## About Acuity PPM
Acuity PPM is a project portfolio management (PPM) software platform that helps mid-market PMOs and business leaders evaluate, prioritize, and govern project portfolios, with an emphasis on improving the quality of portfolio decisions before work begins. The platform supports the full portfolio lifecycle, including work intake, prioritization and scoring, roadmap planning, resource capacity management, financial planning, and project execution. It is designed for PMOs operating at Levels 1–2 of portfolio management maturity — typically organizations transitioning from spreadsheets, shared drives, or fragmented project tools toward a centralized, governance-oriented approach. The architecture scales into Level 3 capabilities such as scenario analysis and portfolio optimization without requiring a platform change. Acuity PPM provides a single source of truth for project, financial, resource, and decision data, enabling consistent reporting and transparent governance across stakeholders. The platform is configurable to organizational structure, scoring criteria, intake workflows, and financial categories. Core capabilities include: • Work intake and demand management — configurable proposal forms, governance workflows, and decision logging to standardize how initiatives are submitted, reviewed, and approved • Prioritization and scoring — weighted value and risk models, risk-value bubble charts, and portfolio heatmaps to support objective, defensible prioritization • Portfolio roadmapping and dependency tracking — Gantt-based timelines, baselines, and cross-project dependency views for sequencing and coordination • Resource capacity planning — heatmaps, role-based and named-resource views, non-project effort tracking, and scenario-based capacity analysis • Project execution — status reports, risk and issue logs, financial planning, schedules, decision logs, lessons learned, benefits tracking, and action items Acuity PPM is structured around two layers of AI-assisted capability that customers can activate as needed. Portfolio Intelligence applies AI to five governance domains — work intake, prioritization, planning, resource capacity, and risk management — to support decisions about what to fund, how to sequence, and where to allocate resources. PMO Operations consists of AI agents that perform research, monitoring, synthesis, and preparation tasks such as risk research, status synthesis, document drafting, dependency monitoring, benefits tracking, portfolio communication, and external strategic scanning. A conversational interface, Crystal AI, provides natural-language access to portfolio data and analysis. All AI outputs are designed to be explainable, source-attributed, editable, and subject to human review before entering approval workflows. The platform follows an AI-Ready, Not AI-Required model: traditional PPM functions operate independently, and AI capabilities are activated based on organizational readiness. Implementations are typically completed within two weeks. Acuity PPM serves organizations across construction, healthcare, financial services, government, higher education, and transit.

**What do you like best about Acuity PPM?**

Acuity PPM’s biggest strength is how effectively it brings structure and visibility to portfolio management, particularly through its financial tracking and work intake capabilities.

The financial tracking features gave us a much clearer view of budget allocation, forecast vs. actuals, and overall investment across the portfolio. This significantly improved decision-making at a senior level, as we were able to move from fragmented spreadsheets to a single, reliable source of truth.

The work intake process was another standout. It allowed us to standardise how initiatives were proposed, assessed, and prioritised, which reduced ambiguity and ensured that all work aligned more closely with strategic objectives. Compared to our previous approach, this saved considerable time and improved governance.

From a stakeholder perspective, the ability to present a consolidated, real-time view of the portfolio was extremely valuable. Senior leaders could easily see what was in progress, what was coming next, and how resources were being allocated—without needing to pull together multiple reports manually.

The platform itself is intuitive, and once embedded, it becomes a central hub for portfolio activity. Performance was reliable, pricing is excellent and we saw good ROI through improved transparency, better prioritisation, and reduced manual reporting effort.

Finally, the support and onboarding experience was very strong. The team were responsive and Tim's support has been invaluable. We were up and running quickly and support was always available when maturing our setup. There have been multiple product feature releases over the past year which truly add value to the user experience.

Overall, Acuity PPM played a key role in maturing our portfolio management capability and driving more informed, data-led decisions.

**What do you dislike about Acuity PPM?**

While Acuity PPM is a strong platform overall, there are a few areas where we found limitations, particularly given the nature of our operating model.

The resourcing functionality, although well-designed, didn’t fully align with our business setup. In an environment going through significant organisational transformation, with high turnover and frequently shifting roles, it became difficult to maintain accurate resource data. This isn’t necessarily a flaw in the tool itself, but it does highlight that the model works best in organisations with more stable structures. Greater flexibility or lighter-touch resourcing options could make it more adaptable in these scenarios.

We also found that maintaining detailed project schedules within the platform could be challenging for some users, especially for larger or more complex plans. While the scheduling capability has improved significantly over time, there is still an opportunity to enhance usability, particularly around creating simple, rolled-up views that can be easily shared with senior stakeholders. The addition of MS Project import/export is a strong step forward and helps mitigate this, but more native summary views would add value.

Another area for improvement is role-based access control. Currently, access can feel a bit broad in some cases. For example, we would have benefited from more granular permissions, such as enabling read-only access at an individual project level for certain business support functions, rather than granting visibility across the full portfolio.

