No more lost invoices, easy to track what stage an invoice approval is in and a date stamp for every touch point. **What do you dislike about AvidXchange?** I can't really think of any downsides of using Avid. Occasionally it can take a little time to get new accounts set up on AvidPay. Some take longer than others for some reason. **Recommendations to others considering AvidXchange:** We are very happy with AvidXchange and AvidPay. It has been instrumental in our ability to streamline our processes and make us scale-able. Also, having the ability to comment to an individual in the system alerts all portal users of special circumstances. The attachments tab is very useful too. The AvidPay feature has significantly decreased our need to stuff & mail payments. Access to the payment details and the ability to download a cleared check is a welcomed convenience. Using a paperless payable portal has significantly decreased our paper document storage. Additionally, our auditors can find the answers to most questions without needing to request information from the A/P staff. I can't imagine performing A/P functions without a system such as this. **What do you dislike about AvidXchange?** The lack of workflow customization has caused frustration. We have some unique approval situations that don't fit within the typical workflow parameters. AvidXchange should also provide staff training (onsite and/or web-based) upon implementation. It wasn't easy to train our employees on a system that I needed to learn right along with them. **What problems is AvidXchange solving and how is that benefiting you?** The AvidXchange portal has streamlined communications with our suppliers in that we can professionally answer questions about a payable. I'm not always confident that I am giving accurate payment information to my vendors when requested. Also, not always having real-time payment information can cause unnecessary back and forth communication with vendors. **What problems is AvidXchange solving and how is that benefiting you?** AvidXchange has solved a lot of the time management problems I was having before we became clients. We have the invoices from vendors sent directly to AvidXchange. The bills are then scanned in and allocated to the right account or property. It makes things a lot easier for the accounting team. **What do you dislike about AvidXchange?** I do wish you could scan in more than one invoice at a time, but they all need to be separate pdfs. **Recommendations to others considering AvidXchange:** It is useful to send a letter out to all vendors letting them know of the switch and the way to send in invoices. **What problems is AvidXchange solving and how is that benefiting you?** AvidXchange is helping with managing and paying invoices. We have a lot of properties and we do not have the time to scan in each invoice or allocate them individually. ### 41. Also it generates a positive pay file which helps with the check validation at the bank. Once the banking is set-up within AvidXchange, everything works very smooth. Another great feature is the ACH email invite that can be sent from AvidXchange to the vendor. This sends a link to the vendor and they are able to enter their banking directly in our Netsuite instance. This is a great feature now when we try to have most vendors signed up for ACH. **What do you dislike about AvidXchange?** It would be really helpful if we would be able to automatically transmit multiple ACH files to the bank. Currently only one subsidiary is automatically sent. For the others the files are downloaded and are manually pushed to the bank. **What problems is AvidXchange solving and how is that benefiting you?** The main problem solving for us is the positive pay file and the automatic transmission of the ACH file. It also works very well for check printing. We are able to print checks for multiple subsidiaries and in multiple currencies. The integration from Netsuite to AvidXchange is flawless and works very well. The two systems communicate very well and work as one. ### 42. AvidxChange has allow for our A/P department to work smarter and not harder. The automated workflow, allow us to set up both standard and conditional workflows that help to place accountability for approval process in place. AvidxChange also integrates easily with our Accounting software with minimal to no errors. **What do you dislike about AvidXchange?** The limit for unique customization base on company needs. It would be nice to have more options on adding additional fields or hide certain features that our company does not need, lack of notification when payments are delayed due to vcc payments being converted to checks and indexing problems that can be easily fix by thinking a little "outside of the box." **Recommendations to others considering AvidXchange:** If you are open for the next level of A/P processing and ready to adopt automation, AvidxChange will be an incentive to your company. **What problems is AvidXchange solving and how is that benefiting you?** Our Accounts Payable department has been able to transformed into a completely paperless A/P process for document management. To be able to have access to every information you need regarding an invoice in one place has been such a saving grace. The automated workflow has help tremendously in placing accountability for timely approvals and auditing purposes. It has also allow for multiple departments and users to have access to invoice/payment inquiries, allowing Accounting to work more efficiently. The ability to have access to invoice approvals and inquiries from both remote and mobile access has helped tremendously in speeding up the approval process and submitting payments in a timely manner. Partnering with Avid and seeing how many our Suppliers are paid by VCC method has help us in payment turnaround time, postage cost and at the same also providing incentives to our company for monthly rebates to offset service cost. Our supplier are also able to have their own access to payment inquires and different payment method that will meet their personal needs. ### 44. The process has made completing my work easier and more effectively. Also, shown me all that possibilities out to improve the work process. I do like being able to download the invoices when needed. Search all areas across the board and being able to categorize the invoices in different areas. **What do you dislike about AvidXchange?