MaintainX has revolutionised our workplace maintenance management. We can easily create work orders, link them to the right assets and locations, and assign them to the relevant technician to resolve the issue. It also gives us a clear, demonstrable history of all work carried out on every piece of equipment across our site. The different user tiers mean we can customise who sees what information, which helps keep processes efficient and well controlled. I don’t recall the system ever having any downtime during work hours, so we can rely on it when we need it most. Processing speed is fast as well, which really helps—especially when uploading images quickly. What problems is MaintainX solving and how is that benefiting you? Before using MaintainX, we tracked our reactive maintenance on a whiteboard. That left us with very little detail on what actually needed doing, no image evidence to support the request, and no reliable way to assign the job—especially if the right person didn’t see the board. Now that we have MaintainX, we can create work orders and assign them on the go, and we use the comment feature to discuss the specifics as we go. The CoPilot AI integration has also helped team members interact and find solutions to problems without having to sift through an entire manual themselves. The inspection forms can be created in a variety of ways - from existing templates to custom designed from scratch. Customer design is highly intuitive and flexible. I've examined other inspection tools - nothing comes close to the ease of use of MaintainX! Customer service is fantastic and highly accessible. What I like most about MaintainX is its flexibility. We've been able to build and standardize hundreds of preventive maintenance procedures across our facility while giving technicians a simple way to document inspections and identify issues. The ability to track corrective actions, review asset history, attach photos, and generate reports has improved visibility into our maintenance program. My biggest challenge with MaintainX is the amount of administrative effort required when making large-scale changes. When you're managing hundreds of procedures, assets, and PMs, bulk editing and mass updates become very important. Reporting has improved significantly, but there is still room to make audits, planning, and data analysis easier to manage. There are so many things I find great about using Maintain-X. I really like that Maintain-X is becoming the single source of truth for our company, especially since we’re such a large organization. We also love being able to digitize everything in the software, including storing our machine manuals there, so we can use the AI Copilot to help with troubleshooting. Another big benefit is that we can now share parts across all sites, which helps minimize downtime when certain parts have long lead times. The support team really makes sure that they are attentive to what our company's goals are and how dedicated they are to making the software so user friendly, and a breeze for the maintenance team. Our account Managers Sergio and Daniel have been such a HUGE support and are always there for us in times of need. Having all of our procedures at hand is a great as well. our Company is having such a success with Maintain-X now being implemented and I would highly recommend this software. There are so many things I appreciate about MaintainX, from how easy it is to integrate and deploy to the level of customer service and ongoing engagement. It’s also very user-friendly for both requesters and full users. We’ve captured a lot of valuable data and produced reliable reporting, which has helped us reduce unplanned downtime on critical assets by 90%—a huge feat in most industries. We’ve also started our journey into predictive maintenance with sensor technology, and the MaintainX vibration team was able to warn us about a catastrophic failure before it happened (as verified by our senior maintenance mechanic). Compared with the L2L and Maximo platforms, the pricing feels fair, and leadership can see the ROI immediately across the board. Review collected by and hosted on G2.com. What do you dislike about MaintainX? Some parts of the reporting still need tweaking for me, particularly the ability to compile all data into a single Excel report. From time to time, new features roll out—or changes are made to existing features and reporting—without our knowledge, and we end up having to contact our customer reps just to figure out what’s different. Another issue is visibility: full users can see all open work orders, but requesters can’t. That gap can easily lead to duplicate work orders being submitted. It would be helpful if requesters were prompted to check whether a similar request already exists before submitting a new one. I’d also like a notification icon within the app itself, similar to the alarm bell in Outlook. Finally, it would be great to have a way to link related work orders together for easier troubleshooting, and I understand this is a feature within the new MaintainX Copilot. Initially, we were looking for a system to document our work efforts and schedule our preventive maintenance, and MaintainX made that very easy. Soon after implementation, we began collecting both online and offline data and shifted our workplace culture to require a work order for essentially every request that involved the maintenance team. That change improved the accuracy of our machine uptime and downtime tracking for OEE metrics. With that data in hand, we built a capital project to upgrade our high-pressure pumps. After replacing the problematic pumps based on what the data showed, we achieved a 90% reduction in downtime for those critical assets in just 13 weeks. In addition, because MaintainX was so easy to implement, we decided to digitize our Master Sanitation Schedule for the Sanitation team. This not only supported our quality and food safety goals within the plant, but it also freed our Maintenance mechanics from work orders that were better suited for the janitorial staff. The ability to organize our existing inventory sheets from Excel and transfer them into the Maintain X platform easily has been a big plus. Navigation through the software is straightforward, and I like being able to micromanage each piece of equipment with maintenance records, shop diagrams, parts inventories, photographs, and vendors all in one place. Maintain X seems to do it all. The notification feature is very important to us. Pricing is reasonable, and we hope this will save us hours of time once our onboarding is complete. Support during onboarding has been great. We have not used the integrations feature yet, other than importing data from Excel spreadsheets, which works flawlessly. Performance is fast, with the ability to quickly find a particular asset. We’re still learning the AI capabilities, including its ability to recognize brands of equipment. I like the fact that it is very versatile and flexible in our business. In our case for example we use maintain X for a lot of maintenance and part inventory, but with it being very versatile we have found it very helpful in record keeping for manure handling and more. There are only a hand full of very minor things i dislike, one being that there is only one possibility for unit cost in inventory but there is multiple options for vendors and part numbers, in some instances it would be helpful to see the price of all vendors to better choose where to buy parts from. Another thing we would like to see in the future is the ability to have accumulation meters. The visibility it provides. It allows us to see work happening across all properties in one place, which helps with accountability, reporting, and identifying trends before they become larger issues. There are a few limitations around reporting customization and workflows that I'd like to see improved. What problems is MaintainX solving and how is that benefiting you? MaintainX has helped solve a lot of the visibility and consistency issues we were dealing with. Everyone is now working from the same system for work orders, PMs, and inspections, which makes it much easier to see what's happening across all properties. For me, it's given me a clearer picture of where things stand, helped catch issues sooner, and made it easier to track progress and make decisions based on actual information rather than chasing updates or piecing things together from different sources.
