We wanted a software system that integrated the accounting along with our calendar and billing software. Cosmolex fills this gap nicely. It also reminds me to bill for calendared events and for tasks that might otherwise get overlooked. I believe that CosmoLex has saved us money in the long run. There haven't been nearly as many bugs as we encountered with PCLAW and it is a very stable platform. We also like the integration of LawPay and the ease in which clients can pay their invoices that have outstanding balances or to add money to their retainer when needed. I have enjoyed the ease in which billing can be performed, as I have started billing for all work performed each week. This task now takes less than 15 minutes, and it allows clients to stay informed of everything that has occurred in their matter as well as the current status of their retainer balance. **What do you dislike about CosmoLex?** I would like some items in the user interface to be more intuitive. The interface could less cumbersome. There are several features that I believe should be included, like the ability to search the calendar for specific names or to be included in the conflict search. I would also like the ability to easily send a blanket email to all active clients. But, most of these issues are minor and can be worked around. I believe that there should be a universal search box that you could search for any name and it would provide a list of everywhere that name has been used within the system. I would like to be able to have a tab within each Contact screen, that list every matter that the Contact has been associated in the past. All of these seem to be simple features to add, that I have requested that have not been added at this point, to my knowledge. **What problems is CosmoLex solving and how is that benefiting you?** We find customer billing to be far easier. Also, the fee finder has been helpful in making sure that I have billed for all time spent in the case. While using clio, you have to have another accounting software. I used quickbooks. However, it is painful sometimes, as sometimes Clio and QuickBooks do not talk with each other and sometimes they talk too much means Clio starts to send entries twice. And then you have to spend hours to clear the accounting mess. Certainly, Clio is more advanced on the client management side. However, if you have an accounting issue, cosmolex says talk to QuickBooks and QuickBooks says that talk to cosmolex and you are stuck in limbo. It being web based makes it easy to work from anywhere. I find it to be fairly intuitive and easy to learn, and all the how-to videos are great. **What do you dislike about CosmoLex?** I find that because it is set up for different people/departments to take actions (especially when it comes to accounting) that sometimes the process isn't as streamlined as it could be. I also dislike that there are accounts that you cannot hit when making a journal entry. **Recommendations to others considering CosmoLex:** Use their migration service to migrate your data, they are very thorough and easy to work with. **What problems is CosmoLex solving and how is that benefiting you?** We found that PC Law was creating numerous accounting errors such as not logging cheques that have been printed and Trust accounts weren't able to be reconciled properly as per Law Society requirements. We are able to work with one program and have fewer errors. We also like the ability to email billing to all of our clients and see that they have received it and downloaded it. Cosmolex has a lot of helpful tools integrated to make the job easier. **What do you dislike about CosmoLex?** Cosmolex has an awesome capability of downloading your transactions from your bank account, however our bank link stopped working quite a while ago and still does not work. **What problems is CosmoLex solving and how is that benefiting you?** We use Cosmolex to do the book-keeping for our firm. So you don't have to have a software downloaded to your computer. You can login wherever you are from the internet. **What do you dislike about CosmoLex?** What I dislike about cosmolex is having to void checks if they were written out of the current month after the account has been reconciled. We can charge our credit card charge as a soft charge to client instead of having to write a check to court now. It is much quicker than our old program. It has all the information. We don't use the Client Portal, but I love that the functionality is available. **What do you dislike about CosmoLex?** It is really slow. We use it only for billing but I would not want to use for anything else due to how long it takes to input information. It is also glitchy at times. I've lost my dockets a few times, had duplicate dockets, the fee reports can be messy. **Recommendations to others considering CosmoLex:** Make sure it is fast enough for your needs and don't blindly trust the reports. **What problems is CosmoLex solving and how is that benefiting you?** Billing. The transfer was seamless and the questions that came afterward were answered in detail! Cosmolex is so easy to use! **What do you dislike about CosmoLex?** The only thing I would say I dislike is that there was a bit of miscommunication surrounding transferring data. Once you figure out where to find things, it's easy to find them. **What do you dislike about CosmoLex?** Can edit weird things but not make easy edits to things that should be easy. 10 steps to say that a cheque was returned. Have to reverse everything if you are entering something from yesterday to change the date, but can edit the cheque number without issues. Have to figure out where to find things (payment references invoice # - have to go to "activities" to search for the invoice, then go to the client to enter the payment). Weird terminology - and doesn't default to "matter owner" when entering disbursements. "Journal entries" are considered major events and not available for minor things that would be a lot easier with something like month end journal entries. If you have a client with a lot of matters, the system is always slow to do anything related to that client. **Recommendations to others considering CosmoLex:** Be aware of a steep learning curve and make sure that there are multiple people in the office that use it so someone might know the answer to "how do I find this?" "how do I do this?" and there can be collaboration. **What problems is CosmoLex solving and how is that benefiting you?