With all products, FlowForma is missing a few items to make it easier to use, but when reported to support, if you have a good business case it can end up a new feature

**What problems is FlowForma Process Automation solving and how is that benefiting you?**

We are mapping out a lot of approval requests, from setting up new clients to staff requesting IT assets, cuts down on the paper trail and has an electronic trail that can be viewed easily

There is nothing of note to dislike about the tool. It sets about providing exactly what it is designed to do with minimal fuss.

Several processes were cumbersome and lacked ownership and consistency. Using FloForma to automate these processes has meant we have reliable and repeatable automation that ensures we consistently deliver on tasks (such as onboarding) comprehensively.

All functions available to use are in one place, easily accessible and categorised, which makes it easy to find what you need and also discover other options available without having to go to other pages etc. The help modules are equally well organsied and easy to find your way around.

There's a bit of a learning curve when first starting to understand how steps and questions work as it's not immediately viewable to test the flow without creating a test form.

**What problems is FlowForma Process Automation solving and how is that benefiting you?**

Processes involving forms to be filled out by certain employees, then verified and confirmed by a manager or another employee, or processes involving setting up new starters. These processes are much more efficient and don't need to rely on certain sections to completed before progressing to other ones if that is what you want and can allocate sections to certain people allowing for security.

Building out the forms can be a bit cumbersome but once you get the hang of it, it goes smoothly.

It may take a bit to get up and running depending on the processes needed but well worth the effort. The support team is very helpful in working through concerns and questions.

**What do you like best about FlowForma Process Automation?**

I love the ability to create digital processes on the fly to fix on-site process issues.  By Improving the time it takes to complete menial tasks, it allows the team to do what they do best, Build things. Out of the box, Flowforma is easy to learn, but the ability to integrate with the Mircosoft 365 toolset takes it to the next level.

**What do you dislike about FlowForma Process Automation?**

The only limitations of Flowforma are Sharepoint and the user's ability not to think outside the box. The Flowforma solution has been tested multiple times against similar solutions and beats everything hands down.

**What problems is FlowForma Process Automation solving and how is that benefiting you?**

Flowforma has given us the ability to create solutions that help us work safer, more efficiently, and plan and communicate better with our sub-contractors and designers.

I like how adaptable the workflow is. It aided our back and forth business procedures.

Accessing SharePoint's past data from huge lists in SharePoint is difficult (Over 10,0000 items). In addition, the FlowForma On Premise edition has less features than the online version. We're still using SharePoint on-premises for now, but we're moving toward an online migration that will be more robust.

With the increase in remote work at our organization, FlowForma assists in the automation and centralization of our business processes.

We have been able to take our paper-based QA checksheet system & turn them into living documents that can be completed in the field then automatically uploaded to SharePoint.

FlowForma Process Automation is a no code, logic only tool that combines forms, workflow and document generation in one. As a single tool for building forms and workflow it increases the efficiency of building solutions and ultimately drives user acceptance. Being genuinly no code, allows business users to augment IT and accelerate the rate of automation throughout the business.

I have not anything that I dislike about the FlowForma Process Automation tool.

When implementing start with a small number of processes that you can deliver swiftly. An agile approach can then be adopted to deliver FlowForma Process Automation throughout the business.

We have been able to implement automated processes throughout the organisation at a much higher cadence than we had been previously. The ability for more of our team to use the tool due its no code logic has meant we have achieved this acceleration and once implemented these automated process have increased speed and quality of delivery.

It was easy to create Forms and automate them according to the needed sequence. It was easy to test the automated form!

It was difficult customizing the form, and some more guidance on that would have been helpful.

The benefits are that it is simple for anyone to create automated forms and saves a lot of time than using MS forms, for example, and automating it with Powerapps.

It improves the productivity of our business and is able to be used by multiple departments.  It has the ability to tie together different business functions and has a pricing structure that allows us to build as many processes as we need without price increases.

It doesn't have specific RPA functionality, however it is a tool that is focused on automating workflows, which is more useful for us.

