  ### 5. Ease

**Rating:** 4.5/5.0 stars

**Reviewed by:** Luis T. | Data management, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 24, 2025

**What do you like best about Building Engines?**

The connection between the modules and the different configurations you can have, as well as the user experience

**What do you dislike about Building Engines?**

Some function improvements are missing to make it more complete

**What problems is Building Engines solving and how is that benefiting you?**

There are some problems with the mobile application, such as the tenant profile not allowing the creation of visit records and also not being able to reserve resources. Some functions are missing as improvements, for example; being able to upload the operating budget and link it to purchase orders, create a purchase authorization rule, and configure blocking settings in resource reservation.

These functions would greatly help to complement the platform.

  ### 6. It's convenient

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Management Consulting | Mid-Market (51-1000 emp.)

**Reviewed Date:** November 25, 2024

**What do you like best about Building Engines?**

It's user friendly. A convenient way for tenants to request building services and an easy way for management to charge as needed and keep track of work done. The website is easy to navigate and it's aesthetically pleasing. Tenants have found it very easy to navigate, once they become familiar. Though certain features offer limited customization, the tenants understand and are pleased with the system overall.

**What do you dislike about Building Engines?**

I can't customize features for tenants individually the way they & I'd like to. It would be great to be able to customize the permissions & notifications for each tenant to their liking, without interfering with others using the same permission type, or notification.

**What problems is Building Engines solving and how is that benefiting you?**

It's easy for me to keep track of tenant requests and charge them accordingly. It also allows me to see what type of services are requested and how long it takes for the work to get done, which helps me decide how to prioritize the requests. Dispatching to the proper department is simple, allowing me to prioritize my own responsibilities. I can see the progress as the request is updated by the assignee, so I never have to reach out to anyone for follow up. The communications are clear and concise. The ease of use is optimal.

Building Engines helps streamline the entire workflow for managing service requests, maintenance tasks, and facility-related issues. It centralizes all work orders, making it easier to track, assign, and follow up on tasks. This reduces delays, improves response time, and ensures nothing gets missed. It also provides better visibility into ongoing work, which helps with planning, reporting, and overall efficiency. As a result, it enhances team coordination and supports smoother daily operations.

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Commercial Real Estate | Enterprise (> 1000 emp.)

**Reviewed Date:** July 28, 2025

**What do you like best about Building Engines?**

Building Engines platform is user friendly and easy to navigate. As Property Associate responsible for maintaining insurance compliance Building Engines platform gives an at a glance approach to stay on top of upcoming expiring policies.

**What do you dislike about Building Engines?**

I would like to be copied on automatic emails sent to tenants and vendors requesting updated certificate of insurance.

**What problems is Building Engines solving and how is that benefiting you?**

Building Engines tackles several critical challenges in property management through its comprehensive platform:
Issue Management & Documentation
Building Engines provides a structured system to document tenant issues from initial report through resolution, creating an auditable trail of all communications and actions. This visibility into recurring problems enables our team to identify patterns and address root causes rather than just symptoms, ultimately reducing maintenance costs and improving tenant satisfaction.
Inspection & Preventive Maintenance
The platform's automated scheduling capabilities ensure critical inspections (weekly, monthly, and yearly) are never missed through customizable reminders and workflows. This proactive approach helps us catch potential issues before they become costly emergencies and ensures regulatory compliance across all properties.
Document Management
Building Engines centralizes critical documentation including tenant and vendor insurance certificates, maintenance records, and compliance paperwork. This eliminates the chaos of searching through physical files or disconnected digital storage systems, reducing administrative time and minimizing compliance risks.
Tenant Communication
The platform streamlines tenant interactions by providing a single channel for work order submission, status updates, and resolution confirmation. This transparency builds trust while reducing the time our team spends on follow-up communications.
Vendor Management
Building Engines enables efficient coordination with service providers through automated work order assignments, performance tracking, and follow-up protocols. This accountability improves vendor responsiveness and work quality while simplifying payment processing.
The centralization of these functions in one platform has transformed our operations by eliminating data silos, reducing administrative overhead, and providing actionable analytics that drive continuous improvement in our property management practices.

  ### 12. An unmatched experience for over 17 years!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Salvatore D. | Director Of Property Management, Mid-Market (51-1000 emp.)

**Reviewed Date:** August 08, 2025

**What do you like best about Building Engines?**

The ability to quickly look up information at the property and portfolio level is second to none. After 15 years with BE, we are now on Prism, the next generation of BE, and are loving the updated interface. The ability to quickly drill down on work orders, a property's information, and now contracts, is a game-changer.

**What do you dislike about Building Engines?**

Prism could have a better Tenant Landing page. I miss the Building Connect feature from the classic version.

**What problems is Building Engines solving and how is that benefiting you?**

Our ability to track work orders and contracts. The benefit of me being able to look at the portfolio and drill down on issues is time saving and extremely beneficial.

