Bookinglayer: Built for Retreats and Experience Led Hospitality Who It&#39;s For Bookinglayer is built for hospitality businesses that offer activities alongside accommodation. Considered the best booking software for retreat centers. Yoga retreats, wellness programs, and multi day transformational retreats all share the same reality: a guest is booking a schedule of sessions, meals, and sometimes travel, tied to a group and a date range, not just a room. Generic hotel booking software has no concept of this, so retreat centers end up managing activities, waivers, and dietary information in separate spreadsheets and email threads, reconciled by hand every week. Surf camps and surf resorts are the second core audience, and where the platform&#39;s roots come from. A surf camp sells accommodation plus lessons, board rent, and transfers, with lesson capacity tied to instructor availability and skill level. A booking system built for hotel rooms has no way to represent this, so operators typically run a second system for lessons and manually cross-check it against the accommodation calendar. This goes for any outdoor and adventure operator too: Kite surf, Ski Resorts, Sports camps. The third audience is boutique and wellness properties offering more than a room: a hotel with a spa and daily classes, a wellness resort with treatment packages, an eco lodge with guided excursions. The room is one component of the product, not the product itself, and these operators are underserved by both hotel software, which has no activity logic, and activity tools, which have no serious accommodation logic. Beyond these three groups, Bookinglayer supports experience based hospitality across more than 40 niches and 85 countries, including wilderness expedition operators, adventure travel companies, and lodges combining accommodation with organized activities. It is not built for a standard hotel with no activities, or a rental manager with no experience component. Those businesses are better served by simpler, single purpose tools, and that distinction is part of what keeps Bookinglayer focused on the operators it actually serves well. What separates Bookinglayer from a property management system is exactly this combination. A PMS handles room types and rates competently but has no meaningful way to schedule activities, collect waivers, or bundle a room with a set of inclusions. A standalone activity booking tool handles scheduling well but has no serious accommodation logic behind it. Bookinglayer carries both, combined into one Package rather than two systems an operator has to keep in sync manually. Built Around the Package Every booking is structured around the Package, a combination of accommodation, activities, meals, and services sold as one offering. A Package can be a fixed date group retreat with capped spots, a flexible hotel-style stay with add-ons, or a structured weekly program like a surf week with fixed inclusions. All three are built from the same underlying inventory: Room Types, Activities, Services, Items, and Transfers, combined through the Package Builder. This means a guest books the whole experience in one transaction instead of five separate ones, which is where most of the admin time savings and the increase in average booking value come from. The Four Core Features Booking Engine: the customer facing side, built to use the operator&#39;s own domain, branding, and look and feel, so guests never land on a separate, unfamiliar checkout page. Guests book accommodation and activities together in a short flow, a few clicks rather than a long form, which keeps drop outs low since every extra step in a checkout is a chance for a guest to abandon the booking. Because it stays visually consistent with the site guests are already browsing, it builds trust and professionalism at the exact moment they&#39;re deciding whether to hand over payment details. Every booking made here is a direct booking, with no third party marketplace involved. Customer Portal: where guests manage their own booking after it&#39;s made: confirming details, paying balances, completing online check in, signing Waivers, and adjusting activities, all without emailing the operator. This is where most of the manual follow-up work before arrival happens, since dietary needs, health information, and emergency contacts arrive tied directly to the guest&#39;s booking rather than through email. Backoffice: the central management area where staff configure inventory, manage bookings, and access reporting according to their role. The Dashboard tracks revenue, occupancy, and sales; Occupancy Reports and Custom Reports go further, with scheduled delivery by email. Because every module draws on the same booking and guest data, information entered once, like a dietary requirement, reaches every relevant team member automatically. Payments: built around how these businesses actually get paid: a deposit at booking, a balance closer to arrival. Deposit schedules and balance reminders run automatically, and more than 35 supported payment gateways with multi-currency processing mean guests can pay in their own currency while the operator&#39;s accounting stays consistent. Where a booking price changes after an invoice is closed, a Credit Note reflects the adjustment without a manual correction. Together, these four run as one connected system rather than separate modules that happen to share a login. A dietary requirement submitted through the Customer Portal reaches the kitchen through the Backoffice automatically. A payment made through the Booking Engine or the Portal updates the guest&#39;s invoice and the operator&#39;s revenue reporting at the same time. This is the specific mechanism behind the admin hours saved: eliminating the manual transfer of information between systems that were never built to share it. No Commission Bookings made through the operator&#39;s own Booking Engine carry no commission, compared to the 15 to 20% typically charged by marketplace channels. Full control over pricing, bundling, and packaging comes with it, since there&#39;s no marketplace template to work within. Designed for surf camp : services + accomodation

**What do you dislike about Bookinglayer?**

Difficult to do the year updates (prices, new packages) as it's a lot of things to combine and little tips to integrate and from one year to another you forget.  That's why the support is useful (the human one especially).

