Custom fields and templates are what make it work for us. We use ClickUp mostly around compliance cycles, so when SOC 2 evidence collection comes up I can spin up a list from a template with every control, the owner, and the evidence type already mapped out. Setting that up from scratch each cycle would take a full day. Now it's a few clicks and we're tracking.
The multiple view options help more than I expected. When I'm working through evidence requests I stay in List view, but when the auditor or leadership wants a status update I flip the same data into a Gantt or Board view and it's ready. Nothing has to be rebuilt.
Docs turned out to be the piece I use most between cycles. We keep our policies and procedures there and link them straight to the relevant control tasks, so when someone needs to produce evidence for a specific control the procedure is right there instead of buried in a separate wiki.
The Slack integration is useful for a tool we don't open every day. Control owners get a reminder when something is assigned to them without needing to log in and go looking. Review collected by and hosted on G2.com.
The interface changes more than I'd like, and that's worse when you're not in it every day. I use ClickUp in bursts around audit cycles, so I'll go a few weeks without opening it and come back to find a menu moved or a setting somewhere new. Release notes exist but they don't always make it obvious what shifted in the UI, so I lose time re-orienting at the start of every cycle.
There's also too much of it for what most people need. ClickUp lets you configure almost anything, which I appreciate as the admin, but it's a problem when I'm bringing in a control owner from finance or ops who just needs to upload evidence and mark a task done. They open it and see eight view types, a sidebar four levels deep, and a dozen icons that don't apply to them. I ended up building stripped-down views for other departments because handing them the full workspace didn't work.
Performance drops off as lists get bigger. Our compliance workspace has a few years of past cycles in it and load times are noticeably slower than when we started. Archiving helps but it's something I have to remember to do.
Support has been inconsistent. Straightforward questions get answered fine, but anything involving a bug or an unusual permission setup takes several rounds before it reaches someone who can actually resolve it. Review collected by and hosted on G2.com.
