DocuBot Fleet is asset-based document management software for commercial fleet operators and trailer lessors. It automates document intake, OCR data extraction, and expiration tracking for titles, registrations, annual federal inspections, CA BIT inspections, IFTA licenses, and insurance certificates. DocuBot Fleet tracks documents at the asset level, including state-specific plate permanence rules and separate plate and registration expiration dates. Fleet operators upload registrations, titles, inspection reports, and insurance certificates in any format. DocuBot Fleet reads each document with OCR, extracts the relevant fields, validates the VIN, and matches the document to the correct asset. Documents that cannot be read with confidence route to a review queue for human correction rather than being saved incorrectly. Fleet document management is usually treated as clerical work, but the operational consequences are immediate. An expired registration takes an asset out of service. A missed annual inspection creates exposure that no amount of downstream effort recovers. Most compliance software approaches the problem from the driver side, tracking qualification files, medical cards, and licensing. Assets receive far less attention, and trailers least of all. DocuBot Fleet is built for the asset side of that problem. Expiration tracking runs against the unit rather than the driver, and license plate expiration and registration expiration are maintained as separate fields rather than being conflated. States that issue permanent or non-expiring plates are handled according to their own rules, so an asset carrying a permanent plate is not flagged as expired while its registration is tracked independently. The product serves commercial fleet operators, trailer leasing companies, and asset-owning carriers managing fifty or more titled units, typically across multiple states.
