**What do you like best about Circula?**

What I like best is how easy and quick it is to submit expenses. I take a photo of the receipt, and the text recognition automatically captures almost all relevant data such as date, vendor, and amount. The process is clearly structured, and I usually just have to confirm and click through. For my field service routine, this is a real relief because I can handle receipts immediately and the reimbursement process runs smoothly afterwards.

**What do you dislike about Circula?**

Actually, there is little that I don't like. Only with very crumpled or faded receipts do I sometimes have to manually add a detail. But that rarely happens and is not a real problem for me.

**What problems is Circula solving and how is that benefiting you?**

Circula solves the problem for me that expenses in the field often get lost quickly or accumulate when you're on the go a lot. In the past, I had to keep receipts, transfer them later, and fill everything out manually. With Circula, I can capture every receipt directly on the go, and the app automatically takes over the most important information. This way, I don't lose anything anymore, save time, and get my expenses reimbursed much faster.

The interface is easy to use, so even a new employee who hasn’t worked at any other organization can pick it up quickly. The history feature is also helpful for seeing where a submitted expense is stuck and how long it typically takes to complete each approval milestone.

There’s no mobile app, so I have to enter each expense on the desktop version. That also means I need to transfer receipts from one device to another every time, which is inconvenient.

**What do you like best about Circula?**

Well, any reimbursement platform is meant to make our lives easier, and Circula has potential. The app is user-friendly and it’s great that it can be accessed both via mobile and browser. It works well for the areas handled directly by my company, such as reimbursements for travel expenses or training courses.

**What do you dislike about Circula?**

Many simple but effective features are missing, such as the ability to edit or delete rejected submissions. Instead, users are forced to redo everything from scratch, which is inefficient and frustrating.

The part handled directly by Circula (benefits) is quite disappointing. Reviews of invoices usually take around a week on average, yet users are given only two days after the end of the month to submit. This often turns the last week into a guessing game - we never know which submissions might be rejected, leaving no time to resubmit before the deadline.

There are also frequent small mistakes that require users to follow up by email (for example, a meal was once rejected because it included a ginger beer soda; they read "beer" and rejected without thinking, even though my company reimburses one non-alcoholic beverage per meal). Calculation errors also occur, and if they’re not flagged quickly, the figures are consolidated and reimbursement is lost, even when the error originated with Circula.

However, the main issue is inconsistency and lack of accountability. Items that had been always accepted, for years, were suddenly rejected without prior notice. When questioned, Circula’s justification was that previous approvals were “few exceptions” , which suggests either a long-standing misinterpretation of their own policies or an unannounced tightening of them.

Overall, Circula’s lack of simple tools, slow processing times, and inconsistent handling of claims make the reimbursement process unnecessarily time-consuming and frustrating. The system has potential but needs significant improvement in usability, transparency, and customer support responsiveness.

**What problems is Circula solving and how is that benefiting you?**

While it doesn’t exactly solve problems (and at times even introduces new ones),  I find it useful for organizing and documenting invoices, as well as sharing them with my company. However, when it comes to the features managed directly by Circula, I haven’t found them particularly helpful for my own needs. I think the real advantage is for our HR and accounting departments, since they no longer need to manually gather and process all the receipts themselves.

**What do you like best about Circula?**

It is very easy to create travel expenses with it. Everything is very clear. Of course, you have to test it first with the support team, who will then process it, to make sure you do everything correctly, or take a good look at it yourself. But a very simple tool. The payout and processing with this software is also faster.

**What do you dislike about Circula?**

So far, I am not aware of anything here. The only thing I would suggest is to adjust the view in the mobile app a bit. In the "Multiple Destinations" section under "Travel," it is not immediately clear when the date query applies. At the top, you enter the start date and the first destination, followed by a grayed-out field, and then there is another query for the next destination followed by the associated date query, followed by the query for the travel end date. I would suggest that the date queries remain consistent. In other words, always have the date followed by the location, and at the end, the end date query. This would make it simpler and more organized.

Faster processing of travel expenses. Previously, it had to be solved laboriously with Excel spreadsheets, which were then printed and sent by mail to the service team that processed them. These were then scanned, processed on the PC, and printed again and sent to the next department by mail. With this app, all of that is now eliminated.

I like the beautiful user interface of Circula and the ease of use. I particularly appreciate the email notifications that show me the current status of the travel expense reimbursement, whether it is rejected, accepted, or in another status. The history view is also very useful as it shows all reimbursed expenses in a clear graphical representation sorted by date, and the status is always displayed.

Sometimes I wish for a view of a map where you can possibly see how the route was calculated. Additionally, a function that subtracts the kilometers I need to get to my workplace would be great.

I can record all my expenses on the run and be done with it...it's super simple, it's intuitive, you can do it all via App or additionally via Browser App...what can I say....if I could wish for an App, this is what I would want to have. 
My favourite feature is, that I can upload pdfs from my phone into the App (like airdrop) or send pdfs to an Email address. Either you allocate it to a journey right away or later....
Disclaimer: used it to track expenses for 2 weeks. No long term experience or backoffice experience, but so far it's a discussion between 9 or 10 out of 10 points.

**What do you dislike about Circula?**

Hard to think of anything....if there is any criticism at all then I'd say you have to run through a set of process steps whilst adding an expense. As all steps are prefilled anyhow, they could be all listed and confirmed or adapted in a single overview step, which would reduce clicking even further. 

I find it confusing, that each expense has a title/reason as well as an allocation to a journey. So if you travel to a workshop and your journey is called workshop, the title/reason for the travel expense has to be stated anyway...so you name it "workshop" as well, like the journey. Did you get it? Yeah....found it confusing, too. I guess it's a regulatory necessity.

It saves us from using Excel and typing in everything manually, splitting things up manually to allocate and charge expenses to different clients....as we can now do it all via app on the run, super simple, it saves hours of nerve recking effort every month. We save time and have less stress.

What I like most about Circula is how intuitive and easy it is to use — especially compared to traditional expense management systems I've worked with before. Submitting expenses, handling travel reimbursements, and managing allowances all feel smooth and well-structured. The app simplifies the entire process. I simply scanned my receipt that I got from the hotel and put in the dates of my trip and that was pretty much it. Everything else was done "automatically". All in all it took me about 5 minutes even though it was my first time using Circula.
