  ### 1. Very customizable but implementation takes way longer than you expect (IT Admin perspective)

**What do you like best about CareVoyant?**

As our agency's IT Administrator, I am in CareVoyant most of the day between CV Hosting/Cloud/"Back Office"/"Main Application", CV Web/Clinical, & CV Mobile because we are still working through configuration & issues.

We went live for 1 line of business in June 2025 & our other in Aug 2025. CareVoyant is very customizable which is great for our very diverse branches & unique business operations. Previously we needed an EMR for each branch which was a pain keeping 2 patient charts for shared patients. We have some overlap between our branches, but each line of business operates very differently (different services, payor sources, billing requirements, payroll policies, etc.). After a lot of configuration, we were able meet almost all of our needs (we are still configuring things).

Support normally responds very timely. Even if it's just an update letting us know it's been seen & is being worked on & normally doesn't close tickets without a confirmation from the user that their response fixed our issue. So far, I have been very impressed about how they listen to & how quickly they implement enhancement requests! It's in a matter of weeks or months which is amazing compared to our previous EMRs which would take years or never.

Our agency covers 10 counties in our rural community so spotty cellular service something we deal with a lot, so we love the Offline Mode option that is the exact same as the live/online site/app.

One of the huge benefits of CareVoyant is that each agency gets a training/test environment at the beginning to test features & train staff & you keep the Test Environment after your Go Live to test new internal process changes, test new system features, or train new staff without affecting your live Production Environment. This allows us to provide hands on training to new staff, fix gaps in new processes, & adjust processes for new features without impacting our live data.

**What do you dislike about CareVoyant?**

Because CareVoyant is so customizable, implementation took way longer than expected & we were not given a realistic timeline. We had coordinated termination of our previous EMRs & were not able to push our term dates back so we couldn't push our Go Live back as far as we needed to which caused us to go live with our 1st branch when the system was not fully configured. Due to all the extra work to configure the system, we did not have enough time to create or customize provided guides or train our staff as fully as we needed to which caused a lot of additional confusion as our key implementation team was focusing on fixing critical setup & figuring out what was a training/education issue & what was a system issue. As we ran into things that needed to be configured, we also didn't have the time to internally decide if we need it customized or if we should adjust our process. We started implementation 5 months ago, we've been live for 3 months, & are still finding & fixing configuration issues. All that being said, I do truly believe this switch was worth going through this very VERY rocky implementation, so if you need an EMR that is very customizable, I do recommend CareVoyant but give yourself longer than you think your need or that CV says you need to give your agency enough time to properly configure, test, & train before your go live.

We have had issues with support fixing incorrectly due to support assuming things & making changes without confirming or a change being made incorrectly because a setup change was only done in some areas of the system but not all. When you contact support, be very clear about what you need & if you want them to confirm understanding before they make changes. I'm our agency's IT Admin so as I'm getting more comfortable with the system settings & the steps that need completed, we're doing more changes in house & our support tickets are becoming more geared towards "how do I do this" instead of "please do this for us" which is also reducing those types of misunderstandings & issues.

CareVoyant is in the process of moving their system from the old CV Hosting/Cloud/"Back Office"/"Main Application" system into the new CV Web & CV Mobile system so the system is still very clunky & segregated which makes it not very user friendly, but they have most things moved into the CV Web/Mobile & will start working on simplifying & combining screens once everything is in the web so the user experience will be drastically improving as features are moved.

**What problems is CareVoyant solving and how is that benefiting you?**

Because of all the customization abilities:
*We are able to move 2 of our branches into 1 EMR under their own Facility.
*We are able to fit our unique business needs (services, billing, payroll, etc.).

Because we were able to implement 1 EMR for 2 of our 3 lines of business:
*We don't have to keep 2 patient charts for shared patients.
*Our care coordination has been streamlined & improved for all of our patients but especially for shared patients.

Because we have Offline Mode is the same as the live / Online Mode:
*Our field staff have minimal interruption in poor cellular areas in our rural community.
*Our field & office staff don't require continued education on how to uses a backup/offline version of the system for poor service areas or outages in the field or office.