** Having a system to keep track of accounting and clients. Most valuable is the fact that it employs double-entry accounting, that it integrates time entry, billing, accounting, trust accounting, financial statements, etc., into one system. It is somewhat complicated software because it has so many features. OK **Rating:** 1.5/5.0 stars **Reviewed by:** Verified User in Legal Services | Small-Business (50 or fewer emp.) **Reviewed Date:** May 11, 2022 **What do you like best about CosmoLex?** Many good features, good trust reporting. **What do you dislike about CosmoLex?** *You can't have 2 screens/functions open at once: example - can't have bank reconciliation screen open and then enter a transaction in the bank without closing the reconciliation screen. *You can't refresh reports: if you run a report and then make a change, you have to go through the whole procedure to get the report again. * You can't enter account numbers quickly - if you know the account number and enter it, Cosmolex won't recognize it even if the number is correct. You enter the account number and then it waits to find the number in a list, then you can select it. * Payables module is awful. Can't easily see or find the history of a particular payable account without going through a procedure. *Won't let you post to all accounts in the payables module (example: can't post a payable credit invoice and affect cash/bank account) * Some things are not very intuitive *Can't select multiple G/L accounts when running a report - can only select "All" or one account. **What problems is CosmoLex solving and how is that benefiting you?** Has helped us keep track of time and receivables better. **Official Response from Maleeha Ahmad:** > Thank you for sharing your feedback with us. Bookkeeper's Thoughts on CosmoLex **Rating:** 1.5/5.0 stars **Reviewed by:** Verified User in Legal Services | Small-Business (50 or fewer emp.) **Reviewed Date:** May 11, 2022 **What do you like best about CosmoLex?** It's useful not to have to enter advanced client costs 2x (once into business bank and once into billing software). **What do you dislike about CosmoLex?** 1. Report viewer is completely useless, when you zoom in, you can't scroll down to the rest of the page and if you view the report full screen you can't compare the viewed report to anything else on your screen because the viewer is taking up the whole screen, not just a tab in the browser and the viewed report is not in html and isn't interactive, 2. Bank Reconciliation feature (having to click cleared/uncleared is a pain and losing the checked, but not cleared items when you change screens is a pain, 3. No running bank balance shown on the bank transaction screen 4. If you make an error after entering a matter hard cost, you have to delete the hard cost and re-enter it, you can't just fix the item with the error such as the date 5. If you enter a hard cost on the wrong matter, you either have to unlink the expense card (which leaves a soft cost expense card on the matter that you then have to remember to go and delete) or you have to just delete the entry and re-enter it in it's entirety on the correct matter 6. Sub-accounts on accounting reports do not behave like subaccounts 7. The reports look like something printed using a 1987 dot matrix printer 8. The report filters are inadequate and don't let me filter sufficiently to get the report to show the data I need 9. You can't "copy" a check or set up a "check" template for expenses you enter every month, instead you have to set up a recurring AP bill which means you have to leave the banking screen and go to the AP screen to record the "recurring" item 10. The system calls unapplied payments "operating retainers" even though in most states in the US attorneys aren't permitted to keep trust funds in operating as a retainers 11. If you want the payments and the trust ledger to show separately on an invoice, you can't do it, the system lumps invoice transactions in with the trust transactions. **Recommendations to others considering CosmoLex:** It's a decent legal billing/bookkeeping program and the interface is well-liked by the attorneys. The billing/bookkeeping isn't top of the line, but it will get you to the financial reports your company needs, and it is comptetively priced. **What problems is CosmoLex solving and how is that benefiting you?** The main problem I solved with CosmoLex is that my attorney was willing to enter checks he wrote as well as enter his own time which was a big help. **Official Response from Maleeha Ahmad:** > Thank you for sharing your experience. It's also great at keeping track of client information if used correctly. Finally, I have to say that I really like the interface and how searchable everything is. It really makes running your practice easy. **What do you dislike about CosmoLex?** I think that the team at Cosmolex is generally quite responsive, however, if there was a way to create a macro for the banking stream that said "if you see this type of transaction, automatically take these next steps" it would be phenomenal. We did a lot of residential real estate, for example, and document registrations come right out of our bank account. They're the same price everytime, and have the same breakdown of government fees and HST - if Cosmolex could automatically recognize those transactions and post them to the correct GL from the bank stream, that would make it indispensible for real estate firms. **What problems is CosmoLex solving and how is that benefiting you?