**What do you like best about Insightly CRM?**

The features I use most and find the most valuable are bulk editing and reporting. The bulk editing function saves me a significant amount of time by allowing me to update multiple records at once instead of making changes individually. I also really like the drag‑and‑drop functionality when creating reports, which makes it quick and easy to customize the columns I want to include. An added benefit is how intuitive the platform is overall—the site is easy to navigate across different pages, which helps streamline my daily workflow.

**What do you dislike about Insightly CRM?**

One issue I’ve experienced with Insightly CRM is that when creating reports, filters don’t always work as expected. Even after applying a filter to exclude certain data, those records sometimes still appear in the report. Additionally, Insightly Marketing cannot link email campaigns directly to contacts in Insightly CRM, which makes it more difficult to track engagement and campaign impact at the contact level.

**What problems is Insightly CRM solving and how is that benefiting you?**

We struggled with managing outreach, tracking relationships, and building targeted contact lists, but now we can use Insightly CRM to send email campaigns, create filtered lists through reports, and link contacts, opportunities, and organizations in one place, which has improved organization, visibility into relationships, and overall efficiency.

**What do you like best about Insightly CRM?**

What I like best about Insightly CRM is how simple and easy it is to use. The UI is clean and straightforward, so it’s easy to keep track of records and client interactions without things feeling too complicated. The email reminders are also really helpful for staying on top of follow-ups and making sure nothing gets missed. I also like the Leads and Opportunities features, as they make it much easier to manage the sales pipeline and keep deals organised.

**What do you dislike about Insightly CRM?**

One downside of Insightly CRM is that email reminders can sometimes be missed, which can affect follow-ups. It would also be useful to have better AI integration, such as automatically appending meeting notes or email summaries to client records to save time and improve record keeping. The Leads feature could be better suited to our sales process, as it would work more effectively if it were based around companies rather than individual names. Additionally, duplicate records could be managed better, as it can sometimes be difficult to spot and remove them efficiently.

Insightly CRM helps us keep track of opportunities, client interactions, reminders, and notes all in one place. This makes it much easier to stay organised, manage follow-ups, and ensure nothing gets missed throughout the sales process.

**What do you like best about Insightly CRM?**

It's flexible.  You can set up multiple sales pipelines and stages and move sales opportunities between them as they progress.  Drag and drop, group edits and filters reduce the amount of time to add and maintain information.  It can grow with you.  As you learn more of the systems capabilities, it's easy to add them to your CRM process.  Onboarding new employees and training them on the system is quick because it's intuitive.    It's also cost effective, and we can show results in a meaningful way.

**What do you dislike about Insightly CRM?**

Although you can run it from a phone, the screen is crowded, and it's challenging to do more than record meeting notes via voice to text.

**What problems is Insightly CRM solving and how is that benefiting you?**

I use Insightly for forecasting, and it saves me around 1 hour a week over the previous process.  It also improves forecasts because I can also look at multiple scenarios quickly which was too time consuming to be practical in previous processes.

**What do you like best about Insightly CRM?**

I like that it's very easy to manage projects in Insightly CRM and add tasks, and keep track of them. Being a team manager, it's a lot easier when the project is added to Insightly, and we already have a predetermined list of tasks for each project. Setting up the project is user-friendly, and it ensures that staff completes all their tasks. The ability to report to my managers the percentage of projects that we are completing and the timing is very valuable as well. The initial setup on the site link was very easy.

**What do you dislike about Insightly CRM?**

It seems like at certain times, I don't know if the system is updating. The interface will change and sometimes certain aspects won't be available. Reports won't be available or the size of the font will randomly increase, making it hard to see everything on the screen, so that could definitely be improved.

**What problems is Insightly CRM solving and how is that benefiting you?**

Insightly CRM organizes our projects, ensures all tasks are completed, and makes it easy to track statistical information on task completion using a site link.

**What do you like best about Insightly CRM?**

Honestly, what I liked most about Insightly was how easy it was to get started. When we were a small team, we didn't have time to spend weeks on implementation or training. With Insightly, we were up and running in just a couple of days.

**What do you dislike about Insightly CRM?**

Reporting and analytics were probably my number one complaint. The built-in reports felt pretty limited, and whenever I needed something more custom or more visual, I usually ended up exporting to Excel and building it myself. That kind of defeats the purpose of having a CRM.

**What problems is Insightly CRM solving and how is that benefiting you?**

When we were starting out, customer information was scattered everywhere, emails, spreadsheets, sticky notes, people's heads. There was no single source of truth. Insightly fixed that immediately.

