The support team is very responsive. Integration with Zapier, and more recently the MCP connectors to work with Claude, is very convenient for setting up automations or querying complex data from Knowify without much hassle. I also appreciate the frequent updates to both existing and new features. Pricing is decent compared with other software. Being a cloud-based SaaS makes it easy to work from pretty much anywhere with an internet connection. **What do you dislike about Knowify?** The inventory management module isn't synced with QBO. Need to add product assembly to help with faster quoting and purchasing. Need a more robust reporting tool since we can only run preset reports and not able to have access to the entire data set for custom reporting. Need to add payroll code for users to enter their time with proper code like straight time, over time, stat holiday, personal days, etc. **What problems is Knowify solving and how is that benefiting you?** Manage our project quotes, purchase orders, expenses and labor time very well. With Knowify, we are able to control our project cost and stay close to our budget easier. ### 2. They’re straightforward to use and make it easy for me to stay organized. **What do you dislike about Knowify?** We’re a consulting firm, and some of Knowify’s features seem geared more toward construction-related tasks, which doesn’t always align with what we need. **What problems is Knowify solving and how is that benefiting you?** Knowify helps us figure out how to merge reports that can’t be generated as a single report. When one report doesn’t provide all the information we need, they guide us in pulling additional reports and consolidating them so we can get the complete set of information we’re looking for. ### 3. The integration with quickbooks is seamless and really simple to navigate. The organization of data is delightful to see everything in one place for each project. **What do you dislike about Knowify?** The proposal part- for a software as advanced as Knowify, I am so shocked at the way proposals are handled. There should be a way to have multiple proposals for each job- with Different Revision Numbers for each time a revision is needed. This is crazy to me the process of making a revision on proposals. This should definitely be corrected. Get a numbering system for the proposals and have an option for revisions where the previous proposal can still be referenced or easily accessible for editing. The saved copy thing in documents is strange and the whole process of revisions is very cumbersome for our business. Please do better! We often revise our proposals and would really benefit from a easier process on that. The app for the phones is buggy too. Why do i get a push notification on my phone saying i have been assigned a task, and when i click that option it takes me to the Knowify App, notifications tab, and there is nothing there. I do get an email, yes and I can close the notification tab and go to tasks-- but like why not just take me to the tasks section- its annoying to have to do that over and over. Please fix that to where the notification registers to the "notifications tab" or just route the click directly to tasks. Invoicing- Is there a way to view invoices under the job file? That seems odd to me that it doesn't save it to the documents and we would have to upload it to knowify, when the invoice is already in the system. That seems like an extra unnecessary step. I know we can view them in the invoices section, but it would be easier to have it in the actual job file as well. **What problems is Knowify solving and how is that benefiting you?** it is bringing all our estimating, job costing, and projects all together in ONE place. No more excel spreadsheets is incredible. You're also able to look at specific date-ranges when in this view, and easily export the data. Their customer service is excellent, responses are always quick, and the team is consistently friendly and helpful whenever we need assistance. The platform is also easy to use, especially when it comes to creating and sending proposals. We haven’t encountered any major issues so far, aside from the tax dropdown when preparing proposals. **What do you dislike about Knowify?** There are still a few features that we’ve been hoping to see implemented for years, such as improvements to the sales tax section in proposals. It would be much easier if the tax options were sorted by city or state, or if there was a search bar or wildcard search to find what we need quickly, instead of scrolling through a long list. I like to 10% holdback options that we are able to add to contracts. I like that is it easily synced with QuickBooks to be able to track materials against jobs and deal with the bookkeeping at the same time. Customer support is great as someone is always reposing in a timely fashion. **What do you dislike about Knowify?** -More reports such as WIP reports - Wish that service jobs were still part of the base price instead of as an add on - CRM built in - I find that sometimes the tax does not match that of Quickbooks- therefore each invoice that I send I have to make sure the tax aligns in QB - **What problems is Knowify solving and how is that benefiting you?** Keeping jobs separate from each other in the sense of tracking all labour, material, other expense ### 6. Previously, I worked in ServiceTitan, which has many features that I greatly miss. Here are a couple of suggestions for improvements: - It would be helpful to have an overview of each contractor/customer, including open jobs, open invoices, and scheduled jobs. - When scheduling a job, it would be nice if that action were automatically logged, rather than needing to type it in manually. - I would prefer the ability to accept a payment while viewing the job, instead of having to navigate to the invoice screen. It would be much more efficient to see everything on one screen—such as invoiced amounts, deposits, payments, and customer contact information. I know it's not exactly the same thing - but hopefully it helps. "- I would prefer the ability to accept a payment while viewing the job, instead of having to navigate to the invoice screen. A: This is tricky because there can be more than one invoice can be on a job, so the link to pay doesn’t quite happen at the job level but at the invoice level. However, you may be able to use Knowify's customer portal to handle this - you're able to show all invoices to your client, along with status, and they're able to download or pay invoices directly from that portal. We can track time, bill, and invoice all in one spot, and customize how we track projects fairly easily. **What do you dislike about Knowify?