Also the first set up is complicated and I think the best would be to have one person dedicated to it that you can interact to ask question "live" or ask for something specific if necessary

Difficult for my accountant to get some answers in french...

Good overview of the business : 
- bookings,
- planning of the room, 
- options  (but I would like to see the option in one place, by arrival dates like meals/yoga/shuttle...)

**What do you like best about Bookinglayer?**

We were looking for a platform that could help us sell and manage accommodations, packages, and activities all in one place. Most solutions out there focus on just one area—either accommodation, activities, or tours—but Bookinglayer does it all.

Its flexibility and excellent customer support made the implementation and integration process smooth and straightforward. Once your products are set up, taking bookings through the booking engine or manually entering them in the Backoffice is quick and intuitive.

The level of customization available is impressive, which is especially valuable when working with travel trade partners. Bookinglayer truly gives you the tools to tailor your offering to your business needs.

**What do you dislike about Bookinglayer?**

You may need time learning all the options and parameters. But once you've learned, you'll love it!

The main area that would need improvement is pricing. Configuring accommodation rates for each pax in each guest group is a lot of work and leaves room for error. The need to enter prices including taxes is also a little annoying. But it's not a deal breaker.

Before Bookinglayer, we had to use two different platforms to manage Accommodations and Activities. And selling and managing packages was complicated and time consuming. 
Now we can sell and manage all of our products on one platform.

Flexible and powerful. I love that they listen to their user base feedback and implement requested features. Great customer support.

Some minor technical glitches in the backend. Also, cannot refund a transaction directly from the backend, we have to log in to Stripe (this is a step back from the platform we used previously)

**What do you like best about Bookinglayer?**

The support team is responsive. The client facing front end can be configured extensively. You can sell rooms, packages, services and combine them into your specific offerings. The calendar is easy. The automated messaging is flexible and configurable. So many things I appreciate about this platform.

**What do you dislike about Bookinglayer?**

The only downside I see, and it is a small thing in light of all the great features, is the 2 way integration with other calendars. You have to use one app to achieve that. I would have preferred a more flexible approach, such as Zapier, or more popular calender apps.

I can see who is arriving when, who is here for which yoga session, for which meal. It automates travel reminders and payment reminders.

**What do you like best about Bookinglayer?**

The platform is easy to use. Once you get the basics you can create packages and products and give them your own look and style . For us, it has been an enormous game-changer as we are able to automate time-consuming admin and booking confirmations etc. 
We are not very good with computers and i think that thanks to bookinglayer we have been able to creat a more professional business set up with a lot of ease for our guests to booking their holiday with us. It has given our business a boost as well as we have time for other things. Promotion and running the daily operation of the business.

It is a platform set up to cater for different businesses. Therefor it does not always have the exact solution that would be best for us. after all It is not a tailor made platform for our business alone.  However, the bookinglayer team is always helpful in trying to come up with a solution that works for us and with tips how to use the different features of the platform.

The booking layer is the only booking system that could work for our complex offer. 
Finding it and adapting to our needs was a game changer in the company's operation.
Our daily operations are so much easier with a direct booking system and waiting lists.
We use it every day and now we cannot live without it!
Creating new offers and implementing them in our offer is super easy! 

What we love about it is that is constantly growing, adding new features that we need or we ask for. 
Customer support is excellent, helping us solve problems in a matter of hours.
The road map of the product is exciting and we are looking forward for all the coming features and integrations.

As it's still developing, some integrations could be better, but so far we cannot complain.

