I value the industry-grade end-to-end encryption and granular role-based access control in Cocoon Data, which are crucial for managing sensitive HR records in our law firm. These features remove nearly all GDPR compliance stress that used to consume hours of my workweek. I appreciate that every personnel file is encrypted locally before uploading, preventing unprotected data circulation and satisfying strict data protection requirements. The customizable permission tiers are outstanding; I can give lawyers and paralegals limited views, while only myself and the managing partners have full access to HR archives, enforcing GDPR’s data minimization rule. The tamper-proof audit logging feature is incredibly useful for regulatory audits, allowing me to filter and export logs quickly instead of tracking access manually. Secure external sharing, with password-locked links that block downloads, is another strong point, enabling safe collaboration with job candidates and our payroll accountant without exposing our full HR archive. Bulk file and folder sharing is extremely restrictive and inefficient for my regular HR document distribution tasks. The platform blocks generating a single share link for entire encrypted personnel folders as a safety guard against accidental mass data leaks. Every time I need to send a full batch of monthly onboarding paperwork, holiday records or terminated employee archives to our external payroll accountant, I cannot share the whole folder at once. Instead, I must select each document individually, generate separate password-protected links, then compile dozens of unique links line-by-line in an email. A typical quarterly HR document set contains 60–90 separate files, which takes me 30 to 40 minutes to process fully. It also creates risk of human error; I frequently miss one or two contracts or ID slips, leading to back-and-forth follow-up emails that slow down tax and payroll reconciliation.
