We have a portfolio of over 100 leases and we needed an integrated solution that would help us both comply with reporting requirements under IFRS as well as provide insights and data for managerial purposes. Many of our leases are complicated (extension options, asset purchase options, lease modifications, leases denominated in a foreign currency, etc.) and keeping track of them in an Excel spreadsheet was a huge challenge and a significant audit risk. Netlease helps us gather financial and non-financial data in a single place (including customized fields where we can add information about properties, security deposits, exit clauses, corporate guarantees issued to sign the lease). The system is fully integrated with Netsuite and posting journals has become intuitive and automated. The implementation team has been very helpful with particular cases and testing technical accounting with us before we went live. **What do you dislike about NetLease by Netgain?** So far we have been happy with the system. Potential room for enhancing rollforward reports on a consolidated level across different countries so we could easily prepare footnotes (which require us to separately disclose opening balances, cumulative impact of exchange differences, additions, modifications, terminations, depreciation of right of use assets/finance expense on lease liabilities/fx gains and losses on lease liabilities). **What problems is NetLease by Netgain solving and how is that benefiting you?** Netlease is helping us access all data in a single place & automates all the calculations that are complicated in Excel & improves internal controls as it introduces segregation of duties between business/legal departments who enter into lease agreements and finance who have an efficient tool to control payments. ### 2. They had a great mix of technical accounting knowledge as well as intricate knowledge of their system and how to approach various nuances of leases. The integration into NetSuite is also a plus for us as we can capture Lease information directly from invoice entry in A/P. **What do you dislike about NetLease by Netgain?** As with anything related to NetSuite, the NetLease product does have some quirks. They were able to ease a lot of the early issues (i.e. making historical corrections) using the Time Machine feature. Not a lot of drawbacks but I have to say that when we did encounter issues, the folks at Netgain did not hesitate to jump in and help. **What problems is NetLease by Netgain solving and how is that benefiting you?** ASC 842 implementation and tracking. It was a huge accounting standard to have to implement and the behind the scenes tracking and reporting of leases was something that we didn't (and still don't) have to worry about. ### 3. Multiple JEs are run at the same time for each lease (amortization and ST/LT Reclass). We used to keep track of our rent leveling by excel spreadsheet and we were so pleased to see that 90% of our leases were accurate to the penny and for the rest we were able to determine the variances between our sheet and the system and it was usually due to us using a slightly different start date in the sheet. **What do you dislike about NetLease by Netgain?** I have run into some unique cases that I did not know how to approach but luckily, the knowledge base is super helpful and support team responds quickly to questions that are more unique and not easily found on the knowledge base **What problems is NetLease by Netgain solving and how is that benefiting you?** We no longer have to keep track of our leases using a manual excel spreadsheet of the rent leveling. Instead of recording amortization yearly, we record it monthly with NetLease monthly transactions. ### 4. It very clearly lays out all of your current leases with all of the relevant information you would need for month-end reporting, audits, forecasting, etc. The implementation team was great to work with! Clearly presented all of the information they would need to input into the system and new accounts that needed to be added. They were very responsive over emails and calls, and were understanding of delays on our end. We had no issues when we went live due to their diligence during implementation and UAT in Sandbox. **What do you dislike about NetLease by Netgain?** So far, we haven't had any issues arise while using NetLease. **What problems is NetLease by Netgain solving and how is that benefiting you?** NetLease makes the month-end close run quickly and smoothly as you can easily reconcile all ASC842 accounts in their portal. We have not had an audit yet, but I would assume that process will be easy as well as they will just be able to see all of our inputs and entries in NetLease. ### 5. Adam helped us install the product and held our hand through the entire project from start to finish. Once installed, he led us through the reporting, and how to use the product. This products is simple to use, with all the reports you need to get through an audit. The GUI looks just like NetSuite; you cannot even tell that it is a separate product. I truly love the reconciliation that makes it possible to match the expense recognition with the payment. This is a great matching tool that ensures we make all the ruired lease payments in any given period. **What do you dislike about NetLease by Netgain?** We adopted the NetLease and went live on January 1, 2021. The one thing I dislike is that the lease reconcilation tool accounts for a lease payment before the payemnt request has even been approved (posted). Turns out when a payment requeset is first entered into the system, the record appears on the reconcilation report indicating payment. Depending on your workflow and how often you pay your bills, it could be a bit misleading. **What problems is NetLease by Netgain solving and how is that benefiting you?** NetLease has provided all of our footnote reporting requirements for our financial statements, as well as updating all aspects of our fiancial reporting. When the elements of a lease change, the Lease Modification process is incredibly easy. This automated process has eliminated any manual calculations and it is done with accuracy, posting all adjusting entries straight through to the GL. ### 6. The user interface could probably be improved so that is more friendly, but the functionality is there. As an area of improvement, it could be great to have more reports designed for facility use (seat capacity, utilisation rates, data for space size, and extra areas of the lease contract that might help facility representatives in taking internal actions). **What problems is NetLease by Netgain solving and how is that benefiting you?** From a facility perspective, Netlease is assisting me in better visibility of the lease portfolio for all company offices around the globe, in tracking costs and in having all data in one tool at fingertip access. The learning curve is a bit high; however, once we use it for a few months, the error has gone down. Possibly more sub-menus to "break up" the different report options. The reports are great - however, if you made any entries in prior periods with older dates, it will present using the older dates instead of the posted dates making it confusing at times. **What problems is NetLease by Netgain solving and how is that benefiting you?