I have used other software platforms where once the sale is complete, the follow-through is over, and you are stuck with what you get or have to absorb the cost of yet another transition. Not with Kaleidoscope! Their team thrives on customer satisfaction, from the custom build to regular contact t find out what we may need. This platform makes the process simple for the applicants and easy for us to sort, rate, recommend, and award. "IF" I have an issue, my CSR/account manager, Kelsey, is attentive and readily available to troubleshoot and determine if it is a system error or user error. I highly recommend Kaleidoscope to anyone needing to streamline their application process and provide additional opportunities for your applicants. The generation of reports is fantastic and being able to print the entire application with the essay is wonderful. Exporting in a pdf or excel spreadsheet is a true winner for records retention. **What do you dislike about Kaleidoscope?** There is not much that I could say I dislike. Students don't complete the application and follow through to submit it but the system sends them notifications and reminders. **What problems is Kaleidoscope solving and how is that benefiting you?** Time management is essential and of the essence between submission and decision. Our previous process required manual entry, rating, sorting, and awarding. Our board and I feel that the time this platform saves us is worth the investment. It results in a better process and more rapid decision-making. ### 2. Before Kaleidoscope, we had students completing up to ten different different paper application forms to apply for various scholarships with different requirements / qualifications. The Kaleidoscope team helped us consolidate all of those requirements into a single online application that covered all of those scholarships. The Kaleidoscope team implements changes for us each year, and keeps in touch with us throughout the annual process to ensure we're ready. **What do you dislike about Kaleidoscope?** Kaleidoscope is a suite of products that deal with all aspects of the scholarship process, from application, review, selection, award, and post award activity. Our interest in the product was merely the first two steps (application and review). Because of our limited scope, I do find Kaleidoscope to be a bit pricy. We are a small town community schools foundation with not a lot of resources, and our annual fee has spiraled upward to more than double in just five years. We'd likely see additional value if we were interested in fully engulfing our processes into the full Kalediscope suite. I don't see that as a focus for us going forward. **What problems is Kaleidoscope solving and how is that benefiting you?** Kaleidoscope simplifies the student experience in applying for scholarships. Fill out one application, then the application explains what scholarships they are eligible for and simply submits their application. Before Kaleidoscope, we'd hand the students 10 different paper forms to fill out for separate scholarships. Kaleidoscope helped us save a rain forest during the review process. Our secretary was photocopying each student application for each reviewer. That killed a few trees. Now my reviewers, who tend toward the "more mature, less computer savvy," can easily get into the system to navigate between all of the student applications and supply their scoring and comments. ### 3. Additionally, our representative is consistently prompt in responding to any questions we have. **What do you dislike about Kaleidoscope?** So far, we haven't encountered anything we dislike about the program. **What problems is Kaleidoscope solving and how is that benefiting you?** The grant and scholarship management platform has significantly reduced the time and resources we spend on reviewing scholarships and grants, as well as managing the disbursement of awards. Rich set of features. Users can control the program ,starting time, deadline. Applicants can upload the necessary applications documents. The status report by either spreadsheet or PDF file for each student is really good. 100% prompt customer support ( in one working day) to my "experience as new user" is just life saving for an 77 years old old man, a volunteer in our 100% voluntary scholarship program to our community. **What do you dislike about Kaleidoscope?** Not much as far as I can recall after my initial learning curve on the software product. **What problems is Kaleidoscope solving and how is that benefiting you?** We use Kaleidoscope to create scholarship application programs to our community high school students. We used to use paper for student application to the scholarship program. But after the program increases in size, it is not efficient to go thru paper applications any more. The software application is more efficient and the historical data are saved in the Kaleidoscope database. ### 5. They have helped to make our scholarship application process very easy to navigate for our members and review board. Kaleidoscope staff is also very helpful and answers our requests in a timely manner. They are also very respectful to our needs and want to ensure that their services meet the needs of our users. Staff also help us to stay up to date with what they see trending among all scholarship applicants. **What do you dislike about Kaleidoscope?** Kaleidoscope has recently allowed more flexibility for the user to create and update applications and make the necessary edits. While this is convenient to do a quick change, it also can get a little confusing as I don't want to mess anything up to ruin the application. They are helpful with answering questions if I don't know what I'm doing and will always take a look at the application to make sure things are accurate. **What problems is Kaleidoscope solving and how is that benefiting you?** Kaleidoscope allows for one platform for members to apply to a scholarship and the scholarship committee to review the applications in an efficient way. So many platforms are either best suited only for applicants or only for the client, but not Kaleidoscope. They strive to make the expereince best for any audience using the platform - recommenders, committee members, applicants, etc. Their team has never tried to change anything about how our program runs but worked to make their platform best suite our program. Their team is always quick to respond with any questions I have and have taught me so much about effective program management in the process. I truly recommend them to anyone needing an online application platform. **What do you dislike about Kaleidoscope?** The only downside is the email delivery sometimes through the system with certain emails not making it to students. I think this is a problem all platforms encounter and Kaleidoscope's Connect feature helps you track which emails have been delivered and which haven't. **What problems is Kaleidoscope solving and how is that benefiting you?