**What do you like best about Flexopus?**

I particularly appreciate the visual space selection with the beautiful digital building plans from Flexopus, as they significantly simplify orientation in the office and offer a clear mobile UX. Additionally, data protection is very important to our company, and Flexopus impresses here with GDPR-compliant hosting in a German data center with dedicated server infrastructure, instead of with an American hyperscaler. The full integration of Flexopus into Microsoft365, including the use of SSO and its own Microsoft Teams and Outlook app, makes our lives easier. The Flexopus Outlook add-in also simplifies room booking and allows for direct booking of catering services or visitors through the add-in. I find this close integration, especially with the Microsoft world, very successful. Flexopus is also significantly cheaper and offers a very fair price-performance ratio compared to other solutions.

I don't have any specific improvement suggestions at the moment.

**What problems is Flexopus solving and how is that benefiting you?**

Flexopus significantly improves our work and meeting room booking. I appreciate the clear mobile UX and the GDPR-compliant data protection. The visual representation simplifies finding workspaces, and the security of our data is ensured. This way, we can optimize our office spaces and save real money. We were able to sublet a floor and save almost 10,000 euros monthly.

**What do you like best about Flexopus?**

I use Flexopus to flexibly book my workplace or conference rooms, and I appreciate that we have also expanded it to include the fleet and e-charging parking spaces. It's nice to see at a glance which resources are still available. As an admin, preparing the floor plans is a lot of fun, and the more detailed they are, the better users can find their way around. The close exchange with Flexopus support is valuable, as you can usually implement a solution quite promptly. It's great to have a contact person who responds quickly to questions, ideas, and criticism. The initial setup with support was quite simple, and further administration is also straightforward.

**What do you dislike about Flexopus?**

The basic product seems to be comprehensive, but of course I would like to have more modules unlocked to be able to draw walls, etc., or to adjust the size of the elements.

**What problems is Flexopus solving and how is that benefiting you?**

I use Flexopus to flexibly book workspaces and conference rooms. It immediately shows me which resources are available, thus facilitating planning. Additionally, the floor plans help me with information about fire extinguishers, escape routes, and first aid.

**What do you like best about Flexopus?**

We find Flexopus very user-friendly and easy to set up. We like the good interface and the fact that it's also possible to record home office days. The app is also quite handy. The tool offers useful extra features like asset management, check-in, and reports and analytics, which we appreciate and allow us to keep track of colleagues whether they are in the office or working from home, and track our tech equipment. The check-in feature is helpful because if a colleague doesn't show up, the desk becomes available for someone else.

**What do you dislike about Flexopus?**

It would be nice to have the possibility to limit home office days so colleagues can only book, for example, a maximum of two days a week for home office, meaning they need to book a desk in the office for the other days. It would also be helpful to see which colleague doesn't have a booking for the day. This could assist in tracking how diligent colleagues are in registering home or office days in the tool and help with payroll at the end of the month.

**What problems is Flexopus solving and how is that benefiting you?**

My company uses Flexopus to book desks since we have fewer desks than people. The tool gives us the flexibility to sit in different parts of the office and with different colleagues every day. It shows the features of every desk (how many screens, standard or standing desk, etc.). It tracks who is in the office or at home, manages equipment, and provides flexibility with desk availability due to no-shows.

Further customization options for the layout and branding of the displays are desirable.

**What problems is Flexopus solving and how is that benefiting you?**

A central problem for us was the lack of transparency regarding the use of workspaces, meeting rooms, and visitor flows in a modern, flexible office. Employees often did not know which rooms or workspaces were currently available, and the reception had to manually register visitors and create badges. Additionally, the challenge was to sensibly integrate various hardware solutions into a unified platform.

Flexopus solves this problem by acting as a central software platform for workspace booking, room management, and visitor management, while seamlessly integrating different hardware such as proDVX room displays, SOLUM eInk desk-sharing displays, and ELO check-in displays with Brother badge printers.

We benefit from this primarily through increased transparency and more efficient processes in everyday office life. Employees can immediately see which rooms or workspaces are available, spontaneous bookings become easier, and visitors can register themselves. At the same time, the organizational effort for administration and reception is significantly reduced, while the office overall appears more modern and professional.

The floor plan view is super helpful because I can actually see where I'm booking, which means I don't have to just pick a random desk. It's super convenient to know who's actually in the office on a given day, so planning days with teammates is easy and there's no need for any coordination effort. It really helps make collaboration easy and saves a lot of back and forth. Also, the initial setup was very easy, and employees get automatic access because Flexopus is in sync with our HR system, great that they offer this integration.

Very user-friendly! As a hybrid team, it significantly eases the coordination of workspaces and room bookings in our office - previously, it was a back-and-forth on MS Teams, and often colleagues hadn't communicated their days.

Additionally, the support is very attentive and helpful.

At the beginning of the year, there were two design proposals to improve the mobile version. However, these were completely implemented within two/three weeks.