Disclaimer: Ease of use as of this date is not so great (hence the 4), but as they continue to move from their old CV Hosting/Cloud system, the user interface & user experience will continue to improve.

**What do you like best about CareVoyant?**

CV Web - CV Web is user-friendly and we really like how CareVoyant listens to customer suggestions for improving functionality - one of the recent great features is excel.csv and .pdf print capabilities in the Schedule Manager module.  Thank you!

**What do you dislike about CareVoyant?**

Customer Support response time and resolution has improved - Thank you!

**What problems is CareVoyant solving and how is that benefiting you?**

Payroll: Daylight Savings Time (DST) - they are working on a resolution for the proper calculation of hours worked and proper overtime calculation on the DST day for the overnight schedules that fall on the DST day.

The billing function for when a client has 2 insurance plans: we submit a claim to the primary insurance - primary covers a portion of the claim, the CV system does not adjust the amount so that the remaining portion is adjusted on the claim and sent to the secondary insurance company.

**What do you like best about CareVoyant?**

I love how easy it is to use Carevoyant. Both from a nursing perspective, and from a clinical supervisor perspective. I teach how to chart on Carevoyant for new hires. They are able to quickly comprehend how to use Carevoyant. Very simple to chart accurately, and thoroughly. 

I love how Carevoyant has a someone answer any questions in a very timely manner via email. The turnaround is very quick. 

I love the layout of Carevoyant. But above all else, I love how easy it is to use. I feel like even though we are dealing with difficult subject matter, it is easy to comprehend, and to teach.

**What do you dislike about CareVoyant?**

It would be helpful if medicines would be alphabetized on Careplans when completing a POC/485. Currently meds only display in the order they were put in. 

It would be helpful if we could do everything on the web version and not have to rely on BackOffice.

**What problems is CareVoyant solving and how is that benefiting you?**

The problems CV is solving is getting rid of the BackOffice and fully integrating the internet version.

Support services are knowledgable and patient with learners.

**What do you dislike about CareVoyant?**

It doesn't learn. I find myself inputting the same information over and over on patients I see frequently. Can I make patient specific templates?  
Medication list needs constant updating to remain current and inputting custom meds, adding additional doctors and generating census are ponderous. Maybe I just didn't absorb the training but these are my challenges. 

I use CV daily and constantly for assessments and skilled nursing visits.

**What problems is CareVoyant solving and how is that benefiting you?**

I want an EMR system that is able to span the length and breadth of private duty home health. IV services, complex wound care, anatomically accurate charting, ventilator settings and flow sheets, more room for narratives when applicable. 247 skilled nursing cases require near chronological documentation. Make it more intuitive, more carry over from previous documents. Easier to fix mistakes in the orders and medication sections. Check boxes that are just a skosh bigger and therefore easier to hit with the cursor. Easier to add physicians and medications that aren't preloaded. It seems built from accounting to the field instead of from the field to accounting. Incident reports for specific types of incidents: Theft, fall with/without injury, physical assault by patient, animal bites, vehicular accidents, ect.. Please. Other than that it's perfect.

CareVoyant has the ability to default information from prior documentation so you don't have to input the same information repeatedly. I like that Carevoyant is innovative and constantly updating as things are changing in the industry. Small and close knit group with a lot of knowledge. All requests are taken into careful consideration.

**What do you dislike about CareVoyant?**

Reporting is my least favorite part of CV as we like to have the ability to customize and create reports that are most tailored to our needs. For example, our control wants a specific looking report for AR and we have not yet been able to produce that for them. This document would also be used for reporting and auditing. Sometimes there are too many buttons to click to get to a simple task.

**What problems is CareVoyant solving and how is that benefiting you?**

Carevoyant has allowed me to automate quite a few parts of my job and I hope to be able to continue to do that as things eval.

**What do you like best about CareVoyant?**

I really enjoy the favorites widget on the dashboard. It makes my job more effiecient so I am not wasting time searching the many options that do not apply to my day to day tasks. The electronic forms editor is also becomming a favorite of mine, as it makes it easier for our team to go digital in regards to forms and obtaining client signatures.