Overall, these are not fundamental issues, but areas where increased flexibility and usability would make the platform even more effective across a wider range of organisational contexts.

**What problems is Acuity PPM solving and how is that benefiting you?**

Before implementing Acuity PPM, we were managing project intake and portfolio tracking through a combination of spreadsheets and Google Forms. This made it difficult to maintain consistency, assess value effectively, and get a clear, consolidated view of what was happening across the portfolio.

Acuity PPM solved this by giving us a structured, end-to-end intake and portfolio management process. The introduction of a dedicated intake pipeline, combined with benefits capture and a robust risk vs. value scoring model, allowed us to properly evaluate a high volume of incoming requests. Previously, a lot of potential value was hidden or difficult to compare; with Acuity, we were able to prioritise more effectively, leading to faster decision-making and a stronger focus on the right initiatives.

Another key benefit was the ability to track initiatives from initial proposal through to delivery and benefit realisation. This closed the loop for us, we could compare expected vs. actual outcomes, which significantly improved how we forecast and assess benefits over time.

Perhaps the biggest shift was moving to a single source of truth for portfolio data. Instead of manually compiling updates from multiple sources, stakeholders could self-serve real-time information directly from the platform. This drove much more consistent reporting and reduced the overhead of portfolio governance.

From a portfolio leadership perspective, this meant better visibility of financial performance, as well as earlier identification of emerging risks and issues. In practical terms, it improved the quality of decision-making, reduced manual effort, and increased confidence in the data being used across the business.

**What do you like best about Acuity PPM?**

The best aspect of Acuity PPM is its simplicity and accessibility for intake and basic project tracking. The platform makes it easy for business users to submit requests and for teams to track work without requiring extensive training or complex configuration.

Key strengths include:

Straightforward intake process – Business partners can easily submit requests, which helps centralize work intake and reduce email-based requests.

User-friendly interface – The system is simple enough that both technical and non-technical users can navigate it without a steep learning curve.

Basic project visibility – Teams can quickly see active projects, status updates, and ownership in one place.

Low administrative overhead – Compared with more complex PPM tools, Acuity is relatively easy to maintain and operate.

**What do you dislike about Acuity PPM?**

Scalability challenges – As the number of projects and stakeholders grows, the system can become harder to manage efficiently.

Limited integrations – Integration with other enterprise tools is not as seamless as more modern platforms, which can lead to manual work or duplicated effort.

Restricted portfolio management features – Compared to more mature PPM solutions, the platform offers fewer capabilities for resource planning, risk tracking, and advanced portfolio oversight.

Acuity PPM helps centralize project intake and provides a structured way to track and manage work requests. Before using a system like Acuity, requests often come through email or informal channels, which can lead to confusion, missed requests, and limited visibility into team workload.

By using Acuity PPM, all requests are submitted through a single intake process, allowing the team to capture important details upfront and maintain better organization. This improves transparency around what work has been requested, what is currently in progress, and who is responsible for each project.

The main benefits include:

Improved visibility into active work, helping teams understand project status and priorities

Better accountability, since ownership and progress are tracked within the system

Acuity PPM is intuitive and easy to use software for managing projects portfolio's unlike with spreadsheets or traditional PPM software which are problematic and complex.The products intuitive interface results in strong user adoption which translates into higher data quality to help make superior strategic decisions.Acuity PPM provides a smooth implementation and strong adoption at all levels of the organization because its implementation are measured in days not weeks or months.It provides rich functionality while maintaining a simple User interface and experience.

**What do you dislike about Acuity PPM?**

The product is quite good and there is nothing much to dislike however there is need for more robust permission or role set up.There is need also to add more additional features such as more txt formatting in the status reports, abilities to export the project list and project status.

**What problems is Acuity PPM solving and how is that benefiting you?**

Acuity PPM simplifies my reporting process by centralizing all status reports in one place .This product makes project scoring and prioritization easy with their configurable scoring model and risk -value bubble chart .It can control the quality of work and select the right projects coming into the portfolio.Acuity Ppm makes it easy with their balanced approach to creating project level resources plans and viewing this information at the portfolio level.

**What do you like best about Acuity PPM?**

It is an absolutely comprehensive tool that is easy to set up and operate, approachable by all team members despite of computer competence. It is attractive and flexible allowing the user to customize fields according to the organization or project needs. The platform provides consulting services that is very responsive and resolves issues encountered in no time.

**What do you dislike about Acuity PPM?**

There's limited feature and more updates are required because it is a bit old fashioned and that affects the productivity. Other  than it is sleek and efficient in every-way possible.

**What problems is Acuity PPM solving and how is that benefiting you?**

It provides an abstract needed and ample detail about every single projects which has helped in improving decision making, risk management and business process coordination. It is designed to aid in selection, organizing and implementation of project portfolios. This enables status tracking, provide significant report to the higher ups and enhance visibility of the project portfolio.

