## About Asana Portfolios

Asana Portfolios is a project portfolio management (PPM) feature within the Asana work management platform, designed to serve as a mission control center for organizations managing multiple projects and strategic initiatives simultaneously. It provides leaders, project managers, and teams with a centralized, high-level view of all their most important work — from strategy through to execution — in a single place. At its core, Asana Portfolios allows users to group related projects into a single portfolio, making it easy to monitor progress, track health, and communicate status across teams without having to navigate between individual projects. Users can add existing projects to a portfolio with a single click, create new projects directly from within the portfolio view, and even nest portfolios within other portfolios to reflect complex organizational hierarchies. One of the key capabilities of Asana Portfolios is real-time progress monitoring. The portfolio list view displays each project's owner, priority, status, due date, and task or milestone progress at a glance. Color-coded health indicators show which projects are on track, at risk, or off track, enabling managers to quickly identify where attention is needed and drill down for more detail without leaving the portfolio view. Asana Portfolios also features a Portfolio Timeline view, which provides a bird's-eye view of all project start and end dates, milestones, and schedule overlaps across every initiative in the portfolio. Users can drag and drop milestones and projects directly on the timeline to adjust due dates, and the timeline supports up to 1,500 items for large-scale portfolio management. For resource management, the Portfolio Workload view gives a visual snapshot of team capacity and task assignments across all projects in the portfolio. Managers can drag and drop tasks to reassign and reschedule work, move resources between projects in a single view, and visualize future bandwidth to prevent bottlenecks before they occur. Custom field rollups allow users to automatically aggregate numeric data — such as budget, estimated hours, or time spent — from individual projects up to the portfolio level, providing an instant high-level financial and operational overview without manual data collection. Portfolios support up to 100 custom fields and allow multi-filter and multi-sort (up to 10 filters and 10 sorts simultaneously) for granular reporting. Portfolio Dashboards enable users to create custom charts and visualizations — including bar charts, donut charts, lollipop charts, and burnup charts — based on real-time portfolio data. Preset charts include incomplete tasks by project, all projects by status, and upcoming tasks by assignee. Dashboards are prefiltered to include data from the selected portfolio and any nested portfolios. Status updates in Asana Portfolios allow portfolio owners to quickly communicate progress to all stakeholders. The templatized update builder suggests highlights, accomplishments, blockers, and next steps, and allows users to drag and drop visual insights and charts directly into the update. Portfolio members receive status updates directly in their Asana inbox. Privacy and access controls let users set portfolios as public or private, assign portfolio-level roles (admin or editor), and share project access with portfolio members automatically. Portfolios are accessible on both web and mobile (Android and iOS) and are available on Asana's Advanced, Enterprise, and Enterprise+ plans.

"Asana brought order to the quinceañera, although some continued on WhatsApp"

3.5/5

What do you like best about Asana?

This year I organized my younger sister's quinceañera and the whole family wanted to help, which was nice but also chaotic. Every aunt asked the same thing on WhatsApp: "What should I bring?", "Who talked to the venue?" I created a project in Asana with a task for each thing, the cake, the waltz, the souvenirs, the DJ, and assigned each one to someone with its date. Within the tasks, I put small subtasks, like requesting three quotes or confirming the menu. What helped me the most was seeing everything by sections because one day I noticed that the DJ's part hadn't moved for two weeks, so I called my cousin before it became a problem. I also made a form for guests to answer what food they don't eat or if they are vegetarians, and the responses came in as tasks without me having to write anything down. Review collected by and hosted on G2.com.

What do you dislike about Asana?

Two of my aunts never opened the invitation email, so I had to call them and give them their tasks over the phone. In the end, I kept sending some reminders via WhatsApp, so I couldn't leave that chat entirely. I also went overboard at first with the color tags and spent a weekend simplifying them. Review collected by and hosted on G2.com.

What problems is Asana solving and how is that benefiting you?

I thought using Asana for a family party was too much, but it saved me a lot of messages and stress. No one was left not knowing what they had to do, and I stopped carrying the entire list in my head. The party went well, and my sister didn't even know everything that was behind it. You just have to accept that not the whole family will use the app, and that's okay. Review collected by and hosted on G2.com.

"Task Organization and Collaboration Made Easy with Helpful Automations"

4/5

What do you like best about Asana?

The ability to keep all my tasks organized while also being able to collaborate with others at the same time. Using automations to lighten my admin workload so I can focus on doing the actual work is also very important. Review collected by and hosted on G2.com.

What do you dislike about Asana?

The inconsistency of how things are applied. Why can I create an automation to do one thing at the task level but can't do a similar thing at the project level. Why can I see the roll up actual time, and other custom fields from all the subtasks in a single parent task, but I can't create a dashboard widget that looks at that roll up? Why are subtasks associated with a project but when I go another layer down they are no longer associated. Why can't I tell an automation to look at values of custom field only in the trigger task, not in the parent task if the trigger task is a subtask? Review collected by and hosted on G2.com.

