The personnel have been very helpful in getting the cookie compliance and DSAR set up with deep knowledge and important tips they've gathered from other implementations. The online knowledge base is extensive and there are on-going webinars to answer many of my questions. Additionally, I did not feel pressured to continue to add to my services purchased beyond just being made aware of other options that are available. **What do you dislike about OneTrust Privacy Automation?** When first getting oriented to OneTrust, I wish I had a super basic explanation of where to go to login, what the on-boarding steps would be, how to access the knowledge base and support, and specifically what to expect from the implementation personnel assigned to my account. It offers businesses & teams a relatively easy out of the box solution for Cookie Compliance. Depending on the implementation route, it requires little to no website development work which is perfect for small teams. The banners & geolocation rules are fully customizable to different organizations & there are a variety of opportunities to customize individual implementations. Additionally, OneTrust support has generally been quite good & responsive. **What do you dislike about OneTrust Privacy Automation?** Although OneTrust is generally a good solution, there are some limitations. It is not the most intuitive platform and a ‘simple’ task can easily take longer than expected. While there is a robust set of help pages, these can be difficult to navigate, and it can be hard to find answers & solutions. Finally, announced changes are sometimes slow to roll out or change release dates with little or no notice. Another limitation we’ve encountered is with larger organizations that use OneTrust across a larger number of domains. Depending on set up, it can be easy for individuals or teams to accidentally update more than one site, which can cause problems. We use it to scan the website for cookies, which it identifies and sometimes classifies if information is known. Additionally, we use it to design & implement cookie banners that we are able to manage and edit without code creation, saving time. The biggest benefits are around ease of use and implementation. While the system is not perfect, it does provide a solution that teams or individuals with varying levels of knowledge can create and implement a compliant solution for their website. ### 8. The sales support staff are brilliant. they are very happy to help with all the requests we have had. even silly questions, they treat you correctly. We have a direct contact who is happy to setup meetings to explain the same simple concepts we may have already gone over before. **What do you dislike about OneTrust Privacy Automation?** No mass upload of sites. so we need to add each website we manage, one at a time. Another is that the platform backend is not built for scale. If you are managing less than 5 sites this is probably for you. This feature includes 4 hours with a consultant to assist in getting the platform up and running 'quickly'. It has now been over a week, and I have yet to be contacted by my assigned consultant even after reaching out to the company. One reason I chose CookiePro was that they offered support. Connecting it to production systems is also useful. We have been able to consolidate the DPIA workflow for multiple territories into one overview and effectively control changes to these systems as a result. **What do you dislike about OneTrust Privacy Automation?** OneTrust has made some weird decisions on how to implement user management. We had a corporate merger and every user got a new email address as a result. This created an unbelievable amount of administration to make sure that assessments and other points were correctly mapped. When you want to do something as simple as a cookie wall, you'll get way too much steps to take in order to scrape your website and have something appear on it that also looks good. IF you can scan your website. About 4 days ago I wanted to update our cookies and categorize a few new ones. I've tried scanning the website for about 100 times and every try resulted in a scan error. Their support desk just doesn't care and give you a very standard message that they'll look into it and I should "give it a few hours". Well, I gave it 12 hours even tho the scan error appears instantly. Then they just went silent. Long story short, get a different tool. **What problems is OneTrust Privacy Automation solving and how is that benefiting you?** It should help me solve a basic problem, but it's not able to. ### 20. The potential for onetrust is great and it is continually improving. When I first started using OT the data mapping was so much easier than the traditional spreadsheet method but it could still be improved and they did by adding in multiple sections for data elements and data subjects. **What do you dislike about OneTrust Privacy Automation?