**What do you dislike about CareVoyant?**

I find it hard to pinpoint something I dislike about CareVoyant, I only began using it about a month ago. i have noticed some of the newer options implemented  in CareVoyant tend to have some quirks and can be a bit confusing. However, speaking with their support staff about these issues always results in growth opportunites,  mostly for myself, but they also get to see where things might need to be improved.

CareVoyant helps our agency maintain records and compliance in the digital age. The tools and options  available through CareVoyant are allowing our team a digital option that helps protect client health information and  also obtain signatures at point of care with clients, in addition to schedule managment for our employees.

**What do you like best about CareVoyant?**

First and foremost, the customer service.  They spent a week with us at our office assisting with the implementation back in 2012 - it was smooth.  They've been peppered with all sorts of requests and questions since that time and have never failed to offer the absolute best results.  I understand that every practice and provider type is different, but for our purposes as a Prescribed Pediatric Extended Care (PPEC) center, I think it's perfect for our billing.

From scheduling, to charge/payment creation/posting, to preparing my electronic claims, as well as the configuration and customization and the slew of reporting options; it's incredibly easy to use and maintain.  I understand that I've selected the "User" option, even though I would also classify as the "Administrator", but I wanted to pick that option to illustrate my familiarity with utilizing CareVoyant on a daily basis.

I've been using it for 12 years and 3 months thus far.  Please, give me another 20-25 years and then we can all retire.

**What do you dislike about CareVoyant?**

What do I dislike about CareVoyant?  Honestly?  Up until this point, not a thing.  Not a single thing.  I'm willing to take a lower increase on my salary as a means of being able to continue using this program for billing.

That said, if you're looking for an answer, I'm just not a big fan of reviews.  Nothing personal.

**What problems is CareVoyant solving and how is that benefiting you?**

I've seen the alternative programs that my ownership group has considered switching to.  While some aspects of it may be fancy, it creates far too many problems, has far too many hands involved in it, and their customer support (and support responsiveness) is absolutely horrendous.  Also, their UI is kind of obnoxius.

CareVoyant has given me, someone with really no background in Medical Billing, the ability to learn over the years and become a Managing Employee.  CareVoyant has given me a career.  Each year I continue to learn new things about the software to continuously make my job easier which enables me to handle a greater work load.

I like that there is one patient record for multiple lines of  business.
I really appreciate the support staff.  They are very helpful and always patient and friendly.

**What do you dislike about CareVoyant?**

Sometimes the upgrades can be challening.

**Recommendations to others considering CareVoyant:**

There is a lot of setup with CareVoyant.  Taking time to make sure you have everything set up properly will be worth it.

Having good patient records that are easily able to give information when needed.  Being able to bill timely.

I love the fact that they are very responsive to individual client needs and encourage feedback for support and development ideas.

There is nothing that I dislike about CareVoyant.

Electronic forms is big. This will help us create a "one stop shop" within CV and decrease or eliminate the need to use other applications for the patient life cycle. 
I'm interested in the family portal as well. This is another big area.

Real time documentation is an evidenced based critical function of providing proper care to every patient, Carevoyant facilitates this function with ease.

As with any software available on a countless number of devices issues can arise, however the support response is quick and effective. We have implemented Carevoyant as our primary softawre and our staff use it daily with no negitive feedback.

**What do you like best about CareVoyant?**

Carevoyant has been our billing solution for over 15 years, and has become our standardized EMR for the last 5. As the VP of technology for my organization I appreciate the following aspects of Carevoyant.
#1 - A robust billing hierarchy which you can rely on to generate accurate billing based on any number of complex payer specific requirements. For our organization this includes commercial, workers compensation, private pay, state waiver programs, Medicaid, no fault, government funders and liens. 
#2 – Carevoyants’ efficient workflows have been able to support our organizations service line growth, and has proven experience in with organizations that provide a full continuum of care. Our organization has expanded from primarily census-based lines of care,  to now having lines of service that encompass Home and Community, Outpatient, short term in patient, our long term supported living. Carevoyant has been supportive at each growth opportunity we have encountered.  
#3 – Carevoyant is more than just a software company, I feel they are a partner in our organizational workflow success, and have proven to be a reliable partner who values their customers. They are also backed by a knowledgeable support team who is ready to assist when simple or complex issues are encountered. 
#4 – They are focused on improving and enhancing their user interfaces to ensure efficient information capture.
#5 - Direct integration of GL transactions into our organizations Dynamics GL solution.