We started with booking layer as one of the first. In general we are happy with booking layer. Of course, as with any system, there are advantages and disadvantages to it: 
Some advantages are: 
* Good customer management 
* Good overviews with regards to the bookings 
* Email templates to quickly answer your customers and save time 
* Really clear booking form and procedure, changed this year to meet the newest internet hypes etc. 
* Lots of options for payments and good control of payments 
* Allows you lots of detailed info about how your bookings are going compared to previous seasons. 
* Keeps being updated to the newest standards and is always developed further to meet the newest trends. (can also be a disadvantage of course as relatively frequent changes are made) 
* The owner is very helpful if there is a problem or if you are not happy with something, need a tailored solution etc. and tries to think with all of us to find the best solutions for us all.

**What do you dislike about Bookinglayer?**

* It is a product for many camps, therefore not everything might be the way you would do it if you would buy/make your own bookingssystem and there might be a few features which are not interesting to you (we, for instance, do not use the option to also plan the surflessons with it but still do that by hand, so have no experience with that). At the same time it might not be possible to implement some solutions which are important for you or the focus will be on something else at the time since you are the only one asking for it. 
As I said, for us bookinglayer works well, and it was definitely a good choice to start working with it.
We are happy with it, however it is hard to say how it would tailor to your business.

From our experience the owner is always happy to look at it together with you and will try to honestly tell you if his solution will be suited for you or not.

As a long-time bookinglayer customer, our booking system is very tailored to our needs and we`ve had a great relationship with them for the last 4 years. 

- great customer service and fast replies from the support team
- bookinglayer keeps constantly improving its system and including customers' needs 
- great backoffice, that offers lots of functionalities  
- offer a lot of individual design options in the frontoffice as well 
- great overview of reports and offers individual-created reports

**What do you like best about Bookinglayer?**

We started using Bookinglayer one year ago for our kite school and kitesurf trip & camps. 
As we have different locations and some of them have accommodation and some not, Bookinglayer was the best choice to use one system that can manage all.

We offer kitesurf courses with or without accommodation.

+ Good customer management
+ Automatic information mails and reminders for customers
+ Easy payment integrations. The customer selects what he wants and pays it.
+ Invoicing system to meet accounting standarts in Germany.
+ The system gave us more freedom and less email communication
+ Good customer account overview of all areas: arrivals, customers on site, departures, transfers, courses, ocupation, payment status, etc
+ Possiblity to have any kind of reports.
+ Very friendly team 
+ Quick answers when something has to be changed or help is needed. Open minded company and team.
+ In our case, the owner helped us with some customizations, as we had to display realtime info in our website.
+ There is a roadmap to see what will be the next improvements.


Happy with the choice.

There are things that can be improved, as for example some invoicing issues for online payments.
We are not using the student planner at the moment, as we do not understand it very well. Would be great to use it in the future and automate it.

Bookinglayer helps us mainly in the booking procedures. 
It takes workload away, thanks to automatic email communication and thanks to automatic payment procedures.

It's an easy workflow & a great PMS system 
it is visually pleasing and even noncomputer-savvy people can use it

Sometimes the support can take a while to get back to you but this is depending on the time of day and or day of the enquiry
I like there roadmap and feel they always work towards bettering the system.

there is still some things to improve  but the great relation with all partners and with the long term vision and feedbacks from the companies, we can see Bookinglayer team working on every aspect  of it

As a Portuguese based company, invoicing is a issue and it works pretty fine. Other aspect super important for us is the system for emailing clients and it simplicity makes it amazing.

The software is very well thought out and is a pleasure to use. I had quite particular ideas of how I wanted the experience to be for my guests, and all my needs were met.

If anything the price, but you get what you pay for. In my opinion its the best software solution for a surf camp/hostel/lodge etc. I looked around alot and it was the clear winner.

Its completely automates the whole booking process for my clients. It saves me alot of time and removes any human error. Also having a beautiful front end creates a very professional look.

**What do you like best about Bookinglayer?**

Great product, the best in the industry if you ask me. And I've tried a few. Many functionalities, everything in one package, and a personal and direct approach from the team behind it if there are any problems.

**What do you dislike about Bookinglayer?**

It's not cheap. The accounting and room allocation functionalities could still improve, although they are working hard on getting it the best it could be. And I'm sure it will be soon. No direct integration with external channels yet (booking.com etc), it's possible but through an external service which you have to pay seperate.

Easy to use, all-in-one reservation platform for hotel/hostel/camp reservations and activity management.