It's as described. It's clean, extremely easy to setup, does what it's supposed to do and has made my life easier.

I can't think of anything I dislike about Acuity.

I was managing resource planning and my project list via spreadsheets which was visible to Sr. Leadership. Acuity has simplified the process.

Acuity PPM provides rich functionality whilst maintaining a simple user interface and experience.
This simplicity has contributed to a smooth implementation and strong adoption amongst staff at all levels of the organisation.

Some organisations may wish to provide more granular user access. 
However, I appreciate the simple user access options that encourage increased visibility of project performance for all users.

Acuity PPM may not meet all of your long term requirements, however consider whether it may be a low-risk tactical solution to support your PPM maturity uplift journey.

**What do you like best about Acuity PPM?**

The clean user interface, one of its outstanding features is that it is so easy to implement and use. In just a few minutes, you can set up the basics of your portfolio and manage your users and views. Acuity gave us the ability to understand, manage and prioritize our project portfolio.

**What do you dislike about Acuity PPM?**

There was one time (about three months ago) that I had issues with login (lasted maybe 10 minutes). I didn't report and cannot honestly say if the problem was related to the software. I would love to have a more robust permission/roles set up.

**What problems is Acuity PPM solving and how is that benefiting you?**

We knew our business PPM maturity level was relatively low, and we wanted something to match our culture. We also were not looking for software to manage individual projects. We wanted proper portfolio management software that was simple but provided project tracking at a high level.

Ease of use of the product and the fact that the dashboards are visually appealing.

A small annoyance is that there are multiple data entry screens rather than one screen containing all fields for input.

**Recommendations to others considering Acuity PPM:**

It is a wonderful tool in which to centralise tracking and reporting of our company's substantial project portfolio. We've found that there is also an eagerness within our project community to use the tool after only one demonstration, with key stakeholders engaging very quickly. Acuity PPM's ease of use is a huge advantage, as is the fact that the dashboards are very visually appealing.

**What problems is Acuity PPM solving and how is that benefiting you?**

The tracking of over 200 initiatives within the company in one "easy to use" tool that provides ready reporting for our senior leadership team.  An immediate benefit that springs to mind is that Acuity PPM provides powerful insights into our project portfolio performance and health. The tool also drives much needed consistency and enables better delivery outcomes for our project community.

**What do you like best about Acuity PPM?**

Super simple to set up and navigate. Clean user interface, and great functionality that allows you to manage a Project Portfolio effectively. The perfect system for an organisation with a low or developing maturity in Project Portfolio management, as it's simple to implement and use, and you aren't paying for a hundred advanced features you don't really need. I spent 8 months looking for a solution for Portfolio management, and Acuity is the only one I found that delivers a simple solution, suitable for most organisations  - it doesn't try to be a Project Management software solution, which means it can be implemented on top of existing Project Management software seamlessly. On top of that, the Acuity team behind the scenes are constantly releasing new features and developments, have offered endless support in our implementation, and are committed to their vision of building a lightweight Project Portfolio Management system.

**What do you dislike about Acuity PPM?**

Some aspects of the functionality and workflows are a little clunky, that require a few more clicks that necessary to get to the end state. Not a big deal, but can sometimes be a little annoying. 
Unable to export Project Status Updates to a format suitable for Exec level reporting is also a downside. Again, workarounds exist, but hope to see this functionality improve.

**Recommendations to others considering Acuity PPM:**

If you're still using spreadsheets to manage your project portfolio, don't hesitate to try Acuity - it's super cost-effective and easy to setup. Don't expect it to replace your Project Management tools - it sits above those tools and processes to capture just the high level data you need for Portfolio management.

**What problems is Acuity PPM solving and how is that benefiting you?**

For the first time, we have good visibility of our entire portfolio of projects. Using the system, we're now able to track the status of our projects, provide meaningful reporting to our Executive, and we have the data available to really analyse the effectiveness of the entire portfolio.

**What do you like best about Acuity PPM?**

I really love Acuity PPM. It has a clean, intuitive user interface that was accessible to my entire project team, regardless of computer expertise. The various built-in query and reporting visualizations make it easy to see the status of your whole portfolio. 

**What do you dislike about Acuity PPM?**

Acuity is designed for portfolio management, not specific project management, but it integrates with other industry-recognized PM tools like Smartsheets. This wasn't an issue for me or my team, but it is something to be aware of in your assessment. 

**Recommendations to others considering Acuity PPM:**

Acuity is a fantastic new software offering that fills a critical niche in the PM industry. It's far more user-friendly than the Portfolio tool available in Microsoft Project. The best thing about it is the support - this product is new to the market and is VERY open to user feedback and feature requests. That said, it's clean, streamlined, and bug-free -- much better than you would usually expect from a new product offering! 

**What problems is Acuity PPM solving and how is that benefiting you?**

Acuity made it simple to keep track of my whole portfolio and to show my PMO team's progress (and value!) to our top management.