** Limitations to the autonomy of the tool. Such as the Vendor Management tool. This is a great way to manage all vendors and contracts, but a major issue is the contract status change... There isn't any! Risk management module associated with processing activities, assets and vendors allow us to track risk in one place and have a clear overview of how are risks treated and what is the level of residual risks. Data breach management provides us with easy way how to track and manage the breaches. Big benefit is that all activities done in OT leave an audit trail which support the accountability. All modules provide dashboard which makes reporting to senior management very easy. As international organisation with large number of websites, the cookie consent module allows to easily build a cookie banner based on the local law needs and to have same cookie banner style across the world. ### 28. We started using OneTrust pre-GDPR to achieve compliance with the Privacy Impct Assessments we had to complete. We also use a lot of new technologies which have to be impact assessed regularly. We purchased and started using OneTrust for completing privacy impact assessments. I like the arrangement of the modules in OneTrust and the host of templates that we can use for conducting different levels of impact assessments. The templates enable us to build the assessments correctly without missing the requirements. The templates can also be customised to suit the different departments. This is especially useful for us. Another feature that I like is the flexible workflows that we can build for the end-to-end assignment to approval. The assignment can also be initiated by more than one person which is another feature we use in our organisation. On completion of the threshold tests the PIAs can be escalated to DPIAs automatically, which is very handy. In our organisation we have a host of processes that require privacy impact assessments. Hence we use this product to perform the assessments, approve and evidence compliance with GDPR. **What do you dislike about OneTrust Privacy Automation?** The refresh is very slow especially when many users are logged into it at the same time. Sometimes the assessment does not save mid-way and is lost due to this issue which means we have to start all over again. As often we have to think the response for the questions while entering, it means there will be periods when the assessment is inactive. You can customise one of the available templates to suit your organisation. You can assign different roles to initiate the process, complete the assessments, flag risks, analyse results and publish the assessment. On completion of the threshold tests the PIAs can be escalated to DPIAs automatically, which is very handy. You can also export the results to a PDF for audits. If you are mid-size organisation, this tool will be perfect for you, as you will have lot of assessments to complete across different business processes, technologies and tools. **What problems is OneTrust Privacy Automation solving and how is that benefiting you?** We have many processes, tools and technologies to be impact assessed. The OneTrust tool seems to have all the right templates to enable us to achieve our goals. We are also able to tailor the host of the assessment templates to suit our organisation needs and build the workflow. We use the tool to assign the impact assessments to different users, and ask them to fill it up. The completed assessments are reviewed by the privacy officer and approved. The entire process of assigning the impact assessments, receiving back the completed ones, analysing the answers and reporting helps us achieve our GDPR compliance goals. We built a number of flexible workflows for the end-to-end assignment to approval. We also assigned different roles to initiate the assignment instead of relying on one person. On completion of the threshold tests, as the PIAs can be escalated to DPIAs automatically, it is very beneficial. We can track them also very easily from one location. We have also enhanced the assessments to further granular assessments and automatic risk tagging. This helps us tie to our security processes to ensure that high-risk processes are well managed and mitigated as appropriate. We were able to go from 0% compliance to 100%, and completely cover any and all liabilities related to data handling, privacy management, and regulatory compliance. They have a module or template for everything you could think of, and excellent customer service and documentations to help guide implementations. We have not made extensive use of the available 3rd party and API integrations available, however their availability is extremely important to us. What usage we have, is extremely critical and has met all expectations and requirements. **What do you dislike about OneTrust Privacy Automation?** Navigating the options and modules is a little overwhelming, a natural and expected downside of any large ecosystem of software. Not much to dislike, that isn't typical of large software vendors, the sales team has a tendency to promise first and verify capabilities later, but they always found a way to deliver. **Recommendations to others considering OneTrust Privacy Automation:** What ever your needs are, they will find a way to meet them. Especially if you are on a tight timeline and have multiple needs that must be met. There are other options out there, especially if you are coming from a smaller organization, but for any mid to large enterprise OneTrust is definitely going to at or near the top of the available vendors. They are responsive and use an Agile methodology for updating their product, which is great. However, the release notes are frequent, and are not available until the same day the update is available in pre-production, only giving a week until the features are available in production, and it is cumbersome to keep up with the changes and know which features are now available that you've been waiting for. The innovation that the OneTrust team brings is unmatched with their competition and the best part of it all is that they continuously add new features to the platform based on customer and partner feedback. **What problems is OneTrust Privacy Automation solving and how is that benefiting you?