**What do you dislike about CareVoyant?**

Carevoyant's provides a good number of canned reports, but relies on SSRS. This can be limiting if you are used to a reporting tool that allows you to do custom data exports, and drill downs. They are able to overcome this by providing access to SSMS, but this would out of the scope of most reporting users technical abilities.

Carevoyant's flexible security options can make managing security more challenging than other solutions on the market.

Accurate billing for an organization that provides a full continuum of care, and accurate documententation workflows for each line of service

**What do you like best about CareVoyant?**

We were able to build our own forms and customize the system to our needs.  While not perfect, it is usable.

**What do you dislike about CareVoyant?**

The support team can be very untimely, we have had to wait weeks and sometimes months to fix problems or implement new products.  The system is clunky to use, especially for Doctors and nurses, it is not intuitive and doesn't give all information needed, for example there are no pediatric growth charts.  The tools we do use for CareVoyant on a regular basis are being phased out and no longer supported.

**What problems is CareVoyant solving and how is that benefiting you?**

Currently they are helping me solve a problem with a report that runs on a weekly basis.  This will make it so that I do not have to read every note done to find one specific piece of information, thus making the process more efficient.

It has been super easy from day 1. Requesting a demo to signing up and then to getting our company set up on using CareVoyant has been a breeze. Every single employee that we have came in contact with has been very help in answering our questions or getting us in contact to who can help us.

We have been using the software for scheduling since 2019. We have recently started implementing it for EVV and electronic documentation in the home setting. The software has been very customizable to meet our specific pediatric needs. The team quickly responds to support tickets and redesigns or adds features to meet our needs.

Frequently, kinks must be worked out when changes or upgrades are completed, but I feel this may be the same with any software company. When brought to the team, they quickly take it to develop to find a workable solution.

I would love to be able to make the font bigger. I got a new laptop and the font is so small and it doesn't matter if I drag it over to 2nd screen, remains the smallest ever. I have it set to 175% and it is still small.

The CareVoyant team is very responsive to our needs. Support replies quickly and handles the issues until they are resolved. They take suggestions seriously and implement them whenever possible.
With their user conferences, we were able to meet and get to know the CareVoyant team. That helps when we have an issue because they know us and our operations.

Set up can be complicated and if not done correctly can cause problems downstream. For home health field staff,  it is not the most streamlined system in the market but is very good overall. We have a unique business line and this software was the best available with the capability to meet all of our needs.

Carevoyant allows multiple admissions (one for each payer) within One Patient Medical Record. All of its components including intake, scheduling, clinical, Document management, Reports (automated reporting can be set up to receive reports as needed or desired), KPI Dashboards, EVV, billing, payroll etc are very well designed to maximize workflow. It has great support and development teams, they help within minutes, and they are always open to suggestions for enhancements.
Other software may "appear" to be easier to use but they end up being more tedious in the end (from self-experience) because they lack the tools needed to be a top-of-the-line Agency!

I don't dislike any part of the software. The most difficult part was the initial setup but support is always available within minutes.

I work in the finance department with my company, and we use this program to enter data, notes, produce claims, and record transactions.  It is beneficial to have everything in the same program.  I also like the fact that if a function/program is not working well for us, we can contact CareVoyant, and they can help figure out the solution and tweak that program to something that will work for us.

**What do you dislike about CareVoyant?**

I don't particularly appreciate how the system will open several windows to display your information.  For example, I will need to preview the patient's profile on one screen but open another screen to see their schedule and another screen to see their transactions.  The pop-up windows are enormous, so it is hard to see everything that I am working on at once.  We use the Inquiring screen a lot, and with the most recent update, it is not very user-friendly.  There is a lot of information in there that I don't need to see.  Making it hard to focus on the important figures that I am working on.

Program is very useful in every department of our business.

