And having everything centralized, without needing to use more than one platform for each thing I need, especially after the updates that have been occurring and that even allow for creating simple presentations. It's not that I don't like it, but since I'm already very familiar with it and can do very advanced things, when I implement it in one of my teams and they encounter the multitude of possibilities there, they hold back and are afraid of "breaking" the system. And then it turns out that the adoption ends up being slower and less beneficial, requiring my constant encouragement and insistence for adoption. And since there isn't more direct support for any user to contact for questions, it ends up increasing the dependency on me. And the price to use AI is also expensive, but it is minimally justified. This is a tricky one, because I like most things about it. If I had to pick one, it's that the sheer number of options and choices can be overwhelming. Sometimes I'm not sure what I should or shouldn't use. As a result, I probably only use about 30% of what's available and stick to the few features I know well and feel comfortable with. I enjoy that Notion is really customizable and offers a ton of ways to organize my ideas while also keeping everything cohesive and readable. Notion suffers a couple flaws, primarily its strict block quota. There have been times where I have had databases between 30-40 files and me reaching the free limit. Doing this limits my work and I do wish that free tier users had more opportunity to create more before the stricter implementation of blocks came around. Pricing is also a bit stingy in terms of what you get for Plus. Even after purchasing Notion Plus for 5 months, I still worked with the trial version of Notion AI which to say the least, not enough and lacked popular connectors like Github. I would unfortunately need to upgrade to the Notion Business subscription if I wanted to take full advantage of Notion AI (which as a single user, would not be worth it). Nonetheless, the chat quota and features were still okay for the price I was paying. Performance wise, Notion works smoothly most of the time, however it can get laggy if you have a lot of content or images on a single page. I use Notion for everything related to project control and management within the company. Gradually, we have been incorporating the tool into the daily work of the projects, increasingly as a source of knowledge and a repository of files and documentation for the projects within the consultancy where I work. Over time, I have been building a system for recording, managing, and controlling both project management and the tracking of the sales pipeline: proposals, commercial resources, and other elements. In this sense, it serves a dual function: on one hand, it acts as a wiki; on the other, as a living version to control and keep the commercial pipeline updated. I really like the database templates in particular, and I also like how I can integrate and link documents from Drive and Slack. The Zoom/AI transcription option is another feature I appreciate, especially the meeting summary that comes out of it afterward.

Overall, it’s pretty straightforward and easy to use. I use it every day for our projects, but also for notes and reminders. I don’t think I’ve had any issues while using it; if anything has come up, it’s been related to my internet connection. Otherwise, it works very smoothly. I also love the pictures and emojis we can add to pages, and I’m a big fan of the toggles.

For all the options and integrations it offers, I do believe we’re getting our money’s worth as an organization.

I get overwhelmed whenever I try to look up how to do something in Notion, and I would love a simpler process. I also feel like there’s so much in Notion that I could do with it, but I don’t know what all the options are or how to use them. I find myself spending a lot of time trying to figure out how to use those features, and then either I’m successful or I end up giving up.

I’d also love to have more template options. Sometimes the templates feel too complicated, and other times they’re too simple.

I feel like the Notion calendar isn’t that helpful, or maybe I’m just not using it to the best of its capacity.

I use Notion for team review, project status, and sprint. I use it as a unified knowledge base for me to check how the things are going on, where my progress is, and what is the new task that I have done. I really like having the option to transcribe meetings and then organize the information into data tables. The UI is clean, simple, and easy to understand, which makes it straightforward to get started. Performance is fast, and in my experience the AI engine has been great for the way I’ve been using it.

That said, the integrations haven’t worked very well for me because they’re blocked by my company. I’d love to integrate it with my Outlook or Agenda, but I haven’t had the chance to set that up yet, so I can’t really comment on how well those integrations work. The Extreme Flexibility and Databases:

What sets Notion apart most is its ability to combine note-taking and project ideas in one place, thanks to its flexible databases feature. The ability to link tables together (Relations) and create different views for the same data (such as Calendar View, Kanban Board, and Gallery View) allows me to organize and manage my time and projects in a professional and integrated way, eliminating the need to use multiple separate apps. One thing I dislike about Notion is the learning curve, especially when you start creating databases and building more advanced workflows. What I like best is that the database structure and the Claude integration work together. I run several concurrent roles: CEO of a clinical-stage gene therapy company, managing partner of a venture studio, and board seats at two other companies. Notion is the one place where all of that lives as a connected system, rather than separate silos, with my CRM, project trackers, meeting notes, and capital formation pipeline all linked.

The part that makes it more than storage is that Claude works out of those same databases directly. I can ask for a status update on an investor relationship and it pulls the actual conversation history from Notion instead of relying on what I remember to tell it. After a call, it can log the notes and update the relevant project or contact record without me retyping anything. That back-and-forth between Notion and Claude, research pulled from my own data and written straight back into it, is what makes the system function as a working tool rather than a place I file things and forget. Dense database views don't render well on a phone, and if I want to check a contact or project status right before walking into a call, that's exactly when I need it to work.

The other friction is Notion's page-level permission model. Claude can only see pages I've explicitly connected through Notion's own Connections setting, so a private page I haven't run that step on stays invisible even though I have full access to it myself. It's a reasonable security boundary, but there's no indication when a page is being silently excluded, so I've been burned by assuming something was there when it wasn't.