** With Cosmolex, we've solved the issue of collecting all of our client contact information, billing clients and posting payments, and posting disbursements, as well as keeping track of time all in one place. If you have an accounting background and are competent to do more sophisticated entries, the system is either unable to handle them or else it prevents you from making them. It is fine as a basic legal accounting/billing program. If you need to make General Journal entries from time to time, it can be done, but it is clear that the system is not really set up for it. On the positive side, it does prevent untrained people from messing up the system. **What problems is CosmoLex solving and how is that benefiting you?** It is easy to put in time and expenses. We capture more time using Cosmolex than before. The pre-bill function makes it easy to review and correct bills before they are sent to the client. However, unfortunately, even up to this day we never managed to incorporate all its functionality as we're constantly too busy. **What do you dislike about CosmoLex?** At this point, it is very hard to determine because we only had a very basic understanding of legal software at the time of making a purchase and since then we discovered other vendors (eg. Clio and Rocket smth) that provide similar products. Once again, not going into details but Clio does seem to offer more functionality with respect to Management functions vs. Cosmolex (but we might be wrong). This is incredibly frustrating and I have even reached out to Rick Kabra (years ago) to plead with him to add this feature, as this was literally the product I had been sold. They now have an answering service (took 6 minutes yesterday for the ANSWERING SERVICE to pick up the call and then she couldn't pronounce the name of the company correctly). I actually did get an English as first language tech support person to help me yesterday but the two prior calls were answered by foreigners whom I could not understand and one whom had loud dogs barking and the other babies crying in the background. This is frustrating. Finally, their search engine for questions is anti-intuitive and pretty much useless. Unless you get the exact right search term in, it will not take you to the correct video. There is still room for improvement with it, ie: it can only be owned by one user, would be better if it connected to a SharePoint, but otherwise it's really useful. Also the training is great. I like that its regularly so new hires can jump on when they are ready. The trust accouting aspect is really amazing, makes running your own firm way more manageable. I have worked with Clio, EsiLaw, ProLaw and PCLaw and CosmoLex is overall my favourite so far. **What do you dislike about CosmoLex?** It can be slow to load. It has very small bugs/things missing that don't really interfere with user ability, but you can just tell it's not a well-oiled machine yet. I wish it also had internal accounting system forms. The Deposit Slips are a great start, but the basic requirements for Cheque Requisitions, Trust Transfer Requests, etc are very similar from jurisdiction to jurisdiction. No program I have worked with has these integrated yet and I think this would be a huge advantage. I with the documents integration was with SharePoint instead of just OneDrive. Also there is no where to save/store receipts for business expenses in CosmoLex. So I have to create my own external system for this. I wish more user logins were included for the price. We have a receptionist who just needs to run conflict checks, nothing else, and it pains me to have to pay for an entire user fee. I wish that the price per user were broken down into how much access they have. Ie: if you could have user's that get view-only access for less $ I would really use that more. Instead I rearrange my business structure and end up doing more admin tasks as the lawyer just so that I don't have to pay for an additional user. **Recommendations to others considering CosmoLex:** If you don't want the hassle of running an external accounting system in addition to your practice management, this is the right product for you. **What problems is CosmoLex solving and how is that benefiting you?** Not having to run Quickbooks at the same time. Amazing. We have a bookkeeper who is very experienced with business bookkeeping, but not trust accounting, so she is learning and this system makes it so much easier for her to see and follow what happens with the transactions. The training and external bookkeeper login that CosmoLex provides is also amazing. Really makes a difference for small business. Not needing an external system for document storage and organization. Love that when I open a file its already setup with a folder I can save to right away. So I can't even tout that as being a positive thing right now. For the most part, it does simplify things. I like the fact that this is an online program that allows us to work by simply logging into a website. **What do you dislike about CosmoLex?** 1. First and foremost, at a minimum, when the email is forwarded into the Cosmolex system using the add in, the email should sync. We have all sorts and types of emails that are not syncing. 2. The Add in is not stable. In Microsoft Office 365, when moving between saving emails in the inbox and saving emails from sent emails, for example the add in glitches. This is not all the time. Originally I thought it was an issue of not using it consistently, but even going back and forth between these two one after another, it regularly goes down. 3. The settings on the add in make little sense. The checkboxes for active matters and for the forwarding date cannot be defaulted. 