** The limits that the account number function seems to have is what stops the best possibilities for the company. Or our company, I should say. After recently speaking with the company I had thought the explanation of the better process would help, but I don't feel like it changed much. I think that their is another easier way to go about it. **Recommendations to others considering AvidXchange:** Helped a lot with the invoicing process and seems to be developing in the right direction. Give it a try. **What problems is AvidXchange solving and how is that benefiting you?** Faster approving time. Less in-office paper handling. The over all dynamic of the process is great. Not having to handle as much paperwork in the office has helped out team work more efficiently and be able to move on to other work. AvidXchange now processes payments, too and we will probably look into that option in the coming year or so. We have been very happy with AvidXchange and they have been good partners for our company. **What do you dislike about AvidXchange?** From an administrator view, the navigation is clunky. AvidXchange has vastly improved the functionality for end-users, but administration screens have not yet been transitioned. **What problems is AvidXchange solving and how is that benefiting you?** My company has gone from a room full of file cabinets with stored invoices to no paper invoices at all. There are no "lost" invoices sitting on someone's cluttered desktop. Best of all, our approval process has been streamlined so that the people who need to see and approve an invoice get that invoice in a timely manner. ### 47. It is easy to manage a client process in a onesy-twosy scenario, harder to maintain control and consistency across the board with thousands of clients to maintain with all the options. **Recommendations to others considering AvidXchange:** It really is a powerful product and can run the largest of AP organizations, I should know I implemented the largest of AP organizations on Strongroom. You have to knwo what you are doing when implementing and understand the flow you are wanting to achieve. The hardest parts are really deciding how a flow is going to be set up, and hopefully standardized across teh organization and maintaining that standardization across during operational times. Over all the group is really willing to work to make teh project successful, and during our partnership of the last 8 years we've built some really good processes and features into the AP space. **What problems is AvidXchange solving and how is that benefiting you?** AP Acquisition -- getting invoices from utilities (E-Bill) AP Approval routing AP Payables - Payments ### 48. If I had to do it on my own, it never would have happened. Now that payables are in the cloud, I want to get all my other applications and files on the cloud as well. It only makes sense. Do what you do where ever you are. The program has truly brought to light the advantages of taking a process to the cloud and it happened with so little effort. AvidXchange does everything for you. Safeguards are put into place, processes are defined and streamlined. We have used AvidXchange for over 5 years now and have't regretted it at all. Thanks for your help AvidXchange! **What do you dislike about AvidXchange?** There is not too much to dislike about Avid. Yes, the program takes some getting used to. It is a new process. It takes time to learn. It is only a short time to invest to make the change to Avid. I would have to say that changing over to Avid was the best ever software transition I have ever had. The transition team was exceptional. They were right there any time I needed them. They were very helpful. They made sure that I understood EVERYTHING they were teaching me and held my hand until I did. I thank the team. The software integration with Sage Intacct has created numerous efficiencies for our spartan staff. By using AvidXchange, we have reduced the average processing time of our weekly check run by more than 33% and reduce printing manual checks by more than 85%. The ability to work and process invoices and payments from the office or local coffee shop has helped our staff have more autonomy in how they perform their jobs. **What do you dislike about AvidXchange?** So far, there really hasn't been anything that I've disliked about the service. My one suggestion for improvement would be to update the user interface of the admin section. While the inbox, invoicing and pay tabs look modern, the admin section seems slightly dated and not as user friendly. **Recommendations to others considering AvidXchange:** Do not hesitate to make the switch. The ability to improve processes with cloud-based services has been a great addition to our organization. **What problems is AvidXchange solving and how is that benefiting you?** As I mentioned, the efficiencies of AP automation has meant the ability to expand the organization without having to expand finance personnel. We're able to process more with that same amount of staff. Being able to import invoices has helped to reduce manual entry errors and the ability to pay with virtual credit cards has helped reduce our paper waste. ### 50. It gives our employees more accurate access to distributing their expenses and their expenditures reflect more accurate on budget reports. Avid has a really nice customer service team that has always been willing and able to help me with any issue I have had. **What do you dislike about AvidXchange?** I can't say that I dislike anything about the product. I love working in the system. **Recommendations to others considering AvidXchange:** I would recommend working with your customer support manager for implementation items and integrations. For any other item the customer service team is able to help. **What problems is AvidXchange solving and how is that benefiting you?** We no longer have to search through a file cabinet to look at an invoice. Avid also helps with potentially lost invoices; invoices are sent directly into the Avid portal. Avid provides several training opportunities to keep you updated an fresh on what will most help you be successful in Accounts payable. We have been able to utilize Avidxchange for any document that requires a signature. We use the system to help with our Pcard distributions and signatures. That has been a huge time saver. The audit trail is outstanding.
