**What do you like best about M-Files?**

I find M-Files easy to use, and its performance is satisfactory when you have a broadband connection and are geographically close to the data center. I like that new features keep being added. Basic document management works well within a specialized vault. M-Files plays a vital role in our system with its integrations with other systems like ERP and CRM, making it an essential part of our operations.

**What do you dislike about M-Files?**

The roadmap is unclear and never provides any target dates for new features. New features are often not ready for production use in the context of a large enterprise. The product often feels more oriented towards medium-sized companies. Additionally, the initial setup was hard and took a lot of work.

**What problems is M-Files solving and how is that benefiting you?**

M-Files solves document governance issues and works well for basic document management within a specialized context. It's easy to use if conditions are right and integrates as a crucial part of our system, ensuring long-term document retention.

**What do you like best about M-Files?**

The metadata search part of this system is clearly the strongest. Once we’ve got everything accurately categorized, looking up a file takes seconds even if we don’t know just where we’ve placed it. Also, we make a great deal of use of the versioning system that’s provided; it’s easy to understand and isn’t an activity we’ve got reversed very many times now that we know how useful it can actually prove. The interface with Outlook makes managing documents based on email very simple.

**What do you dislike about M-Files?**

The setup took longer than we had anticipated, and this is largely because the structure of the system varies so greatly from the more common folder structures. Some of the individuals on the team took a bit longer getting used to the idea of the metadata layout system’s approach. The interface could also be considered a bit outdated.

**What problems is M-Files solving and how is that benefiting you?**

Before the transition occurred, our documents were housed on various company share points and email discussions. This transition provided an advantageous organization of documents that could certainly be accessed more rapidly with the new system. This organization of documents even could limit the instances of error that occur based on various file versions of our projects.

**What do you like best about M-Files?**

M-Files has become our daily driver, making it simple and hassle-free to locate documents and files by category and metadata. In my view, this is what makes it excellent for managing a large volume of files. The setup process is straightforward, and it quickly integrates with your Outlook and SharePoint, and the customer support is always helpful whenever any issues arise during daily use. The platform also offers workflows for approvals, information trails, and file versioning, which further enhance its usefulness. I'm more than satisfied with the overall performance.

**What do you dislike about M-Files?**

Overall, I truly wish there were a mobile application for this, as it would provide much greater portability.

**What problems is M-Files solving and how is that benefiting you?**

In my case, Mfiles helps in storing the files with a great speed of search because of metadata search, and hence it solves a great problem of time investment in searching and looking for files/documents, therefore, helping in the overall productivity.

M-Files' metadata-based search has truly transformed the way our team works. Instead of spending time searching through countless folders, we can now locate any document instantly simply by knowing its type, such as a contract, a particular project, or a client name. The version history feature is also exceptionally strong, ensuring we always have access to the correct version of a document and allowing us to track every change with confidence.

**What do you dislike about M-Files?**

The main challenge lies in the initial learning curve. Team members who are accustomed to a straightforward folder structure, similar to what you find on a PC, may need some time to adapt to the metadata-based approach. Additionally, the user interface appears somewhat outdated and could be more user-friendly, particularly for those who are new to the system. While the mobile app is adequate for viewing files, it lacks robust features for editing or handling more complex tasks while on the move.

**What problems is M-Files solving and how is that benefiting you?**

Before we started using M-Files, managing our documents was chaotic. Files were scattered across shared network drives, individual computers, and buried in email threads, making it slow and frustrating to locate the right information. The most significant improvement M-Files brought was establishing a single source of truth for all our content.

The advantages are substantial: we now save a considerable amount of time each day because the metadata search feature lets us find documents instantly. It also resolved our version control issues, so people no longer accidentally work on outdated drafts. This has led to a noticeable reduction in errors and the need for rework.

I liked how M-Files makes it effortless to organize and find documents through its metadata-driven structure. You need to search by what a file is, not where it’s stored. M-Files hits the nail on the head perfectly. With its modern metadata-driven design, it is perfect for combining with AI. Additionally, M-Files can be easily adapted to any industry, even without programming knowledge or service providers.

M-Files is a pioneer for the cloud. This often leads to problems, especially in Germany. New features first come to M-Files Cloud and only later to M-Files on premise.

**What do you like best about M-Files?**

M-Files makes managing documents much easier by removing the confusion and effort usually involved. It clearly shows how a centralized system is better than a basic network drive or other cloud storage options. what i like most is the automation workflow automatically handles how and where files are stored and managed, and forms helps move forms smoothly between people in an organization without manal effort.

**What do you dislike about M-Files?**

The software sometimes takes a while to open. Also, it doesn't work through a VPN, so if we are trying to use it from outside the country, it won't connect properly.

**What problems is M-Files solving and how is that benefiting you?**

We are removing manual work from document handling. The main benfit is that employees can focus on more important tasks instead od spending  time tracking. filling, or managing paperwork. Documents should be handled electronically from to finish, without needing people to it manually.

