And/or pay extra. -Each widget requires a specific base, but which base you need to use is usually figured out by trial and error (sometimes the base will allow you to pull in the information you need, sometimes it doesn't - so you have to keep trying until you find the features you need. I asked if they had a list or tutorials where I could learn more. They offered to sell me training time or I could pay extra for them to create them) -The report customization options are limited in their default reports (add or remove certain features, but that's the extent). To create your own reports... It's like travelling back in time. It kind of looks like you're editing excel from a decades ago, but there's no way to see what the fomulas are/do or where they're pulling the data from. -Support is an added expense (we received one free year; had we not had that year I doubt we'd have kept Ajera as I do not believe the software is user-friendly enough to learn on your own). And I dread how we're going to continue to use Ajera once we can only contact them a few times a year. -Search bar functions differently in different parts of ajera (eg - in some places you can search any word in a project title; some places require you search the first word; in some places you can only sort by the ID code - but you don't know which is which until you try) -Everything is an add-on feature - this is not an one-stop-solution to your needs. -Their Deltek University and Deltek Learning Zones are challenging to navigate and typically not useful. (Even on support calls I've had technicians tell me, "ah, your question is about x, so you need to search for y and then scroll down to the 8th result and click into that one"). Most of my staff gave up on using this. To be fair, most of the staff are Gen Z to old Millenial and they're not used to having to work so hard to make software work. -My bookkeeper described Ajera's accounting features as, ""This looks like it would have been a really innovative, great beta release for accounting software - 10 years ago." -When you export reports to excel, they're exported as Excel '97 files (just as an example of how the software is aging). -I believe they're working on this, but as of now you can only use Microsoft Edge and you also need to download/enable ClickOnce to function. -Assuming you can figure it out, there are many different steps required to figure out what your financial statements are saying. (In other programs you could just click on the number and see everything about it. Doesn't work that way here) -Many simple tasks in competitor programs have been made complicated by Ajera. These are the steps you have to take to recieve money on an invoice: Open client receipts> Enter Client (or choose project/enter project)> change date>select payment method> enter in notes> click the invoice/double check or adjust the amount> save. Then go to a different tab - deposits> click on new deposits> find your deposit and reenter in your notes> update the date> realize the default bank account is the wrong one and update it - then reenter the notes (it deletes your notes if you change the bank) and re-update the date (it deletes it if you change the bank)> press save. Why isn't the bank name just a field on the Client receipts? It'd be one or two extra (optional if necessary for coding) fields and then you could skip having to switch tabs and renter a bunch of other information. This is pretty indicitive of a lot of Ajera - seemingly pointless additional steps that other software programs just automate for you. **What problems is Deltek Ajera solving and how is that benefiting you?** Our invoicing needs (different percents complete on different scopes for the same client/project) is much better in Ajera than other programs we've used in the past. ### 8. It has continued to grow over the last almost 20 years to add a variety of features. Timesheet and expense entry is easy for our employees to learn. Creating numerous custom fields has allowed us to personalized our project and employee data tables. **What do you dislike about Deltek Ajera?** Additional new features frequently requested by power users don't seem to be implemented as frequently as they used to be. We use this feature a lot to turn certain lines of information different colors so they stand out, and we can easily see different patterns. The ability to add custom fields is also helpful, although it's also a Catch-22 because management feels that by adding custom fields, we can use this software for everything and anything. **What do you dislike about Deltek Ajera?** All the errors I constantly get. I can't use the browser I usually want because of the required "One-Click" add-on. Custom Fields are too easily re-sorted, just by clicking on the column. People keep doing this to sort the fields to find something, not realizing that they are actually reordering the items in the tabs. And they are NOT easy to get back into the proper order. I don't understand why columns can't be dragged to reorder...and why more than one can't be moved at once. Quick and easy updates to multiple project records? Forget it. Having to open every individual record, find the right tab, find the right field, and then waiting for it to save is a very slow and clunky process. Not sure why we can't easily add or update information through a widget screen. Overall, the software has an old feel to it, like it was created in the 80s or 90s and hasn't bothered updating or improving since. And Deltek clearly doesn't care, because over the years, we have made multiple suggestions for improving efficiency, and they never acknowledge them, let alone try to implement them. I don't believe this software even gets upgrades anymore. **What problems is Deltek Ajera solving and how is that benefiting you?** Ajera helps us keep track of hours and dollars spent on projects. The main reason why we implemented Ajera. **What do you dislike about Deltek Ajera?** Not user-friendly; too many hidden tricks for a simple task. For examples: 1. To delete a payroll report, you need to run the report 90 days out. Nobody would know this unless you use one of the support tickets to express your question and then find out the trick. 2. It is tough to undo something; when you undo it, it leaves footprints. I prefer having bank entries clean. Anything deleted should not be showing up. You find these issues in bank registers, client invoice adjustments, and expense reports. In expense reports, it is hard to reverse once accounting approves. 