What problems is Asana solving and how is that benefiting you?

Single source of truth for everyone across several different teams in my organization. Being able to collaborate with people across teams on multiple tasks save so much duplication of work and tracking efforts. Review collected by and hosted on G2.com.

"Asana helped me organize my thesis and move forward with clarity"

4/5

What do you like best about Asana?

I'm doing a master's degree and working part-time, so my thesis was progressing in bits and pieces, and I always felt lost. I set up a board in Asana with a column for each stage: to write, with my advisor, to correct, and done, and each chapter is a card. When my advisor sends me comments, I paste them on the chapter card and turn them into subtasks, so I don't have to remember what he told me in the last meeting. Last week I saw that I had three chapters stuck in 'to correct' and understood why I felt overwhelmed: it wasn't that I wasn't making progress, it was that I wasn't closing anything. Review collected by and hosted on G2.com.

What do you dislike about Asana?

At first, I put too many columns and color labels, and I spent more time organizing the board than writing the thesis. I had to delete half and leave only what I really used. Review collected by and hosted on G2.com.

What problems is Asana solving and how is that benefiting you?

I didn't expect a task tool to help me feel less anxious about something so big, but seeing the progress by stages instead of one huge document changed my mindset. I learned the hard way that it's best to start simple. Now I open the board every morning, and I never used to do that with my Word file. Review collected by and hosted on G2.com.

"User-Friendly Asana with Helpful AI and WhatsApp Integration"

5/5

What do you like best about Asana?

What I really enjoy about Asana is it's very user friendly interface. It is very simple to use, and almost each part is self explanatory. Asana's AI, Work with Dash, is one very helpful tool, you can literally ask it anything within Asana and you'll get a proper answer, unlike other AIs I've come across. I love the WhatsApp integration, Whatsana because my executive and I communicate on WhatsApp a lot, and all I do is just forward tasks to Whatsana and that's it. I also like the fact that there's a free tier, very helpful for organizations that want to see how it works over a long period before committing. Review collected by and hosted on G2.com.

What do you dislike about Asana?

Not really a downside because it's a business that also needs to make money, but more members in the free tier would be great. Again, not really a downside. Review collected by and hosted on G2.com.

What problems is Asana solving and how is that benefiting you?

Before using Asana, I struggled to keep up with tasks coming in through two email accounts and WhatsApp. A notebook didn’t help much, because I still had to remember to write everything down. With Asana’s email and WhatsApp integrations, though, tasks are captured automatically and nothing falls through the cracks anymore. Review collected by and hosted on G2.com.

"Asana as a Reliable Central Task Hub for My Personal Assistant Setup"

4.5/5

What do you like best about Asana?

I like that, between Claude and Pocket, I’m able to use Asana as my central task hub. Together, those three platforms have helped me build an “all-the-time” personal assistant that I can rely on. Review collected by and hosted on G2.com.

What do you dislike about Asana?

I deeply dislike the pricing model that makes me pay for two seats innately. I am a solo-entrepreneur. Adding unlimited guests for specific projects is nice and helpful, but I'm wasting extra money each month. And I'd much rather be on the next tier so I can utilize Portfolios. But I can't justify paying twice for a mandated seat I don't use. (For the same reason is why I won't be paying for additional Google workspace user either.) Review collected by and hosted on G2.com.

What problems is Asana solving and how is that benefiting you?

It's solving how I manage the wide wide range of projects and tasks on my docket -- from my 9-5, personal/home life, client work, community involvement, and the two startups I'm launching. I also appreciate its integrations with other services I'm paying for (i.e. Claude and Pocket recorder). Review collected by and hosted on G2.com.

"More organized and timely cake orders with tasks and subtasks"

4/5

What do you like best about Asana?

I have a small custom cake business and I used to write down orders in a notebook, delivery date, flavor, and if it had any special decoration. The problem was that sometimes I forgot to check the notebook on the day I needed to start baking something, and I ended up working at night to not let a client down. Now each order is a task with subtasks for each stage, baking, filling, decorating, and each with its own date. Last week I saw in advance that I had two big cakes on the same day and was able to organize my hours better instead of realizing it the night before. Review collected by and hosted on G2.com.

What do you dislike about Asana?

At first, I struggled to get used to creating a new task every time an order came in, it felt like an extra step compared to just quickly writing it down in the notebook, so some orders went unrecorded the first two weeks until I got into the habit. Review collected by and hosted on G2.com.

What problems is Asana solving and how is that benefiting you?