Very intuitive once get understand the structure. Easy to find documents without the hassle for exact folder paths. Version control and permission management is also one of its strong points. Good integration to Outlook.

The setup initially especially as new user is bit difficult at least for me. Large files take some time sync between cloud and local.

The organization with metadata is fantastic. You can configure it in various ways, whether for case management, quality management system, or project organization. It is relatively easy to implement, especially if you get the pre-configured solution, and there are many add-ons that can increase the solution's functionality. Plus, the integrated AI assistant is a great help in analyzing documents.

There's no document co-authoring feature, which is a drawback. Executing tasks and assignments can be challenging, and the email notifications don't clearly reference the object that requires action.

What I like best about M-Files is how easy it makes document organization and retrieval. Instead of digging through endless folders, I can just search based on what the file is rather than where it’s stored. 

I also appreciate how M-Files keeps everything in one place while still integrating well with tools like Microsoft Office and Teams.

While the system is generally stable, I’ve experienced occasional slowdowns when handling large volumes of documents or running complex searches. The UI, although functional, could use a bit of a refresh to feel more modern and intuitive.

M-Files is helping solve the problem of scattered and hard-to-track documents. In the past, files would be buried in different folders, shared drives, or email threads, making it time-consuming to find the right version especially when collaborating with a team. **What do you like best about M-Files?**

M-files is a helpful document management tool that makes my work easier by automating tasks. It keeps my files well organized and easy to find, and its workflow features save me time by handling repetitive taks for me.

**What do you dislike about M-Files?**

The only downside of M-file is that is sometimes freezes. It might be because of my internet, but usually, I just log out and log back in, and that fixes it.

M-files helps solve common problems with managing documents and automating taks. It keeps eveerything organized, so i don”t have to waste time sorting files, and it can automate things like repating drafts, which saves a lot of effort.

M-Files stands out to me because it relies on metadata-driven functionalities to handle documents. M-Files’ metadata search capability lets me retrieve documents instantly in less than a second regardless of their folder placement which saves me time and effort.

M-Files functions as a strong platform but has multiple aspects that need enhancement. New users often find the user interface overwhelming at first interaction.

Our team now conducts document management through M-Files on a daily basis. Using metadata as a search method provides faster access to needed documents better than traditional folder-based exploration. The version control system helps us track all changes made by users while helping us preserve compliance standards through time-based tracking systems. Our remote team functions seamlessly from any location due to the secure cloud access mechanism which connects all files and our staff members work together efficiently.

**What do you like best about M-Files?**

There are many things I like about M-Files. First of all, it's all features and configurations available. It let us manage and configure it according to our needs. But be sure to not over-customize it, because it can lower your performance at a certain point. 

With all complementary modules (such as Compliance Kit, OCR, AINO), it's a powerful tool that can help you to automate processes and workflows. It's easy to use with a minimal traning.

**What do you dislike about M-Files?**

Many things I don't like about M-Files right now is the descrepencies between different versions of M-Files available. If you are used to work with the Desktop version and made several customatization, it may not be compatible with the new desktop version. Even with the New Desktop version, you can perform some actions that are not available with the web version. 

But M-Files team is working hard and still reduce those discrepencies. It might be solve within a year.

**What problems is M-Files solving and how is that benefiting you?**

It helps us to well structure our metadata to easily retreive data. Also, in engineering organization, it's pretty useful and it helps us to be compliant with regulations.

**What do you like best about M-Files?**

We used M-Files during our large-scale cloud migration project for a financial service client. The best part of M-Files was how it helped us clarify and retrieve technical documentation quickly using metadata like environment type, region and migration status. We did not have to rely on chaotic files, naming or folder hierarchies. We also integrated M-Files with Microsoft teams which allowed our compliance team to access the latest specs or audit reports without switching tools.

**What do you dislike about M-Files?**

Despite the powerful metadata system, the initial metadata set up was time consuming, especially when dealing with highly regulated data. We had to carefully planned access levels, workflows, and custom fields which required multiple workshop and admin hours.

**What problems is M-Files solving and how is that benefiting you?**

It has enhanced our project traceability and collaboration during this migration project. Every document, from planning templates to infrastructure diagram is stored, versioned and easily accessible. We no longer waste time, locating and validating files.

M Files is easy to use, and the user interface is very friendly which in turn helps in any issues while using the application. It's also been very easy to integrate into our company eco system

M files have very few issues, the only issue i could complain about is maybe the high prices it has which in turn makes it a difficult option however it is worth the price.

We adopted M-Files to manage case files, client contracts and compliance records. The volume of sensitive data we handle required robust access control and searchability. One of the best use case of M-Files was managing compliance record for GDPR and financial regulations. It allowed us to classify each document with custom metadata like case type, retention period and document category. The ability to quickly connect, link, and integrate data from various systems into the business process context with automation. A large arsenal of interface options is offered, including SQL, ODBC, RestAPI (Addon), XML, and files. The workflow builder is very easy to use and provides a nice overview of the processes that are also built for the information. With the help of the Compliance Kit and Property Calculator, many things can be automated with no-code. And if it gets more complicated, you can still write your own addons using VAFs.

