I like how the platform works out schedules, tasks, etc. The interface is also easy to the eye. It kind of surprises me a lot. It feels like I'm discovering a new feature every week. **What do you dislike about ClickUp?** I feel like automations are still some sort of work in progress. It has dropped a bit recently but for the most part, I don't yet have 100% confidence in them running correctly, so I have to go and double-check, Just in case. **What problems is ClickUp solving and how is that benefiting you?** I love to place tasks in one place and I am willing to pay for such organization. ClickUp has helped me put all my ducks in a row. Brain is a tremendous time-saver and the Super Agent are totally worth it. ### 2. The built-in dashboarding and automations make it a pretty comprehensive solution for task management and work tracking. The dashboarding is good out of the box, and the automations solve most workflow problems one might encounter. Despite a moderate initial setup, the level of customization that can be achieved makes onboarding new users very easy, especially if set up correctly. For small to medium-sized firms, I find ClickUp to be excellent. **What do you dislike about ClickUp?** I find their speed can be an issue, especially when dealing with very large datasets or task groupings. The tool's scalability is also limited, working well for organizations of around 100-200 people, but anything beyond that starts to be too much for it to handle. Additionally, ClickUp lacks a proper strategy layer, making it less scalable. It doesn't handle goal setting, roadmapping, or tying multiple projects together for long-term strategic planning very well. I can see what people are doing, but it struggles to give the big picture or assist in planning it—it's more reactive than proactive. Regarding integrations, while we stage data from the API for use in Power BI dashboards, achieving this wasn't simple. There are many other tools we'd like to integrate, but the cost-benefit is questionable at this time. Lastly, the learning curve is steep due to the high level of customization available, although once set up correctly, onboarding new users is very easy. **What problems is ClickUp solving and how is that benefiting you?** I find ClickUp works well as a central source for work and task tracking, offering good built-in dashboarding and automation. It's very flexible and customizable, solving most workflow issues I encounter. ### 3. I also very much like the automations - these are VERY useful and assist greatly in operations day-to-day. Furthermore, I really appreciate the ability to organize multiple views in one board, set multiple columns based on needs, and leverage statuses to reflect groupings (example: approved, reworked, rework needed, brief uploaded, etc). **What do you dislike about ClickUp?** This seems small, but when opening a task I really do not like that the box shown where you can add your text inputs (under the title, status, etc information and above the details/subtasks/action items buttons) is limited in space. Even when you expand to full screen, it doesn't show the full information / width if the texts exceed the set box parameters. This is very inconvenient and slows down my work quite a lot when it comes to briefing and managing tasks Another example is that you cannot set / rename the deadline column whilst mantaining the deadline feature. This is annoying as users from other channels may not realize the start / end dates of assignments and instead associate the deadline with end date (whereas deadline might speak instead to date the item needs to be handed over) **What problems is ClickUp solving and how is that benefiting you?** Clickup is solving these problems: the need to collaborate in one space (including feedbacks), transparency on requests, tracking of briefs and executions in one platform This is benefitting me by having one centralized place where I can work across multiple teams on the same task/campaign and allow for full transparency and updates without the need for external emails/follow-ups and more. ### 4. Everything. No, seriously. I've been using ClickUp for several years now, and the way I can continuously work it into my workflow is amazing. ClickUp is my task manager, of course. But pretty much all of my AI workflows involve ClickUp at some stage - my dispatcher picks tasks up from my lists to run each morning. As something goes through a pipeline, notes are added to the task. If something goes sideways (which, of course, something will), I have the information needed to fix things. If I had to cut my stack down to four tools, it would be ClickUp, Google Workspace, Slack, and Claude... and with ClickUp, I know I could cut that list down more. However, ClickUp updates flow through to Slack and email. Claude has it doing things I did not know were possible. The performance has been top-notch, support has been amazing, and the pricing, well, I'm on the free level, but with a small team (me and Claude!), I could upgrade and get access to Brain2.... **What do you dislike about ClickUp?** My biggest frustration with ClickUp, back when I was in a larger organization, was that I couldn’t enable AI for only certain seats. I wanted to limit it to specific users rather than having to give it to everyone. **What problems is ClickUp solving and how is that benefiting you?