  ### 14. CityCentre Mgmt. G2 Review

**Rating:** 5.0/5.0 stars

**Reviewed by:** Bailey E. | Assistant Property Manager, Commercial Real Estate, Mid-Market (51-1000 emp.)

**Reviewed Date:** February 07, 2024

**What do you like best about Building Engines?**

I love that I can adjust the notification settings for individual or a group of buildings or members of mgmt. It allows you to notify specific people of work orders, status updates, comments, etc. Additionally, it allows the administrators to streamline many standard business practices within or integrated into 1 platform. Our team has Building Engines open 24/7, and until recently monitored it constantly to assign new work orders. I have since increased our efficiency by setting auto-assign policies for work orders based on the issue type, building, property site, and overall responsibility which has changed our game tremendously! It's also incredibly user friendly across the board, and their team provides training materials to assist with navigating the system and submitting work orders for tenants and team members. Their team is very supportive and engaging with their customers, providing system notifications and opportunities to strengthen skills associated with the system. The system also integrates easily with other systems, such as COI Compliance Tracking through MyCOI, and batch billing in AP systems. Implementing the work order system was smooth and organized, with the ability to import data from existing files, etc.

**What do you dislike about Building Engines?**

It's difficuly to pinpoint a specific attribute I don't like about Building Engines. The only thing I think can be approved upon is the ability to disable a company in the system regardless of the completion status of assosicated work orders.

**What problems is Building Engines solving and how is that benefiting you?**

It can be hard to manage communication & keep track when it occurs across multiple platforms such as email, phone, text message, in person, etc. Building Engines has created a platform that allows tenants to communicate a variety of things through work order submission, which tracks the progress of the issue from start to finish, provides updates directly to the tenant who issued the work order + team in charge of the property, and helps with tenant communication overload when it comes to reporting things to our team.

  ### 16. Centralized Storage Made Easy, But Needs More Capacity

**Rating:** 4.5/5.0 stars

**Reviewed by:** Nicole A. | Property Associate, Enterprise (> 1000 emp.)

**Reviewed Date:** October 21, 2025

**What do you like best about Building Engines?**

Most tasks, files and information able to be stored in one spot.

Would like to be able to have more tasks, files and information stored so it can be more of a one stop platform.

Able to make mass changes to current properties under my portfolio.

**What problems is Building Engines solving and how is that benefiting you?**

Not any currently, but did help to align files and per property.

  ### 17. Prism Has Streamlined Our Entire Operations & Workflow

**Rating:** 5.0/5.0 stars

**Reviewed by:** Brandon P. | Area Manager, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 17, 2025

**What do you like best about Building Engines?**

We use Prism across several of our properties — 600 Congress, Foundry I & II, and Procore Tower — and it’s made a noticeable difference in how smoothly we handle daily operations. From submitting and tracking work orders to communicating with tenants, it really helps us stay organized and efficient.

One of the things I appreciate most is how intuitive the interface is. Whether I’m assigning a task to our team or checking in on an open issue, it only takes a few clicks. We’ve also had a lot fewer miscommunications with tenants since using Prism because everything’s documented and easy to reference later.

It’s also great being able to access it from anywhere — whether I’m onsite or at another location, I can jump in and get what I need done quickly. Overall, Prism has helped our team stay on top of things across multiple properties without letting anything fall through the cracks.

**What do you dislike about Building Engines?**

I can't think of anything, honestly. I also haven't encountered any issues where I've had to reach out to support.

**What problems is Building Engines solving and how is that benefiting you?**

Building Engines is solving a few key problems for us — and it's made a big impact.

The biggest one is communication. Before using Prism, keeping tenants informed and closing the loop on work orders across multiple properties like 600 Congress and Foundry I & II was time-consuming and inconsistent. Now, everything is centralized — tenants submit requests directly through the platform, we can track responses and updates in real time, and there’s a clear paper trail for everything. That alone has improved tenant satisfaction and reduced back-and-forth.

It’s also helping us manage teams and vendors more efficiently. Tasks don’t get lost in texts or emails anymore — everyone sees what needs to be done, by when, and who’s responsible.

**What do you dislike about Building Engines?**

In the Resource Reservation area, I wish we could reserve a conference room for multiple days at a time. If you need to reserve a room for a week, you'd have to do multiple reservations. It would save time to be able to add the multiple dates.

**What problems is Building Engines solving and how is that benefiting you?**

Building Engines solve our work orders, tenant documentation, conference room reservations and visitors checking in with security with an ease.

  ### 20. Building Engines is a decent, user friendly platform for facilities engineers.

**Rating:** 4.0/5.0 stars

**Reviewed by:** Christopher M. | Facility Safety Engineer, Enterprise (> 1000 emp.)

**Reviewed Date:** September 23, 2025

**What do you like best about Building Engines?**

The Building Engines dashboard provides a user friendly way for engineers to keep track of tasks that are assigned to them as well as new requests that may come in throughout the day.

**What do you dislike about Building Engines?**

Everyday engineers having access to all sites instead of only their own tends to lead to issues with a couple wrong clicks of a button or two.