**What do you dislike about M-Files?**

The licensing model has unfortunately also shifted to rental licenses. A lot is also being invested in marketing, which would be better invested in bug fixing/long-awaited features by the community.

Customers always have various software components in use that support a specific business area/department, but there is a lack of overarching software that consolidates the data silos of these different components to be able to map cross-functional processes and perform evaluations. Our legal and compliance team adopted M-Files to manage contracts, NDAs, case files and compliance checklists. Previously, we stored these document in multiple shared drive which was not ideal for confidentiality. What I like best in this case was the robust metadata based organization and automated contract lifecycle management. I created custom metadata fields for contract type, parties involved and automated contract life cycle management. This allows us to track contract renewal and never miss critical dates.

A major challenge was the initial import and classification of legacy legal files, especially older scanned documents that lacked searchable metadata. We had to invest time in cleaning and manually tagging these two fully benefit from M-Files searchable capabilities.

Even there are more easier types of the solution for data sharing and storing, those are not perfectly fitting for confidential usage. M-files brings the benefits of safe data without loosing any part if uploaded correctly. The upload and download speed is really fast which allows users to work on files over M-Files.

Besides many beneficial properties and features of M-Files, there are some points needs to be improved. If the file crushes and cannot be saved, somethimes M-Files cannot catch latest version of it and user loses work done until then. IML: when IA and ECM work together to add Business value and reduce operational tasks
A broad set of connectors using API model, to interface M-Files with other company systems. Plus the ambition of M-Files to integrate more and more connectors
Compatibility with major "satellites": DocuSign for esignature, ABBY for Capture,...
Desktop integration: M-Files desktop client make it fully integrated on Windows and Microsoft (M-Files as a virtual drive, add-on for Microsoft office suite,...)
M-Files is also a team with skilled people and committed managers.

The few points where I believe M-Files should progress:
UX: not the best one I've seen on the ECM market. It looks a bit old to my point of view but it doesn't prevent from an easy usage
System performance: I'm using the SaaS premium solution and we are still struggling with performances (response time) of the web client. I feel like M-Files Professional services are too easily putting the responsibility on the client network and configuration than really questioning their solution in place.

I like how the structure is flexible to accommodate many business needs. We use it as a DMS, CRM, and for project delivery management. Between the inherent adaptability, and the ability to code in custom scripts, we have been able to implement a lot of very advanced automated processes to compliment our business needs. 

**What do you dislike about M-Files?**

The speed has definitely been an ongoing issue for us, our server is large/comlex enough to require SQL, and like all things SQL it is a resource hog and can have a lot of lag. That, and the reporting module is really SQL reports with MS report builder, both of which I am personally not a fan of. 

**Recommendations to others considering M-Files:**

It is a solid choice, to my knowledge there isn't anything else with the same metadata/relationship based system that also includes things like versioning, permissions, workflows, in such an integrated manner. If I had to make the choice again I would still choose M-Files. 

**What problems is M-Files solving and how is that benefiting you?**

We wanted a way to follow our customer projects from the sales cycle, with all the CRM info for our contacts, the legal and purchasing documents, the activity emails from our sales team, to delivering our software, and all the documentation and technical issue resolutions, etc. The meant workflows involving several teams of people, a lot of differing security requirements for the documents, a lot of bi-directional relationships, a lot of history to be kept track of. M-Files allowed us to get all of that working together in a way that made sense to the people utilizing the data directly, as well as providing the necessary oversight for management.

M-Files doesn't follow the traditional folder system and manages the documents using the metadata.
Also, the level of customization is very wide which is definitely far ahead of any of the other DMS available in the market right now.
On top of that, M-Files easily stands out from most of the CMS.

Even though M-Files is fast on search, but few basic operations are just too slow and M-Files takes a large amount of time to execute them. It clearly makes the user feel that they are actually working in a cloud environment. As a user, I would prefer if the system can make me feel as if I am actually accessing the documents from my Hard Drive. (It should be fast on operations)

You will fall in love with the structure M-Files uses to store the documents. It's different and smart from the traditional folder structure.

There is not much that I truly dislike about M-Files. I would say that it would be beneficial if the multi-file documents were also searchable, but that is a minor complaint.

The M-Files Administrative interface is easy to use and configuring a document vault is also relatively simple. The system objects, classes and types make understading of the metadata structure also relatively easy. Search functionality is very powerful. The system is a full ECM but in our case only the document management portion and regrettably traditional folders are being utilised.

**What do you dislike about M-Files?**

The system is heavily Windows biased. It still does not work on Mac OS or on Linux platforms. Despite claims from M-Files that the web client can be used, this is not true in practice. A proper client has to be developed for all major operating systems, as has been done for IOS and Android.

**Recommendations to others considering M-Files:**

Make the product OS and platform agnostic. Currently M-Files is preventing us from deploying MAC's across the enterprise.
