Great Features and Easy Edits, but the Approval Process Feels Excessive **Rating:** 3.5/5.0 stars **Reviewed by:** Amanda S. | Stock and Logistics, Small-Business (50 or fewer emp.) **Reviewed Date:** June 25, 2026 **What do you like best about Knowby?** Knowby has great features, and I like that I can edit them easily whenever updates occur. **What do you dislike about Knowby?** The approval process, especially when you just make small edits, initially requires it, but I don't think it needs to be every time. **What problems is Knowby solving and how is that benefiting you?** The biggest benefit is having a single place where all the tasks are kept, so anyone can jump in and help if needed. **Official Response from catriona H:** > Hi Amanda, thanks so much for your review of Knowby and for the constructive feedback. It's great timing as we are currently working on an update of the approval process where organisation owners can define their own bespoke approval workflows. They can add multiple approvers or have a specific admin that only approves public knowbys, or have an approval process for a specific team or remove the approval process altogether. It will make the approval functionality very powerful and suit the needs of individual clients or teams. Once we have the update ready we will share it in an email update to organisation owners. We are always working on new features and improving current functionality so please reach out to support@knowby.co if you have any feedback, questions or a run through of the latest features. We can also organise group training so we can organise that with you are your colleagues should it be something of interest. We have recently released Knowby Capture (included in your Knowby subscription) so you can now easily capture workflows on the computer screen and store SOPs in the same Knowby organisation e.g. if your office staff also want to organise their process documentation and keep SOPs in one place - they can do so with Knowby too - I'll add the link at the end of this response so you can check it out or share with your colleagues. We are about to release an updated version of the Knowby Platform with a New Excel connector — where organisations can now pull live, refreshable Knowby data (members, teams, completions, ratings, etc.) directly into Excel and use that data as they require for reporting. We will also be adding Text-to-Speech (TTS) functionality where users can have the instructions read back to them in their preferred language. There are a lot of other updates coming so look out for the email update in the next 1 - 2 weeks. We can also provide you and your team free group training to bring you through the new features and a refresher on existing features so you can get the most out of the platform. I would like to get more insights from you on the feedback around 'not many formats to create SOPs' if you can email support@knowby.co and we can organise a direct call or group training as you wish. We have also recently released Knowby Capture and an updated version of PDF converter where you can record your screen and Knowby Capture will create step-by-step guides of your on screen processes.