Not relying solely on my memory or a notebook that sometimes stayed at home has significantly changed how I organize the week. Seeing the dates coming in advance instead of discovering them on the same day has saved me from more than one night working late. Creating the task each time was an adjustment at first, it felt slower than just jotting something down by hand, but now it's a normal part of how I receive an order. Review collected by and hosted on G2.com.

"Vital for Project Management and Collaboration"

5/5

What do you like best about Asana?

I like the fact that you can make tasks recurring in Asana, and you can also set milestones and goals. It's really handy that you can share them with your entire workspace instead of just one specific unit. I also appreciate the automation sets with rules, as they create an integrated system for the entire company to operate. Asana serves as our tool for tracking everything that's happening within all departments and stakeholders. Review collected by and hosted on G2.com.

What do you dislike about Asana?

Those rules regarding subtasks could be improved. And also with Studio AI. Has a lot of room for improvement. I believe those are things that are being worked on. Review collected by and hosted on G2.com.

What problems is Asana solving and how is that benefiting you?

Asana solves communication issues by giving visibility into project status and responsibilities, tracks development, and analyzes data from different perspectives. Review collected by and hosted on G2.com.

"A Clear, At-a-Glance Pitch Tracker for Freelance Writers"

4/5

What do you like best about Asana?

I freelance write and pitch story ideas to a handful of different publications, and I used to genuinely lose track of who I'd already pitched what to, embarrassing enough that I once followed up with an editor about a pitch she'd already rejected two months earlier because I'd forgotten. Set up a board with a task per pitch, custom field for which publication, status for pitched, in discussion, rejected, or accepted, and now I can see at a glance exactly where every single idea stands instead of relying on my own spotty memory. Caught myself about to send a pitch to an editor I'd already gotten a no from on that exact topic, would've been a second embarrassing moment if I hadn't checked first. Review collected by and hosted on G2.com.

What do you dislike about Asana?

Kept forgetting to actually update the status after getting a response for the first couple weeks, so the board looked more current than it actually was until I built the habit of updating it the same day I heard back instead of putting it off. Review collected by and hosted on G2.com.

What problems is Asana solving and how is that benefiting you?

Not double pitching the same idea to someone who already said no has saved me from a couple of genuinely awkward moments that used to just happen because I was keeping all of this in my head. Building the habit of updating status the moment I hear back took some discipline at first, the system's only as good as actually using it consistently, which I wasn't doing well in the beginning. Review collected by and hosted on G2.com.

"A Simple Board That Kept My Job Hunt Organized"

4.5/5

What do you like best about Asana?

I was job hunting a while back and honestly my system before this was just chaos, forty tabs open, a notes app with half typed reminders, completely losing track of which company I'd already followed up with. Set up a board with columns for applied, interview scheduled, waiting to hear back, and offer, then just dragged each company's card across as things moved. Sounds basic but actually seeing everything laid out like that stopped me from double emailing a recruiter who'd already responded, which I'd genuinely done more than once before setting this up. Review collected by and hosted on G2.com.

What do you dislike about Asana?

There's no limit on how many cards can sit in one column, so my applied column ballooned to something like thirty entries at one point and just became this long scroll instead of something I could glance at quickly. Had to manually sort through and archive rejected ones myself since nothing does that automatically. Review collected by and hosted on G2.com.

What problems is Asana solving and how is that benefiting you?

Going from scattered tabs and half remembered follow ups to an actual visual board changed how manageable the whole job search felt, even on weeks where I was applying to a lot of places at once. Not having any kind of cap on column size meant I had to police that myself, which is a small annoyance but not a dealbreaker. For something I was only using for a few months during an active search, it did exactly what I needed without me having to build anything complicated. Review collected by and hosted on G2.com.

"Streamlines our team communication and keeps projects on track with AI capabilities"

4.5/5

What do you like best about Asana?

The best part of Asana is how well it balances a clean, user-friendly UX with strong performance. Its automated workflows take care of repetitive task assignments with minimal effort, and the timeline views make it easy to track dependencies at a glance. The onboarding process was smooth, which helped our team start seeing a positive ROI almost immediately. Review collected by and hosted on G2.com.

What do you dislike about Asana?

My biggest pain point is the overwhelming default notification settings. If you don’t take the time to customize your inbox and email alerts early on, the sheer volume of updates can make it easy to miss crucial messages. The interface can also start to feel cluttered and hard to navigate when you’re managing projects with a lot of activity and content. Review collected by and hosted on G2.com.

What problems is Asana solving and how is that benefiting you?

Before Asana, we struggled with siloed communication and had a hard time tracking tasks across endless email threads and spreadsheets. Now we can centralize project tracking in one place and automate task handoffs between departments. As a result, we’ve seen a major reduction in administrative work, saving our team an estimated 5 hours per week that used to go to status meetings and email updates. Review collected by and hosted on G2.com.