99% of the time we are dealing with emails that are associated with active matters, yet we have to click on active matters every time we want to limit the search for the matter to active matters. I'm less concerned with regard to the forwarding date, but for the most part I want to use the email date, not the “today's date”. Again, no default choice. 4. Think about the use of the active matters check box. If we have to select whether we want to use active matters only, why is that checkbox below the matters box? This is not logical. Say we have multiple inactive files associated with a name, i.e. Smith. I am going along and I type Smith, which brings up 30 files, none of which are even active. That expanded box completely covers over the active matters checkbox. I have to back out of there, get that box to disappear, click on active matters, then go back and re enter the name, and then there's only one or two to choose from. Not a logical progression, Which would all be resolved if “active matters only” was a default choice. 5. Prior software that we used actually was able to guess at what matter a particular email was associated with. I don't know what information was used for that purpose. If the add in was able to do that then this would also save quite a few steps. Email issues: 1. Lack of control over the columns of information. Lack of a “to” column. There's a column indicating where the email was “from”, but no option for a column indicating to whom the email was sent “to”. So we have no way of trying to organize the emails so we can see all the emails sent to a particular email address. I don't want to take the time to filter. That's inefficient. 2. Having a column with a subject line is almost useless. Doing business with large companies, and insurance companies in particular, a subject line is always the same because it has to include lengthy information regarding the particular file name and number. These do not include the content of the email and frankly, would make the email look completely unprofessional. Similarly, we also receive multiple emails from electronic systems, from the court for example. These always contain the same information related to the caption and index number. Again, nothing as to the content or subject matter of the email. As a result, a subject column just contains the same file name and number over and over again. It should be known that this is a standard business practice. 3. This issue can be fixed with data that is already being generated. Once an email is moved to the CosmoLex system, a timecard can be added. If instead of the subject column there was a column that maintained the information added to the “description” portion of the timecard, then this would provide specific information as to the content of the particular email that was sent. 4. We should also note another problem associated with email. When a timecard is added to an email, the date associated with the email is not transferred from the email to the timecard. That date should be defaulted to the timecard. If we spend the time saving the email to CosmoLex for a particular date, why should we then have to put the date in again when we populate the timecard? It is an added step, and I don't think you realize how difficult you have made it. Since the timecard overlays the screen, it is difficult to go back and look at the CosmoLex entry without cancelling out the time card if you forget the date. Or you have to go back to the original email, which you may have you moved on from, to try to determine what date. If I tell the outlook add in to use a particular date, then that date should be carried all the way through to the time card by default, and then I can modify it after that. 5. Not to get off on a tangent, but the same issue happens when you are adding time cards to notes. This makes no sense, and is inefficient. if I want to record a telephone conversation that I had two days ago, and I save the date on that note so that specifically indicates that the conversation happened two days ago, why when I add a time card should I have to re input the data two days ago. Again, inefficiency. Not to mention, every time you have to put in such information again, that is one more time that you could get that data point incorrect, screwing up timelines or billing entries and the like. 6. If you save a timecard, then go back in to change or insert the task code, it deletes the description **What problems is CosmoLex solving and how is that benefiting you?** This product is helping us to resolve an issue of moving from a server based system to a cloud based system. As far as practice management, when it works, this system is able to perform billing and some other tasks by simply using our phone. It always reverts to month-end as default date rather than current date. Its just a trend I have noticed that is a bit frustrating. I don't like that you can't edit the wording on a time entry at the invoice section even though there is a button to do so! I also find the billing and financial side very user-friendly and reliable. **What do you dislike about CosmoLex?** Entering dockets using the timesheet is slow and delayed. Turning on the timer takes a second (it almost seems like it glitches each time) and when posting a docket, I sometimes get an error message for no reason. When I try to repost- it always goes through the second time (but requires this additional step which is unnecessary). I was also under the impression LawPay would be a great option for us, but when reviewing LawPay's contract, found the terms to be unacceptable, so I cannot use this feature, which is unfortunate. **Recommendations to others considering CosmoLex:** Absolutely recommend getting Cosmolex's assistance with the transition to the program. Without it, I am certain I would have had tremendous difficulties ensuring the transition was smooth. **What problems is CosmoLex solving and how is that benefiting you?** We made the switch to this program to try and streamline the accounting for the firm. The program does this.
