It gives a firm one place to run its clients, deadlines, documents, client email, engagement letters, time, and billing, and it works alongside the tax preparation and bookkeeping software the firm already uses. Most small firms run on a patchwork: a client spreadsheet, a shared drive, personal inboxes, and someone's memory for deadlines. CPA Buddy replaces that patchwork without an implementation project. Firms import their client list from QuickBooks Online, CSV, or Excel, invite their team, and are working within a week, with no IT staff or consultant. What firms use it for: Client management: one record per client with contacts, engagements, documents, and email history. Incoming client email is matched to the right client automatically. Deadlines and engagements: every filing tracked as an engagement with an owner, a due date, and automatic due-date reminders, for CRA and IRS work. Workflow automation: a drag-and-drop builder with task, approval, document request, email, and webhook steps. Build a process once and assign it to every client it applies to. Document collection: secure upload links clients use without creating an account, with Pending, Partial, and Complete status on every request. Shared firm inbox: a dedicated firm email address, saved templates, and AI-drafted replies that staff review before sending. Engagement letters: reusable templates with merge fields and client e-signature, tracked from draft to signed. Timesheets and billing: weekly timesheets with manager approval, one-click invoices with a configurable GST/HST or sales tax line, and automatic receipts. Reports: a firm dashboard plus reports including A/R aging, revenue, and staff utilization. AI assistant: ask in plain language for client details, engagement status, or overdue work, and get answers to common CRA and IRS questions. It respects each user's role-based permissions. Security and data residency: a firm-wide audit trail, role-based access from owner to contractor, a recycle bin for deleted documents and emails, encryption in transit and at rest, and data residency in the USA or Canada. Staff sign in with their Google or Microsoft accounts. Every plan includes the full feature set and the iPhone, iPad, and Android apps. Plans differ by seats, client limits, and AI usage, start at $24 USD or $34 CAD per month, and include a 30-day free trial with no credit card.