** The scheduling features need to be streamlined and easier to use. We also wish it was easier to track what components have been ordered, what still needs to be ordered, and what is sitting in the shop already assigned to a project. All this info is in Knowify, but there's not an easy way to display it company-wide. **What problems is Knowify solving and how is that benefiting you?** keeping track of materials and labor costs - helps us streamline procurement and operations. It is not set up as an API. The big advantage to Knowify for me was an ability to have someone cost code our job purchases so that I could take the responsibility off my plate. Also having our budgets side by side with the software that we generate billings out of has made my life much easier. We use the software on nearly a daily basis, and even our oldest members of the team have been able to implement it into their workflow which has helped dramatically. **What do you dislike about Knowify?** There have been conflicts with importing back and forth with quickbooks desktop. This could be remedied I believe if we were to switch to quickbooks online, but we haven't gotten to that point yet. I wish there was a little bit more functionality as far as tracking permit/inspections and constructing submittals out of, but we have learned to work around the limitations since we have yet to find an all in one solution for these things. **What problems is Knowify solving and how is that benefiting you?** I have one central point in Knowify to keep all of my bids at my fingertips. Like Submittals. They need work. Some features are a little too "spread out". IE: Instead of having to click the job then click which tab you want at the top, make buttons, for each job shown in the "Manage Contract Jobs" list, where we can click and go directly to whatever tab we want for that job: Activity, Reports, etc. There are a couple of links there right now for Plan & track and "Contracts and change orders"...but why not have links for all tabs there. I guess, just make the interface a little more cohesive. Just keep tweaking the UI. How about, instead of having to go into the job, then into Job Log...make a quick link to the job log, for each job, right in the Manage Contract Jobs list. This way people are more prone to use the job log for notes, etc. **Recommendations to others considering Knowify:** Do your due diligence. Make sure that Knowify "fits" your needs and that you can import your data into it. Customer support is VERY reactive and they regularly send requests to the development team for consideration in future releases. **What problems is Knowify solving and how is that benefiting you?** They are making it easier to manage projects and making it so that, even if they don't have it built-in, so we can connect to it in zapier. Easy to create client invoices for fixed price jobs. Employees can enter comments to record work done for each day. **What do you dislike about Knowify?** I have not found it easy to use for time + materials jobs. Knowify will print an invoice with employee hours on it, but does not include the comments to match the time entries. Our clients expect to know what work was accomplished each day. Our team loves the Contract Jobs screen which we review weekly in a team meeting with management and field leaders. The visual charts make it easy to understand how the job is doing, deep dive easily with a click, and plan on the spot . Black and white spreadsheets of numbers hold little meaning to our field teams and this product has been a game-changer for our team. Creating bids, budgets, and tracking expenses is easy and intuitive. This product has a tool to manage all of your project needs. It integrates very well with Quickbooks Online and makes for easy accounting. **What do you dislike about Knowify?** The purchase order process has provided some challenges when we have many line items and require changes to the original PO down the road. The Knowify team responds very well and works to help resolve issues - but the pdf template needs improvement and easier management when the original PO changes. **What problems is Knowify solving and how is that benefiting you?** Knowify tracks our construction projects from start to finish - including bids, purchasing, labor, subcontracts, and billing. It gives easy web access for managers in the office and a mobile app for our field teams. The information is easy to understand and access. It has brought our management and field teams together to understand how a project is performing. Because Knowify syncs so well with Quickbooks, our accounting stays updated in real time. ### 16. They are quick to respond and stay with the question until your have a solution that works for you. Overall the sync with QuickBooks Online is great. **What do you dislike about Knowify?** The accounting side of Knowify is not it's strength. I would like to see: - an easy way to adjust the sales tax to match the vendor bill. - Only received PO items to populate the bill - keyboard short cuts for faster data entry - Send customer deposits invoices manually. They are sent automatically based on project start date and I'm not notified that they've gone out, or even that the project manager has set up a deposit so I can expect it. **What problems is Knowify solving and how is that benefiting you?** Knowify is an important part of our tech stack. It's great for time tracking, PO's and project cost tracking, and reporting our job profitability. We have not been able to get the scheduling feature to work the way we need it to, and we do our estimating outside of Knowify as well. This is possible through the systems followup emails but I am unable to initiate an email directly with Ronald himself. **What problems is Knowify solving and how is that benefiting you?** Project management software. ### 19. The job costing definitely helps our company. **What do you dislike about Knowify?** You have to do things a bit differently than we are used to doing. An example is that if you want information on a purchase order you would not necessarily go to the project, you would go to purchase orders and search there. More search based than project drop down. Also, some of the information has to be accessed through reports (Excel) when it should be there for you to see. **What problems is Knowify solving and how is that benefiting you?** Knowify has helped us get a better track on our costs espically, labor and material. Everything is super easy to see and click on. Easy functions to switch between screens and properly track data. You can easily integrate with quickbooks and generate reports. **What do you dislike about Knowify?** There are a lot of bugs in the program still. Random floating 0's in calculations that make some calculations off by pennies in the invoices.