**What problems is Building Engines solving and how is that benefiting you?**

There is an issue where a single user has the ability to change the status of over 5,000 PM's or WO's with an accidental click or two of a button. I was told that this is in the works to be fixed.

I like that the platform can help manage my marketing for the property. Such as palm trees need to be changed (color-wise) monthly, and I can put in the entire years worth of tasks into Prism so I don't forget or easily assign it to the right person.I appreciate that the platform helps me manage the property's marketing. For example, palm trees need to be changed in color monthly, and I can input an entire year's worth of tasks into Prism. This way, I won't forget any responsibilities and can easily assign them to the appropriate person.

**Reviewed Date:** May 19, 2025

**What do you like best about Building Engines?**

It is very easy to submit requests and work order tickets, and you can leave comments on the thread to communicate with the necessary building staff. I have had issues importing visitors before and the customer support is very quick and responsive. I use this app every day, as we are a busy office, and it has never given issue.

**Reviewed by:** Eileen D. | Property Administrator, Small-Business (50 or fewer emp.)

**Reviewed Date:** February 12, 2025

**What do you like best about Building Engines?**

The most helpful thing about Building Engines is the reporting. The system is able to capture and organize information atuomatically which benefits our departments for billing and audits. I enjoy how easy the software is to use. The tranisition for the tenants on Prism was seemless and we have received great feedback on the change. Our tenants and security department use Prism daily and any issues for users has been successfully troubleshooted by the support team. The support has been such an amazing tool for myself and the tenants.

**What do you dislike about Building Engines?**

The downside to building engines is that there are still some customizations that I would like to see particularly on the billing side. I would like to be able to pick all information that is displayed on invoices.
PM setups i find very intimidating. Our property still has not completed PM setup and i wish it had a more user friendly template to start the process.

**What problems is Building Engines solving and how is that benefiting you?**

Mass Communication was an issue that Building engines was able to solve instantly. The communications board has been a great tool for Amenity Advertisement, Realtor showing notifications, & Building Protocol posts. Being able to pick the audience is great and this year the communications has been a great help with notifying users.

**Reviewed Date:** June 02, 2025

**What do you like best about Building Engines?**

I appreciate PRISM's capability to help the management team monitor certificate of insurance and contract expirations. The inspection feature is also valuable, allowing us to assign and easily track specific tasks for our team members.

**What do you dislike about Building Engines?**

Setting up group profiles presents some challenges due to the time required to analyze each group, establish work order routing, and configure notification settings. Our team has struggled with receiving an overwhelming number of work order notifications generated by comments. Identifying the proper adjustment for this issue requires considerable investigation.

  ### 36. User Friendly

**Rating:** 5.0/5.0 stars

**Reviewed by:** Holly P. | Tenant Services Coordinator, Small-Business (50 or fewer emp.)

**Reviewed Date:** February 14, 2025

**What do you like best about Building Engines?**

Building Engines is very user-friendly. I like the simplicity of the website, while it still offers some back-end programming options to customize your experience. There are a lot of user-guides, and support replies quickly to any questions/concerns.

**What do you dislike about Building Engines?**

There are a few minor programming functions that could make the system even better. For example, a notification to Property Management when a tenant uploads a COI. Without this notification, managers need to constantly check each tenant for uploads. With the other notifications on the site, it seems like that could be an easy thing to add.

**What problems is Building Engines solving and how is that benefiting you?**

Tenant's enter maintenance requests, and the appropriate parties are notified immediately. Both tenants and the management team are able to update comments/view status. It's very helpful that way.

  ### 37. Prism is a very user friendly app. Improving at every update.

**What do you dislike about Building Engines?**

I would like Prism to be more than a work order system. Possibly house branch data for review.

It is a great bridge between management, engineers, vendors, and tenants. The Work Order's system is spot on.

**What do you dislike about Building Engines?**

I dislike how complicated it is the change a permission for users. I also dislike certain aspects of the COI's, like not being able to delete a insurance requirement even if its listed twice.

**What problems is Building Engines solving and how is that benefiting you?**

Work orders make is super easy for tenants to instantly get the attention of management in order for us to send out janitorial or engineering. I also like how i can use it so store COIs.

**Reviewed by:** Verified User in Security and Investigations | Small-Business (50 or fewer emp.)

**Reviewed Date:** February 03, 2025

**What do you like best about Building Engines?**

Prism has been a welcome update to the Building Engines system. It's intuitive and user friendly, making training a breeze for new users. Everything we access on a day to day basis from work orders to amenities schedules is all in one place. The auto-assign feature is great because it allows for ease of work order input without having to determine who to send a work order to, which is helpful for shifts that don't have frequent contact with the rest of the building staff. Prism is an integral part of our daily operations and essential for communication across the building team.

**What do you dislike about Building Engines?**

Filtering work orders can be tricky. It would be helpful if it were easier to limit results by assignee with multiple completion statuses so that it would omit 'closed' items. If there is a way to do this I haven't been able to figure it out.

Ease of communication across shifts, access management for tenants and vendors, ease of workload assignment
