Honestly I liked the way appspace handles digital signage. We have screens set up throughout our building (reception, break rooms, etc.) and previously it was a huge hassle to get content pushed to each location. Someone would typically leave a presentation that was several months old on a screen somewhere. With Appspace, I am able to control all of the screens from one place, push new content to each screen individually by date/time if needed, and even manage all of this remotely. If you're someone who simply wants to reserve a desk or update music playlists and don't want to spend your entire day trying to figure out where everything resides; then you will find yourself getting frustrated. This may seem minor, but I think the template library for Appspace could use a revamp. Unfortunately this makes onboarding take much longer than it needs to. Review collected by and hosted on G2.com. What problems is Appspace solving and how is that benefiting you? We had multiple different platforms for managing different aspects of our company (room booking, lobby screens, etc.). Appspace allows us to centralize all these functions and eliminate redundant effort. For example, announcements that are posted to our Intranet automatically post to our digital signs without any additional effort. This has been particularly beneficial to Hybrid Teams, allowing employees to see who is in the office on a daily basis and to reserve a desk prior to commencing their commute. I find Appspace incredibly valuable for managing on-campus digital signage. It allows me to effortlessly share announcements, events, weather information, and fun photos featuring our students across multiple screens on campus, including in their dorms. The platform makes it easy to connect with all 4000 students each day, which would be a challenge otherwise. I love how easy Appspace is to use, especially compared to other platforms I have experienced. The ability to log on, post a slide, and have it running on all the screens across campus in less than 5 minutes is amazing. This quick posting capability supports the need for speed when announcements must go out right away. Furthermore, as a primary user, I found the initial setup very easy to learn because it is user-friendly and doesn’t require following a detailed checklist. I have a concern with the organization of folders in Appspace. Managing multiple accounts poses a challenge because I worry about risking the loss of information or disrupting the connections when trying to adjust the folder organization. I really like the interactive floor map as I can click on a desk (on a 2D view) and it will turn green when I select it. That way I don’t need to send messages to my manager or coworkers to see which ones are going to be at their stations today. Plus there’s a “check-in” feature where if someone does not arrive by 10 am they forfeit their reserved area and it opens up to anyone else who needs to book a station. The developers recently updated the system to allow users to select a desk and then after that selection is made and it automatically zooms in on the floor plan. This was completely unnecessary and now it's one extra useless step every single time and also the administrator portal to add new areas of the building is confusing enough when you try to get through it the first time. Because of how much less space we have available and how many people we have as employees, we were desperate for a solution for managing desk assignments and parking spaces. Appspace solved both of those issues. And when all of our employees show up for their shifts, no one has to spend time walking around looking for an open workstation and management also has access to each employee's schedule so they can track down employees and know what they're doing instead of sending them slack messages asking "are you working? Having control over what's on every single screen, from one location, has made keeping up with managing all of them so much easier. I simply make updates once and then everything else will be updated automatically. No longer do I have to go from one screen to another to make those same changes. No longer do I have to walk into a room to swap out media files on individual screens. This was the reason I kept using appspace. I've shown two people who aren't tech savvy how to set up playlists and schedule items as well and they were able to get through setting it up without needing to call me. Anytime I try to create something with a little more precision (multiple zones or widgets) it becomes quite fiddly very quickly and often times doesn't act the way I expected it to. There are some integrations that are also restricted more than I would like regarding the display of information. A small, but somewhat annoying issue - sometimes when a screen loses its connection to the internet, it is not always immediately clear in the dashboard until the screen remains blank for a while. I really enjoy the one-click updates and smart alerts. Using the one-click updates, I can send an announcement to every TV screen and employees' phones in the company at the same time with just one click. There are also privacy concerns because some employees feel that tracking their desk locations is a bit too much, and it would be better to have options to keep the data private. What I love most about Appspace is the Microsoft Teams integration. It's the feature that made the biggest measurable difference for adoption across our workforce. By integrating Appspace directly into Microsoft Teams, we saw a big jump in employee engagement, with interaction between employees returning to normal and no more gaps between teams and departments. Before the integration, our team was publishing to Appspace and then separately posting the same content in Teams because nobody was checking the intranet independently. After the Teams integration went live, content published once in Appspace appears automatically in the right team's channel without anyone doing anything. Our internal comms coordinator said it was the first time in her role she felt like a communicator rather than copy-paste, and the drop in her weekly admin time was noticeable enough that she started taking on additional responsibilities she hadn't had capacity for before. I also liked that the implementation was surprisingly fast, with our first AI generated broadcast running in less than a week, mostly thanks to the customer support team who helped work through the integration steps over a couple of quick calls. Once things were set up correctly, the day to day experience has been reliable, and their support team has stayed accessible whenever something needed adjusting after go live. It is the most consistent frustration across our admin teams.","It's well documented by other users.","I find the lack of functionality is an area the platform could really improve on.","Technically, it just happens far too often when signage goes offline.","When I need to update channel assignments or change a color theme across multiple templates in a large deployment, the current approach forces me to touch each item individually.","That turns what should be a five minute update into an hour of repetitive clicking.","I feel the fix is overdue.","Batch editing for channel assignment, color changes, and template updates would remove the most time consuming part of managing content at scale.","Until then, our team has resorted to scheduling large content updates on quieter days so we can make changes one by one."} Review collected by and hosted on G2.com. I love that everything just exists in one space. So instead of having to jump between three different tools to find out who’s in what room or what’s being displayed on those screens down the hallway. I love that the scheduling stuff syncs with my calendar so when the room is scheduled it shows as available on the screen prior to anyone needing to do anything. While setting it up isn’t super complicated (there is a learning curve), once you get past the initial setup process – there will be features that aren’t immediately obvious. Some of the more advanced functionality requires an individual walk-through by another person. Unfortunately, some applications don’t integrate perfectly as you would expect them to. There are employees physically in the building and others remote from home and employees within the building don’t know which rooms are currently occupied or available. Therefore eliminating employees’ confusion when searching for an open meeting/conference room. I like the AI-powered content generation inside Appspace, which has significantly reduced the time our communication teams spend on signage content. Writing announcements, generating images for screens, and producing narrated audio updates all happen within the same tools, eliminating the need for separate software each step. What used to take half a day to produce and publish is now done in under an hour, and this time-saving compounds across every communication cycle throughout the year. Additionally, new content creators quickly come up to speed because the publishing interface is straightforward, and the template library covers most common needs without requiring builds from scratch. I didn't think is the area that generates the most frustration from our content team. On a weekly basis, making the same changes across a large number of cards or channels requires touching each one individually, which on a large deployment, turns routine updates into much longer tasks than it should be. The nickeled with cheers with screen going out of sync also happens more often than feels acceptable. I often like the visitor preregister feature, which our reception teams rely on most. It allows the receiving host to send an invite to their guests in advance, and the guest fills in their details before they arrive. This makes check-in take only seconds rather than the reception having to manually type in someone's name and company while they stand there waiting. The inviting host gets a notification the moment their visitor checks in, which removes the annoying daily task of the reception having to call upstairs or walk over to tell someone their guest has arrived. The notification goes straight to Teams or email, allowing inviting hosts to come down on their own. It makes everything softer and smoother because of this automation. I think they should add the analytic data for guests visiting our office over a period of six to eight months.
