Itefy handles that whole loop in one system, instead of splitting it across a spreadsheet, a shared calendar and somebody's memory. WHAT ITEFY DOES Equipment register - every item with photos, documents, specifications, categories, suppliers, custom fields, and purchase and depreciation values. Search and filter by keyword, type, category, location, availability or condition. Import existing lists from Excel or CSV with a guided wizard, and export at any time. Locations - a five-level location tree (site, building, room, storage, vehicle, container), each with a person responsible, a description and an optional address with map coordinates. Filtering rolls up, so filtering by a building also finds the items on a shelf inside it. Reservations and a shared calendar - one-time and recurring bookings for usage, maintenance and inspections, with automatic conflict detection and alerts for expired reservations. Check-out and check-in - self-service or managed, checkout on behalf of someone else, due dates, partial check-in of quantities, and automatic overdue alerts on the dashboard and by email. Every transaction lands in the item's history. Maintenance and issues - preventive maintenance schedules with reminders and expense tracking. Anyone can report an issue with photos and a deadline, a repair job can be scheduled straight from the issue, and broken equipment stays locked until it is fixed. Kits - bundle a case of gear and reserve, check out or audit it as a single unit. Audit this kit scans the case against its contents and reports what is missing. Inventory - quantity tracking for consumables, disposables and building materials alongside individually tracked items. History and reporting - an automatic audit trail on every item, a live color-coded dashboard (overdue checkouts, open issues, low inventory), and reports on utilization, maintenance and asset value. Itefy Go - the mobile companion, included on every plan. It is installed to the phone's home screen from go.itefy.com rather than from an app store. Scan a QR label from any screen, check items out and in, reserve, report issues, adjust stock, and register new equipment with a photo straight from the phone. Push notifications cover overdue items, issues assigned to you and bookings about to start. QR labels, no special hardware - generate and print labels, then scan them with any phone camera. No proprietary scanners, no RFID readers, no trackers to buy. Users and permissions - granular per-user permissions and a record of who is using every item. Sign in with email and password, or with Google. REST API - available on the Business and Enterprise plans.