**What problems is FlowForma Process Automation solving and how is that benefiting you?**

We are automating workflows that require multiple stakeholders input and approvals.  There is no uncertainty on where process bottlenecks are occurring, which allows us to track and improve our overall process execution time.  Client and employee onboarding are now automated and we no longer have to manually track  the steps of our processes through email or an excel spreadsheet.

**What do you like best about FlowForma Process Automation?**

An easy good thing is that it's a no code solution for businesses to automate workflows from simple processes to more complex.  

Any changes that need to be made even if the form has been deployed can still be changed very quickly with almost no downtime which we love.  Creating really useful management information and easy access to dashboard the information. With the upside of no code being it's more user friendly and you can customise easily with some support to get started without being an IT expert

**What do you dislike about FlowForma Process Automation?**

User Interface is a bit dated but this is currently in update with the release of the Modern hub and teams app but apart from that nothing negative to say at all.

**What problems is FlowForma Process Automation solving and how is that benefiting you?**

We are able to take processes which used to be paper based and had to go through multiple signed approvals  and automate them.  Greater audit and compliance and visibility of where the process is has been transformational. Also allowing for greater decision making within the business has created time efficiencies and enabling better decisions.

**What do you like best about FlowForma Process Automation?**

I love that FlowForma is SharePoint based so I can use content stored in existing SharePoint Lists to populate different fields in my form. I can then use the data I collect from one workflow and it can also be stored in SharePoint Lists to use within that and other forms on the same site. We have multiple flows on the same site for the same business unit so we can find a lot of consistency with this capability. I also like that I can create an unlimited number of flows for different business problems and have unlimited records.

**What do you dislike about FlowForma Process Automation?**

I dislike that if I make any changes to an existing workflow, the changes don't effect older records already created with the previous versions of the flow, unless I "upgrade" the record but its a minor inconvenience. Another downside is only an initial issue in that my company is new to SharePoint and it has been a learning curve to get users to understand why somethings are built the way the are based on SharePoints lists and libraries, but with training and education we have been able to overcome this issue. This can happen with any new system a company introduces to its employees.

**Recommendations to others considering FlowForma Process Automation:**

Yes, I would recommend FlowForma to any business using SharePoint as well as one needing workflows. Its so highly customization and I have been able to build many different types of automation that I feel its really a great tool for any company.

**What problems is FlowForma Process Automation solving and how is that benefiting you?**

We are using it to 1) approve complex documentation within multiple departments; 2) capture customer complaint submissions, assign team members to  investigate the issue and apply priority and targeted due dates to finding solutions and approvals; 3)  we are also using a flow to capture IT Change Management with parallel approvals based on the types of changes and who are affected. Being able to write all the captured information to one PDF file for record summary is also helpful.

The flexibility to implement a very tailored flow mirroring your existing business flows without loosing functionalities. Also, there is no need to be a programmer or expert in building code.

Due to the above, you have to start pretty much from scratch to build your business flows, unless you take some of the pre-built processes created by FlowForma.

Functionality to better administer user access rights.

We implemented some flows to handle the contract management life cycle for some of our key business partners. We have achieved process transparency, efficiency, accountability, time saving, and records management. We build both a business flow and an associated database with hyperlinks to contracts.

We were able to go paperless on processes that were not efficient. The process is accessed by our employees in different roles and our contractors.

Since implementation we have not had any issues. We put a lot of thought into how we wanted the process built out and included a sampling of all associated parties to ensure we had reached every level of interaction.

Walk thru your process thoroughly. Both what you need and what you want. Talk to your contact at FlowForma about them. The team at FlowForma is very open about what it can do. They were clear in their feedback and input.

The process steps that we built in allow visibility to any bottlenecks or resource issues. We are able to keep a continuous process flow that is extremely more efficient.

I love the ease of use in setting up a workflow with different task assignments and approvals. Publishing generated PDFs of files to share to distribution lists is also very helpful.

