Easy to access information.  I like the feature that you can upload documents to an individual's HR record.

That you can't give read only access to employees to be able to view the documents that are uploaded to their record without also giving them the authority to delete items.

Good reporting mechanism that allows for easy access to information needed for compliance with information requests e.g. audits, company plans etc

HR Locker offers a clear and user-friendly interface for managing a range of HR functions including leave tracking, employee records, timesheets, and performance management. From a staff and management perspective, its accessibility and structure support day-to-day HR processes effectively and with minimal training. The platform is particularly useful for organisations seeking to formalise and centralise their HR practices in a digital format.

**What do you dislike about HRLocker?**

For organisations considering HR Locker, it is strongly recommended that an IT-competent staff member or consultant be involved from the outset. This person can support the initial setup, manage data imports, and handle any technical adjustments or integrations required. With this support in place, HR Locker has the potential to be a highly functional and reliable component of a modern HR system.

**What problems is HRLocker solving and how is that benefiting you?**

HR Locker is helping us streamline and formalise several key HR processes that were previously managed through a mix of spreadsheets, emails, and manual tracking. Specifically, it has improved how we manage annual leave, timesheets, and staff documentation. The centralised system means all relevant information is now accessible in one place, reducing administrative time and the risk of errors or missed deadlines.

From a compliance perspective, HR Locker supports us in maintaining accurate records and meeting reporting requirements. It also offers greater transparency for staff, who can view their own leave balances and timesheet history without needing to request information from HR or management.

The main benefit has been increased efficiency and clarity in how HR tasks are handled. While there have been some technical considerations in setup and integration, the overall functionality has had a positive impact on day-to-day operations

Personally, I like how straightforward and intuitive the HR Locker tool is. I  have also had a very positive experience with all the team I have worked with at HR Locker - very helpful, supportive and quick to follow through on any questions.

That you cant see an individual for the Year - Only monthly and with all other staff - it would be clearer if yiu could see individuals for the full 12 months

The setup and implementation process was straight forward with guidance at every step. I like the tutorials/knowledge base section which contain step by step instructions for all features of HR Locker and are accessible to all users.
Customer Support is very efficient with just the click of a button.

**What do you dislike about HRLocker?**

There are still some areas which need further development but HR Locker take all feedback on board.

**What problems is HRLocker solving and how is that benefiting you?**

HRLocker is making our payroll process much more simplified and less time consuming while also keeping us compliant with the Working Time regulations.  We are able to make changes to our HR policies, issue them to our employees and keep track of who has signed them.

Overall, the system is user-friendly and intuitive.

**What do you dislike about HRLocker?**

There are a few features that could enhance usability and efficiency:

Automatic adjustment of annual leave entitlement based on an employee's length of service would be a valuable addition.

The ability to edit annual leave requests, rather than having to delete and resubmit them, would improve the user experience.

It would be helpful to have a checkbox option that allows managers to quickly grant access to all their indirect reports, rather than needing to select each employee one by one.

The Time on app has been logging users out frequently. Resolving this issue would greatly improve reliability and user satisfaction.

The EE number is not on the time on or time off tab and in the directory under summary.
And under the directory, the holidays look deceiving as it only displays the basic holidays, it does not include additional holidays based on service.

**What do you like best about HRLocker?**

Clear to see who has clocked in and out and clear visibility of annual leave from a staff point of view and a management point of view. Customer service is very good and response time is very good.

**What do you dislike about HRLocker?**

There is a lot of manual intervention with HR Locker and its quite time consuming. The initial set up is extremely time consuming and could be streamlined so that there are more bulk actions. Reports don't always produce the required figures as it depends on where they are pulling the figures from (such as approved timesheets versus submitted timesheets). Ongoing issues with visual sick leave reports versus graphs - figures don’t match. Screens going black/ blank but recording clocking's. Changing annual leave entitlements is not a simple task as the dates are blocked out and you cannot amend or delete and have to get technical team to help. HR Docs, not generating email alerts to employees to sign documents. If a manager is on annual leave and you want another/ second manager to approve timesheets, you have to manually adjust approving manager in the directory under each employee and then reverse when they return from leave, it would be so much easier if you could do a bulk change or if you could allocate two managers to each employee from the beginning.

