What problems is Ideagen Collaboration Portal solving and how is that benefiting you?

Project management, workflow, approvals, photo library, Website production (Launch)

1. Provide an easy, out of the box solution that does not require any customization or internal IT resources for development support.

2. Deliver access to project content and teams, independent of location, device, and domain, through Huddle's accessibility and external collaboration solutions.

3. Centralize the management of all FAA related meetings, tasks, and documentation through Huddle's powerful workspace model. Huddle is a very robust content management tool that supports document versioning, locking, tracking, commenting, sharing, and approvals and team based permissions to easily control who has access to your files.

4. Enable government grade security in support of various FAA initiatives (Huddle is FedRAMP certified), improving the effectiveness and oversight of deliverables and project schedules.

What do you like best about Ideagen Collaboration Portal?

The aspect I like most is the ease of sharing. the platform allows me share documents and folders with colleagues however it also allows me to assign to certain people what they can or can't view and can or can't edit. Review collected by and hosted on G2.com.

The benefits I have realised is the ease of us as a company being able to share files between or European and American offices. The user interface seems very busy at times; on some pages, I must scroll down through hundreds of lines of open projects to find the one I'm looking for, and the amount of text/data that I must attempt to cognitively process is overwhelming. Review collected by and hosted on G2.com.

I work with a cross-functional team of writers, editors, medical reviewers, copyeditors, and web designers working in different parts of the world who all contribute to the same pool of articles at different points in the editorial process, and Huddle makes it incredibly easy to feel like we're all working in the same office with the ability to all see the same projects at the same time in real time. "All of the versions, whenever you need them"

What do you like best about Ideagen Collaboration Portal?

The version control aspect means you never lose a previous version of a document you've worked on. The search function is also excellent. When you have a lot of workspaces in an organisation, it can be tricky finding the right workspace your file is in, but the ability to search all of your workspaces means that this is never an issues. What do you dislike about Ideagen Collaboration Portal?

The fact that you can't amend a version when needed, like for instance if you accidentally save a copy of the document you didn't need. Even though you can delete the version, the version numbering will not reset. As we use Huddle for our Controlled Documents, it would be good to have this kind of functionality.

And although it has a "Task" function, it takes a lot of effort to update tasks. There are better task management software on the market.

The ability to edit documents online using Office Online is only ok, but this will improve as Microsoft improve the functionalities of their online product. Review collected by and hosted on G2.com.

It's like Dropbox, only better because you can never lose a copy of you document. Someone saves over your file? No problem, just restore the last version! Want to restrict access to a folder to read-only? It only takes 2 clicks. Review collected by and hosted on G2.com.

What do you like best about Ideagen Collaboration Portal?

I work in an environment where dozens of staff members from multiple different organizations must work together to write, review, and finalize documents. We used to conduct it over email, which led to numerous issues with version control, failure to include all the right people, and questions over whose court a ball was in. Moving to Huddle was a dramatic improvement that allowed us to effectively collaborate. Review collected by and hosted on G2.com.

What do you dislike about Ideagen Collaboration Portal?

I have no major complaints. There have been cases of system downtime or cases where a document update would not save, but they have been rare. We also occasionally deal with very large documents, which are more difficult to upload and manage than the standard, relatively small word documents or Excel files. Huddle is very user friendly and intuitive to use. However, it will take an up front investment of time to set up the system. For instance, if you decide to use this system to store files, you will need to take time at the beginning to establish a naming convention for easier filing. It has allowed a faster turn around time to collaborate and development documents. We use this frequently to share documents across different offices. It has a feature where you can sign different tasks to an individual and they will be notified of their task. Huddle will also send reminders when a task needs to be completed. No tracking of changes capability for MS Excel yet.

The interface is kind of annoying. There always seemed to be changes, but usually in the realm of taking away features that I actually used. Some of my coworkers who didn't have the app didn't always have access to my messages. Huddle works great with sharing all the information (and changes) for projects. It stores all the uploaded documents, so there's the official record and paper trail.