While the process is no code, it can be a bit limiting at first, until you start getting used to the rules options, which can be pretty powerful and easy to implement after you get the hang of the software.

It definitely solved our needs of automating many manual processes. I would definitely recommend FlowForma to other interested in an SharePoint workflow solution. Their support team is fantastic!

We have launched 6 workflows that cover different engineering change approvals, documentation, patent submission processes, IT change management processes and more. Quick a diverse group of flows. We have many more ideas to build out as well and getting other users to support and start building flows with me has been relatively easy.

Multiple question types and business rules make forms flexible enough to meet ever changing business requirements. The Support team are very responsive and knowledgable of both the product and understanding requirements. The product has really engaged process owners and after a few high profile wins, managers are starting to approach the team with ideas for processes they'd like to improve with FlowForma.

There are some limiting features around integration if the knowledge/resource doesn't exist within the organisation.

Communication of progress/process launch etc. to the organisation is crucial for gaining stakeholder and end user interest and acceptance. We've found that having multiple channels for help, advice and training has led to quality engagement of employees with the product.

FlowForma has enabled an organisation previously highly dependant on manual paper based process to embrace digital change. We have so far implemented 7 key electronic business processes, saving the organisation over 5000 admin hours annually. Enables us to do true RAD using agile methodology. Nothing beats being able to show changes to a form or process, due to feedback from testers/users, 'there and then' in an agile scrum meeting. Processes are quick to develop and easy to adapt.

Not much! Greater form design control would be welcomed.

Go for it! There are bigger names out there (which we also considered), but ask yourself what you are actually wanting to do with your BPM software? Flow Forma will get us where we want to be quicker and with less effort than the obvious competitors.

7 paper forms that handled different leaves of absence (annual leave, toil, maternity etc) are now 1 dynamic electronic form. This process is now paper free and fully monitored to avoid any delays. Expenses, pool car booking, financial transfer requests, starters&leavers are all on our radar to be automated online using Flow Forma.

The simplicity of the application, that lends itself well to moving the ownership of processes away from the hands of IT and into the process owners themselves. This improves the development of a process as the owner becomes more engaged in the outcome they are trying to achieve and a closer understanding of what is entailed in process automation.

There are some limiting features around integration with mapping and GIS solutions that would be advantageous to the construction industry. These have been discussed with FlowForma and we hoping to see this integration in the roadmap for the product.

Don't think of the product as simply a solution for IT. It still needs control by IT, but the real power comes from ownership and development of processes by the business.

We are using FlowForma across the business from the simplest processes, like capturing data for car park number plate recognition systems, to more involved and detailed processes for ordering materials and plant. The main areas of benefit are around the accurate capturing of data in terms of controlled lists and the increased visibility of process timings. In particular with the ordering processes we can now track and address any bottlenecks in the process and understand the reasons behind these.

I find FlowForma a no nonsense way of constructing workflows and data gathering forms.  There is a huige amount of functionality in the system too.

One cannot update a form on the fly - having saved a change to a step or question, a new form must be kicked off to see the change.

Easy to use, having completed the initial training - company always on hand to lend advice.

We have created a series of flows to deal with employees who leave, join or move within our organisation.  It involved a series of data gathering forms, pushing these responsibilities back to the departments from the HR and IT departments.

Anyone who ever spent any time struggling against and working around some of the brick walls which InfoPath throws up will love this product.  It solves most of those and adds so much more.  We're using it in an increasing number of areas across our organisation where custom development either cannot be justified or is simply less expedient.

The support is excellent and the design team seem to be adding useful features with each revision.

**What do you dislike about FlowForma Process Automation?**

Honestly, very little.  Somewhat weighty file sizes of form instances when compared to InfoPath's xml.  Perhaps as a developer the lack of ability to get "under the hood" causes some instinctive unease but it hasn't been a real problem.

Have a look at a demo and see if it fits.