Only problem it is solving is that there are less spreadsheets and more visibility of clocking's.

Just to help with a few points:

Timesheet reports will show different results depending on whether timesheets are submitted or approved, so some variation is expected.

If sick leave reports aren’t matching the graphs, that’s not typical - please get in touch so we can take a look.

Annual leave updates don’t need technical help. You just need to edit the end date of the current row and this will automatically set the start date for the next one.

If a manager is on leave, you can adjust permissions so another manager can approve time off, you dont need to go into the employee. This can be done temporarily or permanently, and even in bulk.

For HR Docs, emails are only sent once a document is marked as essential, with reminders every 21 days if it’s unsigned. If that’s not happening, let us know - it’s unusual.

I love how intuitive HRLocker is, making it straightforward to navigate. The data storage capabilities are excellent for organizing personnel information, annual reviews, and tracking changes to salary and benefits. The 'who's off' feature is particularly useful for managing a team of 15 by preventing annual leave overlaps. The software provides new managers with tools to manage direct reports effectively, broadening their understanding of HR aspects beyond daily tasks. The fast and responsive support has consistently addressed any queries. I also appreciate supporting a national brand, and the pricing is fair and stable over the years.

I like that there are reports which can be downloaded
The design is generally user friendly
Adding new people or removing people is simple
the multiple options for working hours and weeks

**What do you dislike about HRLocker?**

Some of the features make the interface feel bogged down, in particular that you are not able to delete working hours which may not be required
Some end users (employees) struggle to log in to submit timesheets due to the different types of phones and softwares - this really should be available on all phones and softwares
The organisational chart doe not allow to have more than one manager to be shown as a supervisor to any one employee which leaves the chart as inaccurate

On your points about working hours: there’s a new option in the employee settings that lets you hide unused working hour entries on the timesheet, which should keep things tidier. Our support team would be happy to walk you through this if you’re not sure where to find it.

The system is designed to work on any smartphone, so if any of your team are having trouble logging in or submitting timesheets please do reach out – we can help diagnose whether it’s a device setting or something on our end.

And finally, the organisational chart is meant as a ‘systems view’ of approval lines rather than a full managerial hierarchy, but we appreciate your note about multiple supervisors and will feed that back to our product team.

**What do you like best about HRLocker?**

Easy Annual Leave approvals and employee leave management.

**What do you dislike about HRLocker?**

It doesn't like to my Employee Resource Planner, which is an excel sheet that also tracks employees annual leave, so I have to ensure its updated manually. 
I know HR Locker has it's own "Who's off" sheet but to access that means logging into HR Locker, while I have easier instant access to my Employee Resource planner spreadsheet, be great to link them in some way.

One place for HR related documentation and also attendance and annual leave tracking.

It's very accessible and user friendly allowing us to streamline our HR process.

It doesn't have a rostering facility which would be very useful to our business.

It allows us to accurately monitor hours worked and provides a central database that can be accessed by all employees to log hours, request holiday time, record CPD and sick leave.  We also use the reports section for payroll purposes.

The GUI is user friendly. The processes are simple but effective. Service level from our support people (Liz and Dan) is second to none.

Performance forms are a little clunky. I feel that the system is also missing a report writer for customised reporting.

The Directory, holiday booking system. And some of the reporting is good.

**What do you dislike about HRLocker?**

Not enough date range search functionality in the CPD module. Also on HIRE, there could be better search facilities at the top of the jobs and candidate pages.
It would be good if the  "reports" area had an option where one could select the fields that one wants on a report. E.g. the Directory employee report.

You’re absolutely right about the CPD date range filtering - we’ve taken note and I’ll make sure the team looks into that.

Regarding the search functionality in HIRE, we've actually just launched an entirely new version. It’s a big upgrade with much better search and filtering on both the jobs and candidate pages. Have you booked in for your migration yet? If not, we’d love to get that arranged for you.

Also, customisable reporting is something we’re actively exploring, so your suggestion about choosing fields (like in the Directory report) is really helpful, thank you.