** Every engagement I have been on has involved a comprehensive review of the company's data privacy landscape. When assessing against GDPR and/or CCPA many are still at the beginning or have nothing at all. OneTrust solves this problem by mapping everything together and separating each requirement out as stated in the law for companies to get compliant with the law. For example, an inventory can be easily imported and/or manually added into the platform very easily. The hard part is capturing all the data, but OneTrust makes this easy by providing a number of templates that fit the business needs and the requirements laid out in the law. The data mapping module which houses the record of processing activities for each asset and business function is tied to the vendor management module, which easily maps together to show which third party vendors are related to each asset the company uses. Another area of focus is Data Subject Access Request (DSAR). OneTrust makes this easy by again providing templates to use to send and respond to emails raised by a data subject requesting his/her data. This all flows through a customized workflow that also is created by the OneTrust team, but you are able to customize it to fit business needs. The time limit is also set so you get notifications to complete so you never have to worry about one going unanswered. The OneTrust platform in general is a powerful data privacy tool that has since expanded to take on other areas, such as SOX and GRC capabilities, that may in time outperform competitors such as WDesk. I have had early access to a few of these new features in a sandbox environment and they are fantastic. ### 40. Then, you tie them together to create your data map and reports, which is used to fulfill your customer rights and track incidents. All while ensuring your web presence is compliant with cookie banners, tracking your users' consent, and providing transparency with consumer choice. These all work great though manual connections, then you can make the tool work for you by automating the work to allow you more time to support your organization and grow your program. This can sometimes cause some bugs that are resolved but can cause problems for a short period. This tends to be seen more in the new tools that are experiencing rapid growth and change. I recommend requesting a hands-on demo to understand the tool. With all of that said, the pros by far outweigh the cons to put them ahead of their competition. **Recommendations to others considering OneTrust Privacy Automation:** Make sure you do a hands-on demo, and if you are new to the privacy space, you don't need to buy everything at once. Make sure you are utilizing the entire module(s) you are purchasing then add on from there. The more you have connected, the more powerful it becomes, but it will only become powerful if you have time to dedicate to getting every full potential out of each module. **What problems is OneTrust Privacy Automation solving and how is that benefiting you?** OneTrust has allowed a small privacy team to create a global privacy program for multinational organizations with many subsidiaries. The easy of use and integrations allow for automation and assessments. The ease of use does not limit you from customization. The fact that we do not have to provide access accounts to everyone (potentially many thousands) who has to contribute is an enormous plus, it brings down the admin costs considerably. **What do you dislike about OneTrust Privacy Automation?** There is nothing I really dislike although the speed of further development and new versions worries me somewhat. How do you keep up? **Recommendations to others considering OneTrust Privacy Automation:** Start as "out of the box" as possible and only start making your own changes after really understanding how it works. Otherwise you might put a lot of time and money in things you regret afterwards. It's well though out as it is. **What problems is OneTrust Privacy Automation solving and how is that benefiting you?** There are a number of issues we have and still are solving like automation, centralization and consistent approach. Overall, the tools have a large amount of options and enough tool tips to ensure that the user is aware of what he's doing and how it may affect other portions of the program. The certification trainings also did a great job of ensuring class participation by periodically having moments where we could all answer class questions together, and then review the answers to determine why answers may be right/wrong. With the sheer amount of material to be absorbed however, I found the handbook to the training to not be quite so helpful for the exams. **What do you dislike about OneTrust Privacy Automation?** It can be a bit overwhelming to understand where all the tools are located, and which pages are relevant to certain tasks. Having used the program as part of my Professional Management training, I found that the program in of itself was incredibly well made, and provides a massive amount of opportunities to the user.
