While HiBob excels at formal HR work like employee profile management, time-off approvals, and official new hire documentation, it cannot track detailed, multi-step operational admin workflows. Epix solves this perfectly by letting me build fully tailored workflows that match our cybersecurity team’s unique operational needs. I rely heavily on custom checklists for every new hire onboarding process, where I track every granular step including IT account activation, security monitoring tool access approval, company cybersecurity policy training, equipment handover, and post-onboarding follow-up checks. I can update task statuses in real time, ensuring no onboarding step is missed for our technical staff. Beyond onboarding, Epix’s custom tagging and priority sorting features help me organize daily HR admin work efficiently. I tag tasks by work type, urgency, and staff group, which is extremely important for coordinating shift coverage for our 24/7 security monitoring team after employee leave approvals. Unlike our old method of juggling Excel spreadsheets, chat notes, and scattered reminders, Epix provides a single centralized dashboard for all pending and ongoing tasks. The biggest downside of Epix lies in its underdeveloped reporting functionality, which creates consistent extra manual work in my daily HR and admin operations. Currently, Epix only generates basic task volume statistics with no support for flexible, custom filtering based on the personalized tags I use to organize all my workflows. I am unable to segment reports by task category, staff role, or workflow type, such as separating cybersecurity team compliance tasks from general administrative onboarding work. Since I cannot pull targeted, categorized data directly within the platform, I am forced to regularly export all raw task data and manually build customized analysis spreadsheets in Excel to prepare my weekly and monthly internal work summaries. Additionally, Epix lacks granular timeline and performance metrics that are vital for process optimization. It cannot track average task completion durations, identify workflow bottlenecks, or display workload trend changes across different months. There is also no option to save custom report templates or adjust flexible date ranges for targeted data viewing, which makes regular reporting extremely repetitive and time-consuming. Aside from reporting, the absence of bulk operation tools is another noticeable limitation. During busy peak periods with multiple overlapping tasks, such as expiring staff compliance certifications or batch new hire onboarding arrangements, I have to manually edit, tag, and update every single task individually. Our primary HR system HiBob only handles formal, official HR processes and lacks detailed task tracking, multi-step workflow management, and pending work oversight, which left all our repetitive and operational admin tasks unstructured and hard to monitor. Before using Epix, I managed new hire onboarding steps, cybersecurity compliance training reminders, employee document renewal checks, and shift coordination follow-ups through scattered notes and disjointed spreadsheets. This outdated method frequently led to disorganized workloads, overlooked admin steps, and potential scheduling gaps for our critical 24/7 security monitoring team. Epix completely resolves these pain points by centralizing all operational HR workflows in one unified platform.