**What do you like best about Flexopus?**

Resources are licensed, not users. This alone distinguishes Flexopus from many other competitors and made it much more attractive for us. The young team is absolutely helpful, flexible, and quick in making adjustments. New useful features are easily added. Onboarding for new users is hardly necessary, as the system is essentially self-explanatory. Additionally, the system has all the state-of-the-art technologies important to us, allowing it to be fully integrated into our system environment. We looked at approximately 10 other competitors (some were immediately eliminated in the preliminary selection because Entra SSO was not possible) and partially tested them. Flexopus was the most economical and technically advanced system for us. Additionally, the employees are also pleasant. Therefore, 10/10

**What do you dislike about Flexopus?**

So far, there are no negative points of criticism.

**What problems is Flexopus solving and how is that benefiting you?**

There are locations that are "bursting at the seams" and therefore use desk sharing, and locations that simply want to manage a few focus rooms and conference rooms. Flexopus has enabled us to use a solution for all locations. Additionally, during the implementation, we were able to seamlessly integrate other resources as well.

It's easy to use in a self explanatory way and it can be adapted to your needs as a company.

There are a few things that could still be added but i dont see that as a negative thing.

Our office doesnt have enough space for everyone. You dont have to worry about driving to the office and not finding a place, you can just book a desk in advance or check if there is still anything availabe in the morning.

I appreciate the high usability, both for employees and for myself as an administrator. We can configure a lot ourselves (data protection, booking rules, manage floors and buildings) and always receive quick and competent support when we need something.

**What do you dislike about Flexopus?**

The only wish we as GroupWise users would have is the connection to this mail program and not just to the big American mail programs.

Flexopus has truly impressed us. The intuitive interface and user-friendly design make it incredibly easy to book desks in the office, whether in advance or on the fly. We especially appreciate the seamless integration with our existing systems, which ensures smooth daily operations.

Also worth mentioning are the excellent support and sales teams. Whenever we had questions, the support team was quick to respond and always provided clear solutions. The sales team was equally impressive, guiding us through the initial setup and ensuring that everything was tailored to our needs. Additionally, the well-structured onboarding process made it easy to get started with the platform.

**What do you dislike about Flexopus?**

As with any software, there are minor areas for improvement. For instance, the admin dashboard isn't fully optimized for mobile devices, which can be inconvenient at times. Additionally, some of the design elements in the admin area don't match the clean look of the user interface, but these are minor issues that don't hinder overall functionality.

We're impressed with Flexopus's intuitive design and reliable performance. Our team particularly appreciates how it streamlines our desk booking process, making it quick and effortless to manage our hybrid workspace. The software's stability and seamless integration with our existing systems have made it an indispensable tool for our daily operations. They even have a pretty good API for custom integrations.

**What do you dislike about Flexopus?**

There are a few minor issues. Not all features of the admin dashboard work well on phones, which can be a little annoying. Also, some of the help guides are outdated, but they have been fixed some, after communicating with support. However, these issues are no big deal and don't change how much we enjoy using the software.

Thanks to Flexopus, an office that our staff felt was a bit cramped has become a much more usable space. Moreover, in most cases our shared meeting room caused a lot of problems, with several disputes over occupancy. Since using the system, apart from a few minor misbookings, all our problems have been solved.

What I appreciate most about Flexopus is its intuitive design. The app's beautiful UI and smooth UX make it incredibly easy to use. Since Flexopus is a relatively new platform, some features are still in the experimental phase, which can occasionally lead to minor bugs or limitations. Before Flexopus, our flexible desk management was chaotic, often involving crowded Excel sheets and frequent booking conflicts. Flexopus eliminates these headaches by providing a centralized and efficient desk-sharing system. Now, booking a desk is seamless, conflicts are resolved automatically, and we no longer have to rely on cumbersome spreadsheets. When any problem occurs, you always able to solve it. There is a detailed API description, which is being supplemented continuously. Above that, they have an additional support team which will solve any questions or add features on your request. The app supports many languages, which is good for our international team.

**What do you dislike about Flexopus?**

There are small problems in design, like not matching fonts or admin's dashboard isnt fully compatible with mobile devices.
But still this is minor issues which do not negatively affect the use of the application in any way.

Our team members can work remotely or on-site, so there is no need to have a desk in the office for each employee. Desk sharing solution helps us to manage office space in the way we need.

**What do you like best about Flexopus?**

The all-in-one functionality of Flexopus, which simplifies our workplace/ workspace management. It combines desk booking, meeting room booking, parking spot and pool car booking and visitor management. 
The intuitive interface allows users to quickly find and reserve desks and more, while administrators can effortlessly manage space allocation and usage + a very easy floor plan visualization with an itnerated map editor.
With its many integrations and features, Flexopus reduces the need for multiple tools, enhancing productivity and streamlining the process of sharing workspaces in a flexible, hybrid work environment.

**What do you dislike about Flexopus?**

I would like to create own reservation types like locker, bycicle or event reservation.

**What problems is Flexopus solving and how is that benefiting you?**

Previously, we had an extra tool for meeting room bookings, Excel for desk bookings and another app for parking space reservations and a paper based visitor documentation. We now bundle all of this in Flexopus. This offers our employees great added value and is very efficient.