** NetLease takes all the complicated rulings of ASC 842 and makes it very manageable especially when you have deadlines and are trying to figure out how the leases should be presented financially. We are a growing company and open multiple offices in a year. We started with 40 leases and are now more than 100, which will continue to grow. We can't imagine managing the schedules for each of these in excel. NetLease was a blessing because we could now manage the leases directly in NetSuite, our accounting system. The lease amortization schedules are created with a click of a button and have all the relevant information needed for our reconciliations, backup for Audit requests, etc. Setting up a lease record and quickly analyzing monthly rent expenses is effortless. Our month-end lease accounting is very quick, thanks to NetLease. The initial team was very helpful in answering our queries and quickly fixing any problems we had. Even today, the support team quickly responds to any issues. **What do you dislike about NetLease by Netgain?** Nothing major. Previously it wasn't easy to update leases once they had commenced. But now the time-machine function helps us with it. We still need to explore the multiple reports to see if they fit our reporting needs, but the amortization schedule has been the most useful for now. **What problems is NetLease by Netgain solving and how is that benefiting you?** Easy management of leases and reporting under ASC 842. It is fully integrated into our ERP System (NetSuite), so it's the perfect solution for lease accounting. Journal entries are automated and can be configured so that it follows any approval workflow before they are posted in General Ledger. It also provides out-of-the-box reports to help support required financial statement disclosures. The transition we had from 840 to 842 was seamless, with just one hit of a button in the system. It also helped that we have a knowledgeable and extremely helpful implementation team from NetGain. **What do you dislike about NetLease by Netgain?** So far, we have not experienced any problems with NetLease. We have several leases, so the lease data validation took a little longer than anticipated, but this review process is crucial to avoid any issues with transitioning from 840 to 842. **What problems is NetLease by Netgain solving and how is that benefiting you?** NetLease assured us that we are adopting ASC 842 without any issues. The tool simplifies our lease accounting with amortization schedules, automated journal entries, automated vendor bills and all the required disclosures. NetLease also recognizes that not every person involved in the lifecycle of a lease needs full access to all lease information so that you can set up segregation of duties based on roles and permissions. ### 24. So nice to have a system that knows how to calculate everything. The implementation team is Amazing! They provided EVERYTHING you could possibly need to get started; test scripts, easy access knowledge base, prompt response to questions, they have made it so easy. The complete integration with Netsuite is great, you have everything linked with just a click, no need to attach documentation. But you can attach all your lease agreements or anything else you need. Making modifications takes some training but everything calculates great and is easy to reconcile. They've even created all the financial disclosure reports you need. They thought of everything. **What do you dislike about NetLease by Netgain?** Mostly just been more learning curve issues. Learning to use a clearing account, learning that sum of the journal entry amounts are lumped together. There is a Parent/Child ability to keep ammendments attached to master leases, but we haven't taken advantage of that. **What problems is NetLease by Netgain solving and how is that benefiting you?** This has been a thousand percent improvement to trying to create manual schedules in excel. We had a lot of mistakes anytime there were any modifications. Plus need someone who is an ASC 842 expert and if you don't it can be a nightmare to figure it all out. With NetLease everything is all done for you. And if you have questions, the knowledge base is very easy to access and understand. ### 25. The functionality of having all leases in a single location and the ability to run mulitiple amortization schedules at one time is efficient and convenient. We were able to implement Netgain with zero interruptions to our existing business, and the Go-Live process was relatively seamless with just a few additional manual journal entries in addition to the Netgain entries to get ASC 842 incorporated. I would recommend Negain to any NetSuite user. I like the drop-down functionality of tasks within the Netgain button on my NetSuite ribbon. All of our leases are in one spot, and I can clearly see what action remains for the month. The ability to run entries as a group cuts down on monthly close time. The amortization schedules are functional and clearly depicts the information that a user needs to analyze leases. **What do you dislike about NetLease by Netgain?** We have been active with Netgain for 2 reporting cycles. Thus far, I have not seen any issues with the integration. We were able to eliminate multiple manual journal entries in our close process and post all our leases with a single push of a button. It was great! **What problems is NetLease by Netgain solving and how is that benefiting you?** I wouldn't say problems, but Netgain is efficient in meeting the needs of implementing ASC 842, as well as the on-going maintenance of the lease amortizations. Instead of having to manage our leasing program with individual excel spreadsheets, which are prone to human error, all of the lease entries required are in the Netgain system and accessible at a push of a button. The implementation process made me comfortable that we tested the functionalities and ensured the correct accounting behind the scenes, thus I'm comfortable running the Netgain entries monthly and know the books are correct. ### 26. All bundles are already integrated into NetGain (for NetSuite customers this is a no brainer). For NetLease only pay for the number of leases you have and nothing extra (like pre-bundled packages with 100 leases). Prepackaged reporting is good and can be customized as needed however it met the requirements so no additional reports were needed. In combination, these two modules eliminate NetSuites' Fixed Asset Module, which was never upgraded to comply with reporting guidance in (ASC 842 for lease accounting) and can't produce a proper PP&E roll-forward. **What do you dislike about NetLease by Netgain?** Adding rolls and permissioning can be tricky. They must be re-applied twice in sandbox and production environments which can be frustrating for users. The ability of the system to account for the various modifications that can occur during the life of the lease adds an extra benefit with the business decisions being made. The efficient and robust implementation process and support team made the transition seamless.
