Centime has dramatically improved the level of automation for both our Accounts Payable (AP) and Accounts Receivable (AR) processes. Accounts Payable (AP): Implementing Centime's AP automation solution has transformed the way we manage our invoice-to-pay process. As a small nonprofit organization, we were able to replace time-consuming, paper-based workflows with a connected, digital process that has significantly improved efficiency, accuracy, and visibility across our AP operations. Before implementation, invoices were manually routed for approvals or managed by disconnected committees, making it difficult to track their status and often resulting in delays and unnecessary administrative work. Today, invoices are captured, routed, approved, and processed through automated workflows, giving our team real-time visibility into every stage of the process while reducing manual effort and improving turnaround times. Additionally, we are able to pay via check, eletronically via ACH and/or a connected virtual card. Accounts Receivable (AR): Centime's AR automation solution has also transformed the way we manage our order-to-cash process. By replacing manual, spreadsheet-driven tasks with connected digital workflows, we've been able to accelerate collections, improve cash flow visibility, and create a better experience for both our team and our members. To give some context: our annual membership dues process previously took 6–8 months to complete. From mailing paper invoices, following up with one-off emails and phone calls, to tracking payments and completing the associated bookkeeping, our process now takes approximately one month from start to finish. The time savings and operational efficiency have been remarkable. Overall, the implementation process was smooth, and the Centime team was responsive, knowledgeable, and supportive throughout. Before implementing Centime, many of our AP & AR processes and workflows were manual and paper-based. Invoices were processed by hand, approvals required physical signatures or email chains, and it was difficult to track the status of payments or maintain a clear audit trail. Membership Dues were tracked via excel, overdue payments were chased via phone calls and one-off emails. These processes were time-consuming, prone to delays, and increased the risk of errors. Centime has helped us streamline and automate these workflows by digitizing invoice processing, centralizing approvals, and providing better visibility into our cash flow and outstanding payables. It has provided a seamlessly order-to-cash process for collecting annual membership dues. As a result, we've significantly reduced the amount of manual work, improved accuracy, accelerated our approval / collections processes, and given our team more time to focus on higher-value activities instead of administrative tasks. Centime’s UI is very easy to understand and navigate. It took my team less than a week to learn the platform and get comfortable with how it works. The integration with Centime has also been seamless. For example, we have 16 entities under our parent company, and Centime has been able to integrate 6 entities so far. We’re now testing the remaining 10 entities, and the connection to Sandbox has been great. Overall performance has been strong. We haven’t run into any sync issues that became major hurdles to overcome, although we don’t expect perfection. From a pricing/ROI standpoint, Centime has been worth it so far. Their pricing has been very competitive compared to other AP automation platforms. Since they are embedded in NetSuite, that was a tremendous deal for us because NetSuite is our ERP system, and it has made things a lot easier. Support and onboarding have been phenomenal. The team has been extremely supportive and attentive to our needs and questions, so kudos to them. The AI intelligence is also great—my team has reported that over the last three weeks, the AI has been able to capture and remember coding, which is excellent. I highly recommend Centime. We struggled with not being able to see which entity we were working in, since our setup is structured by individual entities rather than being consolidated. The integration with NetSuite is quick and efficient. I also like that there’s a manual button to sync to NS if you don’t want to wait for the hourly sync, which is really useful. Centime’s CS team responds quickly to new tickets. That said, follow-up times can vary, and that inconsistency can be frustrating. The user interface is straightforward and easy to use for both the Accounting team and approvers. Uploading new invoices to Centime is very simple, and they show up in the dashboard within about a minute. There has been a learning curve with using Centime, especially when it comes to PO invoices and three-way matching. Because we’re billed in a different UOM than what’s in NS, we have to manually update certain items in Centime rather than having the process be fully automated. One area where Centime could improve is deeper integration with NetSuite, specifically around vendor data synchronization. While Centime is helpful for managing AP workflows, it would add significant value if vendor information collected during onboarding could automatically flow back into NetSuite to create or update vendor records. Currently, some vendor setup still requires manual entry, which creates duplicate work and additional steps for the AP team. Enhancing the integration to allow vendor master data, banking details, and profile updates to sync between systems would improve efficiency, reduce the risk of errors, and make the overall workflow more seamless. Before using Centime, our AP process required more manual tracking across multiple areas, including vendor payments, approvals, and cash flow visibility. Centime has helped centralize our AP workflow, making it easier to manage outstanding payables, prioritize payments, and maintain better control over the process. The platform has improved efficiency by reducing manual steps, providing clearer visibility into payment status, and helping the team stay organized as transaction volume grows. We process hundreds of lease payments each month that need to be printed and mailed a few days before the 1st, but for our accounting software the checks still have to be dated on the 1st. Occasionally, the resources we work closely with may have availability challenges, but I also see this as a positive because the firm is nimble and efficient and does not grow staff in the same “old school” manner.
