving and how is that benefiting you?** We began using Optimal in its early form during the Covid pandemic, when we urgently needed a user research tool that could support both moderated and unmoderated testing, especially at a time when face to face research simply wasn’t possible. What started as a temporary solution soon proved indispensable. Our UCD community found Optimal so valuable that we’ve continued with it ever since. Among the suite of tools, the Insights function quickly became the standout. Once our researchers had the chance to explore it in depth which was helped by workshops that Optimal kindly ran for our teams and it transformed how we worked. Now, six years on, both the tool and our relationship with Optimal have matured. The platform has continued to evolve with innovative updates, and just as importantly, the company has taken the time to understand our work and collaborate with us closely. Their team has joined our internal talks, shared their vision for user-centred design, and crucially listened to our feedback. Optimal has become more than a tool for us; it’s a trusted partnership with the company that continues to grow. ### 38. The Figma prototype integration is a welcome addition but our requirements made it quite difficult to get it to work in practice. It is now a part of our regular workflow. The support given by the library of learning resources is excellent. **What do you dislike about Optimal?** Some features don't quite work as well as I'd like. The popups for collecting users did not work for us so we had to create our own in tag manager. Figma integration has a few bugs as animations can cause issues with the behaviour of prototype tracking. **What problems is Optimal solving and how is that benefiting you?** Optimal flow provides a platform for remotely doing user experience testing. It is helping us to update our Information Architecture but it in the future we will be using it to gather more and more data about our users. ### 45.