3. To update PCC phase descriptions. Need to go through unchecking the group billing box for the Invoice tab to change the description showing up on the invoice. Why can’t it just be one update from one place? You often don’t catch the description not being updated because the phase descriptions are showing up correctly in the Client invoice. However, in the preview, you realize you missed a step, so the descriptions weren’t updated. 4. If you try to revise invoice(s) once paid, you need to go through the unzipping and zipping technique. Since I have not mastered this technique, I often find the retainer amount gets reallocated and out of balance. 5. The software should include simple functions, but Deltek requires customers to pay for customized reports/templates. 6. Customers only get ten support tickets annually per renewal. Supports are hit or miss. Most of the ones from overseas are friendly and show more willingness to help. In-state support gives you more of a snobby vibe and doesn't make you feel they want to spend extra time with you. 7. Hours in Snapshot are rounded to the whole number. Sent a couple of requests to show the number in decimal since 0.25 and 0.50 matter for our budgeting. (apparently, this request is not being seen as “popular demand,” so it never got approved. 8. Transfer funds between bank accounts. There is an option for Bank Transfer to debit and credit both accounts. Should have an option for Electronic transfer or Check options. When an employee applies time to a job, Ajera immediately makes an entry recording the revenue, WIP, and accrued cost. I can run interim financial reports throughout the month, check our progress against the forecast for the month, compare where we are against where we're supposed to be, and make mid-course corrections if needed. On our old system, we had to wait until the middle of the following month to find out whether we had made a profit or not. We prepared invoices manually, posted them directly to revenues, and had no idea how much time was applied to the job. When we transitioned to Ajera and started tracking time to each scope item of each job, we realized how much potential revenue had been falling through the cracks. The first time I ran a financial report on Ajera I thought there was no way it could be right. It took a few months and careful study of our processes before I felt comfortable that we really were as profitable as Ajera was telling us we were. Ajera has made all the difference in the world in how we manage our firm. **What do you dislike about Deltek Ajera?** Ajera's weakest feature is a lack of fiscal stability; that is, Ajera gives the user the ability to make changes that affect prior accounting periods. In every other accounting system I've used, there has been a control that "locks" or "closes" a month when financial statements have been prepared. If changes are made to documents from a closed month, the accounting change is recorded in the current accounting period rather than the original one. Most things can be done intuitively without reading through manuals. The cloud version allows easy access for remote workers' time cards, expense reports and job cost reports (if an employee is allowed that access). The software also handles Accrual-basis and Cash-basis accounting. **What do you dislike about Deltek Ajera?** Accounting - Closing a month consists of preventing entries prior to a certain date. But certain things, like voiding a check will void it using the earliest "open" date instead of the current date. You have to pay for custom invoices and complex report formatting, unless you know (I forgot what coding language.) They have an ODBC access that is an extra, but they don't tell you that you need to know SQL to utilize fully. **What problems is Deltek Ajera solving and how is that benefiting you?** I'm not sure what problems they are working on. They refused our request for a refund of the ODBC access even though they did not disclose that SQL knowledge might/would be needed to maximize the use of that feature. They have an add-on job costing feature called PIM which has email tracking and archiving as part of the package. In order to get that feature a few years ago, you would have had to pay for the full PIM package. They recently said we can get the email feature separately, but it was 75% of the cost of the entire PIM package. Well, I guess that indicates the demand for that feature compared to other features available with PIM. ### 32. The tracking features and reporting, if used properly, make managing projects easy. Conditional formatting on widgets notifies PMs if budgets or timing are straying, just with a simple view of a dashboard or two. The integration of the program with Accounting is great too, 99% of the entries are transactional so there is very little room for error. I have used Ajera with my current and last company, no one is a bigger cheerleader for the functionality it provides. **What do you dislike about Deltek Ajera?** I would really like to see the purchase order module beefed up. having only one Approval level doesn't work for us as we have varying levels of manager approvals. The POs themselves are clunky and NOWHERE on the PO does it print the project number, unless you manually enter it in the Notes section so we still use paper POs. I also don't like when I am editing the Chart of Accounts that the rows move around on me, so I can only edit so many in a day and then I have to double-check that some accounts didn't jump around. Lately it seems that when I do filters in Vendor Invoices, I have to do them a couple times and refresh to see the data I requested, it wasn't like that before. When entering in-house expenses, I wish that the debit and credit account departments were the same. The default credit department has been flying high on profits until I started working here, it would be nice if the department on the Activity could be left blank instead of requiring a single department. Lastly, I keep hearing rumors that Ajera is going away, say it isn't so! **Recommendations to others considering Deltek Ajera:** It is a great program for both Project Managers and Accounting Oversight, you can use as many or as few of the features you wish and still get excellent output in the form of widgets or reporting. There are many ways to customize Ajera to meet the needs of staff at all levels. **What problems is Deltek Ajera solving and how is that benefiting you?** I have been with my company for a year, they have been using Ajera for 5 years incorrectly. I have fixed the chart of accounts as well as the reporting accounts for the P&L/BS in Preferences. PMs previously only entered a single contract amount, I am teaching PMs to enter projects with budgets, use tasks, dates, attachments, contacts and snapshot.