**What do you like best about Insightly CRM?**

I liked the dashboard on the home page, and I originally bought it because a colleague had used it to manage his speaking engagements, like planning a project but less complicated. We could never get it to do what he did; we suspect he had a legacy version, as his page and ours did not look the same.

**What do you dislike about Insightly CRM?**

The Help function. We would ask a specific question, the automated function would send us a bunch of videos to watch, which never addressed our issue. Then it would take about 24 hours to get a response, and it still didn't resolve our issue. Finally, as a last step, we requested a human. Same routine, never actually answered our question. Therefore, we couldn't figure out how to use it fully, and we pulled out and cancelled after one year. It was impossible to implement it fully without getting our questions answered. I paid my team significant $$$ to figure it out, and we never could.

n/a - we canceled at the one year mark.

What you described is not the experience we want customers to have. While our help center and video resources are meant to provide quick answers, they should never replace clear, direct support when you have a specific question or implementation challenge. It’s frustrating to feel like you’re not getting the help you need, especially after investing time and resources into trying to make the platform work for your team.

Regarding the differences you noticed compared to your colleague’s setup, Insightly has evolved significantly over the years (in fact, we just completely revamped the free trial and setup experience to streamline implementation), and it’s possible they were using a different version or configuration. In many cases, similar workflows can still be recreated with the right setup, but we should have done a better job helping you get there.

**What do you like best about Insightly CRM?**

Insightly provides a customizable view on each tab within the software, allowing for only the most important information to be viewed easily. The amount of time saved by quickly reviewing our current progress, performance, scheduling, and communication with each client has allowed us to get more work done each week and communicate more effectively with clients. I use the mobile app multiple times throughout my day to quickly review scopes, find address and contact information, and remain current with my understanding of each ongoing job.

**What do you dislike about Insightly CRM?**

While the software allows for a ton of customization, it can be confusing at first to figure out exactly how to format the view to your liking. Because there are so many options available, it can take time to navigate how each page works and how to make changes. However, Insightly had a rep come to our office and walk us thru how to make these changes. This helped us integrate the software quickly with no learning curve. Within the first week of use, I felt more comfortable than I did with our prior CRM.

Insightly helps us solve project scheduling and organization with each job, which also helps us manage our overall schedule with multiple projects.

**What do you like best about Insightly CRM?**

I like the user interface and how easy it is to understand. It has basic limitations or you can opt in for more advanced options to represent your company data. I have been using it for 2 1/2 years and the transition from our previous software has been seamless. Implementing it was very easy and we use it daily. Linking it to our company's systems (integration) was very easy and the response time from their customer support team is very quick and friendly.

I don't like that you have to manually  update "contact confirmed" when Insightly automatically tracks the date of last activity. I think this should be an automated process.

The learning curve for automation and workflow setup can be a bit steep for new users. Additionally, occasional syncing delays with third-party integrations can disrupt workflow

**What do you like best about Insightly CRM?**

The flexibility in being able to create your own custom fields, reports, templates, and dashboards.  Very easy to use, after initial set up.  Customer support has been excellent.  Brian Revak has been our Customer Success Manager, and has been so helpful throughout the whole experience.

**What do you dislike about Insightly CRM?**

Unable to merge data for 2 different Objects, but this can be worked around by creating custom fields within the relevant Object.

**What problems is Insightly CRM solving and how is that benefiting you?**

We previously had lots of spreadsheets with customer contact details, which have now all been imported into Insightly.  We can update the status of an Opportunity/Project instantly, giving full visibility to anybody that needs to know.  New lists of contacts from Trade shows, can be instantly updated/imported.  Visibility through the Dashboards of overviews of the status of various Objects.

**What do you like best about Insightly CRM?**

Insightly is so easy to use. We group potential customers in opportunities where you can view them all and make visible notes without having to click into each organisation, this way you can see who has bought and who hasn't. Getting set up is easy and depending on which subscription you've chosen, you may also have a number of meetings with your Insightly rep where you can discuss how to get the most from the product. We have been able to integrate Insightly with our website so that whenever anyone reaches out, they are added to the CRM.

Insightly allows us to be able to view potential customers and out customers in one place. We can even break them down into different sections and contact them with different messages. We also use the marketing side too, which allows greater levels of integration.

**What do you like best about Insightly CRM?**

I have used Salesforce it had some more robust features. The one that stuck out so much to me was tha capabilites with merge variables and automations. I think the Workato (app connect) feature) aims to solve this and it does a good job. I think my absolute favorite part has been the customer service. Our reps from Insightly have been absolutely invaluable. Brian Revak is our rep and has left no question unanswered for our team and has helped me with resources like time with engineers to solve problems.

