“Excellent tool, if you have the money”

What do you like best?

At our company we do a lot of events. Therefore, having an event management system was very appealing to us. Cvent is a very comprehensive suite that allows robust tracking, structured guest interaction, and follow-up in one really easy to use solution.

What do you dislike?

The price is my only complaint. If events aren't all you do (or, alternatively, if you don't have more money than you have time), you probably don't want to shell out a lot of money for this product.

Recommendations to others considering the product:

Consider a combination of free tools before settling on Cvent. Eventbrite, Google Analytics, MailChimp, and Survey Monkey is a winning combination, and I'm sure there are others as well.

“ideal for marketing ”

What do you like best?

I have not had much use for this application but its more of less designed for the marketing department, or an outsourced agency. It looks like it will provide a beneficial service to plan an event without any concerns, helping to eliminate unnecessary costs.

What do you dislike?

Events are not a mainstream cost so paying for the service may not benefit you in the long term.

Recommendations to others considering the product:

There are plenty of tools available to help you plan and market an event. This claims to help reduce costs but i believe those costs may not add up when you consider the pricing and usage of the application.

“Great Event Management Tool”

What do you like best?

Ability to compare apples to apples when selecting venues, no other tool out there has provided this for me so easily.

What do you dislike?

A little too much information on compare screen

What problems are you solving with the product? What benefits have you realized?

Time to fill out dozens of RFPs, I can do one and send to multiple hotels.

“Cvent makes CACRAO look good.”

What do you like best?

We are an organization of colleges and our members are all volunteers. In addition, the membership of our executive committee and all of our program chairs changes every year. Every year a new group of event planning novices are faced with arranging many events. Cvent helps us stay on track, ask the right questions, and invite and connect with our members in a professional way.

What do you dislike?

The only struggle is collecting membership fees by institution, but inviting individuals to events. We need a better way of tieing contacts to institutions dynamically.

What problems are you solving with the product? What benefits have you realized?

Beside the event planning features, Cvent helps us with merchant services.

“Cvent does it all”

What do you like best?

I used it the most to find event space. It has a great list with all the important details upfront. The search function is simple to find hotels, restaurants, and event spaces in cities all over the US.

What do you dislike?

Not enough photos of site properties. Many are just left with a blank image.

Recommendations to others considering the product:

It does everything. But you can just utilize specifics.

What problems are you solving with the product? What benefits have you realized?

Finding event space in unknown cities. It gives me a good layout of the area I'm researching.

“Cvent - one stop event shop! ”

What do you like best?

Overall, I like how easy it is to manage all of your different attendees types for an event, contact information, and payments. Plenty of ways to customize the user experience for your event (website, emails, additional registration questions, etc.), but also the option to copy the event if it is reoccurring. The custom reports allow for certain people in the company to receive updates on registration numbers and financial statements.

What do you dislike?

I dislike how I have to make offline payments and then manually send out a "Payment Received" email to each person.

What problems are you solving with the product? What benefits have you realized?

Plenty of benefits with this software to custom create and track all of your event information from A to Z.

“I Use It Daily!”

What do you like best?

I think I like the fact that Cvent continues to improve and change to meet current needs. I LOVE when I see an enhancement come out that addresses something on my 'wish' list!

What do you dislike?

Sometimes it seems to run a little slow and the unforeseen down times are ALWAYS at the worst possible time!

Recommendations to others considering the product:

Keep in mind that no software will have the ability to do everything you ever needed it to do. If you set your expectations fairly, you will be successful in your venture.

We move more and more of our internal customers away from a spreadsheet that handles registrations and room lists to this tool.

“Increased Efficiency and Professionalism”

What do you like best?

Cvent has given us the tools we need for our department to do much, much more than we were able to do with the previous produce we were using in less time. The bid reports that we send to stakeholders are clean and easy to review without us having to manually manipulate the data. The supplier searches are robust. The reporting allows us to report our metrics up to the executive level on a weekly basis.

What do you dislike?

I'd like to see more customization options without requiring HTML and CSS skills. Product enhancement requests are not very easy to follow.

What problems are you solving with the product? What benefits have you realized?

Providing our internal stakeholders with options to book meetings in an efficient and professional manner. Allows us to track our budget and savings. Gives us verifiable data on event spend and savings.

“A great resource for event planners!”

What do you like best?

I love all of the features that Cvent offers and they are continuously improving their product and customer service. They have 2 versions that are very useful to planners, a more modern "express" version and a more detailed and customizable standard version. They both offer lots of options. I would highly recommend using this product if you have a large scale event and need to collect registration fees or set up different registration paths.

What do you dislike?

The standard version can be very time consuming to set up, lots of pages. The express version is very limited with graphics, uploading logos, pictures, etc. I also find the event templates in the standard version look very outdated, but the express version has a more modern look to it. It also can be expensive depending on how many attendees you plan for your contract, but if you do a lot of events that collect registration fees, it is well worth the money!

Recommendations to others considering the product:

If you have a paid event, you must give this a try! It is the best software out there for accepting and managing events after I have done trials/demos of many, many other similar sites.

I utilize Cvent for mostly paid event registrations. I have used it for free events as well, but it can be costly vs. other sites. Cvent has endless benefits and is easy to use (time consuming but easy).

“Exceptional event management and conference app functionality with Cvent and CrowdCompass”

What do you like best?

Cvent is a powerful event management tool which allows me to build my own eRegistration website, including complexities such as 20+ sessions, meals and breaks, invitation-only sessions, and multi-scaled sponsorship fees.

The documentation and support is incredible. Attendees often tell me how easy their registration was, compared to other events they register for. Attendees can modify their own registrations, saving my team a ton of manual work. The built-in and customizable reporting functionality makes it a cinch to grab an accurate report at a moment's notice. Internal Information fields help me classify my attendees and the Resources functionality helps me track my many meeting rooms, both for sessions and ad-hoc meetings.

Using the included email marketing functionality allows me to target my audience via invitation lists and pre-schedule communications, as well as quickly create and send ad-hoc ones.

Lastly, the integration between Cvent and CrowdCompass conference app allows my sessions, attendees, and speakers to flow from Cvent into the app. This avoids the issue of having to set a hard cutoff date re: registration since the information flows from one system to the other.

What do you dislike?

I don't dislike anything about Cvent. I wish I had more time to delve into its powerful features. When I can't find an answer to a problem I have to solve, it is either in their incredible documentation, or it is answered or solved by a quick call to their exceptional support team.

Recommendations to others considering the product:

Powerful platform. Ensure someone on your team who is good at learning new interfaces (aka fairly "techie") is the lead on Cvent programming, otherwise, for advanced functions you might want to hire a 3rd party expert.

What problems are you solving with the product? What benefits have you realized?

The business problems Cvent solves are time, money, and reporting. It doesn't take long to program a simple event, and the upload functionality saves me many hours in programming my 60+ sessions, meals, breaks, meetings, and special events. Cvent is very cost-effective and being able to program it myself saves my group a lot of event budget money that we can instead invest in our attendees' event experience. Lastly, being able to report on attendance, session registration, and other factors helps me plan my next annual event as well as prepares me to ask for a budget based on factual data.
