What I absolutely love most about Nextcloud is that it lets us host all our school data entirely inside Germany, which single-handedly fixed our biggest compliance nightmare when we switched away from Google Drive. Before using Nextcloud, we stored student grades, learning records and parent contact data on Google Drive’s overseas servers, and our German data protection audit officially flagged this as a serious GDPR violation. We even had a close call once: a former substitute teacher never had their Google Drive access fully removed, and they could still view sensitive student assessment files for almost a month. Google Drive had no clear way for us to track who was accessing what files, and we had no simple way to lock down temporary staff permissions. Nextcloud completely changed that for our small education institution. I can build fully layered, custom permissions for every staff group in our school. Full-time teachers only get access to their own class materials and student files, substitute teachers are locked out of all confidential student data entirely, and admin staff only see administrative folders. Whenever part-time staff finish their contracts, I can instantly revoke all their access in one step, so we never repeat that previous data leak risk. On top of that, Nextcloud logs every single file action — every view, download, edit and deletion. Whenever our education authority comes for a GDPR check, I can pull clean, official activity logs to prove our data handling is compliant. Before, we had no way to produce trustworthy audit trails. I also rely heavily on Nextcloud’s centralized folder system. Back when we used scattered local files and Google Drive, teachers often saved updated lesson plans on their personal laptops. We once had a teacher present outdated curriculum content during a parent meeting simply because they didn’t have the latest file. Now all official teaching resources live in one secure location, so everyone uses the correct, updated version every time. The biggest downsides with Nextcloud all tie into daily workflow friction that our teachers and admin staff deal with constantly, especially when working with our video conferencing tool Easymeeting. First off, large educational media files preview extremely poorly in Nextcloud. We upload hours of lecture recordings and high-res training videos every month for remote teaching and parent briefings. Just a few months ago, one of our teachers was in a scheduled parent consultation on Easymeeting and tried to preview a student workshop recording to show progress. The video stalled and refused to load in-browser, forcing the teacher to fully download the entire large file mid-meeting. It created a long, awkward pause and disrupted the whole parent conversation completely. Another major pain point is the total lack of native integration with Easymeeting. Since the two platforms don’t connect at all, teachers cannot pull Nextcloud files directly into video meetings. Every lesson plan, student report or training video has to be manually downloaded from Nextcloud, then re-uploaded into the meeting room. This extra manual step wastes tons of time every week and even creates version risks — staff sometimes accidentally upload old downloaded copies instead of the newest file. On top of that, Nextcloud’s collaborative editing is noticeably laggy compared to traditional cloud tools. When multiple teachers co-write lesson plans or update course guidelines together, we often run into sync delays, frozen text inputs and duplicate file versions. Nextcloud solved two extremely critical problems that nearly got our institution penalized when we were still using Google Drive. First and most importantly, it fixed our illegal cross-border data storage issue. Previously, all our sensitive student records, assessment data and parent contact information were stored on non-EU Google servers, which directly violated German education laws and GDPR guidelines. We received an official audit warning and faced potential fines, which was a huge risk for our small education team. Switching to Nextcloud let us host 100% of our school data inside Germany, fully eliminating that compliance danger. Second, Nextcloud completely fixed our broken permission control and audit visibility issue. We had a major incident where a substitute teacher retained full access to confidential student files for weeks after their contract ended on Google Drive. We had no clear logs to track file access and no simple way to lock down temporary staff permissions. With Nextcloud, I create strict role-based folder access, instantly remove expired staff permissions, and track every single file interaction with full exportable audit logs. This gives us full traceability for every compliance inspection. Nextcloud also eliminated the chaos of scattered local files. Before, teachers saved updated lesson content on personal laptops, which once caused a teacher to use outdated curriculum material during a parent meeting. The centralized Nextcloud storage ensures everyone uses the latest official documents. That said, Nextcloud still creates daily workflow hurdles. Large lecture videos preview very slowly, which disrupts parent meetings and remote training sessions on Easymeeting. There is no native integration with our video platform, forcing constant manual downloading and reuploading of files. Collaborative editing is slow and unstable for team lesson planning. Even with these usability drawbacks, Nextcloud solved our life-threatening compliance and data security risks from Google Drive, making it an essential upgrade for our German education institution. I like that Nextcloud is self-hosted, which gives us full control over our data, including encryption keys and backup policies. This is crucial for our German software company because data sovereignty is very important. I also appreciate the granular sharing permissions that allow me to manage exactly who can access and edit files, with options for password protection and expiration dates. The sync client is another feature I love. It allows my team to work offline and sync changes automatically when they get back online, which is great for remote work. Additionally, the version control and file recovery feature have saved us multiple times by allowing easy restoration of previous versions and deleted files. This safety net has been invaluable. On laptops with limited RAM or older processors, the Nextcloud sync client consumes a noticeable amount of memory and CPU. I have seen it use several hundred megabytes of RAM just sitting idle. When it is actively syncing a large number of files, CPU usage spikes and the laptop fan spins up. Some of our team members with older laptops have complained about slow performance. I have had to advise them to pause sync during meetings or presentations. I wish Nextcloud would optimize the sync client to be more lightweight, especially for background operation. Second thing is the mobile app lacks some key features. The mobile app is fine for browsing and previewing files. But I cannot manage shares from mobile. I cannot set expiration dates on shared links or change permissions. I cannot view the audit log. I cannot run the file integrity check. For a manager who is often on the go, these limitations are frustrating. If I need to do anything beyond basic file access, I have to wait until I am back at my desk. I find Nextcloud perfect for sharing files amongst our team, as the integration with email and chat keeps everything controlled. I like that it provides a cleaner cloud interface than some premium competitors and doesn't try to be everything all at once. The files section is clean and well laid out, offering a small selection of recent documents and my folder structure, without a cluttered home or unnecessary syncing features. I don't like that only files and talk are properly supported on the mobile app. It could do with a broader mobile app, like having a single all-in-one to cover all features (like calendar).