Flexopus makes managing shared workspaces super easy. Its simple interface lets employees book desks, parking spots, and meeting rooms without any trouble. **What do you like best about Flexopus?**

It´s simple to implement a hybrid office concept using Flexopus. We use it in our office since several years. With the groups I can control which collague can book which desk or parking spot. I can also assign permanent desk for the users. The floorplans are created quickly and can be edited directly in the tool. Also the new visitor management module helped for our company to comply better with the ISO27001 requirements. The application is integrated with our Microsoft Azure environment and the meeting rooms are synced via Microsoft Exchnage Online. The support team helped us to configure both of them, which could be done actually also by using the user manual in the help center.

**What do you like best about Flexopus?**

In my opinion it is the combination of functionality and data privacy. The platform offers a variety of useful features. Additionally, Flexopus places great emphasis on data privacy, which is crucial especially for big companies. The data, such as location maps or the booking logs of our employees, is processed in compliance with current data protection regulations. Especially that the data is stored only in Germany is important for us. There are clear options for what information is shared and what remains private. No other desk sharing tool we’ve screened had more privacy options. This transparency builds trust.

**What do you dislike about Flexopus?**

At the beginning there was a missing function. We needed a feature to report problems at the shared desks. A few weeks after we have talked to the Flexopus customer service they published the feature. That was satisfying!

**What problems is Flexopus solving and how is that benefiting you?**

With employees coming in on different days, it was challenging to know where colleagues were seated or who was in the office on a given day. Flexopus provides visibility into where team members are located, making it easier to collaborate and plan in-person meetings. And Flexopus addresses concerns around data privacy and security, which is especially important when dealing with employee information. By offering robust privacy controls and compliance with data protection regulations, Flexopus ensures that employees’ personal data is handled securely.

**What do you like best about Flexopus?**

- The design is really comfortable for my eyes, and it's even changable if you prefer a cleaner white look. 
- They have many features to use and we never had a technical problem so far.
- The application is easy to understand and to implement in your daily routine.

**What do you dislike about Flexopus?**

I there is anything to mention it's the fast change and improving. (Which is also very positive on the other hand, but still I have to keep up with them.)

**What problems is Flexopus solving and how is that benefiting you?**

It helps me selecting the space in the office, while I always know where my favourite coworkers sitting at. We can collaborate every day and have a great mood during work.

**What do you like best about Flexopus?**

The ability to see real-time availability and updates on desk assignments are very useful for our dynamic work environment.  Furthermore the Flexopus app provides useful analytics on desk usage and employee preferences. These reports are very helpful to optimse our use of (limited) office space.

**What do you dislike about Flexopus?**

I think it would be good if you could also use the tool to book other generic items, such as technological devices. Seems like adding this feature could be done easily.

**What problems is Flexopus solving and how is that benefiting you?**

We are a fully hybrid work company. Flexopus solves the problem of organizing the desk booking and meeting room booking in our shared office spaces. We definitely reduced our office costs with Flexopus, because we ensure that fewer seats are needed for our dyanmic demands.

**What do you like best about Flexopus?**

Very good design. Really easy to use, great user experience. Lot of features for admins. Also really good experience in the mobile application. I use it daily and never experienced any down time

**What do you dislike about Flexopus?**

Admin dashboard is not in the application, but I always use it from desktop.

**What problems is Flexopus solving and how is that benefiting you?**

We are working in hybrid model, so weekly couple of times we book the desks in the office it works perfectly fine.

The app is incredibly fast, and it’s super easy to make reservations in no time. The displays add a modern look to the office, which I really appreciate.

Previously, there was no light theme, but they’ve since added it.

Flexopus makes it easy for us to manage office resources efficiently. With the help of QR codes, reservations can be created in seconds.

**What do you like best about Flexopus?**

The Desk Sharing Solution?
Flexopus convinced us primarily with its fair billing model. Unlike most other providers, billing is not based on the number of users but on the number of workspaces used. Since we have significantly more employees than workspaces, this is clearly the better metric for us. Overall, Flexopus is an efficient solution for modern, hybrid work models.

So far, we are completely satisfied, so there is nothing we don't like.

Flexopus enhances efficiency, reduces unnecessary office space, and makes hybrid work more flexible and manageable.

We always receive help and answers to our questions in a timely manner. The application has a wide range of features and integrations. Creating reservations is quick, which is important, as this tool is used daily at our company. Onboarding and adoption took very little time.

**What do you dislike about Flexopus?**

We have no negative experience yet, the application provides what we need: log in, reserve a desk, leave.

Flexopus helps us to utilize our office space better which leads to reduced costs.

Flexopus allows me to manage my work habits and better organize my life at the office.

Initially, I wasn’t a fan of the colors and the dark theme, but then they added a light mode as well. Over time, though, the dark mode grew on me, and now I really like it.

We haven't encountered anything what would bother us. Although there's still quite a few features to try.

Companies with a growing employee base but a limited budget to rent space are very likely to benefit from this solution
