The setup takes some time but if you truly spend the time and effort there are systems in place to make sure everything runs smoothly. As the broker and owner, I enjoy that I can run any type of report and see pretty much any brokerage stat instantly and then export those to an excel spreadsheet. **What do you dislike about BoldTrail BackOffice?** Some of the forms are not mapped correctly to Texas forms but the help desk is working to correct these issues. I have to say that with any issue we have faced they have done everything to make sure that we are happy and it is working correctly. **What problems is BoldTrail BackOffice solving and how is that benefiting you?** Transaction management, Back office management, Commission reporting & tracking, CDA's. I have used many programs for all of this before and I have to say that it is very nice to have all of this in one system that just works! And the organization features are top notch! Switching to Brokermint has been great for my business. **What do you dislike about BoldTrail BackOffice?** There aren't many issues I've had with Brokermint. It is fabulous as-is. If there was one thing I had to change about it, I would add a bit more customization to the checklists. You can add custom fields, but I would love to be able to put those custom fields on the home page of the transaction menu and the buyer offers menu, so I could sort by Client names or otherwise. **What problems is BoldTrail BackOffice solving and how is that benefiting you?** Brokermint has helped me keep everything organized with the custom checklists. I love that I can upload documents and have clients sign in the software. I have been with them for over 3 years, and I still learn new things every day that it can do for me. It has taken a while to get some things set up, but overall, it's been helpful in keeping us all organized. The Broker can see everyone's files all in one place and check off on them. The price and support of BM has been great. We usually chat with support and 9 times out of 10 our question is answered in 3-5 min. The CDA functions is very robust and we really dont even use all of the functions it can handle; splits, caps etc. Checklists sync to your calendar on your phone, closed files backup to google drive. **What do you dislike about BoldTrail BackOffice?** The Esign doesnt allow for a mandatory checkbox of one or the other to be checked. It allows either all mandatory or none. It would be awesome if there were checklists inside of checklists and due dates for those items. More reports would be great as well. Would love detailed templates of all sorts of things so Brokers dont have to start from scratch. I would also like to be able to do more leasing things in BM. Right now its sort of cumbersome to use the Esign and checklists for Leases. It would be nice to be able to hide a checklist within a folder, for example a closed buyer on your listing. We create only one file for this... WHen checking files, there is no back button, really dislike that. **What problems is BoldTrail BackOffice solving and how is that benefiting you?** Having paper files lying all over the office and having to drive them all over the place to get checked is NO more a problem! Everything is perfectly organized online. It has saved us time and I'm sure, liabilities along the way. Still really learning how to check our files and "turn them in". As well as, learning how to properly used the CDA and accounting functions. IT also backsup closed files, mine go to google drive, so we have a saved copy. ### 6. I used to use another system that was way more straight forward on all the breakdowns. Then, Brokermint was sold to a new owner and things really went south. The autopopulating of forms rarely works correctly and will get fixed only to go haywire a week or two later and we have to start all over again. One time the date appeared in every fillable spot! For a while we had weekly meetings with Brokermint to troubleshoot ongoing and reoccurring issues, but our wonderful account rep could only get so far with the software folks. Basically, the data, CRM, and accounting features are great, but the templated forms and autopopulate features are a nightmare!!! When first purchasing this software, we were promised a mobile app and that we would be able to template our online forms ourselves, but neither ever occurred. **What problems is BoldTrail BackOffice solving and how is that benefiting you?** Again, this is great for document retention, accounting, data collection, reporting, but the templating, zip forms and docusign features are really bad. ### 11. From esign, to a personal link to send in offers, to holding documents for transactions and much more. **What do you dislike about BoldTrail BackOffice?** The esign is a bit clunky as far as it would be nice if it could learn each MLS forms so it can auto put in where initials and signature spots go (for example) without having to manually put them in there. It would also be nice if there could be templates designed for common forms (like disclosures) so our clients have the option to complete them electronically. **What problems is BoldTrail BackOffice solving and how is that benefiting you?