My department produces the charges for each claim and prints the claims off to be mailed out.  We also have to gather the therapy notes and oversee if the therapy has notes attached to all of their scheduled appointments.  Our company just recently started to use the scheduling function for our therapist and this has become very helpful for the billing department.  I can look to see if a patient is still coming or if they have been discharge.  Before we were using a totally different system for the therapist to enter notes and we have to manual input all of the charges.  By having everything on the same program, the charges are generate themselves and we just double check them.

We are using CareVoyant at our organization for our Private Duty Nursing service line for nearly 1,000 nurses and over 2,500 shift/week. Features we love in the software is CareVoyant's shiny web-based solution  that has exactly what we were looking for scheduling, tie-in between schedule and authorization, advanced real-time monitoring capabilities, their flow sheets, integrated eMAR and eTAR, alerts, EVV/Mobile clock's w/GPS validation & tracking, and opportunity with integration of other service lines.  Also the personnel at CareVoyant are fantastic to work with, and every issue and idea we’ve had has been listened to, thought through, addressed either through training, work-arounds, enhancements CV has added, or planned future enhancements to the program.

**What do you dislike about CareVoyant?**

We had to develop our own training material and due to the size of our organization we had a lot of build that could not be avoided.  The software could be a more user-friendly for our billing & payment staff.

**What problems is CareVoyant solving and how is that benefiting you?**

Examples of how this software has made our company more successful are many, but here a re a few:
•	When we were hit with COVID we were able to work from home flawlessly utilizing CareVoyant. That would not have been possible without it.
•	Improved scheduling efficiency, can’t schedule over the hours authorized as schedules are integrated with Authorizations and billing to ensure compliance
•	We heavily use the shortcuts to employee/patient logs for quick access to document issues & concerns.
•	Usage of the Real-Time schedule monitor to verify the nurse is where they should be in real-time w/missed clocks, GPS and EVV validation.  Immediate follow-through to clients and nurses as needed.
•	We now have time-clock accuracy with a virtual elimination of paper timesheets.  Nurses can’t clock in w/o a schedule - authorization more accurate as everything is now real-time.
•	We have reduced our costs w/built-in mileage (no fudging!)
•	Standardized Head-to-Toe assessment with integrated eMAR and eTAR, forms & flowsheets
•	Viewing nursing documentation in real-time – no more pickup/delivery and filing of paperwork and finding out 30 days too late that charting was incomplete.
•	Customized validations and hard stops
•	Ability to create a PDFs for faxing our nursing documentation for authorization renewals and audits.
•	Family Portal, Employee Portals are being utilized.

CareVoyant is very customizable and a robust option to address unique service lines. My agency has been able to integrate specialty program content into CareVoyant's highly customizable care plan and create very specific care plans for private care clients.  Their EVV works very well and has been been readily adopted and utilized by even the most technologically challenged caregivers.

Right now,  there is not a good offline functionality,  so if a field clinician cannot get a good internet connection,  they have to wait to document their care until they have a good connection.

**What problems is CareVoyant solving and how is that benefiting you?**

Before CareVoyant,  we did not have a product that could meet all of our needs.  Specifically,  we needed a robust scheduling functionality for our private duty service, a reliable EVV option,  an electronic care plan for private duty that could be revised in real time, and solid home health software that helps meet Medicare's ever- changing requirements.

**What do you like best about CareVoyant?**

Our agency has been on CareVoyant since 2017.   Since we have both the Home Health and Private Duty service lines, it has been difficult to find a software company that is capable in both.  We do some unique things with our Private Duty side and CareVoyant is nimble to handle those changes.
They work hard to keep up with the new regulations with Medicare and most of time beat other software companies in delivering compliant software.
They also work hard to keep their software relevant and are reinvesting to the latest software technology.
Pasu, the owner is very hands on and personable.  From time to time, I call his cell phone when I  need his assistance.  He is there to work out issues and doesn't hide when challenges inevitably arise.
Every year they have a annual users conference. When we attend, it feels like family and we look forward to interacting with the support team, developers and other CareVoyant agencies.

Sometimes known fixes or enhancements do not happen quickly enough.   They regularly update their software  to make those adjustments.  After being in the business for 25 years, I do realize these challenges are with every software partner.