To take one example of many, we have a variety of forms which handle identity management and after some basic training all of these were designed and administered by the team responsible.  The no code platform means that their forms are always matched to their processes rather than vice versa.

Basic functionality is so simple, I can turn around a project in a matter of a couple of hours - but there is much deeper functionality available so that we can do much more complicated things and don't need to code anything.

The product could do with better reporting tools, we are finding that the tools available require a bit of setup on our part to export data so we can use other tools to generate reports and dashboards.

If you are considering any of the Process Automation systems, FlowForma offer a trial and are very helpful in getting you started.  The system is easy, built on top of SharePoint by people who know SharePoint and InfoPath inside out.  There are so many features that make it simple to get your business processes automated.

**What problems is FlowForma Process Automation solving and how is that benefiting you?**

We have implemented a number of processes - new starter forms; waiting list initiatives; finance forms - using flowforma means that there is no paper flowing around the organization, staff know where the process is up to and better control is kept of the financial implications of processes.

We love flowforma because it's very user friendly, easy to customize and make changes according to our needs.  The pricing is affordable so for a non profit organization like ours, it really helped us save a lot of manual work and increase our productivity

I wish that there is a privacy setting so that the contend for the forms are not visible to all users.   We would love to put our performance appraisal form onto flowform but because the form is visible to all users, we could not do that.

reduced manual processing of paper work, reduced risk of documentation being lost, increased productivity, approver can log on anywhere in the world and still be able to access to the work process.  Ability to download reports

The development of FlowForma has been something that's been needed for a while. The ability to take your paper forms and word/pdf documents and convert them into a digital form have created an amazing work flow like no other. An amazing feature is the ability to build our own page with linking to the forms directly. Truly worth the investment!

Aside from the cost to develop FlowForma to fit your company needs, this will pay for itself in the long run.

I like that we are able to customize any form/workflow that we create. It is a tool that any one can use with practice and tons of testing any one is able to do what they want in FlowForma.

I don't personally like that you can't really customize the layout of the questions on visual form designer. I feel like it's not as user friendly as other application that I used. The ability to just drag and drop given an allowable space to work with or to be able to put the questions above the answer box so that it looks much more sleek.

It's a great tool if you don't have access to an IT or a programmer. You can stream line any process and be able to get rid of the blind processes.

We have solve the problems of backlogs and hold ups on reviews as we can now track where the process is being held up.
We realize that we can use this product on other processes that we deal with in the Division such as maintenance request, and Field Hazard Assessment form tools.

Simple initial setup, good flow building interface, good value for money.

The 'homepage' of the app could be better laid out and utilize the Modern SharePoint platform to make the homepage more intuitive and modern looking. An option to add rules triggered when a flow completes would be of value. I would also like to have the ability to add custom buttons to steps and flows.. I'd also like a feature where if users do not have access to a flow they cannot see submitted flows in the list. At the moment they can see and click into flows they don't have access to. They will then be met with a permissions message inside the flow, but I would prefer if the just never saw the flow at all.   

**What problems is FlowForma Process Automation solving and how is that benefiting you?**

CAPEX Requests, Customer Setups and Mobile forms for non-laptop users. 

Benefits include speed of initial flow setup, improved ability to track requests, ability to interact with processes through mobile.

Custom buttons to use on Steps are available in the Add-Ons gallery. 

Finally, in regards to Flow access, there are two possible ways to achieve this: 
•	Changing the View on the list to essentially hide that entry,

How easy it is to create a form that would take a long time to make any other way with SharePoint.

Not much. Formatting on a form doesn't come through to the form document.

A lot of out forms are now paperless processes and people aren't having to walk around the organisation getting things signed off. The audit process is also improved as we can store things online in SharePoint rather than in filing cabinets.

There are some strange quirks to system which can be quite annoying. Also the user interface isn't the most beautiful thing in the world.

Ensure you get the right people to create the flows and control and use the data out the back end

Requisition system, site inspections, quality inspections to name just a few. Benefits are slick processes with good data being analysed at the back end.