** Nothing yet. There are MANY benefits. We love the ease of setting up workflows to automate many processes with our additional vendors. Commission plans are simple to structure in a large variety of calculation methods. Commissions statements for Agents is an excellent tool for ensuring transparency and increased trust. Checklists are AMAZING for making sure all parties are on the same page and sending notifications when items are in need of completion. The Forms within the Library are phenomenal and have greatly assisted us in minimizing errors due to the system filling in our custom forms and helping us to make our Agents jobs easier without increasing our time or expense to do so. ### 16. The approval system works well. I appreciate the auto commission plans. **What do you dislike about BoldTrail BackOffice?** The reports are VERY VERY VERY lackluster for how much data is input into the platform. The report user interface and display of data are somewhat embarrassing to provide to others. You can export to an excel file, but that has to be 100% formatted. I do not have time for that for every report. I can't imagine having more than ten agents to report on. Permissions for Brokers who "Approve Docs" are insufficient. We have several Brokers who Approve Docs and they should only see the Brokers whom they are responsible to review. Instead, reviewing broker see ALL files. In addition, the notifications as a reviewing broker are not beneficial when it is all or none. There should be more layers for these Users to keep their task list true and clean. This would make the calendar integration usable, if you could eliminate everyone's elses transaction on your calendar. Would love a more integrated way to communicate with agents via the comment system. When commenting on a task that needs attention, it would be helpful to tag users within a comment to notify them. Searchbox, would be great if you could search part of an address and not have it be in the exact written order. **Recommendations to others considering BoldTrail BackOffice:** That's tough! Before you commit, I'd suggest to ask Brokermint what sort of plan do they have for further enhancements to the platform. They should have goals, 1 year, 3 years, 5 years, etc. What improvements are scheduled to be released into the future? **What problems is BoldTrail BackOffice solving and how is that benefiting you?** Nothing at this point. They consistently push you to the feedback portal, which has seen no advancements since I have been a member in 2018. ### 17. Agents have loved having a birds-eye view of their past, present, and future transactions, and the brokerage can quickly project future income, which guides where we focus our marketing efforts. **What do you dislike about BoldTrail BackOffice?** The biggest downfall is that the accounting module is still in the early stages, which has caused plenty of errors. When it comes to financials, no company can risk financials being inaccurately recorded, processed, etc. **Recommendations to others considering BoldTrail BackOffice:** If you are looking for a system that goes beyond simple transaction management (documents, e-sign, etc.), then Brokermint would be a solid system to consider. If your needs are simply for documents/e-signing and no back-end management (compliance, financials, etc.), then Brokermint may not be the best fit. **What problems is BoldTrail BackOffice solving and how is that benefiting you?** The biggest challenge that we had prior to switching to Brokermint was the ability to forecast easily. We were manually pulling info from the MLS and estimating figures to get a rough idea of where we would be as a brokerage in 30,60,90 days. Brokermint merges transaction management and financials, allowing us to customize reports, and receive real-time updates from agents on transaction changes (price, closing date, etc.). ### 18. In order to find out volume for the month, the quarter, per agent, etc., we had to do everything manually with an Excel spreadsheet. We use it to store and track all company transactions. **What do you dislike about BoldTrail BackOffice?** There are some problems with basic functionality that they don't care to discuss. They are happy to cancel my membership, though. When reviewing files it will load the first document and when moving to the next, it fails to load. You have to back-out and then go back into the transaction for the next document to load. Very time consuming. Also, the commission calculations are very limited. Their graduated commission scale resets for each transaction. it also doubles the total commission if you are the buyer and sellers broker which is confusing because you can enter in total commission and co-broke. **What problems is BoldTrail BackOffice solving and how is that benefiting you?** It stores all of our transaction paperwork, commonly used forms and HOA documents. ### 21. Everyone needs to go into that with their eyes open. Creating the workflows and checklists and uploading any of your custom forms and creating interactive templates for them takes a lot of work. No agent on the planet wants to deal with extra paperwork. The box that pops up and stays completely in the way while editing or esigning anything is so not necessary. BM admins would greatly benefit if when they get done reviewing a transaction if it would not just disappear. There needs to be. A pop up that asks if they need to make any other changes to that transaction so admins don't have to go back and find the transaction to close it out.