** ClickUp is the backbone of my organization. I previously used various smart tools in ClickUp and I really valued how much control I had over implementing those tools. But I have deep concerns about how current AI tools were developed, the energy they use, the environmental impact they have, and the data privacy concerns they raise. ClickUp did not need AI and I have stopped using it because of the AI integrations. **What problems is ClickUp solving and how is that benefiting you?** ClickUp centralizes my work. Rather than having five or six different checklists scattered across google docs, post-its, and notebooks, I have all of my work in one place. Rather than searching for an instruction document or a contract before returning to work on a project, I have all the information I need in the task description. ClickUp also helps me keep track of what tasks are taking up the bulk of my mental load. Even though I don't use the timekeeping feature, tags give me a visual cue of the work I'm doing. Through the task action log, I can also see which tasks I've put off over and over again, which helps me isolate the kind of work I'd like to have off of my plate when the time comes. Being able to see closed tasks gives me confidence that I'll have documentation of all the important information for a project when I close it out. ClickUp saves me time in the mornings by taking away some of the activation energy needed to start the day. Rather than beginning by reading my emails and diving into the problems or new tasks that have arisen during my time away from my computer, I go straight to ClickUp, where I've already built a to-do list for the day. I start the day off with a win, rather than feeling burdened by everything I need to do. Templates! The ability to create and use task templates in ClickUp has been a game-changer for repetitive tasks. ClickUp also helps me keep track of long-term to-do items in my personal life. Reminders to schedule my annual car inspection, send birthday cards, or plan events with my friends and family are all on my calendar, with detailed notes about what I've done in the past and what I can do in the future. There are so many fewer "oh sh!t" moments in my life. ### 6. The AI-powered tools - especially ClickUp Brain - have been a standout addition. The ability to generate task summaries, auto-fill subtasks, and ask questions about workspace data directly within the platform saves us a significant amount of time every week. The new Calendar view has also been greatly improved, making it much easier to visualise workloads across the team. The upgraded Docs experience feels more polished and collaborative, and the deeper automations with conditional logic have allowed us to reduce a lot of manual work. Overall, the pace of meaningful improvements is impressive. **What do you dislike about ClickUp?** While ClickUp Brain is a very promising feature, it can still feel inconsistent - sometimes giving vague or incomplete answers when querying task data. The mobile app, although improved, still lags behind the desktop experience in terms of speed and feature parity. Performance can occasionally slow down when working with very large lists or complex dashboards with multiple widgets. It would also be helpful to have more granular notification controls, as the current options can still lead to notification overload for some team members. Finally, onboarding new users remains a challenge given the platform's depth; a more guided, role-based onboarding flow would go a long way. **What problems is ClickUp solving and how is that benefiting you?** ClickUp is our project management tool that can help our team to streamline their workflows, improve productivity, and collaborate more effectively. Too bad you have very few of them on free version. It turned out to be a great and very efficient way to audit the project and clearly see blank spots and areas that are falling behind. **What do you dislike about ClickUp?** 1. It would be nice to have more mind map views on the free personal plan. 2. It would be great to have sup-spaces within a space. Let me explain what I mean: For me one space is one "area". Here are example of spaces that I have: my personal tasks, our family tasks (shared with my husband and our assistant), my preliminary research for starting my own business. Each of these are big projects that have a lot of sub-areas within (like for my personal space I need further division into Health, Finance, Legal, Professional, etc.). Right now I make a separate list within the Space for each of these separate fields. Then, within the list you can create tasks and later sub-tasks within tasks. It would be great if I could choose the type of entity I'm creating (list, task or subtask), because in the way I'm using it some tasks become just humongous and never finishing. This is not comfortable to use but also misleading in terms of controlling the progress on the task. And demotivating cause it makes you feel like a lazy procrastinator. 3. I couldn't figure out how to merge tasks correctly and set up relationships between tasks, but I think it's me to blame rather than some issues with the ClickUp solutions. **What problems is ClickUp solving and how is that benefiting you?