AptaBook is an AI receptionist and appointment-booking platform for service businesses in the United States and Canada. It answers phone calls, website chats, WhatsApp messages, and email 24/7, qualifies leads with each business's own intake questions, and books appointments directly into connected calendars with live availability. Businesses train a single AI agent on their website and documents. AptaBook crawls site pages from one seed URL and accepts PDF, Word, and CSV uploads or imports from Google Drive, Dropbox, and OneDrive. Setting up the chat widget and calendar connection takes about 10 minutes. The platform includes a branded, embeddable chat widget; a dedicated inbound phone number (US or Canada) with call logging, summaries, and handoff to staff; a "Call Me Now" callback widget; WhatsApp messaging and voice through Meta's WhatsApp Business platform; and an email agent. Booking features cover provider and service matching, multi-location and virtual appointments with automatic Google Meet or Zoom links, a public booking page, confirmations, reminders by email or WhatsApp, rescheduling, and cancellations. Automated follow-ups re-engage unfinished chats and past customers. AptaBook integrates with Google Calendar, Outlook/Exchange, Google Meet, Gmail, Microsoft Teams, and Slack. On supported plans it also connects to HubSpot, Zoho CRM, Jobber, and Mindbody, plus outbound webhooks and custom HTTP tools. It is HIPAA compliant, keeps audit trails, and offers US or Canadian data residency. Typical customers include clinics, dental practices, law firms, CPA and financial advisory firms, home services companies, salons and spas, fitness and yoga studios, coaches, consultants, real estate agents, and insurance agents.