**What do you dislike about Insightly CRM?**

I think that Insightly is a little confusing to get started with compared to Salesforce. There is a higher barrier of entry that in my opinion neccesitates having a success rep help you. I am not sure if that is ideal to require your product have a guide that I still use weekly 6+ months into working in the platform. I could also be stupid? Jury is out on that one but I do think the barrier for entry is high. I also believe the AppConnect project to be very difficult to get your arms around and use. Again, could be my problem but I have had an engineer join in and it took us 2ish hours to get an automation together to just make leads from Calendly enter automatically and not duplicate when a follow up Calendly is created. This is something that should be far easier in my opinion. I hope I see your team leverage Ai in  this department because given Workato runs on logic AI would likely be able to create recipes for people, test them and make adjustments based on feedback given on failures until it works correctly.

As our organization grows and changes we need to shift how we use our CRM. We love being able to add custom fields. The integrations are many. Collection of contact info from Outlook saves a lot of manual data entry. Exporting and importing data for use in other platforms, and/or reporting to pare down what is there for those on the team without access to the CRM.

It's an investment for a small organization, but it's been worth it for us. Some of the integrations add extra cost.

Insightly CRM brings together the contact info and other data we need to keep track of. We are constantly shifting. We have new and discontinued workstreams. Being able to add fields and do our own customization has been key to making it work for us. We also use Insightly Marketing, which is great to manage communications on an integrated platform.

Insightly is very responsive. The search feature is amazing. I find the interface simple to navigate and when it's time to automate, insightly has powerful automation features.  The CRM is user friendly enough to use daily.

I find the price to be high. Also, in every price tear there are new features. All features should be represented with every price tears with limitations based on the price level you purchase. For example, products are only available with the top tier for $100 USD per month. With lower price tears this feature should be available perhaps with a limitation on total products able to list. Also, I wish I could change the orange look

**Recommendations to others considering Insightly CRM:**

Absolutely give this CRM a serious look. The company is very active in its development, Tons of videos. Define your needs carefully and give Insightly a run.

Insightly is easy to use and highly customisable. We've created a number of custom objects and custom fields within those to manage everything from donations to shop orders to event registrations. Integrations with Facebook, Shopify and our CMS were easy to set up and manage. Customer service and techinncal support has also been excellent.

**What do you dislike about Insightly CRM?**

As with all CRMS there are minor things I'd like to change, but nothing significant. Having USA-based support can sometimes cause delays.

By recording key customer touchpoints (donations, shop orders, meetings, event registrations) we have a better picture of how our stakeholders interact with us. This also means we can more easily report on our activities and their impact.

Certain fields that get added such as (Closed/Referred to CMC) don't reflect on the pipeline the same way (Closed/No contaact) would for instance.

It meets our needs. that might not sound very glowing, but it is meant to be.  It does what we need it to do.  It is very customizable without being too complicated.  There are more integrations possible through app connect.  I wish I had time to build these out. 

We have the support plan.  They are responsive and helpful.

**What do you dislike about Insightly CRM?**

As with most things there are features I wish it had and little annoyances I wish they would fix.  For example, it often adds logos and images from emails (that are saved to teh CRM) to teh files section.  Even though I have turned off (include attachments).  I wish there was a way to mass delete files so I could get rid of these.  but you have to delete images one by one. So I dont'.   I dont' use the phone app much.  It's not so bad, but it doesn't integrate with my work flow.  I work almost exclusively on the browser interface. I wish there was a more seamless way to log phone calls and tie them to an organization instead of just to an individual.

Insightly is very user friendly and customizable to fit your specific needs. It also has connectivity features so external forms can be connected to Insightly. Data can also be connected within Insightly, such as connecting contacts and organizations to request and project records. It supports team collaboration and accountability. Overall, it massively improves the efficiency of my team.

There are not many things I dislike about Insightly. One issue is the Actual Close Date does not autofill if the request is closed and marked as Lost/Abandoned. The interface for customizing objects and fields in System Settings could also be more user friendly.

Insightly helps us track permission and licensing for intellectual property. We are able to use the pipeline to track each step in the process. Managing contacts and connecting them to requests and projects is also very useful. Overall, we are able to generate more profit because Insightly increases our capacity to execute licensing agreements and collect licensing fees.

I like the KanBan view for tracking projects and the ability to pull reports, filter projects, and customize fields for our business needs.

**What do you dislike about Insightly CRM?**

Wish we could customize more fields in kanban view, assign colors for categorization, priorities, etc.