** I keep all the task and communication in ClickApp, so I can find all the information in the same place and also it is accessible by the other team. It means that when I am not in the office someone else can take care of the urgent requests of my accounts. ### 8. With the introduction of AI and Agents into the platform the experience for our team began to grow frustrating as the platform would have sync issues, would be extremely slow, and the biggest pain point was our automations breaking and/or just not functioning properly. **What do you dislike about ClickUp?** There are many frustrating quirks, the worst one being the shared view, when I am searching for something on a board, that shouldn't force everyone else to only see my view. Everyone should have their own views of boards they have access to by default. I honestly never had standard operating procedures, it was all in my head. That was fine when I was a solopreneur, but once I added an assistant, I realized I need to document things, not only for him, but if I ever needed to replace him. I feel like I have more of an official business now. The information can be tailored to specific departments or personnel to make collaboration much more efficient and seamless. So, it has tremendous flexibility to solve a number of issues well beyond the scope of task management, and you will continue to find more uses for it as you develop further with the application. If you start out tackling specific problems and then expand, it is easy to get started, but I have seen people go too big too soon and overwhelm personnel. **What do you dislike about ClickUp?** The thing most people struggle with is there are often multiple ways to tackle a problem using the software, so flexibility is a bit of a double-edged sword, and it does take some time to get your head around having different views and having some info on some screen but not on others based on how it is set up. Speed-wise, the software is sufficient, but any additional speed would be appreciated. **What problems is ClickUp solving and how is that benefiting you?** We try to keep everything inside of ClipUp, and having the flexibility to take on just about anything means that it has almost become the operating system of the business. ### 14. this is probably the most important tool at my work **Rating:** 4.0/5.0 stars **Reviewed by:** Ben A. | owner, Small-Business (50 or fewer emp.) **Reviewed Date:** April 11, 2023 **What do you like best about ClickUp?** clickup continues to iterate on the product and consider user-submitted feedback in their roadmap, which is great. the wiki and document hubs are pretty extensive. **What do you dislike about ClickUp?** unfortunately, the AI tools in clickup feel pretty underwhelming. it seems that roadmap features related to simple automations have been slowed in favor of prioritizing AI related automations. however, most ai automation tools dont seem to work well yet. automations are still powerful, but they lack some features that seem important. guest access is also a very lacking feature, as there is no way to share guest access at a high level without sharing underlying data (we tried to use this for customer dashboards, and it simply cant work well) **What problems is ClickUp solving and how is that benefiting you?** i would be lost without clickup. it is used to manage my company's social media calendar, task management, team management, meeting notes, crm, inventory, bugs and contact forms, and much more ### 15. I like that it's easy to move projects around to various stages, comment and assign tasks to other users. It's easy to keep track of projects in a single location. This application has been a game-changer for my agency. We tried other project management systems but this one is the one that stuck and has increased our productivity. One thing that's great is that it make it easy for new agency team members to see past projects, activity logs, etc. so onboarding is easy. **What do you dislike about ClickUp?** I've never been able to get the gmail integration to work correctly, consistently. It is very glitchy. I've also never figured out how to use the "documents" functionality fluidly in the system. This might be user error, however, as I need to spend more time researching. There is a lot of functionality in the system that we are not using. The training videos are great but I wish there had been an onboarding consultant to help us really maximize our use! **What problems is ClickUp solving and how is that benefiting you?** We are successfully managing all client projects within ClickUp. We have decreased email traffic by more than 80% as we all communicate within the app and it keeps all of the versions, comments, etc. in one place. As the owner of the agency, it's been fantastic to be able to go into any project and see clear details on the status and view the team's notes. We've been using the system for about 4 months now and the improvements in productivity have been amazing - and we've only scratched the surface. We tried other platforms and they didn't "stick." This one has been easy to use and it would be hard to get us to change. ### 16. The user experience could be improved in certain areas. Since it’s a tool built for organization, I believe it would benefit from being even more intuitive and easier to customize.
