What do you like best about Apollo.io?

I like that it’s an easy, quick way to narrow down searches for decision-makers and get verified emails and phone numbers. I use it to find operations managers, IT managers, plant managers, and other decision-makers in manufacturing which my company targets for security installation like surveillance and access control. It’s much easier to reach out this way than trying to rely on company websites or even LinkedIn.

At first, I had a bit of trouble configuring the search parameters for the region I was focusing on, but once I learned how to set up the personas, it became a lot easier. I also like that I could start with the free version to get the hang of it before deciding whether I wanted to pay for the Pro or Organization version.

Recently, in my office, we used Apollo to confirm that a plant manager had changed his publicly listed email to a new one, which was very helpful. For my purposes, it’s most useful for seeing who is currently in a specific role at a company we’re targeting for sales. Review collected by and hosted on G2.com.

What do you dislike about Apollo.io?

At first, there are a lot of options and additional add-ons to sort through. There are also quite a few notifications prompting you to upgrade right away, which I understand from a business perspective.

I also had to do a bit of research and go through some tutorials to learn how to set the personas and parameters to get good search results. On top of that, I needed to look into how the credits work so I could understand what I was using. Basically, I had to learn a bit before I could use it properly. What do you dislike about Apollo.io?

I find the credit-based pricing system confusing and sometimes frustrating, as it can be difficult to predict exactly how many credits I will burn through during a high-volume sprint. The inconsistency in phone number accuracy is also frustrating a lot of times, especially for international markets; I often find that I am spending high-value credits on mobile numbers that turn out to be invalid. I had a great experience using Apple when I first had to get leads fro LinkedIn to build a B2B pipeline. It was so easy to use and gave quality results for email ID and phone number. What do you like best about Apollo.io?

I use Apollo every day to find and manage new customers across EMEA and the US markets. The interface and overall performance are great because the platform is very easy to navigate and stays fast even when I am handling large lists of leads. I really value the AI and intelligence features, especially the intent signals that helped me identify the right time to reach out to enterprise accounts like Zalando and JD Sports. The integrations are also a huge plus as the tool connects perfectly with Salesforce, keeping all my data synced in one place automatically. The onboarding process was simple to follow, and the support resources made it easy for me to start building a pipeline quickly. Overall, the ROI has been excellent because I reduced my manual research time by 60%, which allowed me to build a $2M+ qualified pipeline and close significant revenue. What do you dislike about Apollo.io?

One thing I dislike is that when I import data from Sales Navigator, Apollo sometimes changes a person’s job title or company name. That makes the data less accurate, and I end up having to correct it manually.

Also, the LinkedIn extension doesn’t allow bulk uploads of a large number of leads at once. You can only save 25 people at a time, which feels slow when I’m trying to build a bigger list.

Another frustrating issue is that when I add multiple people from the same company, the tool asks me to choose the domain every single time. It would be much better if it automatically remembered the domain for that company. Review collected by and hosted on G2.com.

While I find Apollo to be a valuable tool, I've noticed that sometimes Sales Navigator's search engine pulls up a few more contacts than Apollo does. Although this isn't a frequent occurrence, it's something to keep in mind. Additionally, when extracting information from contact profiles on devices with less powerful processors, the process can be a bit slow, especially when opening multiple sub-tabs. What do you dislike about Apollo.io?

While the platform is excellent overall, there are a few areas that could use refinement. On the UI/UX and performance side, the web interface can show noticeable lag or occasionally freeze when running highly complex searches or loading very large lists.

For integrations, the standard CRM sync works well, but custom field mapping can feel a bit rigid at times, which forces manual workarounds to make sure data aligns cleanly across systems. In addition, the AI/Intelligence features especially the AI email writercan produce copy that comes across as too generic or formulaic, so I often need to do heavy manual editing to make it sound natural.

How this impacts my workflow / Suggestions for improvement:

The UI lag slows down prospecting sprints, and the inflexible integration setup creates unnecessary admin overhead during initial database cleanups. Apollo could improve significantly by optimizing web performance for large data volumes, providing more flexible and granular custom-mapping tools for CRM integrations, and training its AI writer to better adapt to specific industry tones or custom brand guidelines.