If you do PD and Home Health, there should be part of your overall search

**What problems is CareVoyant solving and how is that benefiting you?**

Our agency has been State survey deficiency free for the last 11 years.  They worked hard to add enhancements so we can capture the necessary documentation that the surveyors are looking for. They also developed tools for PDGM so we can integrate with SHP, OPERA and other disease management programs. They also assisted us in encouraging better interdisciplinary  communication in our documentation.

The system is so incredible and we truly use it to the fullest capacity for our line of business. We are able to manage pour authorizations and certifications much from timely and with accuracy. We can track referral sources and able to track lost admissions whit is a huge marketing tool and reeducation for us.   The Fee Schedule Function is so beneficial to the Home and Community line of business as well as the payroll from the web..  The best part is I'm still learning how much the system offers.

Scheduling is fairly straightforward and it is easy to move things around.

**What do you like best about CareVoyant?**

I like that Carevoyant provides a better way when it comes to having our Direct Support Professionals document what types of services they provided to the customers in a timely manner, as opposed to writing documentation on paper. This is also beneficial when it comes to customer specific trainings as their social history, rights restrictions, categories, facesheets, crisis plans, safety plans, etc are at the fingertips of all of the employees that are in new hire, or if a refresher is needed. Another pro to Carevoyant would be, if there are any contraindications with medications as they will be flagged and red. Another upside to CareVoyant would be that we could better track our authorizations for customers as Direct Support Professionals would not be allowed to document without a current authorization.  I believe that Carevoyant would improve out quality of care as well as our quality of documentations.

**What do you dislike about CareVoyant?**

When it comes to dislikes in Carevoyant, one thing that could be improved on would be little glitches and options where anyone could delete your work out of the system. I also believe that we should all have access to therapist and psychiatry notes if our customers attend these appointments within our company so that we can better serve our customers in case a Team Lead or Service Coordinator is unable to attend, Anything else that is glitched within the system is an IT situation within the company.

**Recommendations to others considering CareVoyant:**

Pay attention to any and all trainings as it is very beneficial.

As stated in what I liked about CareVoyant, I like that we can track out authorizations, track contraindications on our medicaiton lists, and have clearer/completed documentation from our Direct Support Professionals. 

I also think that we can get our billing in on time as corrections are easier to do via CareVoyant as opposed to having paper documentation.

I'm new to the role and seems complicated.  I wish it were a little simpler to use as having so many options seems intimidating.

**What do you like best about CareVoyant?**

I first rolled out the system with another agency back in 2012, then implemented the software again last year with my current company.  I'm pleased to say it's only gotten better.  Web scheduling, Electronic Visit Verification, Clinical documentation, cloud support ... all these things and more make it a very strong match for our needs.

**What do you dislike about CareVoyant?**

The software's complexity and flexibility require that agencies commit to significant training and implementation planning to achieve a successful rollout.  The investment is well worth the time though.

**Recommendations to others considering CareVoyant:**

Very much recommended for agencies looking for a highly configurable solution.

We are moving from processes that were mostly paper-based and manual.  CareVoyant has helped us automate and streamline many of our workflows and save steps that were previously tedious and time-consuming.  Billing, eligibility verification, payroll processing ... these are just some of the areas that now take minutes instead of days.

**What do you like best about CareVoyant?**

CareVoyant has great customer service. They are flexible, easy to talk to and have helped us in so many ways. Their new browser model is also amazing. While the new platform is still being fully developed, what they have released is user friendly and looks good.

**What do you dislike about CareVoyant?**

The older version of the system can be clunky and a little more difficult to navigate. However, their transition to using a browser is fixing that issue.

**Recommendations to others considering CareVoyant:**

CareVoyant is great program for anyone looking to set up multiple service branches within their company. Even if you only provide one service type, they are great to work with. They are well established in the Home Health world and have a great billing set up. For years, our company used the program only for those two things. We have recently started moving forward with more clinical abilities for mental health services. CareVoyant has worked with us every step of the way. They provide us with suggestions, training, and create enhancements based on our requests.

**What problems is CareVoyant solving and how is that benefiting you?**

Our company is unique. Meaning that we have multiple lines of business and not all of our services are "conventional." CareVoyant has worked with us every step of the way. They are willing to train us, add new features and make edits to current features when possible.