** I love how they have implemented AI detection and I know they are building out their reporting system to be able to pull more detailed reports. ### 7. We love the way we can customize every aspect of the application, application process and review process. Our grant submissions have nearly doubled in the year that we've been using Kaleidoscope because applicants find it so accessible, and meanwhile, our review process time has been cut in half thanks to the ease of reviewing and scoring applications. We have only gotten tremendously positive feedback from all those who participate in our program. The price point is very valuable to us as well, as a non profit. Setup and integration were easy, thanks to the supportive team. **What do you dislike about Kaleidoscope?** There have been a few glitches during times of need. The score reporting function seems to be pretty hit-or-miss for us. There are just a few nitpicky aspects of the review process we wish we could tweak, though every time I have a question or suggestion, I feel heard, seen, and considered by the Kaleidoscope team. They have already done so much to customize our process and we are deeply grateful for the ease it has brought us. **What problems is Kaleidoscope solving and how is that benefiting you?** The dropdown list above only shows Scholarship Management, but we actually use it for grant management. Each year, dozens of public schoolteachers write grant proposals, which our committee reviews and then grants awards based on eligibility, educational value and funds available. Before Kaleidoscope, teachers would need to download a PDF, edit it, send it to their principal for approval, then send it to us. I would then painstakingly copy and paste every answer from every PDF into a spreadsheet. Now, teachers can log in, work on an application, upload documents or videos, save it, return to it, and send it to their principal right in the system. The principals love the ease of the approval process. My review team loves being able to cleanly view each full application and see eachothers scores in the process. ### 8. As someone deeply invested in education access, finding the right platform to streamline our process was crucial, and Kaleidoscope has been great to work with. The user-friendly interface made navigating through setting up the application and review process easy as well as being intuitive for student applicants, their recommenders and our selection reviewers. I appreciate how Kaleidoscope provides me with a dedicated and knowledgable customer success manager to work with throughout the process so they become well versed in our program and needs. Whenever I encountered an issue or had a question, they were quick to respond and provide assistance every step of the way. Overall, Kaleidoscope has been a game-changer for us to manage all our needs on one platform with one mission driven company. **What do you dislike about Kaleidoscope?** This is minor and I wish recommenders could access the system and complete what is needed for students by just clickling a link instead of having to create an account and log in to get access as many of them are busy educators who want a simple quick way to get in and out. **What problems is Kaleidoscope solving and how is that benefiting you?** One platform to set up an application, send automated email reminders and text messages to users, and to set up review and selection process for applicants. Also connects data to SalesForce that you can have access to, to review, pull reports, anyalyze trends, etc. ### 10. I am old school, I like being able to pick up the phone and call someone to get the help I need. I can call or email with questions and my cusatomer rep is always prompt with a response and points me to the information I need. They also help customize the services I need since our program tends to be a little different than most. Over the last 4 years, they have taken input from myself and other customers to make their platform, reporting and communications easier to use. They have taken the data intergration to the next level...best of all, they are not afraid of suggestions and are always improving their services. Like all businesses, you start small and you grow to meet the needs of your customers. I have continued to stick with Kaliedoscope because I don't want to be just another client number doing busines with a large corporate firm. We are helping eachother grow and get better...isn't that what everyone strives to do? **What do you dislike about Kaleidoscope?** This is not to sound harsh, but I hate that they are growing so quickly! Kaleidoscope is such a personable customer care business. My hope for them as they continue to excel in their filed is to remember the little guys, the small organizations who are trying to do good in their communities. What I use to accomplish using paper and spreadsheets is now an integrative platform that is simple to navigate and easy to track where my applicants are in the process and how to get them to the finish line. They provide guidance, best practices, webinars and a robust How-Tos. Our organization uses Kaleidoscope as a platform to house our online scholarship applications, works with volunteers who use the platform to score the applications, helps me collect important information about each applicant to make well-informed scholarship grant recommendations. You have to know all of their internal processes to get to the actual page/site you need. It helps us so much to be able to quickly look through applications, place them in our reviewer's "buckets" and then let them score within a set time frame. We no longer have to have multiple meetings or print things out. We can send one email and get it done! We also love the new roll-out of having more control over applications and review score card creation at an organization level. I rarely have to reach out to my reps anymore because they did a great job of setting me up to handle most of my own editing! Love that for everyone involved. And the few times I have needed help, the reps I work with have been quick to respond. We always have a nice conversation when we hop on a zoom or phone call and I always feel I can bounce things off of them or ask for help without judgement. **What do you dislike about Kaleidoscope?** The only problem I have is that there seems to be some glitches when switching between pages/views of information. For example, when I use a filter to get a list of applications and then click on an application it opens the application. When I go back it takes me back to the beginning with no filters and I have to open the program, filter it again, and click on another application. It doesn't seem to like back buttons or have an integrated way to open a list and an application simultaneously. **What problems is Kaleidoscope solving and how is that benefiting you?** It has made our review board process a lot smoother! The ability of students to fill out their scholarship application on-line allowed us to easily give out scholarships during the pandemic. Prior to using the software we used a manual process that required many people to attend a meeting in person to evaluate the students. With this software we were able to do this remotely and much faster. **What do you dislike about Kaleidoscope?** Some of the parts of Salesforce, which this is layered on, do not work as easily as I would like. The ability to easily share lists and reports could be simpler. **What problems is Kaleidoscope solving and how is that benefiting you?** We provide scholarships and grants to about 150 students per year. Over 400 apply for the scholarship and having all the data on-line is really important.
