Bookinglayer: Built for Retreats and Experience Led Hospitality Who It's For Bookinglayer is built for hospitality businesses that offer activities alongside accommodation. Considered the best booking software for retreat centers. Yoga retreats, wellness programs, and multi day transformational retreats all share the same reality: a guest is booking a schedule of sessions, meals, and sometimes travel, tied to a group and a date range, not just a room. Generic hotel booking software has no concept of this, so retreat centers end up managing activities, waivers, and dietary information in separate spreadsheets and email threads, reconciled by hand every week. Surf camps and surf resorts are the second core audience, and where the platform's roots come from. A surf camp sells accommodation plus lessons, board rent, and transfers, with lesson capacity tied to instructor availability and skill level. A booking system built for hotel rooms has no way to represent this, so operators typically run a second system for lessons and manually cross-check it against the accommodation calendar. This goes for any outdoor and adventure operator too: Kite surf, Ski Resorts, Sports camps. The room is one component of the product, not the product itself, and these operators are underserved by both hotel software, which has no activity logic, and activity tools, which have no serious accommodation logic. Beyond these three groups, Bookinglayer supports experience based hospitality across more than 40 niches and 85 countries, including wilderness expedition operators, adventure travel companies, and lodges combining accommodation with organized activities. It is not built for a standard hotel with no activities, or a rental manager with no experience component. Those businesses are better served by simpler, single purpose tools, and that distinction is part of what keeps Bookinglayer focused on the operators it actually serves well. What separates Bookinglayer from a property management system is exactly this combination. A PMS handles room types and rates competently but has no meaningful way to schedule activities, collect waivers, or bundle a room with a set of inclusions. A standalone activity booking tool handles scheduling well but has no serious accommodation logic behind it. Bookinglayer carries both, combined into one Package rather than two systems an operator has to keep in sync manually. Built Around the Package Every booking is structured around the Package, a combination of accommodation, activities, meals, and services sold as one offering. A Package can be a fixed date group retreat with capped spots, a flexible hotel-style stay with add-ons, or a structured weekly program like a surf week with fixed inclusions. All three are built from the same underlying inventory: Room Types, Activities, Services, Items, and Transfers, combined through the Package Builder. This means a guest books the whole experience in one transaction instead of five separate ones, which is where most of the admin time savings and the increase in average booking value come from. The Four Core Features Booking Engine: the customer facing side, built to use the operator's own domain, branding, and look and feel, so guests never land on a separate, unfamiliar checkout page. Guests book accommodation and activities together in a short flow, a few clicks rather than a long form, which keeps drop outs low since every extra step in a checkout is a chance for a guest to abandon the booking. Because it stays visually consistent with the site guests are already browsing, it builds trust and professionalism at the exact moment they're deciding whether to hand over payment details. Every booking made here is a direct booking, with no third party marketplace involved. Customer Portal: where guests manage their own booking after it's made: confirming details, paying balances, completing online check in, signing Waivers, and adjusting activities, all without emailing the operator. This is where most of the manual follow-up work before arrival happens, since dietary needs, health information, and emergency contacts arrive tied directly to the guest's booking rather than through email. Backoffice: the central management area where staff configure inventory, manage bookings, and access reporting according to their role. The Dashboard tracks revenue, occupancy, and sales; Occupancy Reports and Custom Reports go further, with scheduled delivery by email. Because every module draws on the same booking and guest data, information entered once, like a dietary requirement, reaches every relevant team member automatically. Payments: built around how these businesses actually get paid: a deposit at booking, a balance closer to arrival. Deposit schedules and balance reminders run automatically, and more than 35 supported payment gateways with multi-currency processing mean guests can pay in their own currency while the operator's accounting stays consistent. Where a booking price changes after an invoice is closed, a Credit Note reflects the adjustment without a manual correction. Together, these four run as one connected system rather than separate modules that happen to share a login. A dietary requirement submitted through the Customer Portal reaches the kitchen through the Backoffice automatically. A payment made through the Booking Engine or the Portal updates the guest's invoice and the operator's revenue reporting at the same time. This is the specific mechanism behind the admin hours saved: eliminating the manual transfer of information between systems that were never built to share it. No Commission Bookings made through the operator's own Booking Engine carry no commission, compared to the 15 to 20% typically charged by marketplace channels. This also means the operator owns the guest data directly, rather than sharing it with a third-party channel, and can market future retreats to past guests without paying a second commission on the repeat booking. Full control over pricing, bundling, and packaging comes with it, since there's no marketplace template to work within. The effect compounds across a season rather than showing up on a single booking. A retreat center running several programs a year, each filling twenty or more spots, is processing a meaningful volume of transactions. If a substantial share of those had instead gone through a marketplace charging 15 to 20%, the cumulative cost across a full season is a direct reduction in the margin available to reinvest in the property or the program. What do you like best about Bookinglayer?

Great product, the best in the industry if you ask me. And I've tried a few. Many functionalities, everything in one package, and a personal and direct approach from the team behind it if there are any problems. Review collected by and hosted on G2.com.

What do you dislike about Bookinglayer?

It's not cheap. The accounting and room allocation functionalities could still improve, although they are working hard on getting it the best it could be. And I'm sure it will be soon. No direct integration with external channels yet (booking.com etc), it's possible but through an external service which you have to pay seperate. Review collected by and hosted on G2.com.
